Safety precautions This booklet provides safety warnings and precautions for our service personnel to ensure the safety of their customers, their machines as well as themselves during maintenance activities. Service personnel are advised to read this booklet carefully to familiarize themselves with the warnings and precautions described here before engaging in maintenance activities. Safety warnings and precautions Various symbols are used to protect our service personnel and customers from physical danger and to prevent damage to their property. These symbols are described below: DANGER: High risk of serious bodily injury or death may result from insufficient attention to or incorrect compliance with warning messages using this symbol. Always ground the copier. 1.Installation Precautions WARNING • Do not use a power supply with a voltage other than that specified. Avoid multiple connections to one outlet: they may cause fire or electric shock. When using an extension cable, always check that it is adequate for the rated current. ............................................................................................. • Connect the ground wire to a suitable grounding point. Not grounding the copier may cause fire or electric shock. Connecting the earth wire to an object not approved for the purpose may cause explosion or electric shock. Failure to do this may cause the copier to move unexpectedly or topple, leading to injury. ........................................................... • Avoid inhaling toner or developer excessively. Protect the eyes. If toner or developer is accidentally ingested, drink a lot of water to dilute it in the stomach and obtain medical attention immediately. If it gets into the eyes, rinse immediately with copious amounts of water and obtain medical attention. ...................................................................................................................................... • Advice customers that they must always follow the safety warnings and precautions in the copier’s instruction handbook. ..................................................................................................................... 2.Precautions for Maintenance WARNING • Always remove the power plug from the wall outlet before starting machine disassembly. ............... • Always follow the procedures for maintenance described in the service manual and other related brochures. ....................................................................................................................................... • Under no circumstances attempt to bypass or disable safety features including safety mechanisms and protective circuits. ..................................................................................................................... • Always use parts having the correct specifications. .......................................................................... • Always use the thermostat or thermal fuse specified in the service manual or other related brochure when replacing them. Using a piece of wire, for example, could lead to fire or other serious accident. .......................................................................................................................................... • When the service manual or other serious brochure specifies a distance or gap for installation of a part, always use the correct scale and measure carefully. ................................................................ • Always check that the copier is correctly connected to an outlet with a ground connection. ............. • Check that the power cable covering is free of damage. If it is dirty, clean it to remove the risk of fire or electric shock. .............................................................. • Never attempt to disassemble the optical unit in machines using lasers. Keep away from chains and belts. ........ • Handle the fixing section with care to avoid burns as it can be extremely hot. .................................. • Check that the fixing unit thermistor, heat and press rollers are clean. Dirt on them can cause abnormally high temperatures. ........................................................................................................ • Do not remove the ozone filter, if any, from the copier except for routine replacement. .................... • Do not pull on the AC power cord or connector wires on high-voltage components when removing them; always hold the plug itself. ..................................................................................................... • Do not route the power cable where it may be stood on or trapped. If necessary, protect it with a cable cover or other appropriate item. ............................................................................................. • Treat the ends of the wire carefully when installing a new charger wire to avoid electric leaks. ........ • Remove toner completely from electronic components. ................................................................... • Run wire harnesses carefully so that wires will not be trapped or damaged. .................................... • After maintenance, always check that all the parts, screws, connectors and wires that were removed, have been refitted correctly. Special attention should be paid to any forgotten connector, trapped wire and missing screws. ................................................................................................... • Check that all the caution labels that should be present on the machine according to the instruction handbook are clean and not peeling. Replace with new ones if necessary. ...................................... • Handle greases and solvents with care by following the instructions below: ..................................... Use only a small amount of solvent at a time, being careful not to spill. Wipe spills off completely. Ventilate the room well while using grease or solvents. Allow applied solvents to evaporate completely before refitting the covers or turning the power switch on. Always wash hands afterwards. • Never dispose of toner or toner bottles in fire. Avoid direct sunlight or bright lighting. Ensure that the photo-conductor will not be exposed to direct sunlight or other strong light when removing paper jams. Avoid extremes of temperature and humidity, abrupt ambient temperature changes, and hot or cold air directed onto the machine. Avoid dust and vibration. Choose a surface capable of supporting the weight of the machine. Place the machine on a level surface (maximum allowance inclination: 1°). Avoid air-borne substances that may adversely affect the machine or degrade the photo-conductor, such as mercury, acidic of alkaline vapors, inorganic gasses, NOx, SOx gases and chlorine-based organic solvents. Insert the machine power plug to the wall outlet and turn the main power switch on. 2. Press the status key and enter 10871087 using the numeric keys. The machine enters maintenance mode. 3. Only when the optional dual FAX is installed: When both the FAX system and the dual FAX are installed: Run maintenance mode U698 using the cursor up or down key, or numeric keys, press [PORT SELECT], select [ALL] and press the start key. If the FAX system is already in use and the dual FAX is additionally installed: Run maintenance mode U698, press [PORT SELECT], select [P2] and press the start key. 4. Run maintenance item U600 using the cursor up/down keys or numeric keys. 5. Press [Execute] and then press the start key. 6. Select [Country Code] and enter a destination code using the numeric keys (refer to the destination code list). Enter a destination code with three digits. Select [OEM Code], enter the OEM code (000) and then press the start key. 8. After initialization, the entered destination, OEM codes and ROM version are displayed. Press [OK]. 3KH-2 (4) Fax setting and registration Registering an encryption key Note: Up to 20 encryption keys can be registered. 1. Press [FAX/i-FAX], [Next] of TX/RX Common and then [Register/Edit] of Encrypt. Key Registration. 2. Select the unregistered encryption key and press [Register/Edit]. 3. Press [Encryption Key]. 4. Enter the encryption key (16 digits) using the numbers (0 to 9) and the alphabet (A to F) on the touch panel, and press [OK]. 5. Press [OK]. To register other encryption keys, repeat steps 2 to 5. To exit from this setup, press [Close] several times until the System Menu default screen is displayed. Changing and Deleting registration contents of encryption key 1. Press [FAX/i-FAX], [Next] of TX/RX Common and then [Register/Edit] of Encrypt. Key Registration. 2. Select the encryption key to be changed or deleted. To change the registration contents, go to the next step. To delete the registration contents, go to step 7. 3. Press [Register/Edit]. 4. Press [Encryption Key]. 5. Press [Backspace] to delete the encryption key last entered. Enter the encryption key (16 digits) using the numbers (0 to 9) and the alphabet (A to F) on the touch panel, and press [OK]. 6. Remote diagnosis If a problem arises with this machine and you contact our service representative, this feature enables our service center computer to access the machine over the phone and check the machine’s status or look for problems. 1. Press [FAX/i-FAX], [Next] of TX/RX Common and then [Change] of FAX Remote Diagnosis. 2. Select [Off] or [On]. When [On] is selected, enter the preset ID pressing [+]/[-] or using the numeric keys. 3. Local FAX name entry When you enter the local FAX name, the name is printed on faxes on the receiving system. The receiving side can then easily recognize where the originals are sent from. 1. Press [FAX/i-FAX], [Next] of Transmission, [Next] of Basic, and then [Change] of Local FAX Name Entry. The entry screen will be displayed. 2. Enter the local FAX name (up to 16 characters). 3. Selection of telephone line (120 V specifications only) Select the telephone line according to the type you are contracted with. Note that selecting a wrong telephone line will prevent you from sending fax. Note: When the optional dual FAX is installed and then use the two phone lines, select the type for each line. 1. Press [FAX/i-FAX], [Next] of Transmission, [Next] of FAX, and then [Change] of FAX Port 1 or FAX Port 2 (option). 2. Select [Tone(DTMF)] or [Pulse(10PPS)]. 3. Press [OK]. Local FAX information entry Register the local FAX information (Local FAX number/ Local FAX ID). Note: When the optional dual FAX is installed and then use the two phone lines, you can register Local Fax Numbers for each of the lines. 1. Press [FAX/i-FAX], [Next] of Transmission, and then [Next] of FAX. To register the local FAX number, go to the next step. To register the local FAX ID, go to step 5. Local FAX number entry 2. Press [Change] of Local FAX Number 1 or Local FAX Number 2 (option). A number is registered already, the current registered number is displayed. 3. Enter the local number (up to 20 digits) using the numeric keys. 4. Press [OK]. Local FAX ID entry 5. Press [Change] of Local FAX ID. 6. To exit from this setup, press [Close] several times until the System Menu default screen is displayed. 1-3-31 3KH-3 Selection of Transmit Terminal Identification (TTI) The transmit terminal identification (TTI) is the information about the machine (transmit terminal) to be printed out on FAX on the receiving system. The information includes transmission date and time, the number of transmission pages, and the fax number. This machine enables the user to select if the TTI is printed out on the fax on the receiving system. Regarding the location of the information to be printed, you can select inside or outside of the page image being send. Note: You can specify a separate TTI for fax transmissions and Internet fax transmissions. 1. Press [FAX/i-FAX], [Next] of Transmission, [Next] of FAX (Send Fax) or i- FAX (Send i-FAX) and then press [Change] of TTI. 2. Select [Off], [Outside] or [Inside]. 3. Press [OK]. Media type for print output Specify the paper type to be used for print output of the received fax. 1. Press [FAX/i-FAX], [Next] of Reception, [Next] of Basic and then [Change] of Media Type. 2. Select the desired paper type. If no specific paper type is selected, press [All Media Types]. Setting: All media type/Plain/Rough/Recycled/ Bond/Color/High Quality/Custom 1 to 8 3. Press [OK]. MP tray paper output Select whether to use the MP tray paper when printing out the received fax. 1. Press [FAX/i-FAX], [Next] of Reception, [Next] of Basic and then [Change] of Multi Purpose Tray. 2. Reduced reception Reduce the print size when the reception size is larger than the paper size. 1. Press [FAX/i-FAX], [Next] of Reception, [Next] of Basic, and [Change] of Reduced RX Size. 2. To exit from this setup, press [Close] several times until the System Menu default screen is displayed. 1-3-32 Reception Date/Time Reception Date/Time function adds the reception date/ time, sender information and number of pages on the top of each page when the message is printed out. Notes: When the received data is printed on multiple pages, the reception date/time is printed on the fist page only. It is not printed on the pages that follow. When the received fax data is forwarded after retrieving it from memory, the reception date/time is not added to the forwarded data. 1. When encryption communication is conducted normally, the machine decrypts the encrypted originals received and prints the originals. Setting send restriction Restrict the other parties to which you send originals only to the ones registered in Permit FAX No. and Permit ID No. as well as the ones registered in the Address Book. 1. To exit from this setup, press [Close] several times until the System Menu default screen is displayed. 3KH-3 Setting reception restriction Restrict incoming faxes so that you only receive originals from senders registered in Permit FAX No. and Permit ID No. and senders registered in your Address Book. Also set a [Reject List] for reception restriction so that reception from senders on the list of rejected FAX numbers or from senders whose local FAX number is not registered are rejected. 1. Press [FAX/i-FAX], [Next] of TX/RX Restriction, and then [Change] of RX Restriction. 2. Select [Off], [Permit List + Address Book] or [Reject List]. 3. Press [OK]. (5) Date and Timer Date and Time entry Register the date and time of the machine’s built in clock. Important: Correct the time displayed on the touch panel of the operation panel regularly. 1. Press the cursor down key, [Date/Timer], and then [Change] of Date/Time. 2. Enter the date and time using [+]/[-]. Enter the time by a 24-hour system. Settings include Year (Y), Month (M), Date (D), Hour (H), Minute (M) and Second (S). 3. Select Summer Time ([Off] or [On]) if appropriate. 4. Press [OK]. (6) Report Status page A status page provides the information on a number of user setups. FAX-related information includes the local FAX number, local FAX name, fax line setting, etc. Print it out as necessary. 1. Press [Report], and [Next] of Report Print. Then press [Print] of Status Page. 2. When the printing confirmation screen appears, press [Yes]. A status page is printed. Send result reports Each time you send a fax, you can print a report to confirm whether the fax was sent successfully. You can also print the transmitted image in the send result report. 1. Press [Report], and [Next] of Result Report Setting. Then press [Change] of Send Result Report. 2. Press [Off] (not to print), [On] (to print), or [Error Only]. When [On] or [Error Only] is selected, indicate whether the transmitted image is to be printed by selecting [Off] (do not print transmitted image) or [On] (print transmitted image). 3. Press [OK]. FAX RX result reports Each time you receive a fax, you can print a report to confirm whether the fax was received successfully. 1. Press [Report], and [Next] of Result Report Setting. Then press [Change] of FAX RX Result Report. 2. Press [Off] (not to print), [On] (to print), or [Error and Forward Only]. 3. Press [OK]. Reporting FAX receipt result by e-mail Fax receipt can also be notified by e-mail instead of checking the receipt result report. Note: This setting is displayed when the FAX RX result report setting is [On] or [Error and Forward Only]. 1. Press [Report], and [Next] of Result Report Setting. Then press [Change] of FAX RX Result Rprt Type. 2. To select destination from the address book, press [E-mail Address Book] and then [Address Book]. Specify the destination of E-mail, and press [OK]. To enter an e-mail address directly, press [E-mail Address Entry] and then [E-mail Address]. Enter the desired e-mail address (up to 126 characters), and press [OK]. 3. Press [OK]. Automatic printout of activity report An activity report is printed out automatically after every 50 faxes sent or received. 1. Press [Report], and [Next] of Admin Report Setting. Then press [Change] of Outgoing FAX Report or Incoming FAX Report. 2. Select [Off] (not to print) or [On] (to print). 3. Press [OK]. (7) Address Book Contact registration (fax) Up to 2,000 destinations can be registered. Destination name, fax number, sub address communication, encryption, transmission start speed, and ECM communication can be registered for each destination. 1. Press [Edit Destination], [Register/Edit] of Address Book, [Add], [Contact], and then [Next]. 2. Press [Change] of Address Number. 3. Enter the custom address number (0001 to 2500) using the [+]/[-] or numeric keys. 4. Press [OK]. 5. Press [Change] of Name. 6. Enter the destination name to be displayed on the Address Book (up to 32 characters), and press [OK]. 7. Press [Address]. 8. Select FAX using the cursor up/down keys. 9. Press [Change Dest.]. 10. Enter the number of the receiving system (up to 32 digits) using the numeric keys. 11. Press [Sub Address]. When you do not use sub address communication, go to step 15. 12. Press [Sub Address Max 20 digits]. Enter the sub address (up to 20 digits) using the numeric keys. Note: Enter a sub address using the numbers from 0 to 9, space, # and * characters. 13. Press [Password]. Enter the sub address password (up to 20 digits) using the numeric keys. Notes: Enter a sub address password using the numbers from 0 to 9, space, # and * characters. Contact registration (i-FAX) Up to 2,000 contacts can be registered. Contact name, iFAX address, transmission mode and the conditions for the destination machine can be registered for each contact. 1. Press [Edit Destination], [Register/Edit] of Address Book, [Add], [Contact], and then [Next]. 2. Press [Change] of Address Number. 3. When a problem is detected, printing is disabled and the problem displayed as a code consisting of C followed by a number, indicating the nature of the problem. A message is also displayed requesting the user to call for service. After removing the problem, the self-diagnostic function can be reset by turning front cover/feed cover switch off and back on. C0870 Fax control PWB to main PWB high capacity data transfer problem High-capacity data transfer between the fax control PWB and the main PWB of the machine was not normally performed even if the data transfer was retried the specified times. Poor contact in the connector terminals. Check the connection of connector YC1 on the fax control PWB and YC4 on the interface PWB, connection of connector YC30 on the main PWB and YC6 on the interface PWB and the continuity across the connector terminals. Repair or replace if necessary. Defective fax control PWB or main PWB. Replace the fax control PWB or main PWB and check for correct operation. C0880 Fax control PWB program archive problem When power is turned on, the compressed program in the Flash ROM on the fax control PWB was not successfully decompressed. Defective fax control PWB. Replace the fax control PWB and check for correct operation. C0920 Fax file system error The backup data is not retained for file system abnormality of flash memory of the fax control PWB. Defective fax control PWB. Turn the main power switch off and then back on again. If the problem still remains, replace the fax control PWB and verify the operation. Procedure 1. Press the Power key on the operation panel to off. Make sure that the Power indicator and the Memory indicator are off before turning off the main power switch. And then unplug the power cable from the wall outlet. 2. Insert Compact Flash or USB memory in a notch hole of the machine. The Compact Flash must be inserted into the machine with its rear side facing up. 3. Insert the power plug and turn the main power switch on. Upgrading firmware starts. Install the ferrite core (D) onto the modular connector cable. Be sure to loop the cord three times through the ferrite core.
