TECHNICAL SPECIFICATION SCHEDULE-A 1.0
GENERAL:
The Trust proposes to give Comprehensive Annual Maintenance Contract for integrated wireless Digital Video Surveillance Systems (DVSS) complete with wireless network and all accessories. The system is equipped and simultaneously projecting the video signals in Chairman / Dy. Chairman chambers from the centralized control room. The image signal is monitored round the clock with recording facilities.
The firm shall have full-fledged servicing facilities at Chennai with adequate qualified trained personnel. The address of the Service Centre at Chennai should also be mentioned in the offer. 2.0 SCOPE OF WORK : i) Providing Comprehensive Annual Maintenance Contract for the CCTV System including the following: 1. 3.0 a) CONTRACT PERIOD: The Comprehensive AMC Contract period is one year from the date of receipt of order. b) TERMS OF PAYMENT:- Quarterly payment will be made submission of proper bill in the Trust’s format.

c) SECURITY DEPOSIT: 5% of the annual contract value of AMC order shall be deposited towards Security Deposit within 10 days from the date of receipt of AMC order in the form of Demand draft drawn on any Nationalized /Scheduled Bank payable at Chennai which will be refunded after satisfactory completion of the contract and acceptance. If the Contractor fails to remit
5% S.D. within 10 days, from the date of receipt of the AMC order , 18% interest on S.D. will be levied. d) PENALTY CLAUSE:
i) 70% of the contract value pertains towards the cost of spare parts for the maintenance of the CCTV System and the balance 30% is for the labour cost. Hence if the minimum servicing once in a month is not carried out, 30% of the contract value for the respective month will be deducted from the bill towards the labour cost alone. ii) Breakdown calls shall be attended by the firm within 24 hours from the time of receipt of breakdown message from the Trust. Incase the firm is not responding to Trust’s urgent calls, ½% of the total contract value per week (a week is defined as 7 days inclusive of holidays) or part thereof subject to a maximum of 5% of the total contract value will be detected from the firm’s bill. iii) Advance information of at least 24 hours shall be given by the firm before undertaking maintenance and servicing works. 4.0 Technical Conditions: 1. All the Camera lenses have to be cleaned atleast once in a month. 2. All the DVR’s should be serviced by skilled service Engineers minimum once in a month. 3. All the equipments in the CCTV systems should be kept in good working condition. 4. Skilled Service Engineers to be sent at any time between these visits for breakdown, if required. 5. The traveling and other charges for firm’s Engineers are to be included in to the total costs. 6. The work shall be done during Trust’s normal working hours. 7. Quarterly maintenance service should be carried out by the specially trained mechanics and endorsement should be obtained from the Trust’s Asst. Engineer concerned.
8.The firm will ensure that any breakdown of the plant is attended to immediately without delay. If there is any undue delay alternative arrangements will be made by the Trust to carryout necessary repair at the contractor’s cost. 9.All the repairs including thorough overhaul of the working parts necessitated by wear and tear will be carried out then and there, by the firm. 10.All the spares required for the break down work has to be supplied by the contractor in short notice without affecting and working of the CCTV system, Cameras and other sub-systems which are damaged by lightning or High Voltage are not in the scope of repair/replacement. 11. Necessary care shall be taken for protecting from power fluctuations and dust environments. 12.The Contractor shall comply with all labour enactments of State and Central Government and safety precautions whenever applicable and hold the Board blameless for any infringements and consequences thereof and the contract shall indemnify the Trust against any liability for consumption due to injury to his own workmen or to other persons inside the Harbour area while executive the work and for any damage to property and will notify to the Police and the Chief Mechanical Engineer of serious accidents. Contractor may inspect the existing CCTV System complete with suitable software and all other accessories at Port premises before quoting.
