Ink and Toner Cartridges Waste Why we have a procedure? In accordance with HTM 07-01: Safe management of healthcare waste, waste must be segregated. It is the staff member’s responsibility to ensure that they dispose of waste into the correct waste stream, failure to do so may result in the Trust or the staff member receiving a fine for non-compliance from the Environment Agency. Health Technical Memorandum 07-01: Safe Management of Healthcare Waste contains the regulatory waste management guidance for the NHS in England including waste classification, segregation, storage, packaging, transport, treatment and disposal. The correct disposal of toner and ink cartridges is designed to save the trust money, and help to protect the environment from the dangerous substances that it can be exposed to through their disposal. Disposing of ink cartridges and toner into normal waste can cause great harm to the environment. More importantly, carbon black (toner) has been classified as carcinogenic by the International Agency for Research on Cancer and therefore needs to be correctly disposed of to ensure the safety of staff and our patients. Up to 97% of a toner cartridge can be recycled and as a result the trusts carbon footprint can be reduced helping it to comply with ISO14001.

Who does the procedure apply to? All Trust staff who are responsible for/or have access to printing facilities and use them
When should the procedure be applied? When a member of staff who has used / or is using a printer or photocopier has to replace the toner / ink cartridge. For example; a member of staff is printing Ink and Toner Cartridges Waste

documents and the toner / ink runs out during printing, when replacing the toner / ink this procedure should be followed to ensure the old toner / ink is correctly disposed of
How to carry out this procedure When the printing device that you are using requires new toner / ink retrieve a replacement cartridge and remove it from its box (do not destroy or throw away the box) but do not remove any seals or bags just yet Follow the instructions on the printer to remove the empty cartridge Once removed place this cartridge inside the now empty box Following the instructions that have come with the new ink / toner remove any seals and bags and install to the printer. Dispose of the seals appropriately but keep any bags Place the old toner into the bag, and back into the box, this will help prevent any spillage or leakage from the old toner Seal the box (if possible) and leave in the designated area on your site. Please speak to the site concierge to confirm where this is if it is not clear When there are at least 5 cartridges / toners collected log a job with the BCPFT helpdesk on 0121 612 8010 or via email at
[email protected] and log a job for the transport team to collect the cartridges. Please detail where they are being stored The transport team will collect the cartridges and store them at the trusts main stores site at Penn Hospital Cartridge World deliver to Penn Stores on a regular basis, when they deliver the driver will be informed by transport staff that there are cartridges ready for recycling, they will then be collected and removed from site Safety warnings Step 1 - Please ensure that any seals or bags that are not needed are disposed of correctly to avoid any trip hazards Step 1 and 2 - In case of accidental ingestion please refer to the safety warnings on the toner packaging Step 2 - Please take care when removing the old toner / ink cartridge, as the toner / ink can leak out and stain clothes If any toner / ink gets onto yourself please wash the area with warm water and soap Step 2 - Do not tip the toner or ink cartridge vertically to avoid any spillages If you require assistance with any of the above please contact the concierge on site

Install new toner / ink cartridge as instructed. Keep any bags and the box and put the old toner into the bags to prevent spillage
Place the old toner into the box and seal if possible. Store in the designated storage area on site, please speak to the concierge for confirmation
When there are 5 cartridges / toners collected log a job with the BCPFT helpdesk for the transport team to collect the cartirdges
The transport team will collect and take to stores at Penn Hospital
When Cartridge World next deliver to Stores they will be informed that there are toners / cartirdges to collect for recycling

Site Concierges Assistant Facilities Manager (Corporate Services) Training Staff may receive training in relation to this procedure, where it is identified in their appraisal as part of the specific development needs for their role and responsibilities. Please refer to the Trust’s Mandatory & Risk Management Training Needs Analysis for further details on training requirements, target audiences and update frequencies. Monitoring / Review of this Procedure In the event of planned change in the process(es) described within this document or an incident involving the described process(es) within the review cycle, this SOP will be reviewed and revised as necessary to maintain its accuracy and effectiveness.
