FLL South Texas – Houston Region Photography/Videography/Recording Technology Policy Purpose: Photography/Videography/Recording Technology Policy Houston Area FLL events are high-energy, family friendly events meant to provide an opportunity for children and their coaches to compete against other teams and show off the results of all their hard work. The South Texas – Houston Regional FLL event hosts want participants and spectators to have a safe and enjoyable experience while visiting our local events. To that end, we have established the following Tournament Photography/Videography/Recording Technology Policy which will be observed at ALL Houston Area FLL events: Policy: Open and Honest Behavior In accordance with the Core Values of FIRST, we encourage open and honest behavior among all event participants, event leaders, volunteers and spectators. The use of cameras and video cameras is encouraged where appropriate and within guidelines at our events. Policy: Prohibition on use of Spy Devices Use of spy, hidden, covert, or otherwise concealed unseen, secreted, veiled or out of sight devices for photography, videography, or voice recordings is not permitted. Teams utilizing such concealed devices will be disqualified. Policy: Declaration of Intent to Photograph, Videotape or Record. All persons at our events should make clear their intent to photograph, videotape or otherwise record activities at our FLL events by using their technology devices in a nondisruptive, visible, and overt manner. Teams intending to photograph, videotape or otherwise record a judging session or robot match at an event should declare to the officials present at such session or match their intent to utilize such technology. No special accommodations will be made to enable the use of such devices or equipment. No delays will be permitted to accommodate use of such devices, even if the team encounters a technical difficulty with such device. Policy: Expectation for Privacy Generally, event participants, event leaders, volunteers and spectators should expect to be included in photographs, videos and other recordings from our events. There is no expectation of privacy unless you have requested a NO PHOTO BADGE from the Event Registration Desk or directly advise any person taking such photos, videos or recordings that you do not wish to be included. Those taking photographs, videos or other recordings at our events should take all reasonable steps to avoid including persons wearing a NO PHOTO BADGE in any images, videos or recordings. Any such images later discovered must be deleted. Likewise, DO NOT TAKE A PHOTO, VIDEO OR RECORDING OF ANY PERSON THAT REQUESTS YOU NOT DO SO. FLL South Texas – Houston Region Photography/Videography/Recording Technology Policy Policy: Location of Photographers, Videographers or those conducting recordings during Judging Sessions Videotaping, photography and other recordings may be conducted within Judging Sessions from the designated area ONLY OR ACCORDING TO THE INSTRUCTIONS OF THE JUDGES. Videotaping, photography or other recordings may not be made from any vantage point that poses a distraction to a team being judged. Anyone disregarding this policy will be asked to return to the designated area, turn off the device, or leave the judging session. Policy: Location of Photographers, Videographers or those conducting recordings during Robot Matches Videotaping, photography and other recordings may be conducted by Spectators, including coaches and family members, during Robot Matches from behind the marked spectator barrier, tape or stanchions ONLY. Videotaping, photography and other recordings may be conducted by Team Members NOT driving the robot or assisting the driver at the match table, during Robot Matches from the team barrier line (6 ft) ONLY. Videotaping, photography and other recordings may be conducted by Team Members driving the robot or assisting the driver at the match table, during Robot Matches if declared and done openly and honestly. Policy: Use of Recordings of Robot Matches Under no circumstances will video, photo or other recordings of robot matches be used for review, consultation, or “instant replay” of any robot match by any referee or tournament official. Teams may not present recordings, in any form, to a referee or tournament official. Recordings, if made, are solely for the use and enjoyment of the teams. Policy: Limitation on Use of Robot Match Field The Robot Match field is busy with event officials, teams competing and event leaders. Allowing others on the robot match field will NOT BE PERMITTED. Once the awards ceremony is over, the robot match field is open to all. Notification This policy shall be posted to the CORE website, www.core.tech.uh.edu and via email to all event coordinators and directors for posting at their events.
