Evaluating laser printers 5 Evaluation Setting up the printer Unbox and set up the printer, using the printer documentation. Consider the following: • Is the user documentation and installation software helpful? • How does the overall printer design contribute to ease of setup? • How well are you able to install and interact with supplies? Testing printer software 1. Install the drivers and other printer software and then print some test pages. Document any driver or software changes performed during testing. 2. Note which platforms and printer languages the drivers support. 3. Evaluate the printer software after installation: • Is the driver easy-to-use? • What special features or utilities does the driver include? • What special software or tools are available? Testing interactions with the printer Print several documents on a variety of media sizes and weights, using the paper path that best suits the print job. When comparing printers, consider the following: 6 • In general, is the printer easy to use? • How easy is it to install and manage supplies? • How easy is it to change paper sizes and types? Evaluating laser printers Performance Get a printer that’s ready when you are with fast print speeds and Instant-on Technology. Printer performance is more than just a measure of pages per minute. Rather, printer performance is the speed at which a printer can turn electronic files into printed pages. In addition to engine speed, several factors affect the time it takes to print a job, including the use of special paper, computer download time, and printer processing time. The time it takes for your computer to download a job to the printer, and for the printer to process the job, depends on the following variables: • • • Complexity and size of graphics Speed of your computer How long it takes the printer to warm up (if necessary) and print the first page A better performing printer leads to higher productivity in your workplace. You spend less time waiting for print jobs and more time getting your work done. Fast professional printing The printer delivers documents with bold, crisp text and sharp images at up to 17 ppm letter (16 ppm A4), so you can print professional-quality documents—including envelopes, labels, spreadsheets, reports, and invoices—quickly and reliably. Evaluating laser printers 7 Evaluation Creating samples First, develop a group of sample documents that represent what the end user typically prints. This is the best method for determining if a printer is suited to your environment. Note It is important to test files like those that a typical user will print. Most print samples included with a printer have been optimized for that printer and may not reflect the type of output you will receive. When evaluating performance, your print samples should include multiple documents and file types, each created in the applications that will be used by the end user. The samples should have different elements (text, graphics, and photographic images) and should vary in complexity and page length. Some suggested content includes simple text documents, mixed text and graphics, and complex graphics containing photographic images. CAUTION! Using only one application or file can skew test results. Use several types of files and applications to present a broad and realistic performance picture. Simple—text only Mixed—from complex text to a mixture of text and medium-complexity graphics Complex—images and advanced graphics (using overlays or fill patterns) Different manufacturers provide different print modes (such as HP FastRes 1200). Try to compare similar modes to achieve a fair comparison. To evaluate the print quality and speed of text documents, such as those created in Microsoft® Word and Excel, you should print them in different print modes. Documents such as newsletters intended for circulation or image files, where photo quality is desired, are preferably printed in the best mode. When evaluating more than one printer, it is crucial that you make a fair comparison between printers. 8 • Print from identical computer systems to ensure speed variations are not due to differences in processing power. • Print the same files on all printers, using the same paper type and the same or equivalent settings. All print modes need to be tested separately for each printer and compared respectively. • Use the same operating system and software application and test comparable print drivers. (Each of these components interacts with the printing process and can affect performance.) Evaluating laser printers Evaluating printing performance Using the samples that you created, perform the following tests to gauge printer performance. First-page-out The time from when the print command is issued to a printer that is in Sleep mode until the completion of the first page. This test measures the effect of Instant-on Technology and shows a printer’s true speed. Click-to-drop The time from when the print command is issued until the completion of the job. Pick-to-drop The time from when the first piece of media is picked up by the printer until the completion of the print job. Return-to-application The time from when the print command is issued until the time when the computer is available for other tasks. Running the tests Follow the guidelines below when measuring printing performance: • Be sure to measure the amount of time it takes to print a complete document. Test one-page, three-page, and eight- to ten-page documents to determine whether the printer delivers quick print speeds for both short and long documents. Note A professional printer is designed to print multiple-page documents. We suggest that you print either multiple-page documents or multiple copies of a single page. • Record any error messages. • Perform each test three times to obtain an average. If the variances in the three tests are too much, discard the result, check the system, and redo the test. • Look at each page to make sure all text and graphics printed correctly. Files that print significantly faster on one printer might not be printing correctly. Some printers drop complex graphics and images when they are unable to process the whole job. Examine output to ensure that the entire document printed and that it printed correctly. • When comparing printer performance, look beyond the speed trial data and consider the acceptability of the output. There are definitely tradeoffs in print quality, but as you review your results, look at the samples and consider whether the quality meets your standards. Also, make sure that toner is adhering to the paper properly. Evaluating laser printers 9 Print quality Print bold, crisp text and sharper images with the new HP spherical toner. There are many different factors to consider when evaluating the overall quality of a printer’s output. Print quality involves more than dots per inch (dpi) and a higher dpi does not necessarily mean better print quality. Most print quality files or print samples included with a printer have been optimized for that product and may not reflect the type of output you will receive. You might want to use the print samples that you created for evaluating printing performance (see “Creating samples” on page 8). Follow these guidelines for printing sample documents: • When evaluating more than one printer’s print quality, it is crucial that you make a fair comparison between products. Print the same files on all printers, using the same or equivalent settings. Use the same operating system and software application, and be sure to test comparable print drivers. (Each of these components interacts with the printing process and can affect print quality.) • Use more than one software application to make sure software/driver conflicts are not affecting print quality. • Plain papers vary among brands and the regions in which they are manufactured. Some plain papers have a preferred print side. You should also take into account storage conditions as well as how the papers handle toner. • Temperature and humidity should be kept constant for each printer tested. These factors can have an impact on final print quality. Viewing samples Ideally, print quality should be evaluated under a mix of fluorescent and incandescent lighting. Print quality should not be evaluated too close to windows, since natural light changes dramatically with variations in weather and time of day. In addition, the color of the surrounding area can significantly affect quality perception. White surroundings may call undue attention to the color of the media. Medium or light gray is usually the best choice for the area surrounding where the sample documents will be evaluated. Individuals may perceive print quality differently. HP suggests that you have several people evaluate your sample documents, in the same environment, with a consistent light source. Have them vote on the samples that they like by listing them in order from the best to the worst. Allow each person to rate the samples independently and then record the results. Also, have each person establish a cut line for acceptable print quality for the end-user environment. Note This process is referred to as psychometric testing and should be performed on all of the sample documents that you are using to evaluate text, graphics, and image quality. Evaluating laser printers 11 Evaluating print quality When you evaluate print quality, avoid magnification, which can draw attention to insignificant differences. However, careful inspection is still necessary, and when doing this, look for the following characteristics: Text print quality • Text should be dark, not faded, and solid black, without hollow spots. • Edges should be crisp and smooth, not jagged. • There should be little or no toner scattered on the non-printed areas of the paper. Jagged edges: • Reverse text should be fully visible, with no toner filling lines. Toner scatter: • Portrait and landscape text should have the same print quality. Hollow spots: Graphics print quality • Fine lines should be distinct, not blending into each other or dropping out. • Solid black areas should be consistent to the eye with no patches of lighter shades or lines. • Solid black areas should not appear glossy. This reduces readability. • There should be no bands across graphics. Missing lines, bad detail Distinct lines, good detail Image print quality • Images should be clear and sharp. • There should be no bands across images. • There should be no graininess or visibility of dots. • Gray shading should go from light to dark in many layers, giving detail and depth to the image. Poor image quality Good image quality Evaluating document durability and usability After you have finished evaluating the print quality of your samples, evaluate the documents’ durability and usability. Test the following: • Can the printed output be fed through a copier without being damaged? • Will the printed output smear with moisture? • Can the printed output be easily scratched, melted, or otherwise damaged? • Is the printed output durable? (How easy is it to learn to use the printer? How easy is it to print your documents correctly?) • Supplies costs. (Some manufacturers require you to choose between fast warm-up times and energy efficiency, while HP offers both.) • Warranty and service costs. • Cost per page. 14 • It is difficult for end users to calculate the cost per page due to many variables. When assessing cost per page, keep the following in mind: • Make sure the cost per page associated with a printer’s print sample represents that sample. Some manufacturers may quote the cost of printing in a draft mode when the sample they give you is printed in their best mode, which requires more toner. • Make sure all the supplies are included in the cost per page calculation and not hidden as service items. Also, remember that supplies used during routine cleaning and warm-up cycles directly affect costs, and are not always included in the supply’s yield. • Watch for other hidden costs, such as unusable output, which wastes toner. Evaluating laser printers 15 Evaluation At HP, we typically test multiple devices in various environmental conditions to evaluate and improve engine reliability. We run the devices to engine life and record the supplies’ life, jam rate, and misfeed rate, continually improving each new generation of HP products. This kind of extensive, long-term testing is beyond the limits of most companies’ resources; however, it is possible to estimate their printer’s engine reliability. One option is to compare other printers’ duty-cycle ratings.
