Signing in to Lync

Installing the Microsoft Lync 2010 application on your mobile phone is as easy as installing any other application on your phone.

1. From your phone, go to the App Store, and search for Microsoft Lync 2010 for iPhone. 2. Tap the Free button in the app and then tap Install and enter your App Store Apple ID and password. As soon as the app is installed, it appears on your home screen.
Removing Lync
To remove the Lync application from your phone, do the following: 1. Touch and hold your finger on the Lync app icon. 2. Release your finger when the icon starts to wiggle on the screen. 3. Tap the X icon that appears in the upper-left corner of the Lync icon. A prompt appears on your screen, informing you that deleting “Lync” will also delete all of its data. Tap Delete. 4. When the app disappears, press the Home
button.
Signing Out of Lync
To sign out of Lync, from the My Info tab, on the upper-right corner, tap Sign Out.

INSTALLING LYNC
Installing the Microsoft Lync 2010 application on your iPad is as easy as installing any other application. 1. From your iPad, go to the App Store, and search for Microsoft Lync 2010 for iPad. 2. Tap the Free button in the app and then tap Install and enter your App Store Apple ID and password. As soon as the app is installed, it appears on your home screen.

Lync 2010 Android Sign in and get started
Find the right person
1. On the mobile phone Applications screen, tap the Lync 2010 icon.
1. From the Contacts screen press the Menu button, and then tap Search.

You can find someone in your contact list by searching for them by name or phone number. If you want to find someone in your organization who is not in already in your contact list, you can search the company directory.

Set your status

1. When you find the person you’re looking for, tap the person’s name, and then on the contact card screen, tap the IM icon.

Receive an instant message
When someone sends you an instant message, an instant message alert appears at the top of the screen. The IM alert appears only for a few seconds, but you can tap the Chats icon to view any missed instant messages. To accept an IM invitation, do one of the following:

Invite others to an existing IM
During an IM conversation, invite someone new by doing the following: 1. From the IM conversation screen, press the Menu button, and then tap Invite others. 2. Tap the contact, or search for the contact you would like to invite to the conversation.

Make a Call
Calls made using Lync are not Voice over Internet Protocol (VoIP). When you make or receive a Lync call, your carrier’s minutes are being used.

Attendee Lync 2010 If you don't have Microsoft® Lync™ 2010 communications software installed, you can use Microsoft® Lync™ 2010 Attendee, a conferencing client that lets you participate in Lync 2010 online meetings. Lync 2010 Attendee provides communication tools such as instant messaging (IM), audio, video, as well as collaboration tools such as program sharing, screen sharing, attachments, whiteboard, polling, and slide presentations.
Join a Lync 2010 online meeting
You can use Attendee to join a Lync online meeting as a guest or an authenticated user. 1. Click the Join online meeting link in an online meeting request. 2. In the Microsoft Lync Attendee sign-in screen, select either Join as Guest, or Join using corporate credentials. If you have an account with the company that set up the meeting, you can join as an authenticated user.
Install Lync 2010 Attendee
The support team in your company may have already installed Attendee for you. If they have, you’ll see Microsoft Lync 2010 Attendee on the Start menu. Or, depending on how Lync was set up, you might be able to install Lync Attendee from the meeting link in the meeting invite, as follows: 1. Click the Join online meeting link in an online meeting request. 2. A screen with instructions for selecting a client to install is displayed. Click Download and install Lync Attendee.
3. To join as a guest, type a name to display at the meeting, and then click Join. To join as an authenticated user, type your company credentials, and then click Join.

If you have a microphone and speakers, you’re ready to use Attendee to talk and listen when in online meetings. You can also plug in any device recommended by your organization, such as a USB headset, USB phone or handset. Attendee automatically configures the settings, depending on the device that you connect. Or, you can call into the meeting using a phone line. The numbers that you could call will be in the meeting invitation.

Prepare Lync 2010 Attendee for a meeting
You can configure Attendee with all your choices for different settings so that you don’t need to re-enter them before each meeting. Click Start, click All Programs, and then click Microsoft Lync 2010 Attendee. The Lync Attendee - Options dialog box appears.

To send an instant message, type your message in the meeting window and press Enter. The instant messages that you send will be visible to all the meeting participants. You cannot send instant messages to individual participants. Use the Call Me option under Call if you want the conference to call you. This option is useful if you have to switch to attending the meeting from a different device such as a cellular phone. You can click a number from the drop-down list or specify a number for the conference to call you. To start sharing your video, click Video. You can also adjust the video settings if required. You don't need a webcam to receive video.
Start sharing
If you’ve joined a meeting as a presenter, you can share. When you are in a meeting as an attendee, you don’t have the option to share. To start to use one of the sharing options, an organizer or presenter must make you a presenter.

Attendant Lync 2010 This quick reference describes the tasks you will most commonly perform when using Microsoft® Lync™ 2010 Attendant, an integrated call management application that enables you to effectively manage many conversations at once by quickly handling and routing phone calls and instant messages. With a microphone and speakers, you’re ready to use Lync 2010 Attendant for voice calls. You can also plug in any device recommended by your organization, such as a USB headset, USB phone, or handset. Lync 2010 Attendant does not support video calls.
The Attendant main window
The main window has two parts: the conversation area and the Contacts list. The conversation area is where you manage incoming, active, and pending (on hold) calls and conversations. The Contacts list helps you organize your contacts so that you can easily find the people you need to get in touch with.
Make a call
To call someone in your Contacts list, double-click their name, or click the Call button next to their name.
Receive a call
When someone calls you, an alert appears in the Incoming area of your main window. To answer it, double-click anywhere on the alert.
Search for a contact
Search for a contact by typing his or her name in the search box. As you type, matching names appear in the search results.
Transfer a call

Set up your audio device
The Set Up Audio and Video wizard automatically detects your devices and simplifies the configuration process, enabling you to test and adjust the speaker and microphone levels. 1. Click the Audio Device menu at the top of the Attendant main window. 2. Click Set Up Audio.
3. Click Start a Conference Call. 4. To add contacts during a call, click the Add icon, and then double-click the contact’s name, or drag the contact into the conference area.

To configure other options for Attendant, such as general, phones, actions and alerts, and personal settings: Click the Options menu at the top of the Attendant main window, and then click Options.

Conferencing Lync 2010 Schedule an online meeting
You can schedule Microsoft Lync™ 2010 meetings and conference calls from Microsoft® Outlook®. One meeting request is used for both purposes. ®
1. Open your Outlook Calendar. 2. On the Home tab, click New Online Meeting (in Microsoft Outlook 2010) or Online Meeting (in Microsoft Outlook 2007).
A new meeting request opens, to which you add recipients, a subject line, and other meeting details.
Meet now
With the Meet Now option, you can quickly start a meeting or conference call with people inside or outside your organization. 1. In the Lync main window, click the arrow to the right of the Options button, and then click Meet Now.
2. In the conversation window, do any of the following: a.
To invite someone inside your organization, click the People Options menu, click Invite by Name or Phone Number, and then select a contact.
b.
To invite someone outside your organization by email, click the People Options menu, and then click Invite by Email. An email message opens in Outlook. (If you do not have Outlook, copy the invitation text, and paste it into your email program.)
c.
You can also add contacts to the meeting by dragging the contact from the Contacts list into the conversation window.
Set meeting options
The meeting request contains the dial-in information that the participant can use to join the audio part of the meeting or conference call. During the Lync meeting, dial-in information is available in the Invite by Phone dialog box (click the People Options menu, and then click Invite by Phone). You can customize the dial-in information in the Outlook meeting request. You can also customize access and presenters. 1. In the meeting request, on the Meeting tab, click Meeting Options.
Join a schedule online meeting
In the Outlook meeting request, click Join online meeting or click the meeting link. 2. In the Online Meeting Options dialog box: a.
To control meeting access and presenter options, click Access and Presenters.

To customize dial-in information, click Audio and Phone.

Start a group IM conversation
You can start a group instant messaging (IM) conversation by selecting multiple contacts or a contact group from your Contacts list, or you can turn an IM conversation with one person into a group conversation. To start a group conversation from the Contacts list: 1. Hold down the Ctrl key, and click each contact that you want to invite. 2. Right-click the last contact, and then click Send an Instant Message. 3. Type your message in the message input area, and then press Enter. To start a group conversation from a conversation window: Click the People Options menu, click Invite by Name or Phone Number, and then select the contacts that you want to invite.
Enhance your IM conversations
With Lync 2010, you can add communication modes to your IM conversation. For example, you can start an IM conversation with a single contact, add more contacts, and then add audio and video. If you need to share documents or slides, you can share your desktop.

Join a call that uses dial-in conferencing If you received a request for a meeting that supports dial-in conferencing, access information is included in the meeting request. To dial in from your phone as the leader or an authenticated caller, note the following access information from the meeting request: dial-in phone number, conference ID, your PIN (see “Set your PIN”), and your phone number.
Set your PIN
The Lync dial-in conferencing PIN identifies and authenticates you as someone with access to your organization's network. A PIN is required if you are dialing in by phone or device, when you are outside your organization's network, and on some networks. 1. In the Lync main window, click the Show Menu arrow, click Tools, and then click Dial-in Conferencing Settings. 2. On the home page, under Personal Identification Number (PIN), click Sign In. 3. In the Language list, click your preferred language, type your username and password, and then click Sign In. 4. On the Create New PIN page, click PIN or Change PIN, type a number that meets the PIN requirements in the PIN text box, and then retype your new PIN in the Confirm PIN box.
Have Lync 2010 call you
You can have Lync call you and automatically connect you to the meeting audio (for example, if you have to leave your computer but want to continue the call on your mobile device). You do not have to remember the dial-in phone number and conference ID. To add voice or video, in the conversation window, do any of the following:

1. When you join the meeting, in the Meeting Audio dialog box, click Call me at. 2. Click a number already in the list, or type the phone number you want to be called at, and then click OK.
To invite others, in the conversation window, click the arrow to the right of People Options , and then select the contacts that you want to invite. To share your desktop or a program, in the conversation window, click the Share menu, and then select your desktop, monitor, or a program to share.

Personalize your contact info
1. On the Start menu, click All Programs, click Microsoft Lync, and then click Microsoft Lync 2010.

If you’re already logged on to your organization’s network, signing in is as easy as starting Microsoft® Lync™ 2010.
You can personalize your contact and presence information. For example, you can add your mobile phone number and make it available only to close contacts.
2. Click the button for the phone number, and then click OK. 2. Click your presence status if you want to change it, or click Reset Status to let Lync 2010 set your status automatically based on your activity or Microsoft® Outlook calendar. 3. Set a location to let people know where you are today.
3. Select the Include in my contact card check box, and then click OK. 4. To let certain people see your personal numbers: in your Contacts list, right-click the contact’s name, click Change Privacy Relationship, and then click Friends and Family.

You are in a Lync phone call or, according to your Outlook calendar, you are in a meeting. You don’t want to be disturbed and will see conversation alerts only if they are sent by your workgroup contacts. You are away briefly and will return shortly.

Change your photo settings
You can decide whether you want to see your contacts’ photos. You can also change your own photo or choose not to show one. 1. Click the Options button, and then click Personal.
Your computer has been idle (for 15 minutes, by default). You are not working and are not available to contact. You are not signed in. If you have blocked individuals from seeing your presence, you’ll always appear offline to them.
2. Under Display photo, to hide other people’s photos, clear the Show photos of contacts check box. To change your photo, first upload the new photo to an unauthenticated website (such as Windows Live®). The file must be less than 30 KB in size. 1. Click the Options button, and then click My Picture. 2. Click Show a picture from a web address, type the web address including the file name, click Connect to Picture, and then click OK.

Find the right person
Just start typing a person’s name in the search box, and results will appear below the box. If you see who you’re looking for, double-click the person’s name to send an instant message.

1. In your Contacts list, double-click a contact. 2. Type a message in the message input area at the bottom of the message box, and then press Enter.
If you’re not sure you’ve found the right person, the contact card gives more information and shows where the person fits into the organizational tree.

»» For a full version, click the down arrow in the lower right corner. Then, to see his or her organization, click the Organization tab.

Build your Contacts list
Add people to your Contacts list if you’ll be contacting them often or if you just want to keep track of them. 1. In the search box, type the person’s name or email address.
Receive an instant message
When someone sends you an instant message, an instant message alert appears in the lower-right corner of your computer screen. Do one of the following:

If you’ll be contacting them often, click Pin to Frequent Contacts.

Add them to a group by clicking Add to Contact List and then clicking the group name.

If you haven’t created groups yet, click Add to New Group, and give the group a name. You can add more contacts to this group later.
»» To redirect the invitation, click Redirect. »» To decline the invitation, click Ignore.
(Optional) To make sure you know when someone becomes available, right-click the contact’s name, and then click Tag for Status Change Alerts.
