CF1 Changes Of Faculty In PeopleSoft A Change of Program application with an admit type of CF1 is a change that involves a change to the primary Faculty the student registers in. This would include a change from Haskayne to Nursing, for example, and also a change from a combined degree in Social Sciences/Science to Haskayne/Social Sciences (but not from Haskayne/Social Sciences to Haskayne/Science). As in the legacy system, only the Admissions office can put up a request for a CF1 change and only they can actually matriculate the student into the new program. As always, the Faculties determine whether or not the students are admissible and record their decisions in the system so the AO knows whom to admit. One change from the legacy system is that we should be able to put up the basis of admission of CPRB ourselves if the student is to be admitted on probation. 1. Look the student up on the Student Record Summary (Academic Advising Summary). You’ll see that the ‘outstanding app’ box is ticked on the term that the change request is up for. 2. Start by going to the Program/Plan Summary (by using the ‘Open’ list from the advising summary, or navigate Student Admissions – Applicant Summaries – Program and Plan Summary) to see what the student is changing from and to, how often they’ve applied to this program and been denied, etc. (This is like viewing ROAD/CS or ROAD/PL in SIS). 3. Using the menu, select UofC Application Summary (immediately below Program and Plan Summary. (You can also click the APPL NBR on the program plan summary to link to U of C Application Summary, but it will open a new window and there are so many steps in this process you don’t need extra windows floating around). Click Printable Format and expand the screen. This is where you’ll see all the elements of the program the student is applying to, major, minor, etc. (This is like viewing ROAD/EV in SIS.) Close this window. 4. On the advising summary note whether the student has cleared effective writing and see if they are on probation. 5. Using the ‘Open’ list, go to the GPA calculator and calculate the gpa on the last 30 units, including F, XTRA and LOW grades. 6. Using the ‘Open’ list go to Application Evaluation. Select the application you’re working on. a. Go to the Application Evaluation tab. If there are no existing rows with an ‘Evaluation Code’ of COP_EVAL, click on the plus sign to add one. Type COP_EVAL in the evaluation code field. Then ‘save’. Go to the ‘Overall Rating’ tab and type in the transfer gpa and units (and high school, if being used). Tick off the box to indicate whether the student is being admitted on the basis of just their transfer average (rating component 9010), just their high school average (rating component 9030), or both (tick both boxes). b. If the student is being admitted on the basis of their high school average, go to the HS Average Calculation tab, select the appropriate courses and click ‘calculate average’. c. Go back to the Application Evaluation tab to record your admission decision. Make sure you’re still on the row for COP_EVAL. In the ‘Evaluation’ section, change the ‘Eval Stat’ to something beginning with Fac (depending on whether you want to admit, conditionally admit, or rule inadmissible, etc.). Add the eval date (today’s date) and Save. (This is similar to the ROAD/ST page in SIS). You can write any comments you want the Admissions Office to be aware of in the ‘comments’ field. 7. If the student is being admitted on probation, use the menu. Without moving out of the Application Evaluation area, select Application Decisions, then Basis of Admission. Enter CPRB as the basis of admission and select the correct application number/program number from the look up. Enter the admit term and save. 8. Go back to the Program/Plan Summary and ‘Return to Search’ to reload the student to make sure their program looks as expected for the application term (in this case you won’t see a change until the AO has done their part). 9. Go back to the Advising Summary Page and use the Quick Letter function to notify the student. You’re DONE! Natalie Hampton April 12, 2007
