Unconsumed food and beverages may not be removed from the Hotel premises and will not be rebated from the total event cost. If you wish to provide beer, wine, and/or liquor a charge of $25.00 per person will be assessed. parking Self parking is not available at the Hotel Jerome, but is available across the street at the City of Aspen’s parking garage. Valet parking is available for you event for $10 per car. Parking rates are $25 for any of your attendees’ vehicles that are left overnight. You may host the parking for your event guests or overnight guests and have these charges applied to your master account. smoking Hotel Jerome is a smoke free environment. Smoking is not permitted anywhere inside the property. 34 third party vendors All Vendors, while operating on the grounds of the Hotel Jerome, will conduct themselves in accord with Auberge Standards. Should any vendor violate these precepts, the Hotel Jerome reserves the right, while in consultation with the client, to exclude them from the event and property. Use of outside providers must be pre-approved by the Hotel (5) five days in advance of the event. Music and any Audio Volume levels are at the discretion of the Hotel Manager on Duty. Deliveries of unauthorized A/V or other props, equipment or services by outside providers will not be permitted and may result in closing down of the event and or/up to full cancellation of the event with full penalty of the proposed total event cost. The Hotel Jerome is not responsible for any loss or damages to vendor property and do not maintain insurance covering it. Vendors are responsible for clean up and removal of all items delivered and set for the event. The Hotel Jerome does not have responsibility for or make accommodation for vendor meals. Any meals provided for vendors must be pre-arranged through the Hotel Event Coordinator and paid for by the client. audio visual We are pleased to provide you with top level service and equipment with our exclusive audio video provider, Halcyon Productions. Please ask your event manager for a list of services and packages. All orders are considered confirmed with signing of the group banquet event order. Cancellations within 24 hours of the event will result in full charge. Use of any other audio visual company is prohibited without written consent from your event manager. If approved, a $500 house fee will be assessed to your master account. Halcyon Productions must be able to create a cost estimate to compete with any other company you may be looking at. rentals The Client is responsible for any rental charges on items needed for the event that are not property of the Hotel Jerome. All rentals both available via Hotel Jerome or through outside providers must be ordered through the Hotel Event Coordinator. Use of outside providers must be pre-approved by the Hotel (5) five days in advance of the event. décor and props All decorations, signage or displays brought into the Hotel must be approved by the Hotel Event Coordinator. Items may not be attached to any stationary wall, floor, window or ceiling with nails, staples, tape or any other substance. In addition, confetti may not be used at any time. A minimum $250.00 cleaning fee will be charged for removing any excess decorations. linens and additional décor Our in house linen selection includes ivory cotton linens. Your Event Manager will be more than happy to assist with specialty linen selection, place cards, invitations, menu cards, ice sculptures, specialty lighting, entertainment, and upgraded linen. security The Hotel Jerome reserves the right to require adequate security for events that due to size and or nature of the event warrant it. The selected security service must be approved by the Hotel Jerome and be a bonded security service within the county of Pitkin. The Client acknowledges that the Hotel cannot be responsible for the safe keeping of equipment, supplies, written materials or other valuable items left in the function space/rooms. Accordingly, the Client acknowledges that it will be responsible to provide security of any such aforementioned items and hereby assumes the responsibility for loss thereof. property damage The patrons are responsible for any damage to any part of the hotel during the period of time your guests, independent contractors, or other agents under your control, or under the control of any independent contractor hired by within the hotel. 35 inclement weather policy In the event of inclement weather, the Hotel Jerome will do everything in its power to accommodate an event. Should problematic weather occur and an indoor venue was not reserved, the client is responsible for an alternate plan and will be accountable for all charges that are incurred (e.g.: outdoor tenting). The client understands that in reserving an outdoor space, inclement weather is always a possibility and will not hold the Hotel Jerome responsible for determining a secondary location, or any financial charges incurred in obtaining either alternate facilities or equipment such as tenting. Hotel Jerome reserves the right to make a final decision regarding moving the event to the reserved indoor function space/rooms two (2) hours prior to the event start time. fire safety Tables must be located in compliance with the local Fire Department regulations pertaining to mandatory aisles and fire exits. Decorations, props or staging brought into the hotel may be subject to approval by the local Fire Department deliveries Arrangements for delivery of packages should be made through the Hotel Jerome Event Coordinator. You must prepay all packages sent to the hotel. The following charges will be assessed for incoming and outgoing packages: For regular to medium size packages: $5.00 per package plus cost of shipping if outgoing. Large boxes or road cases: $10.00 per item. Large pallets: $55.00. The hotel requires advance notice of deliveries exceeding 10 boxes, and does not guarantee storage of excessive boxes or deliveries without prior approval by management.
