Before proceeding with the upgrade, we ask you check that the hardware and software you are using is compatible with the latest version of Donor Strategy or Member Strategy. Some examples of what to check are shown below: Hardware Software Server (Application / Database) > Windows Operating System > Microsoft SQL Server Workstation (PC / Laptop) > Windows Operating System > Microsoft Office Suite (e.g. Outlook, Word and Excel) The latest version of the Supported Technology Matrix is available from the Client Area of the Donor Strategy website (www.donorstrategy.com) – once logged into the Client Area, please click on the link for Support from the menu, and then click on the Supported Technology Matrix link under the Supported Technology section. It is also important that you also check the Upgrade Compatibility section of the Supported Technology Matrix to make sure the version of Donor Strategy or Member Strategy you are upgrading from is compatible with the version you are looking to upgrade to. For example, if you are currently using version 4.8.1 and wish to upgrade to version 4.14.1, you will first need to upgrade to version 4.9.1, then straight to version 4.14 from there. Have you read the Release Notes? You will find a PDF copy of the Release Notes that accompany this release in the ZIP file you have downloaded. They are also available to download from the Client Area (www.donorstrategy.com). The Release Notes cover the following: New and improved functionality – what is different in the release. Change Logs – giving details of each defect fixe and enhancement Known issues – where to see details of issues found post release Are all your users aware of any changes the upgrade will introduce? We strongly recommend that you ensure all users read the Release Notes (including checking the Known Issues on-line), plus any new feature overview documents that are also included in the upgrade ZIP file. If you are unsure what has been changed in a new release, please contact the Advanced Helpdesk (contact details below). 2 If you are upgrading from Version 4.13 (or earlier) – Have we checked that your database is licenced correctly? NOTE: You are upgrading from version 4.14.1 or later to a new release, we do not need to check that your licence again (only if you are upgrading from version 4.13 or earlier). As part of the enhancements made in version 4.14, we have improved the licencing mechanism within the product. As part of this, we have identified that there are issues with the way some customers’ databases have been licenced in the past. These issues would not have affected the way your database operates, but can cause issues with the upgrade to version 4.14. Therefore, if we do not host your database, we need to issue you with an updated licence code before you upgrade to version 4.14, to prevent the possibility of any issues after the upgrade. To enable us to issue you with a new licence code, we require some information from your database. Please follow the steps below which details how to send us the information we need: - > Login into Donor Strategy or Member Strategy as normal. > From the top Menu, select Help  Upgrade Licence > A window like the following should appear… > Take a screen shot of the window above (you can do this using the Prt Sc (Print Screen) button on your keyboard. > Open a new Word document and paste the screen shot into the document by pressing Ctrl + V on your keyboard. > IMPORTANT: Please ensure you use the scroll bar on the right of the Unlock Code window and take screen shots of all the modules listed > Close the Unlock Code window. > From the top Menu, select Help  About > A window like the following should appear… 3 > Take a screen shot using the Prt Sc (Print Screen) button on your keyboard of the window above. > Paste the screen shot into the Word document by pressing Ctrl + V on your keyboard. > Save the Word document and email it to the Advanced Support team at: [email protected]. > Please entitle your email: “New Licence Code for upgrade to Version 4.14” > This will create a support case and you should receive an automatic reply confirming the case reference (in case you need to contact us again). > The Support team will then contact you with a new licence code for your database. > They will guide you through how to apply the new licence code. > Once the new licence has been installed (and only then) can you continue with your upgrade to version 4.14 4 Additional important points to consider before upgrading Pre-upgrade Backup: Please ensure you have a reliable pre-upgrade back-up of both the Data and System databases in SQL Server (these are usually named “DonorData” and “DonorSystem” or similar). Database Storage Capacity: Due to new data that is required to support the BING® Maps integration in version 4.13.1 onwards of Donor Strategy and Member Strategy, please ensure your installation of SQL Server has a minimum spare data capacity of at least 500MB. Web Connect: If you are using Web Connect, please contact the Advanced Helpdesk before proceeding with the upgrade. This is so we can confirm that the version of Donor Strategy or Member Strategy you wish to upgrade to is compatible with your version of Web Connect. Anti-Virus Software: We strongly advise customers to configure the antivirus software on their servers before running the upgrade, so that it does not interfere with the installation/upgrade process. Who should carry out the upgrade: The upgrade should only be carried out by a competant user – this is someone who is IT literate and who is familiar with your server environment and Donor Strategy or Member Strategy installation. If you would prefer us to carry out the upgrade for you, please contact your Account Manager, who will be able to provide a quote for the service. Read the instructions fully and carefully: Even if you have carried out a Donor Strategy or Member Strategy server upgrade before, please take the time to read through the upgrade instractions instructions (supplied in the uprgrade file), as the upgrade process may change release to release It is important that you work through ALL the relevant sections of the document, following the instructions step-by-step. Please do not skip any part of the instructions. Allow plenty of time to complete the upgrade: On average, it can take up to 30 minutes to run through the upgrade wizard, then up to a further 3 hours for the upgrade scripts to run the first time you log in, using the client installation on the server. These times are only approximate and will differ dependant on the speed/performance of your server. Users automatically prompted to upgrade: Once the server has been upgraded, each user will be prompted to upgrade their client machine to the new version the first time they log into Donor Strategy or Member Strategy after the upgrade. If for some reason users are not automatically prompted to upgrade, the Client Intaller (to upgrade the client machine manally) can be downloaded from the Downloads section of the Client Area (see steps above). Please take care to ensure you download the CLIENT ONLY installer. Local permissions required to upgrade client program: To run either the automatic upgrade, or use the downloaded Client Installer, users will require local permissions to update programs installed on their computer. It is possible that your System Administrator or IT department will either need to log into each client machine and run the upgrade, or assign each User Account the necessary permissions to upgrade programs (note this is not the Donor Strategy or Member Strategy user account, but relates to the User Name and Password each person uses to log into their computer). 5 Do you have further questions or concerns before running the upgrade?
