7970 IP Communicator Guide Opening your Cisco IP Communicator – Double-click the Cisco IP Communicator shortcut on your desktop. – Or select Start>Programs>Cisco IP Communicator. The IP Communicator will open. The first time you launch IP Communicator the Audio Tuning wizard will open. Follow the steps to tune each audio device you will use with the IP Communicator. To log in (You may not be required to log into your IP Communicator): 1. Press Services button. 2. Select Extension Mobility. 3. Enter your User ID and PIN and press Submit. To log out: – Press Services, select Extension Mobility, press Yes to confirm.
Basic Call Features To place a call: You can do one of the following: – Enter the phone number, as you begin the auto dial feature will pop up and display any matching numbers available from your Placed Calls Log. Select number then press Dial soft key or press Enter on your keyboard. – Dial the number and then click the number on the screen that you have just entered. – Press the Navigation button to scroll through your Placed Calls Log.Then press Dial soft key or press Enter on your keyboard. – Press Speaker or NewCall soft key, then dial. – Press a configured Speed Dial button. – Press a configured number speed dial number, then press AbbrDial soft key. To answer a call: – Lift (or otherwise enable) handset if available. – Press Headset button to activate the headset if available. – Press Answer soft key or Speaker to activate speaker mode. To end a call: – Hang up or disable handset to end call through handset. – Press Headset button or EndCall soft key to end the call through the headset. – Press Speaker or EndCall soft key to end the call on speaker mode. Note: Pressing the Esc key on your keyboard will also end a call. To redial last number dialled: – Press Redial soft key. To put a call on hold: – With the call selected, press Hold soft key. – To return to the call, press Resume soft key. Handling multiple calls: – If multiple calls are on hold, use the Navigation button to select the desired call then press the Resume soft key.

To mute a call: – Press Mute button. – To disengage mute, press Mute again. To speed dial from a directory menu: Missed, received, placed call history directories, corporate directory. 1. Press Directories. 2. Find the directory that you require, then press the corresponding item number. For example, press 1 for missed calls. 3. Press Dial soft key or press Enter on your keyboard to speed dial a selected number. Press EditDial soft key to add or remove digits before dialling using the << (delete) and >> (moves cursor right) soft keys. To pick up a call within a group: 1. Press NewCall soft key. 2. Press PickUp soft key, you may need to press more soft key first. 3. The call will be redirected and start to ring on your phone. Press Answer soft key. To forward callers to another number: 1. Press CfwdAll soft key. You will hear two beeps. 2. Enter the number to which you want to forward all of your calls. An animated icon flashes in the upper-right corner of the display. To cancel call forwarding: – Press the CfwdAll soft key.

Programmable Buttons These buttons can be configured as: – Different phone lines or extensions (line buttons). – Frequently dialled phone numbers (speed dial buttons). The buttons illuminate to indicate status as follows: Green, Steady – Active call on this line (off hook). Green, Blinking – Call on hold on this line. Orange, Steady – Privacy feature enabled. Orange, Blinking – Incoming call ringing on this line. Red – Shared line currently in use. No Colour – No call activity on this line (on hook).
Directories To view Call History Logs: 1. Press Directories. 2. Highlight Missed Calls, Placed Calls or Received Calls and press Select. 3. If you wish to call one of the numbers, highlight it, press Dial soft key or press Enter on your keyboard to speed dial. The Corporate Directory: 1. Press Directories. 2. Highlight Corporate Directory and press Select. 3. Enter a name/number and press Search soft key. All possible matches are listed. 4. To call an entry, highlight it, press Dial soft key or press Enter on your keyboard to speed dial.

Using the Right Click Menu You can right-click on any part of the Cisco IP Communicator or press Shift + F10 to access these menu items.
Quick Search – Opens the Quick Search dialog box. This allows you to search one or more directories with a single search command.
Skins – This option allows you to change the look of the interface. The Cisco IP Communicator comes with two skins: the default skin (Default.xml) and an optional skin (Mercurio. xml).
Cisco User Options – Opens the Cisco IP Phone User Options page, for details on configuring settings, speed dials and IP phone services using this page refer to the User Options Web Page section.
Screen Only –This options toggles screenonly view on and off. Keyboard shortcuts are particularly useful in screen-only view. For a list of shortcuts, see the „Keyboard Shortcuts“ section.
Help – Provides a link to online help.
Always on Top – When enabled, this feature keeps the interface visible on your desktop, even if other applications are active. Audio Tuning Wizard – This launches a tool that helps you select and tune any audio devices you have connected.
Preferences – Opens the Preferences dialog box, which includes User, Network, Audio and Directories windows. About Cisco IP Communicator – Displays Cisco IP Communicator software version information. Exit – Allows you to quit the Cisco IP Communicator interface.

7970 IP Communicator Guide User Web Pages You can access the Cisco Unified CM User Options web page to tailor features on your phone, for example set up speed-dials. To do this, click the link provided and click Continue to any security warnings. The first page you will see is the Log In page. 1. Enter your Username and Password. 2. You can then select the following: Speed Dials / Abbreviated Dial You can set up speed dials for any available line button on your IP Phone and abbreviated dials as follows: 1. Click User Options and select Device. 2. Select Speed Dials. 3. In an available speed dial box enter the number, enter it exactly as you would normally dial it. 4. Enter the name in the Label box. 5. Click Save to save the new Speed Dial entry. The Speed dial appears beside the line button, press to call. Abbreviated dial numbers can be called by pressing the relevant number on the keypad, then pressing the AbbrDial soft key. Note: You can print your speed dials page for ease of reference.
Forwarding All Calls You can forward your calls directly from your IP phone or through the CM User Options web page. 1. Click User Options and select Device. 2. Select Line Settings. 3. Select the line you wish to forward. 4. Check the Forward all Calls to option and choose the call forwarding conditions your require. 5. Click Save. An animated phone icon flashes on your phone screen. 6. To cancel Call Forward, either uncheck the box and press Save or the CFwdAll soft key on your phone.

Voice Mail Before you will be able to send and receive messages you will first have to enrol in the new system. Internal access – Press Messages button and follow instructions. Your default password is 135791. New message indication: – Flashing envelope icon displayed. – Light on ring/message indicator glows. – Text message displayed. To access your voice mail: – Press the Messages button and follow the voice instructions: Press 1 to listen to new messages. Press 3 to review old messages. During a message: Press 1 to restart message. Press 2 to save. Press 3 to delete. Press 5 to change volume. Press 9 to fast forward to end.
Record a Greeting: Press 4>1>1, your current greeting will play. Press 1 to record new greeting. During Recording: Press 8 to pause / resume. Press # to end recording. Use at any time: Press * to cancel / backup. Press # to skip / move ahead. Press 0 for help. – To exit press EndCall (soft key). Call forwarding directly to voice mail 1. Press CfwdAll (soft key). 2. Press Messages. External Access – Dial access number or your own telephone number. – Press * – Dial the 8XXX + digit extension.

7970 IP Communicator Guide Advanced Call Features Transferring Calls: 1. During a call, press Transfer soft key. This places the call on hold. 2. Dial the number. 3. To transfer the call directly without announcing the caller, when the phone rings press Transfer again and hang up. The call will be transferred and removed from your phone. 4. If you wish to announce the caller, wait for the call to be answered, if it is accepted press Transfer again and hang up. Note: If the transfer fails, press Resume soft key to return to the original call. Direct Transfer: You can directly join two independent calls and immediately drop yourself from both the calls. 1. Use the Navigation button to select the call on hold. 2. Press DirTrfr soft key. The two calls are joined into one call and are removed from your phone. CallBack: When there is no answer from another IP Phone, the Callback feature can used within 12 seconds (after this period the call will automatically divert to voicemail): 1. Dial the number then press Callback soft key. Once the IP Phone is used again, the Callback request will be indicated on your phone screen giving you the option to dial them back again.
Note: If after 47 minutes the receiver has not used their IP Phone then the Callback request is cancelled. Parking a Call: 1. During a call, press more soft key. 2. Press Park soft key. Make a note of the call park number shown on the display, then hang up.The call is now parked at that number. 3. To retrieve the parked call, dial the call park number from any IP phone. Note: If the parked call is not retrieved after a configured time the call will revert back to the original extension. Conference Calls: Standard Ad-Hoc Conference: Allows you to establish a standard conference by calling participants one at a time. 1. During a call, press Confirn soft key. This places the call on hold and opens a new line. 2. Place a call to another party. 3. When the call connects, press Confirn soft key again to add this new person to the call. This can be repeated for up to 6 concurrent callers. Joining Calls: Allows you to join parties in established calls into one conference call. 1. Use the Navigation button to highlight the call on hold. 2. Press Join soft key. (You may need to press more soft key first) The selected calls are joined into one conference call. 3. Further parties can be added by following steps for an ad-hoc conference as above. Viewing Conference Participants: – Press ConfList soft key to display list of conference participants. – Press Update soft key to refresh the list of participants
– If you initiated the conference call and need to remove a participant, use the Navigation button to highlight the name and press Remove soft key. Conference Tips – Avoid putting a conference call on hold, participants hear beeping or music when on hold, instead mute the call. – To end all but one must hang up. – Once the initiator disconnects, the remaining participants can continue, but no additional parties can be added. – To transfer a conference to another telephone, press Transfer soft key, dial the number and press Transfer soft key again. All parties will be transferred.
Volume and Ringer Sound To Adjust the Ringer Volume: – While no call is active, press Volume button to increase or decrease the ringer volume. Call Volume: – During a call, press Volume button or PageUp/PageDown keys on your keyboard.You can press the Save soft key to apply the new volume level to future calls. To change the Ringer Sound: 1. Press Settings. 2. Select User Preferences, then Rings. 3. Select a line or choose default ring. 4. Use the Navigation button to scroll through the list of ring types and press Play soft key to hear samples. 4. Highlight the desired ring you require, then press the Select soft key. 5. Press OK and Save soft keys.
