IASO Backup 2010 User Interface Step By Step © 2009 IASO Backup Technology BV 1. Introduction IASO Backup Technology has developed a comprehensive and highly complementary range of Backup to Disk/Backup over IP solutions. We are glad to welcome you to our guide! We hope that our user-friendly interface will help you to easily and successfully use IASO Backup 2010. To learn the functionality of our product all you need is to follow the instructions given below. 2. User Interface The IASO Backup Manager User Interface consists of three areas: 1. The logo area (top area): the design of this section depends on the settings of the backup server you are connected to. 2. The application icons (left area): these icons enable the navigation to different parts of the application. The availability of icons here depends on the licenses you have purchased. 3. The main workspace (right area): the area where the actual program operations are performed. Note: The main workspace changes in compliance with the icon selected. On the screen below you can find several settings that were made while running the Setup Wizard. Each part of the application is represented by its own icon and will be further on discussed in detail. 2.1. My Computer – File Backup and Restore Clicking on the My Computer icon allows you to manage the file backup and restore processes. The Workspace pane displays four navigation tabs at the top of the dashboard: • Backup • Restore • Preferences • Backup Actions Backup The Backup tab allows you to set the backup selection. This area contains all folders and files that will be included in the backup. The displayed file tree contains all local disk drives and the hot folders selected via the Preferences tab. You can easily expand and collapse the tree branches by clicking the plus or minus signs displayed on the left. All the items are displayed with their type, size, and last modification date that are specified in the corresponding columns. To backup your data: 1. Select the applicable check boxes next to any drive, folder or file in the tree that you want to back up. 2. After clicking the Start Backup button, the process will start immediately and the application will switch over to the Progress status tab. Note: It is not needed to manually start the backup process all the time. In the Settings -> General tab, there is an option to schedule your backup operations so that they will be performed automatically at the most convenient time. You can set a backup job either to be performed every day at the same specified time or to be started automatically on the system shutdown, thus it will take place after switching off the computer. Selections The selections are made by clicking on the selection boxes, between the plus/minus signs and the file icons and folder items. Please note that there are two selection levels: 1. 2. An exclusive selection indicated by a grey color in the corresponding check box. An inclusive selection indicated by a white check box. In the exclusive selection the underlying files and folders are not included in the selection, unless explicitly selected. For instance, the example above shows that new files and folders under C: (root level) will not be automatically included in the selection. In the inclusive selection all the underlying files and folders will be also selected for backup, unless they are explicitly excluded from the selection by clearing their check boxes. The example above indicates that all files and folders under \\Testing data\B&S are included for backup. Subsequently all new files and folders under this subdirectory will be automatically included in the backup selection as well. Hot Folders The hot folders either created during the setup or in My Computer - Preferences tab, will not be automatically included in the backup selection. In order to include the hot folders contents you should check the underlying items according to the description given above. Restore The Restore interface is very similar to the "Backup" screen we have seen in the previous section. The file tree appears after selecting the backup session from which you want to retrieve the data (Backup time). It contains all the files and folders that were included in that backup session. Only successful backup sessions will be displayed in this list box. You can select the data for recovery from this tree by clicking on the check boxes. If you click the Restore button, all the data will be restored to its original location. Please note that restoring to the original location might result in newer data being overwritten by older versions. It can be quite unpleasant if you accidentally make the wrong choice while selecting the files and folders for the restore operation. It is hence safer to select an alternative location for the restore using the Restore To box which is situated at the bottom of the Restore workspace. Otherwise the following message appears: After pressing the Restore button, the application will switch over to the Progress status tab. For more information please see the corresponding Progress status tab section. The restore operation is really fast because if the data blocks are still available on their original location IASO Backup 2010 re-uses these blocks. Preferences Filters With the File Exclusion Filters you can limit the amount of data for backup by setting automatic filters for certain data types, such as multi-media files and temporary files. The Filters option under the "My Computer – Preferences" tab enables you to create a lot of advanced filters. For example, you may want to select the whole drive C: for backup, but you don’t want to backup one folder in it, e.g. c:\temp folder. IASO Backup 2010 enables you to exclude this folder from the backup by setting an exclusion filter. To set an exclusion filter for a file or a group of files: 1. 2. Enter the filter text into the field under the Filters caption. Select Add. The new filter will appear in the list of file exclusion filters and will be applied to all future backups. To remove a filter, you just select it in the list and click Remove. Use wildcards * and ? for setting the exclusion filters for files to match any string of characters or any single character in file names. Please see below the examples of the most common exclusion filters and how to use wildcards. Filter examples: • c:\temp\*: all files in the c:\temp folder and its subfolders will be excluded from the backup. The same result can be obtained either with c:\temp\ or with c:\temp\*.* filters. • c:\*.exe: all files of the EXE type (programs) in the c:\ drive will be excluded from the backup. • *.tmp: all files with the temp extension will be excluded from the backup. • d:\photos\*thumb*\: all files in any subfolders of the d:\photos folder that are called "thumbnails", "thumbs", "thumbnail", etc. will be excluded from the backup. • d:\photos\thumb*.jpg: all files of the JPG type with the names that begin with ‘thumb’ in the d:\photos folder and its subfolders will be excluded from the backup. • d:\photos\thumb?.jpg: all files of the JPG type with the names that begin with 'thumb' and end with any character in the d:\photos folder and its subfolders will be excluded from the backup. Backup Actions The Backup Actions tab performs backups and restores data. Here you can add pre- and post-backup commands which will be executed before or after the whole backup process, respectively. For example, if you want to run Notepad before starting your backup, add the string 'start /max notepad' as a pre-backup action and click the Apply button. After pressing the Start Backup button, Notepad will be launched. Only after that, the backup process will start. The same is applied to the post-backup actions: the Notepad will be launched only after the backup process is finished. It means that all the commands that you enter into these panes (pre-backup and post-backup) correspond to all the commands in a batch file (are saved as a .bat file), i.e. these commands are already .bat files. All the .bat files with the data entered via this tab are available in the application installation directory. 2.2. Settings The Settings section enables you to change the global settings of the application. General E-mail for daily reports: You can send daily backup reports to several e-mail addresses simultaneously. Please use the following well-known format: [email protected]; [email protected], etc. Note that e-mail addresses should be separated with a semicolon (;). Send dashboard: From the drop-down list specify the frequency with which you want to receive the reports: "Daily", "Wednesday and Saturday", "Saturday or Never". Schedule: You can schedule the starting of the backup process either at a fixed time of the day or on the system shutdown. The last option is not available in Windows Vista. You can also select both options, but it means that you will make multiple backups per day. Interface language: You can change the language of the IASO Backup 2010 User Interface according to your preferences. Currently the application is available in the following languages: English, Nederlands, Русский,Latviešu, Беларуская, Бълкарски, Dansk, Deutsch, Espaňol, Français, Italiano, Norsk (bokmål), Svenska, Português, Polski. The selected language will be also used in the e-mail reports sent to you by the system. Proxy Proxy is a useful utility that allows configuring proxy settings in your application. Click on the Settings section on the left of the main IASO Backup 2010 window and choose the Proxy tab. There will be two sections: • Proxy settings section allows you to configure the proxy settings. To do this, click on the check box next to the "Use proxy" title and set the type, the IP address and the port of your proxy server. • The authorization settings area allows you to restrict the access to your application. To do so, tick the checkbox "Use authorization" and enter your username and password in the appropriate fields. When you finish the settings configuration, press the Apply button to apply your changes. 2.3. Reports To keep track of your backup results, the IASO Backup Server you are connected to, sends a daily report to your e-mail address in the form of a dashboard. This dashboard is also accessible via the Reports icon in your application. The upper part of the Reports screen contains the following information: • Contract: this is a code with the reference information regarding your account on the backup server • Company name: the name of your company • Type of license: the description of your license type • Software version: the software version you currently use • Data limit: the maximum amount of data you can select for backup purposes; this setting is recorded on the backup server and cannot be changed by an individual user • End date of contract: if you are working with a Backup Service Provider on a subscription basis, this field indicates the expiry date of your contract. If your contract has expired, you can renew it simply by clicking the Upgrade your contract button that will appear in the Reports screen a few days before the contract expires. If you have exceeded the data limit set for your contract, you can follow the provided link to expand the limit. Backup Process Quality The first indication of the backup process quality is the color of your report: • Green means that a successful backup has been made in the last 24 hours. • Orange means that your backup was performed in a period between the last 24 and 48 hours. There might be several reasons why your backup is older than 24 hours, for instance, you are backing up a laptop, which is not used during the weekend. • Red means that your last backup is older than 48 hours. The second indication of the backup process quality is the status message in the upper right corner of the dashboard: • Completed: The status message reads “Completed” when a backup has completed successfully. It can be displayed on green, orange and red dashboards. • • IN PROGRESS: The status message “IN PROGRESS” indicates that the backup process is currently running. You can see this message on a green dashboard only. Failed: The status message “Failed” is a clear signal that the backup operation has not been completed for some reason. In this case the color of the report you receive is red. Contact your system administrator or service provider to clarify the situation. • Aborted: The status message “Aborted” means that you manually aborted the backup process. In this case the color of your report will be red. • Limited: You can see the status message “Limited” when the data selected for backup exceeds the limitations. In that case your backup session fails and you will get red dashboard. You can follow the link in the report to expand the data limit size for your contract. Note: The initial backup session may take longer than 24 hours to complete, up to several days. In that case you will receive an orange or red dashboard with an "IN PROGRESS" message, as long as the backup session is not completed. In more detail the backup process quality is presented by the two dials: IN BACKUP and SUCCESSFUL BACKUPS. IN BACKUP dial indicates the percentage of the selected files and folders that are actually included in the most recent backup session. Normally, this should be 100%, or otherwise an error occurs, causing the application to skip certain files and/or folders. The percentage SUCCESSFUL BACKUPS should be 100% or at least close to that figure. This dial represents the percentage of successful backups in the last 4 weeks. If you do not run the backup on a daily basis, for instance, if your laptop or desktop PC is not used during the weekend, this percentage will be lower. One more indication of your backup process quality is provided by the interactive calendar on the right side of the dashboard. This tool also displays the backup results for the past 5 weeks. The calendar displays the days with completed backup sessions in bold font, and the days without any backup are displayed in regular font (black). The days with a successful backup or a backup in progress are displayed in green. By clicking a date in the calendar, you can access a detailed report that contains a list of all backup sessions performed during the day. The report shows general information about the selected session, including the backup start date, the duration of the session, the number of files in the session, the total size of the files in the session and the total size of the data that was actually sent to the backup server. The Backup Summary link at the bottom of the dashboard provides you with the access to an extensive overview of all your backup sessions. See the screen below for details. You can get more detailed information by clicking the links in the report. You can also navigate through the reporting using the buttons at the bottom of the Reports screen. The bottom part of the dashboard contains detailed information on the most recent backup session. 2.4. About The About section contains additional information about your license and subscription. It enables you to manually install the software updates, if available. Click the Check for updates button if you want to install an update. The update process is fully automated, and upon its completion your application will be updated to the most recent version available on your backup server. All your custom settings made in IASO Backup 2010 (backup selection, scheduling options, etc.) will be saved during the update.
