Introduction The Print Shop is a full service print and production facility serving the printing needs of the University community. We use high end digital color and black production print equipment, a single or 2-color offset press, and large format printers for banners and signs. Desktop publishing, design and layout support are available. Help Us Help You In the early stages of publication development, consulting with the University Print Shop will allow for valuable input into design and cost cutting tips. This pre-planning step greatly enhances the effectiveness, quality and timeliness of the printed piece. HOW TO ORDER FROM US The most efficient way to place an order, or even ask general questions, is through email so that we can have all the information at hand when answering. The more details you can provide, the faster service we can provide. You can attach your file to the email if you have designed your own document. Even though we can accept most software applications, we prefer a pdf whenever possible, since we may not have the same fonts or version of software used in your original. When you attach your file, we will probably print a sample copy for your approval to print, depending on the complexity and circumstances of the order - or at your request. If we do the design and layout for you, we will give you a proof either as a pdf or a printed hard copy, for your approval to print. We will make the corrections and changes and send you additional proofs until you approve printing. The following are examples of specifications to be included in your email request: ● Document Size (8½ x 11, etc.) ● Paper (text or cover, smooth,matte, gloss, linen, vellum, etc.) ● Quantity, 1-sided or 2-sided ● Color of ink or black/white ● Finishing (folding, staples, etc.) ● Due date ● Account number ● Deliveries: building and room number We certainly understand that not everything can be covered in an email when a lot of questions and details are involved, and it may be easier for you to call or drop by and discuss all of the possibilities (to look at paper or printed samples, discuss available sizes, see what services we offer, etc.).
Most of you have probably been down this road with us many times before, so you are familiar with the terms and lingo (weights, textures, etc.). Others less familiar may need to discuss their needs with us more extensively, in which case we welcome the opportunity to meet and show you around. REPRINTS If you are placing an order to reprint (envelopes, letterhead, etc.), instead of emailing or faxing us, it is best that you send us a sample through campus mail and write the quantity you want, account to charge, and who is placing the order. This assures that we don’t print the wrong thing, choose the incorrect paper and ink color, or have to search through our files to find a sample. QUOTES AND PRICING We are often asked if we have a price sheet giving a breakdown of printing and paper costs, but unfortunately we do not because our prices change according to our costs charged by the vendors from whom we order our supplies. It would simply be too difficult for us to make those changes every time and keep it accurate. We will be happy to give you the cost or an estimate at the time you place your order. TURNAROUND TIME Although we make every attempt to give you a speedy turnaround time on your printing, we ask that you give us as much advance notice as possible, especially during extra busy times throughout the year, vacation times when we may be short-handed, and downtime due to equipment maintenance needs. Busier times of the year include: when classes first begin, with everyone replenishing their forms and gearing up for the new semester; when classes end, with programs, ceremonies, graduation; and during special campus events such as athletic sporting events, Mustangs Rally, Family Day, Spirit Days, Career Fair, Imagine Graduation, and Homecoming - just to name a few. We usually ask for 1 to 2 days on small quantities or jobs that require simple copying or printing – and 3 to 5 days for large quantities or more complicated jobs that require bindery and finishing.
invoices AND ACCOUNT NUMBERS We appreciate your having the account number (fund-org-prog) available when placing any kind of order. We ask that you check your invoice at the time you receive your order so it can be corrected before it posts to banner. COPY PAPER The central warehouse is now stocking 8½ x 11 copy paper. Please send your orders for this to the Purchasing department. We will still carry larger sizes, 8½ x 14 or 11x17, and a large variety of colors in text or cover weight. Shredding The charge for shredding paper is .10¢ per pound (a full copy paper box is $5.00). Please send us an email with the number of boxes you have, location of the pick up, and the account number to charge.

We hope this information will be helpful to you in sending us your document files created in Word, Excel, Publisher, etc. Whenever you send us your Microsoft document for printing in its original application, we automatically make a PDF file (portable document format); then we send it back to you for re-proofing (to be sure none of your formatting changed when opened up on our computer). PDF files look exactly like the original document and preserves the source file information (text, drawings, photos, etc.), regardless of the application used to create them. Sending us PDF files, as opposed to the original, works best because very often we may not have the same fonts you used to create the file. Also it’s not unusual for margins, tabs, page and line breaks, etc. to change from one computer to the next, all of which leads to reformatting of your text. Therefore, you should never assume your file will open up and look exactly the same on our computer as it does on yours. The good news is you can now download a FREE application called PrimoPDF and create a pdf file yourself to send us, rather than the original. Thus, we avoid that extra step of our making the pdf file and sending it back to you for approval, as well as it keeps you from possibly having to send us the fonts or our trying to reset margins, tabs, page breaks, etc. to your original specifications. Find FREE PrimoPDF website online: 1. Select the download option to install on your computer, which takes only a minute. 2. Open up your document and go to print and select the PrimoPDF as the printer 3. Select where you want the pdf file saved on your computer (desktop, etc.) 4. Open up the pdf file before you send it to us to be sure all looks as it should.

Self-centring side guides move in and out together to help ensure documents are fed squarely. Paper-out and cover-open sensors that detect when paper is out or if a cover is open; the folder will not run. Fault detection that automatically stops the folder when a fault is detected. Estimates and Quotes A “quote” is a fixed price, and an “estimate” is an educated “ballpark” guess. We often begin with an “estimate” because in the early stages we may not have full details until the job is actually ready to print. Below are some “ballpark” estimates. Some prices may be at the higher end of what you can expect to pay as we have tried to cover printing and paper. Additional bindery and finishing that may be required are not included in the cost, because there are too many possibilities (with each operation requiring a separate charge).

Bindery & Finishing There is a separate charge of .005¢ x the total number of copies x the operation taken (such as 2 folds would be .01¢). Some of these operations include cutting, folding, gluing, collating, stapling, scoring, perforating, numbering, mounting, laminating, drilling, punching, and comb or wire binding. Plastic combs and wire coils for binding have a separate charge because they come in many different sizes. There are numerous possibilities which takes into consideration extra materials and/or setup charges. Some equipment requires special settings and adjustments (scoring and perforating require an additional setup charge of $10.00). Refer to the examples below on how we determine the bindery and finishing charges. Examples of Bindery Charges: 500 brochures tri-folded .005¢ x 2 folds x 500 brochures = $5.00 ●

Press Printing Up to a quantity of 2500 the cost for press printing is $47.50 per side using black ink and $57.50 per side using color ink. The press is used for larger quantities or one or two color printing and cannot be used for full 4-color printing such as color photos. The press uses plates and ink as opposed to digital duplicating machines that use toner. The press prices don’t include paper, bindery and finishing.
Printing for Student Organizations Only registered student organizations (not individual students) are eligible to use the Print Shop’s services. Approval is required by Clark Student Center (CSC) before we can print. Please read the instructions below: (1) Print a hard copy (a black and white copy is fine for getting approval which can be printed in a campus computer lab), and take the hard copy to the CSC Information Desk and get one of the two following approvals:
“approved for posting” stamp (or) “approved no posting” signature (explained below and next page)
(2) Bring the STAMPED or SIGNED hard copy to the Print Shop. This gives us authorization to print (we will keep the hard copy for our files). The Print Shop may be able to print directly from the hard copy if this is all you can provide. However, your original computer document, preferably a PDF file on a flash drive, CD, email attachment, etc., will generate the best printing results. The Print Shop has electronic copies of the approval stamps which we can place directly on your original document before printing (so each copy does not have to be returned to CSC for individual stamping). “APPROVED FOR posting” STAMP: Printing that will be posted, displayed, or distributed on campus, or in the community, must first be approved by the Clark Student Center Information Desk with the “approved for posting” stamp. This includes materials such as posters, flyers, banners, table tents, post cards, mailbox flyers, etc. If you submit a computer file with the electronic CSC stamp already on the document, the Print Shop is instructed to inform the Student Development and Orientation Office. It is possible that the CSC may have placed the stamp on your digital file (which is not the usual procedure), but the Print Shop has no way of knowing for sure and will therefore check to verify that it was approved.
“APPROVED no posting” signature: Printing that is intended for internal organizational use only, such as pamphlets, brochures, initiation booklets, banquet programs, presentation handouts, etc., do not require the “approved for posting” stamp. However, the Print Shop prefers that you have the CSC or Student Development and Orientation Office verify your document and write on the hard copy “approved no posting”, with their signature and date. If you submit your document to the Print Shop for “internal use only - no posting necessary” (but without a CSC signature), it is at their discretion as to whether or not to proceed with printing; they may ask you to run it by CSC first to obtain an approval signature. Therefore, doing this as a matter of procedure before you go visit the Print Shop is always a good practice. It is not the responsibility of the Print Shop to determine what is authorized for printing. If we do not feel comfortable accepting the responsibility of printing your document, for any reason, we can refuse to print until we receive verification from the CSC Student Development and Orientation Office. Therefore, doing this prior to going to the Print Shop for your order can save everyone involved a lot of time. PAYMENTS (3 methods) (1) The preferred method of payment is to have an account set up for your organization (with available funds) through the Business Office. If you do not have an on-campus account, one can be opened at the Business Office through the assistance of the Student Development and Orientation Office with the approval of your faculty/staff advisor. Your available funds may be verified by the Print Shop before they proceed with print production. (2) Another method of payment is to pay by check directly at the Print Shop. The Print Shop does not accept cash or credit cards. It is at our discretion as to whether or not you must pay before printing begins or when you pick up your printing, so be prepared to pay in advance. (3) A final method of payment is to pay at the Business Office by cash, check, or credit card and then submit a receipt to the Print Shop. It is at the Print Shop’s discretion as to whether or not you must present this receipt before printing begins or when you pick up your printing, so be prepared to pay in advance.
How to submit your documents The Print Shop can accept your print-ready files, whether it is a hard copy or your original computer file. However, if our assistance is required to design, modify, fix, alter, change, etc., you should expect an additional time charge. These charges are relatively inexpensive compared to what you might pay when going off campus, but the main message is that any additional work and labor done by the Print Shop staff may cost you extra. Don’t assume that your file will open and look the same as it does on your computer. Problems often arise when submitting your original computer file to print from since we may not have the same software, version, fonts, or settings that were used to create your document. This might cause font substitutions and line breaks in the wrong places. These formatting issues can ultimately change the appearance of your design and adjustments may need to be made that could add an additional time charge. Do not assume your file will open up and look exactly the same as it does from your computer, which is why the Print Shop will print a test copy of your document first for your final approval. The best way to submit your original or electronic file is as a PDF. You can do this if you have a full version of Adobe Acrobat which allows you to print, export, or save PDFs by embedding the fonts and graphics thus eliminating most problems with the document changing in appearance. If you send us your document for printing in its original application we automatically make a PDF file (portable document format) and send it back to you to be sure none of your formatting changed. PDF files should look exactly like the original document and preserves the source file information such as text, graphics, photos, etc. It is difficult for us to give quotes and turnaround time without a hard copy or mock up of your print request. Be prepared to answer questions as to the quantity, finished size, type of paper, color or B&W, etc. We usually have a 1-2 day turnaround; however, this depends on our workload at the time. Keep in mind that the critical and time-sensitive academic and administrative departmental printing comes first.
Thesis Printing Contact: Graduate School (940) 397-4315 Hardin 205 (1) The student must first have their thesis approved by all who sign: Committee, Program, Chair, College Dean, and Graduate School Dean. It is best that the student makes sure they are ready to print, by first printing a rough draft and taking it to Devah; then after everyone reads it they can make corrections before printing the final. (2) The student brings a hard copy of the completed thesis to the Print Shop and we print for them on the 20/50 lb. White Rag 25% Cotton (Atlas). If the student prefers to print their own, we can sell them that paper by the ream of 500 (paid at business office). (3) The student takes the finished copies to the Graduate School office and pays the binding fee, with a minimum of 3 required (paid at business office). (4) The Graduate School office outsources the binding; they are hard bound (also called library binding). Similar to perfect binding with a hard cover. (5) We also refer students to the graduate handbook which gives specific directions on what to do regarding paper quality, weight, etc. NOTE: Nursing graduate students, who do a research paper (not a thesis), are also required to have a copy bound. This is handled by the Nursing office, ext. 4331.
