User’s Guide What Is ABBYY FineReader Express? ABBYY FineReader Express is an easy–to–use OCR application which accurately converts paper documents, PDF documents, and digital photos into editable electronic formats. ABBYY FineReader Express preserves the layout and formatting of the original, reducing the need to retype and store paper documents. ABBYY FineReader Express allows you to: ● convert into editable formats images obtained from a scanner, image files (including digital photos) stored on your hard disk or on any other medium, and PDF documents ● save scanned images. You can convert BMP, PNG, PCX, DCX, JPEG, JPEG 2000, TIFF and GIF images and PDF files (if they are not password– protected) into RTF, TXT, XLS, HTML and searchable "text under image" PDF. The application supports 171 languages Note: You cannot select more than three languages per document. When you install ABBYY FineReader Express on your computer it is integrated with the Finder. As a result, an ABBYY FineReader Express item is added to the shortcut menu of supported files, enabling you to convert image or PDF files directly from the Finder. What Is OCR? OCR stands for Optical Character Recognition. OCR software converts document scans or photos, as well as PDF documents, into editable text. If you have scanned a magazine article and wish alter its text, you will need to convert the image into an editable format before you can make changes to it. An OCR application extracts text from document images, photos or PDF files, providing you with electronic copies of original paper documents which can be edited, reused, and searched. 4 ABBYY FineReader Express Edition for Mac. User’s Guide Working with ABBYY FineReader Express With ABBYY FineReader Express, you can quickly get an electronic copy of your paper document or convert an image into a text, spreadsheet, HTML or searchable PDF file. Opening ABBYY FineReader Express You can open ABBYY FineReader Express using any of the following methods: ● Open Finder > Applications and double–click ABBYY FineReader Express. The Quick Tasks window opens, where you can select the desired conversion options and start initiate the conversion process. ● Select the PDF files or the images in any of the supported formats that you wish to convert (multiple files can be selected). Then choose Open with > ABBYY FineReader Express from the shortcut menu of the files. Alternatively, drag the file to the ABBYY FineReader Express icon in the Dock (you can use this method if you placed ABBYY FineReader Express into the Dock) The Quick Tasks window opens, where you can select the desired conversion options and start initiate the conversion process. The names of the selected files will appear in the Get Image From drop–down list in the Quick Tasks window. Important! When you first open ABBYY FineReader Express, enter the serial number that you received together with the application. The application will not run unless you enter this serial number. Converting Images To convert an image into editable text: open ABBYY FineReader Express, feed the image to the application, select the language of the document, and, finally, select an output format. 1. Open ABBYY FineReader Express. The Quick Tasks window opens, where you can set up a conversion task. 2. Select an image source: from the Get Image From list, select either: ● Scanner to scan a paper document, or ● File to open an image file 5 ABBYY FineReader Express Edition for Mac. User’s Guide If you have added images directly from the Finder, these files will also be listed as image sources. 3. From the Document Language list, select the appropriate language. 4. To start converting your image, simply click the button of the desired output format. 5. Depending on which image source you selected at step 2, either a scanning or image opening dialog is displayed. Scan the document or open the image files to be converted. Note: If you have added images directly from the Finder, clicking an output format button will immediately start the conversion process. Once the images are converted, the results will appear in the main ABBYY FineReader Express window and the application will prompt you to save the results in the selected format. You can adjust the conversion options if required. For example, you may wish to select a different document language or output format, rotate or invert the image, or adjust the areas detected on the image. After you adjust the options, convert the image anew by clicking the Convert button on the toolbar. Acquiring Images This section describes the methods available to feed an image to ABBYY FineReader Express. You can ● scan paper documents or open document images in the Quick Tasks window. ● open images directly from the Finder Getting images in the Quick Tasks window (scanning paper documents or opening image files) In the Quick Tasks window, you can either scan a paper document or open an existing image file. ● To scan a paper document: 1. Make sure that your scanner is properly connected and switched on. Please consult the documentation provided with your scanner for detailed instructions. 2. Select your scanner from the Get Image From drop-down list. Important! This software does not support scanner models for which no Intel for Mac OS X drivers are available. 3. Select any other task options that may be necessary and initiate the conversion process. 4. A scanning dialog box will open. Select the desired scanner settings and scan the document. Once all the pages are scanned, close the scanning dialog box. Note: See the Tips and Tricks section for advice on selecting the right scanner settings. Once the images are converted, the results will appear in the main ABBYY FineReader Express window and the application will prompt you to save the results in the selected format. ● To open an image or PDF file: 1. In the Get Image From drop–down list, select the File item. 2. Select any other task options that may be necessary and initiate the conversion process. 3. An Open dialog appears. Select one or more images and click Open. Once the images are converted, the results will appear in the main ABBYY FineReader Express window and the application will prompt you to save the results in the selected format. Opening images from the Finder When you install ABBYY FineReader Express on your computer it is integrated with the Finder. The names of the selected files will appear in the Get Image From drop–down list in the Quick Tasks window. Note: To delete a file from the list, click the red cross picture next to it. 5. Select any other task options that may be necessary and initiate the conversion process. Once the images are converted, the results will appear in the main ABBYY FineReader Express window and the application will prompt you to save the results in the selected format. Important! ABBYY FineReader Express will not convert password–protected PDF files. Selecting the Document Language You need to select the appropriate document language prior to converting your image. ABBYY FineReader Express supports 171 languages. See the Supported Languages section for the full list. Note: You cannot select more than three languages for a document. From the Document Language drop–down list in the Quick Tasks window, select one of the following: ● A language or a combination of languages. Select one of the available items. The list includes the languages most commonly used on this computer as well as the languages previously used by the application. ● More Languages... Select this item if the language you need is not in the list. A Language List opens. Select one or more languages by placing a check mark next to their names. The selected languages will be displayed at the top of the dialog. Tip: If your document contains text in two or three languages, select all of the appropriate languages. However, be sure not to select multiple languages if your document is written in only one language, as this may slow down the conversion process. Note: If required, select a different language and convert the document anew: select the appropriate language from the Language drop–down list in the main window and then click the Convert button. Once the conversion is complete, the application prompts you to save the file in the selected format. Selecting an Output Format ABBYY FineReader Express can convert text images to RTF, TXT, XLS, HTML, and PDF. To convert an image into one of these formats, select the desired conversion options and click the corresponding button in the Quick Tasks window. Button Output Format RTF or TXT XLS HTML 7 ABBYY FineReader Express Edition for Mac. User’s Guide Searchable "text under image" PDF The conversion process starts automatically. Once the conversion is complete, the application prompts you to save the file in the selected format. When converting images into a text format, you can choose between RTF and TXT in the saving dialog. Note: If required, select a different output format in the ABBYY FineReader Express main window: ● Select the desired format from the Output Format drop–down list on the main window toolbar and click the Convert button. ● Alternatively, choose the desired output format from the File menu. Once the conversion is complete, the application prompts you to save the results. Improving Conversion Quality When converting images, ABBYY FineReader Express recognizes the text on the source image and saves it in the selected output format. Both the quality of the source image and the selected options affect the quality of conversion. Additionally, the program detects areas that contain text, pictures or tables and uses this information to recreate the original layout. If you think the conversion results can be improved, or if you wish to change the order of the pages in the document, you can do the following without the need to reload the image: ● To improve the quality of conversion: ● Check the orientation of the page. See the Rotating Images section for more information. ● Make sure that the image was not inverted during scanning. See the Inverting Images section for more information. ● Adjust the detected areas or draw areas manually in the event of a complex document layout. See the Adjusting Areas section for more information. ● Make sure the correct language is selected in the Document Language drop–down list. See the Selecting the Document Language section for more information. ● To change the order of the pages in the document or to delete unwanted pages: (Useful if the pages have been scanned in the wrong order or if unnecessary pages have been scanned.) ● To re–arrange the pages, select a page in the Pages pane and drag it to the desired location. ● To delete a page, select the page in the Pages pane and then choose Delete Page from the Page menu or press Del. Important! If you have edited an image, adjusted areas on an image, changed the order of pages, or selected different options, you will need to convert the image anew for the changes to take effect. Click the Convert button in the main window to convert the image anew. Rotating Images Incorrect orientation of the text may result in poor conversion quality. Make sure that the text on the image has the normal reading orientation, i.e. the lines are horizontal and the text begins at the top. Text on images may have the wrong orientation if you place the page on the scanner the wrong way or if you hold the camera sideways when taking a picture. ABBYY FineReader Express will attempt to detect the orientation of the text automatically and rotate the image if required. However, if the application fails to autodetect the orientation of the text correctly, you will need to rotate the image manually and then convert the image anew. 8 ABBYY FineReader Express Edition for Mac. User’s Guide If required, rotate the image by choosing the appropriate item from the Page menu or by using the corresponding tool in the Page Orientation section of the toolbar at the right: ● rotates the image 90 degrees clockwise ● rotates the image 90 degrees counter–clockwise ● rotates the image by 180 degrees Inverting Images Conversion errors may occur when converting so–called inverted texts (i.e. light text placed against a dark background). Some scanners invert images, i.e. translate black into white and white into black. To revert to the standard black text against a light background, choose Page > Invert Image. Then convert the image anew. Adjusting Areas When converting a document image, ABBYY FineReader Express detects the following area types on the image: Text, Picture, and Table. The application then uses the detected areas to recreate the original layout. Each area type has its own color. If the application fails to detect the type of an area correctly, you can specify the correct type manually. For the changes to take effect, convert the image anew. 1. Selecting an area manually 1. On the toolbar to the right, click the appropriate tool: selects a Text area selects a Picture area selects a Table area Alternatively, you can select an area by choosing Areas > Draw Area and specifying Text, Picture, or Table, whichever is appropriate. 2. Use the mouse to select the area. 2. Changing the type of an area ● To change the type of an area, choose Change Area Type from the Areas menu and then select the appropriate area type. ● Alternatively, you can change the type of an area by choosing Change Area Type from the shortcut menu. 3. Moving area borders 1. Position the mouse cursor on the area border you want to move. 2. Drag the area border to the desired location. 9 ABBYY FineReader Express Edition for Mac. User’s Guide 3. Release the mouse. Note: When you position the mouse cursor on the corner on an area, dragging the mouse will move both the vertical and the horizontal border. 4. Adding/deleting area parts 1. Choose Areas > Draw area and then either choose Add Area Part or Cut Area Part. 2. Place the mouse cursor inside the appropriate area and draw a rectangle to enclose the part you want to add or delete. 5. Editing table cells If ABBYY FineReader Express fails to detect the rows and columns of a table correctly, you can specify them manually and convert the image anew. The following operations are available: ● Add a vertical or horizontal separator To add a separator, choose Areas > Table Cells and then choose either Add Vertical Table Separator or Add Horizontal Table Separator. Next, click where you want to add the separator inside the table. ● Delete a separator To delete a separator, choose Areas > Table Cells > Delete table Separator. Next, click the separator you want to delete. ● Marge table cells or rows Use the mouse to select the cells or rows you want to merge, choose Areas > Table Cells and then choose either Merge Table Cells or Merge Table Rows. ● Split a table cell Click inside the cell you want to split and choose Areas > Table Cells > Split Table Cells. Important! This command can only be applied to previously merged table cells. 6. Deleting an area To delete an area, choose Delete Area from the shortcut menu. 7. Deleting all areas To delete all areas from an image, choose Delete All Areas from the Areas menu. Saving Images With ABBYY FineReader Express, you can not only scan and convert images into editable formats but also save scanned page images as files or to the Clipboard: 1. Start converting an image in ABBYY FineReader Express. See Converting Images for instructions on how to set up and run a conversion task. 2. Once the image is converted into the format you specified, switch to the ABBYY FineReader Express main window, where your scanned or opened image is displayed. 3. Next: ● To save the image: 1. Select File > Save Image As... 2. In the saving dialog, specify ● the desired name of the resulting image file 10 ABBYY FineReader Express Edition for Mac. User’s Guide ● the folder where the image file should be saved ● the desired file format (BMP, PNG, PCX, JPEG, JPEG 2000 or TIFF) ● the desired saving options 3. Click Save. ● To paste the image into another application: 1. Select Edit > Copy Page Image. 2. Open an image editing application, e.g. Preview. 3. Paste the copied image into a new file. 4. Edit the image if required and save it. Trial Version Restrictions If you are using a trial version of ABBYY FineReader Express, please note that the following restrictions apply: ● Only the first page of a document is converted when you click Convert ● After you first open the application, you will be able to use it for only 15 days You will not be able to open the application after the trial period expires. Removing ABBYY FineReader Express from Your Computer To remove ABBYY FineReader Express from your computer: 1. Choose Finder > Applications. 2. Locate ABBYY FineReader Express. 3. Holding down the left mouse button, drag this folder onto the Trash icon in the Dock, or just click Move to Trash item in the ABBYY FineReader Express application contextual menu. 11 ABBYY FineReader Express Edition for Mac. User’s Guide Tips and Tricks For best conversion results, follow the recommendations contained in this section when scanning or photographing your documents. ● Scanning Documents ● Photographing Documents Scanning Documents Connecting the scanner Before you start scanning, make sure you scanner is properly connected and switched on. Some scanner models must be switched on before you power up your computer. Please consult the documentation provided with your scanner for detailed instructions. Be sure to install the software you received with your scanner. With some scanners, you must press a special button in order to send a scanned image to the application that initiated the scanning process. Please consult the documentation provided with your scanner for detailed instructions. Scanning interfaces ABBYY FineReader supports two scanning interfaces - TWAIN and ICA. The driver of the active interface will be indicated next to the name of your scanner in the Quick Tasks window (Get Image From drop-down list). If your scanner supports both these interfaces, its name will occur twice in the list. Note: If you wish to use the ICA interface, please find your scanner in the list of available printer drivers on the Apple website and download the necessary drivers via Check Updates. For detailed instructions, see http://support.apple.com/kb/HT4505. The scanning options to be used are selected in a scanning dialog. ICA scanners will use ABBYY FineReader's scanning dialog, which may look differently than the similar dialog in the scanning software provided with your scanner. TWAIN scanners will use scanning dialog developed by their manufacturers. Scanner settings The quality of conversion depends on the quality of the original document and on the scanner settings used to scan it. Poor document images may not be converted properly. Be sure to select the appropriate scanner settings, taking into account the characteristics of the original document ● Place your documents face down on the scanner, making sure they are properly adjusted. Skewed images may be converted incorrectly. ● Printed documents are best scanned in grayscale at 300 dpi. For smaller fonts, increase the resolution to 600 dpi. ● Be sure to select the appropriate brightness when scanning your document. The letters on the output image should not be too light and have missing bits or be too thick and stuck together. Photographing Documents Taking photos of documents requires some skill and practice. The characteristics of your camera and shooting conditions are also important. Note: For detailed information about the settings of your camera, please refer to the documentation supplied with your camera. Before taking pictures: 1. Make sure that the page fits entirely within the frame. 2. Make sure that lighting is evenly distributed across the page and that there are no dark areas or shadows. 12 ABBYY FineReader Express Edition for Mac. User’s Guide 3. Straighten out the page if required and position the camera parallel to the plane of the document so that the lens looks to the center of the text being photographed. The quality of conversion greatly depends on the quality of the images. Photograph the document anew if: ● The picture is too dark and low contrast Solution: Try using additional light sources. If this is not possible, reduce the aperture value. ● The picture is not sharp enough Solution: Auto focus may not work properly in poor lighting. Try using an additional light source. If this does not help, focus the camera manually. ● Only a part of the picture is blurred Solution: Try reducing the aperture value. Increase the distance between the document and the camera and use maximum zoom. Focus on a point anywhere in between the center and the edge of the image. ● The flash causes glare in the center of the picture Solution: Turn off the flash or try photographing from a greater distance. 13 ABBYY FineReader Express Edition for Mac.
