To: Providers Using OMNI 3750 POS Terminals to Access eMedNY Re: Effective March 31, 2013 eMedNY Will No Longer Support OMNI 3750 POS Card Swipe Terminals Date: December 6, 2012 You are receiving this notice because our files indicate that you are using an OMNI 3750 POS terminal to access eMedNY for client eligibility inquiries and/or DVS (dispensing verification system) transactions. Effective March 31, 2013 eMedNY will no longer support these terminals, as they are no longer in compliance with the data privacy and security requirements of the HITECH Act final rule published January 19, 2012, and cannot be remediated. All Providers who do not participate in the Medicaid Cardswipe Program and who currently use the Omni 3750 POS Device to verify Medicaid eligibility or request Dispensing Validation System (DVS) prior approval must make plans to switch to one of the alternate methods listed below prior to the effective date. All providers participating in the Cardswipe Program who have 3750 terminals will soon receive a separate letter from the New York State Office of the Medicaid Inspector General on the status of their involvement in the Cardswipe Program. As you retire the OMNI POS terminal you must clear the device of the last transaction response using the attached Omni3750 Memory Delete Procedure. Following this procedure will prevent unauthorized access to PHI which could result in penalties as set forth in the HITECH Act (45 CFR 160.404). eMedNY Simple Object Access Protocol (SOAP) - Real Time • Internet accessible • Provides the capability of integrating with your current system • Uses an already existing FTP or ePACES user ID • Supports MEVS eligibility (does not support DVS) Batch Options (do not support DVS) eMedNY eXchange • Internet accessible • Easy to use – works like an email mailbox • No special scripting or software necessary to upload or download files • Files retained for 28 days after submission • ePACES user ID is used to access your eMedNY eXchange mailbox • Able to receive 835/820 Electronic Remits, PDF Remits, PA Rosters FTP (Dial-up) • For those without high speed Internet access • Login and file transmission is fully scriptable • Able to receive 835/820 Electronic Remits eMedNY Simple Object Access Protocol (SOAP) - Batch • Internet accessible • Provides the capability of integrating with your current system • eMedNY SOAP is an XML based protocol which enables applications to exchange information over Hyper Text Transfer Protocol (HTTP) • Uses an already existing FTP or ePACES user ID Several large clearinghouses and service bureaus maintain direct real-time connections to eMedNY. You may also wish to check with your clearinghouse/service bureau vendor to see if they can support the real-time transactions that you utilize on the Omni 3750. At some point in the future eMedNY will no longer support POS devices. Providers currently using one of these devices are encouraged to consider one of the above alternate methods. If none of the above alternate methods are feasible providers may wish to purchase the Verifone Vx570 POS Device for interim use. Omni3750 Memory Delete Procedure Note: This procedure is for only the Omni3750 terminal. If you are currently using the Vx570 terminal no action is required 1. From the Main screen where the device reflects “SWIPE CARD OR PRESS F4 TO BEGIN” you will press the F2 and F4 keys at the same time. 2. Your device will display SYS MODE ENTRY PASSWORD with a line of dashes. 3. Type 1, ALPHA, ALPHA, 6, 6, 8, 3, 1 and Press the Green key. 4. Your device will display SYS MODE MENU 1 Press the Green key. 5. Your device will display SYS MODE MENU 2 6. Press F3 for RAM FILES 7. Press F3 to CLEAR ALL FILES 8. Your device will display SYS MODE FILE GROUP 1 PASSWORD 9. Type 1, ALPHA, ALPHA, 6, 6, 8, 3, 1 and Press the Green key. 10. Press F4 to CONFIRM. 11. Press F4 for FLASH FILES 12. Press F3 to CLEAR ALL FILES 13. Press F4 to CONFIRM. 14. Press the Red key. 15. Press F4 to RESTART 16. When the device restarts the screen should reflect one of the following: DOWNLOAD NEEDED / NO *GO PARAMETER DOWNLOAD NEEDED / INVALID *GO PARAMETER
