It is comprised of hardware and software that transforms your network into a voice delivery system. With the Boomerang Enterprise Recorder, you can digitally record your voice directly into your PC. The Enterprise Voice Agent (EVA) then sends your dictation files to the Enterprise Express Voice server. To use the PowerMic™ microphone (PowerMic), Boomerang Hand microphone (HandMic), or Barcode microphone (Barcode Mic), you will need to: 1. Review System Requirements on page 2 to confirm that your computer has the right hardware and software for the PowerMic, HandMic, or Barcode Mic. 2. Download the USB drivers for the PowerMic+Scanner (page 7) or the Boomerang microphone (page 7), whichever is needed. Notes: • The Boomerang USB drivers are also available on the Boomerang software CD that comes with your Boomerang microphone. • The PowerMic USB drivers are available on the PowerMic Drivers CD that comes with your PowerMic microphone. Refer to the PowerMic Installation Guide for the specific procedures for obtaining and installing the PowerMic drivers. Welcome to Boomerang® for Enterprise Express® WELCOME TO BOOMERANG® FOR ENTERPRISE EXPRESS® 3. Connect the PowerMic, HandMic, or Barcode Mic to the SoundBlaster® sound card (page 4) or the USB port (page 8) on your computer. 4. Install the USB drivers, if needed, using the procedure for your computer’s operating system (beginning on page 13). 5. Install the Boomerang software (page 33) and set up both Enterprise Voice Agent (page 35) and Enterprise Recorder (page 43) to work the way you want. 6. Record, play back, and send a test dictation (page 57). This Installation Guide takes you through all of the necessary steps to connect the PowerMic, HandMic, or Barcode Mic to your computer’s SoundBlaster compatible sound card or USB port, as well as install and configure the software and drivers and begin dictating. 1 System Requirements SYSTEM REQUIREMENTS Before you connect the PowerMic, HandMic, or Barcode Mic to your computer, check for the following system requirements. Personal Computer Pentium® III 500 MHz with: • CD-ROM drive. • Microsoft® mouse or other compatible pointing device. • For systems using a SoundBlaster sound card, additional requirements are: • SoundBlaster compatible sound card • Available Game port • For systems using a USB port, additional requirements are: • A functioning and enabled USB port • A functioning Internet connection Note: Do not use USB devices with the PowerMic, HandMic, or Barcode Mic that simultaneously consume more than .5 amp. Operating System for SoundBlaster Compatible Sound Card Windows® 98 Second Edition, Windows NT® 4.0 with service pack 4 or higher, Windows ME, Windows XP, or Windows 2000 with the latest service pack. How can I tell if I have the latest version of Windows NT on my computer? 1. Restart your computer. 2. Examine the Windows NT blue start-up screen. It should indicate that your system has Build 1381: Service Pack 4 or higher. Operating System for USB Connection Windows 98 Second Edition, Windows ME, Windows XP, or Windows 2000 with the latest service pack. Available Hard Disk Space 300 MB How can I tell how much disk space is available on my computer? 1. Double-click the My Computer icon on your desktop. 2. Select the disk you want to check. 2 Memory 256 MB RAM How can I tell if my computer has enough memory? 1. Right-click on the My Computer icon on your desktop or in Windows Explorer. 2. Select Properties from the shortcut menu. The amount of RAM in your computer is shown on the General tab of the System Properties window. Verify that you have at least 256 MB RAM. System Requirements 3. Select File > Properties. A pie chart shows how much free and used space is on the disk. Network or Internet Connection You can open the Dictaphone Web page on your local network or over the Internet to download the necessary drivers. If your computer is to be connected to a local network, it will need a network card installed and the network must be running under the TCP/IP or IPX/SPX protocol. If your computer is not connected to a local network and you will be opening the Web page over the Internet, your computer must be equipped with a 56 kbps or faster modem and a functioning dial-up Internet connection. Sound The PowerMic, HandMic, and Barcode Mic each has its own built-in speaker for playing back recorded voice files, but you can also use your computer’s external speakers for playback if your computer is equipped with a sound card. Web Browser Internet Explorer 5.5 (with Service Pack 2) or higher. Where can I get Internet Explorer? You can download Internet Explorer for free from the Microsoft Web site, www.microsoft.com. OR Select Start > Windows Update. 3 Using a SoundBlaster-Compatible Sound Card USING A SOUNDBLASTER-COMPATIBLE SOUND CARD If you are using a SoundBlaster or other compatible sound card that is already installed on your PC, the only steps you have to take are to connect and install the hardware and the accessories that come with your Boomerang microphone. Connecting and Installing the Hardware To connect the HandMic to a SoundBlaster or other compatible sound card: Note: Figure 1 shows all the Boomerang hardware connected properly. Note that the Wedge must be used to connect to a SoundBlaster or compatible sound card. 1. With your computer turned off, plug the smaller end of the Coiled Cord into the Hand Microphone and the larger end into the outside end of the Hand Microphone Station. 2. Place the Hand Microphone on the Hand Microphone Station. 3. If disconnected, plug the plain end of the Extension Cable into the inside end of the Hand Microphone Station. Plug the other end into the Wedge. 4. Plug one end of the Com Cable into the Com port on the Wedge and the other end into the Com port on your computer. 5. Plug one end into the Mic port on the Wedge and the other into the MicIn port on your computer. (If you only have a Line-In port, use that for your connection.) 6. Plug one end into the Speaker port on the Wedge and the other into the SpkOut port on your computer. (If you want to use the computer speakers instead of the microphone speaker, you can leave the Speaker Out Cable disconnected from your PC.) 7. Plug the Power Connector into the Power port on the Wedge. Disconnect your keyboard cable from your computer and plug it into the Keyboard Connector, then plug the remaining end into the Keyboard port on your computer. Note: If you have a laptop, you can use the Mouse port instead of the Keyboard port. 8. Make sure all of the cables are securely connected. 9. Restart your computer. 4 Extension Cable Hand Microphone Station Coiled Cord (small end) MicIn Port Coiled Cord (large end) SpkOut Port Mic (red) Wedge Com Speaker (black) Com Port Power Connector Using a SoundBlaster-Compatible Sound Card Boomerang Hand Microphone (HandMic) Keyboard Port Keyboard Connector Figure 2: 1: Hardware Connections when using a SoundBlaster or Compatible Sound Card, along with a Microphone and Wedge 5 Using a Microphone Attached To Your USB Port USING A MICROPHONE ATTACHED TO YOUR USB PORT Using the USB PowerMic Microphone To use the USB PowerMic (the microphone without the scanner), simply connect the USB cable to a USB port on your computer as shown on page 10. No additional actions are needed. You can begin using the USB PowerMic as soon as the Boomerang software is installed and configured. Using the USB PowerMic+Scanner Microphone To use the USB PowerMic+Scanner, you must install a set of scanner driver files on your PC prior to connecting the microphone to the PC as shown on page 10. These files are available on the USB Microphone Driver CD that is included with your microphone. The driver files can also be downloaded from the Dictaphone Web site. Complete information for installing the driver files and connecting the PowerMic+Scanner is in the PowerMic Microphones Installation Guide (L-2770) that is included with your microphone. Downloading the Drivers for the USB PowerMic+Scanner You can download the driver files for the USB PowerMic+Scanner microphone from the Dictaphone Corporation Web site. To download the drivers from the Dictaphone Web site: 1. Start Internet Explorer and go to the Dictaphone Web site at www.dictaphone.com. 2. Click the Support link in the top navigation bar on the Dictaphone home page. 3. On the Support page, scroll down and click the Downloads link. You can go directly to the Downloads page at http:// www.dictaphone.com/support/productService/downloads.asp. 4. Click the heading PowerMic Microphones. 5. Click the link under the heading USB PowerMic+Scanner Microphone to download the drivers. 6. When prompted to do so, click Save to save the installation file, PowerMicDrivers.exe, on your computer. 7. In the Save As dialog box, navigate to and select your Temp folder (C:/Temp) where you will save the downloaded file. 8. Click Save to begin the download. When the download is 6 Using the USB Boomerang Microphone To use the USB Boomerang USB HandMic or Barcode Mic, you must install a set of driver files on your PC. If these files are not already on your PC, they can be downloaded from the Dictaphone Web site. Downloading the Drivers for the USB Boomerang Microphone You can download the driver files for the Boomerang USB HandMic or Barcode Mic from the Dictaphone Corporation Web site. To download the Boomerang USB HandMic drivers from the Dictaphone Web site: 1. Start Internet Explorer and enter this address in the Address line of your browser: http://www.dictaphone.com/support/productService/ downloadsBoomer.asp 2. Scroll down the page and click the Boomerang Drivers link to begin the download. The File Download information box opens. 3. Click Save and navigate to the folder where you want to save the file on your computer and click Save. The file drivers.exe is downloaded to the location you specified. Using a Microphone Attached To Your USB Port finished, click Close and continue with the procedure below for installing the drivers. 4. In Windows Explorer, navigate to the folder where you downloaded drivers.exe. 5. Double-click drivers.exe to begin extracting the files. The WinZip Self-Extractor dialog box opens Note: If the setup information prompt opens, click OK. 7 Using a Microphone Attached To Your USB Port 6. Click the Browse... button and navigate to the folder where you want to extract the driver files. Important: Be sure to make a note of the location where you extract the files. You will need this information when you install the drivers. 7. Click Unzip. The driver files are extracted and stored in the folder you specified. 8. Click OK in the message box that indicates the drivers were unzipped successfully. 9. Click Close to close any dialog boxes that are still open. Connecting Your Microphone to a USB Port Use this procedure to connect the PowerMic, HandMic, or Barcode Mic to a USB port on your computer. Caution: You must select a USB port before you begin the installation. Note carefully which port you are using for the microphone, and use only that port for the microphone in the future. If you need to disconnect the microphone at any time after you have completed the initial installation, be sure to use the same port when you reconnect it. Changing the microphone from one USB port to another, or changing the hardware configuration in any other way after initial installation of the microphone, can affect operation and is not recommended. Before you connect the microphone to the USB port on your computer, be sure to have these items on hand: • PowerMic, HandMic, or Barcode Mic • Coiled cord • USB cable • Your Windows operating system’s installation CD. Windows 98 users: Be sure to use the installation CD for Windows 98 Second Edition. 8 Notes: • If you are using the USB PowerMic, the drivers have already been installed with your Windows operating system. • If you are using the USB PowerMic+Scanner, the drivers are available on the PowerMic Drivers CD or can be downloaded from the Dictaphone Web site. • If you are using the Boomerang HandMic, the drivers are on the Boomerang software CD or can be downloaded from the Dictaphone Web site (for the HandMic only). Refer to Using the USB Boomerang Microphone on page 7 if you need help downloading and extracting the drivers to a folder on your computer’s hard drive. • If, after you connect the microphone, the operating system fails to recognize the new device and does not display the Add New Device Wizard (you do not see any prompts, dialog boxes, or other activity on the screen), re-seat each of the connections, taking care to connect the USB cable to the same USB port. If you are sure that the connections are secure, and the operating system still fails to recognize the device, call Dictaphone Service for assistance (1-800-677-7928 24 hours a day). Using a Microphone Attached To Your USB Port • The appropriate drivers for the USB PowerMic+Scanner microphone or the USB Boomerang microphone. You must have the driver files available before you begin the installation procedure. 9 Using a Microphone Attached To Your USB Port To connect the PowerMic or the PowerMic+Scanner to a USB port: 1. Plug the USB plug attached to the PowerMic into a USB port on your computer as shown below. Figure 3: Connecting the PowerMic to a USB Port 2. The Windows operating system recognizes that you have connected a new USB device, and the Add New Device Wizard begins automatically. To connect the HandMic or Barcode Mic to a USB port: 1. Plug the smaller end of the Coiled Cord into the Hand Microphone and the larger end into the connection on the outside of the Hand Microphone Station. 2. Place the Hand Microphone on the Hand Microphone Station. 3. Plug one end of the USB Cable into the connection on the Hand Microphone Station. Plug the other end into the USB port on your computer. The Windows operating system recognizes that you have connected a new USB device, and the Add New Device Wizard begins automatically. Continue with the appropriate procedure for installing the Boomerang USB device drivers for your operating system: • Installing the Boomerang USB Drivers — Windows 98 Second Edition on page 13 • Installing the Boomerang USB Drivers — Windows 2000 on page 24 • Installing the Boomerang USB Drivers — Windows ME on page 21 • Installing the Boomerang USB Drivers — Windows XP on page 29 Using a Microphone Attached To Your USB Port 4. Check to be sure all the cables are securely connected and leave the HandMic connected throughout the rest of the installation procedure. 11 Installing the Drivers for the USB PowerMic™ or USB PowerMic+Scanner 12 INSTALLING THE DRIVERS FOR THE USB POWERMIC™ OR USB POWERMIC+SCANNER If you are using a USB PowerMic, you can install the Boomerang software and begin using the microphone right away. If you are using a USB PowerMic+Scanner, you must install the appropriate drivers before you can begin using the microphone. To install the USB PowerMic: Connect the USB PowerMic’s USB cable to an available USB port on your computer. You can begin using the USB PowerMic immediately with no need to install any microphone driver files. To install the USB PowerMic+Scanner: To use the PowerMic+Scanner, you will need to: 1. Download and install the driver files. OR Install the driver files from the PowerMic Drivers CD supplied with your PowerMic microphone. 2. Connect the PowerMic+Scanner to a USB port on your computer. For additional information on installing either PowerMic model, refer to the PowerMic Installation Guide (L-2770) that comes with your PowerMic microphone. If you are using a HandMic or Barcode Mic attached to your USB port, you must install the downloaded drivers before you can begin using the microphone. If you are using a USB PowerMic, you can install the Boomerang software and begin using the microphone right away (see Installing the Boomerang® Software on page 33). For additional information, refer to the PowerMic Installation Guide (L-2770) that comes with your PowerMic microphone. Installing the Boomerang USB Drivers — Windows 98 Second Edition Use this section only if your computer is running the Windows 98 Second Edition operating system. The Boomerang HandMic requires installation of several USB device driver files before you can begin recording. Some of the driver files are on your operating system installation CD, some might already reside on your computer, and all can be downloaded from the Dictaphone Web site following the procedures in Using the USB Boomerang Microphone on page 7. Follow the procedures in this section to complete the driver installation. Before you begin Important: You will not be able to cancel the installation while it is in progress, so be sure you have these required items before you start. Before you install the Boomerang USB drivers, be sure to have on hand: • The Windows 98 Second Edition operating system installation CD. • The Boomerang drivers downloaded from the Dictaphone Corporation Web site. This procedure assumes that you have already downloaded and extracted the files to a folder on your hard drive following one of the procedures in Using the USB Boomerang Microphone on page 7. Installing the Drivers for the Boomerang® USB HandMic or Barcode Mic INSTALLING THE DRIVERS FOR THE BOOMERANG® USB HANDMIC OR BARCODE MIC Notes: • If the Auto Run installation program starts automatically at any time during this procedure, close the Auto Run window to terminate the Auto Run 13 Installing the Drivers for the Boomerang® USB HandMic or Barcode Mic program and continue. If you see a message directing you to select a language, click Cancel. • One or more of the driver files installed by this procedure might already exist on your computer. When the Wizard encounters such a file, it displays a prompt. Select Yes to overwrite the file if its date and timestamp indicate it is older than the file the Wizard is attempting to install. Otherwise, select No. After you connect the HandMic, you will see the first Add New Hardware Wizard window. A message indicates which drivers the Wizard will search for first. This message shows which drivers the Wizard will search for first. If the message says that the Wizard will search for the drivers for a KLSI device or USB for 4 Port Serial, continue with Installing Boomerang Drivers on page 17. If the message says that the Wizard will search for any other device, continue with Installing Drivers from the Windows 98 Second Edition Installation CD below. Installing Drivers from the Windows 98 Second Edition Installation CD To begin the driver installation for Windows 98 Second Edition: 1. Insert the Windows 98 Second Edition installation CD in your CD-ROM drive if it is not already there. Important: Leave the CD in the drive and do not remove it unless you are prompted to insert another CD or until the procedure is finished. 14 3. Select Search For the Best Driver for Your Device. 4. Click Next. The Windows Will Search prompt lists four checkboxes indicating locations to search. 5. Select CD-ROM Drive and verify that all the other check boxes are unchecked. Installing the Drivers for the Boomerang® USB HandMic or Barcode Mic 2. Click Next. The What Do You Want Windows to Do? prompt opens with two options: 15 Installing the Drivers for the Boomerang® USB HandMic or Barcode Mic 6. Click Next. Windows searches for the driver; a message indicates the location where the driver was found: The driver was found at this location. 7. Click Next. Windows installs the driver and then displays the “Finished Installing” message: 8. Click Finish. Windows determines whether it needs to install any more USB drivers. 9. Take one of the following actions: • If all the necessary USB drivers for the HandMic have been installed, the Wizard closes. In this case, skip the rest of this procedure and go to Confirming that the Boomerang USB Drivers Have Been Installed on page 31. • If more USB drivers must be installed, a message indicates which drivers the Wizard will search for next. 16 10.Go to the procedure for installing the drivers for the next device. To install drivers for… Any KLSI device Go to… Installing Boomerang Drivers on page 17 OR USB to 4 Port Serial Any other device Installing Drivers from the Windows 98 Second Edition Installation CD on page 14 Installing Boomerang Drivers Follow this procedure when the Wizard indicates it will search for drivers for a KLSI device or for USB to 4 Port Serial as shown below. Installing the Drivers for the Boomerang® USB HandMic or Barcode Mic The Wizard indicates which drivers it will install next. Use this prompt and the table below to find the procedure to follow next. 17 Installing the Drivers for the Boomerang® USB HandMic or Barcode Mic Before You Begin Make sure that you have downloaded and extracted the Boomerang driver files to a folder on your computer following one of the procedures in Using the USB Boomerang Microphone on page 7. To install the Boomerang drivers: 1. Click Next. The Wizard displays the What Do You Want Windows to Do? prompt: 2. Select Search for the Best Driver for Your Device. 3. Click Next. The Windows Will Search message displays with a set of four checkboxes representing search options: 4. Check Specify a Location and verify that all the other check boxes are unchecked. 18 6. Navigate to the folder on your hard drive where you extracted the driver files and select that folder. 7. Click OK. Otherwise, select No. To begin the installation process: After you have connected the HandMic, you might see one or more messages indicating that Windows has recognized a new device and is installing drivers. When it encounters a device whose driver it cannot find, it displays a prompt directing you to select one of two options. 2. Click Next >. Windows begins locating the driver files and installing them. One or more messages display during the process. When the installation is finished, a message indicates that the installation is finished for the device. 3. Click Finish. The dialog box closes. If another device requires installation of USB drivers, a prompt displays with the device name and two options, as shown above. Perform Steps 2 through 3 again to install the drivers for this device. When no more devices require installation of USB drivers, you will see no screen activity for a few moments while the installation process finishes. Select Install from a list or specific location (Advanced). 4. Click Next >. You are prompted to choose some search options. 5. Select Search for the best driver in these locations. 30 7. Click Next >. The installation process begins. 8. If you see a warning message concerning the software’s compatibility with the Windows XP operating system, disregard the message and click Continue. 9. Click Finish. 10.Go to Confirming that the Boomerang USB Drivers Have Been Installed on page 31. Confirming that the Boomerang USB Drivers Have Been Installed All Operating Systems When you have installed the Boomerang USB drivers for the HandMic or Barcode Mic, you must restart your computer and then check your computer’s multimedia settings to confirm that the drivers were installed successfully. To confirm that you have successfully installed the USB drivers: 1. Remove any disks from their drives. 2. Restart your computer. 3. Select Start > Settings > Control Panel. The Control Panel opens. 4. Windows 98 Second Edition: On the Control Panel, select Multimedia. The Multimedia Properties dialog box opens. Windows 2000/ME/XP: On the Control Panel, select Sounds and Multimedia. The Sounds and Multimedia dialog box opens. Installing the Drivers for the Boomerang® USB HandMic or Barcode Mic 6. If you are installing the driver files from a floppy disk, check Search removable media (floppy, CD-ROM…). Otherwise, check Include this location in the search and then enter or select the path and folder where you installed the driver files. On the Audio tab (Windows 98 Second Edition) or the Sounds tab (Windows 2000/ME/XP), the Preferred Device for Playback and the Preferred Device for Recording should both show USB Audio Device. If USB Audio Device does not appear as the Preferred Device in both places, restart your computer and then check the multimedia settings again. 31 Installing the Drivers for the Boomerang® USB HandMic or Barcode Mic 5. Close the dialog box to return to the Control Panel. 6. On the Control Panel, double-click the System icon. 7. Windows 98 Second Edition: Select the Device Manager tab. Windows 2000/ME/XP: Select the Hardware tab and then click the Device Manager button. 8. In the Device Manager tree, expand these three items and check their contents: • Human Interface Devices should include ‘USB Human Interface Device.’ • Ports should include four KLSI ports. • Sound, Video, and Game Controllers should include ‘USB Audio Device.’ • Universal Serial Bus Controller should include ‘Generic USB Hub.’ If your Preferred devices are correct and the items in the Device Manager appear as described in Step 8, you are ready to install the Boomerang software. If any of the devices do not appear as described above, make a note of which items do not appear as expected, and report this information to Dictaphone Service. 32 You are now ready to install the Boomerang and Enterprise Voice Agent (EVA) software. You must complete all the steps before using these programs. Note: Before installation, close all Windows applications (including minimized applications in the taskbar). To install the Boomerang and EVA software: 1. Insert the Boomerang CD-ROM into your computer's CD-ROM drive. It may take a few moments for the installation to start. 2. If Auto Run is enabled on your PC, the startup screen opens automatically and the installation wizard guides you through the installation. Follow the on-screen instructions to complete the installation. OR If Auto Run is disabled on your PC, the startup screen is not displayed automatically. You must begin the installation wizard from the Windows Start menu: a. Select Start > Settings > Control Panel. b. Double-click the Add/Remove Programs icon. c. Click the Install/Uninstall tab. d. Click Install and follow the on-screen instructions to complete the installation. Installing the Boomerang® Software INSTALLING THE BOOMERANG® SOFTWARE 3. When prompted to choose the language you want to install, click the down-arrow to select from the available languages and click OK. 4. When prompted to select the devices you will be using, make the following selections: • Select BarcodeMic, DisplayMic, or PowerMic, as is appropriate for the microphone you are using. • Select Microphone as the input jack, unless you are using the Line-In jack for your connection. • Do not select FootPedal. • Select USB or SoundBlaster Compatible, as is appropriate. If you are using the PowerMic or PowerMic+Scanner microphone, you must select USB. 5. Make sure the microphone is connected properly. 33 Installing the Boomerang® Software 34 6. Click Next to continue the installation. 7. When the microphone is recognized, click Finish to complete the installation. 8. Restart your computer. When your computer starts, EVA starts automatically. Note: When EVA first starts, you might see a “Server Address is Invalid” message. Click OK and proceed with the EVA setup instructions in the next section. The Enterprise Voice Agent (EVA) allows you to send dictation files from Boomerang Enterprise Recorder to the Enterprise Express Voice server. To set up EVA, take the following actions, some of which are optional, depending on how you want to control your dictations: • Enter the required information to establish your connection to the Enterprise Express Voice server. See Entering Connection Information , below. • Convert the recording format of your files, if necessary. See Step 4 on page 37. • Save your files in a Sent Items folder with the Auto Purge feature. See Step 5 on page 37. • Identify the Source folder in which EVA can locate your dictation files. See Identifying the Source Folder on page 38. • Enter information in the Data Fields tab if you choose to use this optional feature. See Entering Information in the Data Fields Tab on page 39. • Enable Auto Send to have your dictation sent automatically to the Enterprise Express Voice server. See Enabling Auto Send on page 41. Setting Up the Enterprise Voice Agent (EVA) SETTING UP THE ENTERPRISE VOICE AGENT (EVA) Entering Connection Information For EVA to connect to the Enterprise Express Voice server, you must enter connection information that tells EVA the location of the server and how to communicate with it. To enter the connection information for connecting to the Enterprise Express Voice server: 1. If EVA is not already running, start it in the normal manner: Select Start > Programs > Dictaphone Boomerang > Enterprise Voice Agent to start the EVA application. The following message box might be displayed: 35 Setting Up the Enterprise Voice Agent (EVA) Note: This message box opens only if the connection information has not been entered. Generally, this occurs only the first time you start EVA after installation. 2. Click OK to set your server address. The Connection tab of the Options dialog box opens. Note: If at any time in the future, you need to change the settings for your Enterprise Express Voice Server, click the … (Options) button to the right of the Source Folder box on the Enterprise Voice Agent window to see the Options dialog box and select the Connections tab. 3. If the EVIS group box radio button is not selected, click it to select the EVIS group and complete the text boxes as required. a. In User ID, enter your Enterprise Express User ID. If more than one dictator will be using this PC, leave this set to the default setting of 99999. b. Enter the Server Address for the Enterprise Express Voice server. If you need help with this field, see your system administrator or Dictaphone Service Representative. c. Select the Network Protocol running on your Enterprise Express Voice server. The default and recommended protocol is TCP/IP. 36 4. To have EVA convert your dictations to a different audio format when it sends them, check the Convert on Send check box. See your system administrator or Dictaphone Service Representative to determine if you need to convert your dictation files. 5. To have EVA save a copy of your dictation files in your Sent Items folder, check the Save copy in Sent Items folder checkbox. The default location of this folder is: C:\Program Files\Boomerang Enterprise\WAV\Sent Items. 6. In the Purge copies after box, indicate the number of days for which you want to save files. Files being saved in the Sent Items folder are purged automatically after the number of days indicated. Setting Up the Enterprise Voice Agent (EVA) Note: If you are connecting to the Enterprise Express Voice server using a modem or other remote connection line, you should set up Dial-up Networking. Whenever you send your files to Enterprise Express, you will need to make your connection using Dial-up Networking. For instructions on setting up Dial-up Networking, contact your Internet Service Provider. If you have additional questions, contact your system administrator. Note: Setting the number to 0 disables the Auto Purge feature. 7. Click OK. The Enterprise Voice Agent window opens with the Enable Auto Send option unchecked (disabled). The EVA icon with a red circle and a line through it appears in the system tray in the lower right corner of your screen. 37 Setting Up the Enterprise Voice Agent (EVA) Identifying the Source Folder The default Source folder is identified in the Source Folder list box of the Enterprise Voice Agent window. This is the folder where EVA can find your dictation files. This folder must be the same one you set up as the Destination folder in Boomerang Enterprise Recorder. It is recommended that you use the default Source folder, which is: C:\Program Files\Boomerang Enterprise\WAV If you use the default folder, no changes are necessary. You can continue with the next section, Entering Information in the Data Fields Tab on page 39. To change the Source folder: 1. If you want to change the Source folder, click the … (Browse) button to the right of the Source Folder box. The Source Folder dialog box opens with the current Source folder highlighted. 2. Navigate to the drive and folder name that you want to identify as the Source folder and click OK. The name of the newly selected folder is displayed in the Source Folder box. Caution: The Source folder must be the same as the Destination folder identified in Boomerang Enterprise Recorder. See Setting Up Boomerang® Enterprise Recorder on page 43. 38 Data Fields (Field1 – Field6 on the Data Fields tab of the Options dialog box) contain information that you can include with dictations when you send or save them. By selecting the Data Fields tab, you can change the name of a field, enter default values, or designate some fields as required. This data is included with your dictations only if: • You check Required for the field(s). AND • You do not enter any data in the Data Fields tab in Boomerang Enterprise Recorder. See Setting Up Boomerang® Enterprise Recorder on page 43. To include specific information with each dictation: 1. Continuing with your setup of EVA for your use, be sure that the Enable Auto Send check box is not checked in the Enterprise Voice Agent window. Setting Up the Enterprise Voice Agent (EVA) Entering Information in the Data Fields Tab 2. Click the … (Options) button to the right of the Destination Address box. The Options dialog box opens. 39 Setting Up the Enterprise Voice Agent (EVA) 3. Select the Data Fields tab to display this tab with the text boxes for Field1 through Field6. To change the name of a field, click the existing field name. Enter the data that you want EVA to include with dictations that do not already have data. Check Required to have EVA include the data you enter in the default values box. Data is included only if the dictation contains no data for the field. 4. Follow the instructions on the Data Fields tab to complete the information for the fields for which you want to include specific information: a. In the text box for the appropriate field (Field1, Field2, and so on), enter the specific data that you want EVA to include with your dictations that do not already have data. b. Click the Required check box for that field to have EVA include your data with the dictations. c. Click the existing field name (Field1, Field2, and so on) to change the label for the field. The Change Field Name dialog box opens where you can enter the new field name. d. Enter the new field name and click OK. e. Repeat steps a – d for each field in which you want to include data and change the field name. 5. When you are finished entering information for Field1 through Field6, click OK. The Enterprise Voice Agent window opens again. 40 The Auto Send feature allows you to automatically send your dictation files to the Enterprise Express Voice server. As part of setting up EVA, you should enable the Auto Send feature so that EVA sends your dictation files automatically as soon as they are placed in the source folder. To enable Auto Send: 1. In the Enterprise Voice Agent window, check the Enable Auto Send check box. Setting Up the Enterprise Voice Agent (EVA) Enabling Auto Send The EVA icon changes in the title bar of the Enterprise Voice Agent window and in the system tray in the lower right corner of your screen. • Auto Send is enabled when the EVA icon does not contain the red circle with a line through it. • Auto Send is disabled when the EVA icon contains a red circle with a line through it. 41 Setting Up the Enterprise Voice Agent (EVA) 42 2. Click Hide to keep EVA running so that it can continue to send dictation files. The EVA icon continues to be displayed in the system tray in the lower right corner of your screen. Note: If you click Exit, EVA closes and your dictations will not be sent. Tip: Another way to enable and disable Auto Send is to rightclick on the EVA icon in the system tray and check or uncheck the Enable Send command by clicking on it. Right-click here Tip: In the future, if you want to make changes to your EVA setup, you must first disable Auto Send. After you make your changes, remember to enable Auto Send again so your dictations can be sent. After you install the software, you must set up Boomerang Enterprise Recorder by taking the following steps: • Log on using your Enterprise Express user ID and a password of your choice. Be sure to record and remember your password. It is necessary for subsequent logins. Note: User IDs are case-sensitive. The User ID must exactly match the one entered in Enterprise Express, including capitalization. Enterprise Express user IDs consist only of digits 0-9, uppercase characters, or the special characters $ / - % +. • Set logon and logoff parameters. See Setting Up LogOn and LogOff Parameters on page 45. • Identify the folder in which you will store your dictation files. See Selecting the File Location on page 44. • Enter information in the Data Fields tab, if you choose to use this optional feature. See Entering Information in the Data Fields Tab on page 47. • Set up Boomerang to search for external data to fill the data fields. See Setting Up Boomerang to Search for External Data on page 49. Setting Up Boomerang® Enterprise Recorder SETTING UP BOOMERANG® ENTERPRISE RECORDER • Enter information in the BarcodeMic tab, if you want to split your barcode labels. See Entering Information in the BarcodeMic Tab on page 52. • Enter information in the HandMic tab of the Audio Settings dialog box to customize the functions of your Hand Microphone. See Entering Information in the HandMic Tab on page 50. • Enter information in the PowerMic tab if you want to customize the functions of your PowerMic microphone. See Entering Information in the PowerMic Tab on page 54. 43 Setting Up Boomerang® Enterprise Recorder Starting Boomerang Enterprise Recorder To start the Boomerang Enterprise Recorder: 1. Double-click the Boomerang Enterprise Recorder icon on your desktop. OR Select Start > Programs > Dictaphone Boomerang > Boomerang Enterprise Recorder. You see the Boomerang Enterprise Recorder logon dialog box. 2. Type in your User ID or select it from the drop-down list if you have logged in previously. 3. Type your Password. 4. Click OK. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. Selecting the File Location Before sending dictation files, you must select a Destination folder where the files are stored temporarily until EVA sends them. This folder must be the same one you set up as the Source folder in EVA. It is recommended that you use the default Destination folder, which is: C:\Program Files\Boomerang Enterprise\WAV If you choose to use the default folder, no changes are necessary. You can continue with the next section, Entering Information in the Data Fields Tab on page 47. To identify the folder where your dictation files are to be stored: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 2. If the Boomerang Enterprise Recorder window is not on top as the active window, click on the blue title bar to activate it. 44 4. To change the Destination folder, click the … (Browse) button and navigate to the drive and folder you want to select as the destination folder, then click OK. The name of the newly selected folder is displayed in the Destination Folder text box. Caution: The Destination folder must be the same as the Source folder identified in EVA. See Identifying the Source Folder on page 38. Setting Up Boomerang® Enterprise Recorder 3. Select Tools > Options and then the Settings tab. 5. Click OK to return to the Options dialog box. 6. Click OK to save your changes. Setting Up LogOn and LogOff Parameters You can set up Boomerang Enterprise Express to: • automatically log on with your user ID and password each time that you start the software • automatically log you off after a particular length of time with no activity • save the settings you choose for all subsequent users To have Boomerang log on with your user ID every time you open the software: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang 45 Setting Up Boomerang® Enterprise Recorder Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 2. Select Tools > Options and then the Settings tab. 3. If you are the only person using this computer for dictation, check the Automatically logon using current User ID checkbox to have Boomerang log you on each time you start the software. If you are not the only person using this computer for dictation, you might want to leave this option unchecked for security reasons. 4. Click OK to save your changes. To have Boomerang automatically log you off after an inactive period of time: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 2. Select Tools > Options and then the Settings tab. 3. In the Automatically log off user in text box, type the length of time (in minutes) you want Boomerang to wait before logging you off if there is no activity, or use the scroll arrows to select a time. 4. Setting Up Boomerang® Enterprise Recorder To have Boomerang save the settings you have chosen for all subsequent users: 3. When you have completed all your settings, click Save for All Users. 4. Click OK to have your settings saved for all subsequent users. Entering Information in the Data Fields Tab Data Fields (Field1 – Field6 on the Data Fields tab of the Options dialog box) are used to properly map information between the recording system and the Enterprise Express system. They contain information that you can include with dictations when you send or save them. By selecting the Data Fields tab, you can change the name of a field, enter default values, or designate some fields as required. To include specific information with each dictation: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 47 Setting Up Boomerang® Enterprise Recorder 2. Select Tools > Options and then the Data Fields tab. 3. Follow the instructions on the Data Fields tab to complete the information for the fields for which you want to include specific information: a. In the text box for the appropriate field (Field1, Field2, and so on), enter the specific data that you want Boomerang Enterprise Recorder to include with your dictations, such as Work Type, patient ID number, and so on. Note: If you check the Required check box for any field, your dictation will not be sent unless there is an entry in that field. b. Click the existing field name (Field1, Field2, and so on) to change the label for the field. The Change Field Name dialog box opens where you can enter the new field name. c. Enter the new field name (such as “Work Type”) and click OK. d. Repeat steps a – c for each field in which you want to include data and change the field name. 4. When you are finished entering information for Field1 through Field6, click OK. The Options dialog box closes and your field information is saved. 48 If you have external data in an .xml file to be included in the data or accession fields, Boomerang can search for it and automatically enter it for you. To have Boomerang search for external data to include with a dictation: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. Setting Up Boomerang® Enterprise Recorder Setting Up Boomerang to Search for External Data 2. Select Tools > Options and then the Settings tab. 49 Setting Up Boomerang® Enterprise Recorder 3. Check the Search for external data checkbox, to indicate that Boomerang should search for .xml files. 4. Check the Prompt when external data is present checkbox to have Boomerang notify you when an .xml file is found. 5. To change the External Data Folder, click the … (Browse) button . 6. In the Source Folder dialog box that opens, navigate to the drive and folder where you want to search for external data and click OK. The name of the newly selected folder is displayed in the External Data Folder text box. 7. Click OK to save your changes. When Boomerang detects an .xml file in the indicated folder before sending the file to the server, you are prompted (if you checked the Prompt when external data is present checkbox): Entering Information in the HandMic Tab You can customize the functions of your HandMic in the way you prefer. This is done through the HandMic tab of the Audio Settings dialog box. Note: Do not use this procedure if you have a Barcode Mic or PowerMic. See Entering Information in the BarcodeMic Tab on page 52 or Entering Information in the PowerMic Tab on page 54 for information on these microphones. To customize the functions of your hand microphone: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 2. Select Tools > Audio Settings and then the HandMic tab. 50 The Type, to the right of the Enable HandMic check box, identifies the type of hand microphone you have connected to your PC. Setting Up Boomerang® Enterprise Recorder The Enable HandMic check box indicates the status of your HandMic. If it is checked, the HandMic is connected and functioning; if it is unchecked, the HandMic is not functioning. 3. Click the Enable Buttons check box to activate the three buttons on your hand microphone. The default functions of the Left, Center, and Right buttons are indicated in the Function list boxes. The label for each button, as shown in the display screen on the microphone and in the center of the Boomerang Enterprise Recorder window, is indicated in the Label text box. If the Enable Buttons check box is not checked, the buttons and the slider on the microphone are disabled and the display on the microphone indicates LOCKED. 4. Click the down-arrow in the Function list box for each of the buttons to display a list of available functions. Select the function you want to set for the button if you want to change from the default. When you select the function, the default label is automatically entered in the Label text box. 5. If you want to change the default label, double-click on the current label to highlight it. Enter the new label (up to three characters) and click Apply. The display on your microphone and in the center of the Boomerang Enterprise Recorder window changes to the new label. 51 Setting Up Boomerang® Enterprise Recorder 6. Click the Enable Speaker check box to enable the speaker in the microphone. Uncheck this box to disable the microphone speaker. 7. Click the Enable Barcode check box to enable the barcode reader on your Barcode microphone. Uncheck this box to disable the barcode reader. 8. Click the Enable Checksum check box if you want the system to check the validity of each barcode reading by comparing the calculated checksum to the scanned checksum. Note: You should select Enable Checksum only if your barcode labels include checksums. If the checksums match, the system generates a Barcode Good Read message. If the checksums do not match, or if the scan contains no checksum byte, the system generates a Barcode Bad Read message. Uncheck the Enable Checksum check box if you do not want the system to compare the scanned checksum byte to the calculated checksum. The system will not return a Barcode Bad Read message due to checksum problems. However, the system will include any scanned checksum byte in the barcode data. 9. Select the Hi Threshold radio button if your barcodes are dark enough to get good readings. Select the Lo Threshold radio button if your barcodes are light. 10.Click Apply when you are finished setting each function or after you have set all functions. 11. Click OK to close the Audio Settings dialog box. Entering Information in the BarcodeMic Tab Boomerang allows you to split the barcode label in any way necessary. You can set this up through the BarcodeMic tab of the Options dialog box by identifying the characters where you want to split the barcode. Note: Do not use this procedure if you have a HandMic or PowerMic. See Entering Information in the HandMic Tab on page 50 or Entering Information in the PowerMic Tab on page 54 for information on these microphones. 52 1. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 2. Select Tools > Options and then the BarcodeMic tab. Setting Up Boomerang® Enterprise Recorder To identify the characters where you want the barcode label to be split: 3. Check the Disable Data Entry after Record checkbox to disable the barcode data entry feature after you have stated recording. If you Disable Data Entry after Record, you can prevent accidental or unintentional barcode readings. The default setting is unchecked, meaning a barcode can be read at any time during your dictation 4. Check the Enable Auto Complete checkbox to activate the Auto Complete feature when scanning barcodes. This feature is available only when the first character of the barcode is an “8.” If the first character of the barcode is not “8,” an “8” is added. When an “8” is detected as the first character in a barcode label, the current job is completed and sent to Enterprise Express (unless the job length = 0) and a new job is opened. Note: This feature is available only when the first character of the barcode is an ‘8.’ 5. In the Split Label group box, indicate the character(s) where you want to split the barcode label. You can split the barcode into as many as four segments by indicating the same character or different characters in the Split nn string on text boxes. 53 Setting Up Boomerang® Enterprise Recorder 6. The Include Split character(s) check boxes should be checked if you want the split character included in the segment. 7. When you are finished, click OK. Example: To split the barcode label every time a 0 is encountered, type 0 into each Split nn string on text box. Entering Information in the PowerMic Tab You can customize the functions of your PowerMic in the way you prefer. This is done through the PowerMic tab of the Audio Settings dialog box. Note: Do not use this procedure if you have a Barcode Mic or Hand Mic. See Entering Information in the BarcodeMic Tab on page 52 or Entering Information in the HandMic Tab on page 50 for information on these microphones. To customize the functions of your PowerMic microphone: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 2. Select Tools > Audio Settings and then the PowerMic tab. The Enable Handmic check box indicates the status of your 54 3. If the Enable Buttons check box is not checked, select it to configure the four unlabeled buttons on your PowerMic. The default functions of the Top Left, Top Right, Bottom Left, and Bottom Right buttons are indicated in the Function list boxes. The label for each button, is indicated in the Label text box. Note: To disable the PowerMic buttons, uncheck the Enable Buttons checkbox. This feature disables ALL of the buttons on the PowerMic, not just the configurable buttons. 4. Click the down-arrow in the Function list box for each of the buttons to display a list of available functions. Select the function you want to set for the button if you want to change it from the default. When you select the function, the default label is automatically entered in the Label text box. 5. If you want to change the default label for a button, double-click on the current label to highlight it. Enter the new label (up to three characters) and click Apply. 6. Click Apply when you are finished setting each function or after you have set all functions. Setting Up Boomerang® Enterprise Recorder PowerMic. If it is checked, the PowerMic is connected and functioning; if it is unchecked, the PowerMic is not functioning. 7. Check the Hold ‘Dictate’ button to dictate checkbox if you want to press and hold the Dictate button on your PowerMic while you are dictating. 8. Click OK to close the Audio Settings dialog box. 55 Selecting a Playback Device Other Than the Microphone Speaker SELECTING A PLAYBACK DEVICE OTHER THAN THE MICROPHONE SPEAKER If your computer is equipped with a sound card and external speakers, you can play back your recordings through your computer’s speakers rather than the speaker in your HandMic, Barcode Mic, or PowerMic. Using external speakers might be preferred if you work in a noisy environment. To select a playback device: 1. Select Start > Settings > Control Panel. The Control Panel opens. 2. Windows 98 Second Edition: On the Control Panel, select Multimedia. The Multimedia Properties dialog box opens. Windows 2000/ME/XP: On the Control Panel, select Sounds and Multimedia. The Sounds and Multimedia dialog box opens. 3. Select the playback device from the Playback Preferred Device drop-down list. 4. If you want Windows to retain this setting, check the Use Only Preferred Devices check box. If you do not check this option, Windows will lose your preferences when you shut down your computer. 5. Click OK. Your recordings will be played back through the device you specified. 56 Dictating Now that you have installed and set up the Boomerang Enterprise Recorder and Enterprise Voice Agent (EVA) hardware and software, you are ready to try them out. Trying It Out TRYING IT OUT To record and send a sample dictation file: 1. Start the Boomerang application: a. Double-click on the Boomerang Enterprise Recorder icon on your desktop. OR Select Start > Programs > Dictaphone Boomerang > Boomerang Enterprise Recorder. The Boomerang Enterprise Recorder logon dialog box opens. b. Type in your User ID or select it from the drop-down list if you have logged in previously. c. Type your Password. d. Click OK. The Boomerang Enterprise Recorder window opens, along with the Dictation Data dialog box. 2. If the Dictation Data dialog box does not open (or if you close it and want to re-open it), you can open it from the Boomerang Enterprise Recorder window in either of two ways: • Click the Data Fields button on the Toolbar. 57 Trying It Out OR • Select View > Dictation Data. 3. Make sure EVA is running and that Auto Send is enabled by looking for the EVA icon in the system tray. Auto Send disabled Auto Send enabled • If the EVA icon has a red circle with a line through it, EVA is running, but Auto Send is disabled. Right-click on the icon and select Enable Send from the shortcut menu. 4. If the EVA icon is not in the system tray, you need to start EVA. Select Start > Programs > Dictaphone Boomerang > Enterprise Voice Agent. 5. If you want to add data to be saved or sent with the dictation, enter that data in the appropriate field (Field1 – Field6) of the Dictation Data dialog box. See Entering Information in the Data Fields Tab on page 39. 6. Begin your test dictation: a. Press and release, or press and hold, the Dictate button on the PowerMic. The red LED is illuminated when you are recording. OR Push the slide button on the HandMic or Barcode Mic all the way to the top, toward the Record label, or push and hold the top section of the slide button down for momentary record. The red LED (light-emitting diode) at the top of the HandMic illuminates when recording. b. Speak into the microphone in your normal tone of voice. While you are recording, you can see the timer advancing and the audio meter flashing in red on the Boomerang Enterprise Recorder window. 7. Stop your recording. a. Press the Dictate button, or release the Dictate button on a PowerMic if you are using the press and hold to dictate option. OR 58 Setting a Cue in a Dictation File Trying It Out b. Move the HandMic or Barcode Mic slide button to the Stop position (which is one position down from Record), or release the Record button if you are using momentary record. You can set up to ten cues in a dictation file. Cues make it easy for you to locate a particular location within the dictation, facilitating listening or adding to the dictation. To set a cue in a dictation: 1. When you reach the position in the dictation that you want to mark with a cue, click Q on the Recorder window. OR Press the CUE button on the PowerMic, HandMic, or Barcode Mic or the CUE pedal on the footpedal (the button/pedal must be programmed for this function). Notes: • When you rewind or fast forward past a position marked by a cue, Boomerang slows down momentarily. • You can have the system play a sound when it passes a cue during rewind or fast forward. • To move quickly through a dictation, click the Next Cue or Previous Cue buttons on the Boomerang Enterprise Recorder window. • The only way to delete a cue is to delete the portion of the recording that contains the cue. • To see the position of all the cues in a dictation, select File > Properties and choose CUES from the Name list. 59 Trying It Out Playing back a Dictation Now that you have created a dictation, you are ready to play it back. To play back a dictation: 1. Press and hold the Rewind button on the PowerMic. OR Press and hold the HandMic or Barcode Mic slide button down to the Rewind position to go back to the beginning of your dictation. OR Click the Rewind button on the Boomerang Enterprise Recorder window. While the dictation is rewinding, you can see the timer counting backwards towards zero and the audio meter flashing in green. When the timer shows 00:00, you are at the beginning of the dictation. Note: Alternatively, you can use the Go to Beginning button on the Boomerang Enterprise Recorder window or any button on a hand-held microphone that is configured as a Go to Beginning button. 2. Press and hold the PowerMic Play/Stop button, or release the HandMic or Barcode Mic slide button, or click the Play button on the Boomerang Enterprise Recorder window to begin to Play the dictation. While the dictation is playing, you can see the timer advancing and the audio meter flashing in green on the Boomerang Enterprise Recorder window. Note: If you cannot hear your dictation, you might need to adjust the playback and/or record volume in Boomerang and/or in Windows. See Adjusting the Boomerang Audio Settings on page 62 and Adjusting the Windows Audio Settings on page 64. You should also make sure that your microphone is connected properly. See Connecting and Installing the Hardware on page 4 or Connecting Your Microphone to a USB Port on page 8, depending on whether you are using a SoundBlaster-compatible sound card or a USB connection. 3. To stop playback, press and hold the PowerMic Play/Stop button, or move the HandMic or Barcode Mic slide to Stop, or 60 Sending a Dictation When you are satisfied that you have completed the dictation, entered all data required, and played back the dictation, you are ready to send the dictation. Trying It Out click the Stop button on the Boomerang Enterprise Recorder window. To send a dictation file: 1. If you are connecting using a modem or other remote connection device, you must first make your connection using Dial-up Networking. If you are connecting over a network, go on to step b. 2. Send the dictation by selecting File > Send on the Boomerang Enterprise Recorder window. EVA starts sending your dictation. Note: You hear a “ping” sound, which is your confirmation that EVA sent your dictation. Getting More Help For more information on using Boomerang, refer to the online Help by pressing the F1 key. 61 Adjusting the Audio Settings ADJUSTING THE AUDIO SETTINGS To improve the sound quality of your recordings, you can adjust the audio setting through Boomerang’s own audio settings or through the Windows audio settings. Adjusting the Boomerang Audio Settings Boomerang contains built-in volume control settings that you can use to set the play and record volume and speeds for your Boomerang recordings. After installing the software, you should set up the volume controls to adjust the sound quality when you record and play back voice messages. This adjustment helps to ensure that the PC multimedia settings are properly configured, and that the recording levels are set for optimum voice quality. When these audio settings have been set within Boomerang, they control and adjust the comparable Windows audio settings anytime the Boomerang application is open. In addition, Boomerang retains its audio settings for use in subsequent Boomerang sessions even if the Windows settings are adjusted for other sound files. See Adjusting the Windows Audio Settings on page 64 for the procedures on adjusting the Windows audio controls. To set the Boomerang audio settings: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 2. Select Tools > Audio Settings and then the Audio tab. 62 4. Set the slider for each of the audio settings you want to adjust. Drag the slider to the left to decrease the volume/rate or to the right to increase the volume/rate for the Play Volume, Record Volume, Play Rate, Rewind Rate, Forward Rate, and/or Back Space. This Setting Controls Play Volume The volume at which recordings are played back. Record Volume The volume at which recordings are made. Play Rate The speed at which recordings are played back when you press the Play button on the hand microphone or on the Boomerang Enterprise Recorder window. Rewind Rate The rewind speed (fast or slow) each time you press the Rewind button on the hand microphone or on the Boomerang Enterprise Recorder window. Forward Rate The forward speed (fast or slow) each time you press the FF button on the hand microphone or on the Boomerang Enterprise Recorder window. Back Space The elapsed recording time moved backward each time you stop playback. If you do not want to use this feature, move the slider all the way to the left. Adjusting the Audio Settings 3. Click on the down arrow in the Record Format list box to display the list of formats available for your recordings. It is recommended that you keep the default setting (unless otherwise instructed) as the best setting for your dictation recordings. 5. Click Apply to have each adjustment applied immediately so you can test it before closing the Audio Settings dialog box. 63 Adjusting the Audio Settings 6. Click OK when you are finished making the audio adjustments. Adjusting the Windows Audio Settings You can use the Windows volume controls to adjust the playback and recording levels for any audio files used on your PC. These volume controls can greatly improve the voice quality of all your recordings and playback. As indicated previously, the Boomerang audio settings adjust the Windows audio settings anytime the Boomerang application is open. (See Adjusting the Boomerang Audio Settings on page 62.) You can change the Windows audio settings after closing the Boomerang application. Displaying the Speaker Icon Placing the Speaker icon in the system tray in the lower right corner of your screen provides you with a quick way to open the Volume Control. To place the Speaker icon in your system tray: 1. Select Start > Settings > Control Panel. The Windows Control Panel opens. 2. If you are a Windows 98 Second Edition user AND the Multimedia icon on the Control Panel is dimmed, perform Substeps a through f. Otherwise, skip to Step 3. a. On the Control Panel, double-click the Add/Remove Programs icon. b. Select the Windows Setup tab. c. Click on the Multimedia check box to place a check mark in it. d. With the Multimedia item highlighted, click the Details button. e. Select the Volume Control check box to place a check mark in it. f. Click OK to close the dialog box, and then close the Add/ Remove Programs dialog box and the Control Panel. The Speaker icon is now in the system tray in the lower right corner of your screen, and you can skip the rest of this procedure. Note: If any items did not appear as described in Substeps a through f, you will need to download Windows Multimedia from the Microsoft Web site and install it. 64 Adjusting the Audio Settings 3. Windows 98 Second Edition: Select Multimedia. The Multimedia Properties dialog box opens. Windows 2000/ME/XP: Select Sounds and Multimedia. The Sounds and Multimedia dialog box opens. 4. Windows 98 Second Edition: Select the Audio tab. Windows 2000/ME/XP: Select the Sounds tab. 5. Select the Show volume control on the taskbar check box. 6. Click OK to activate the change and close the dialog box. The Speaker icon is now displayed in your system tray in the lower right corner of your screen. 7. Close the Control Panel by clicking the Close button top right corner. in the Adjusting the Playback Volume You must have the Speaker icon installed in the system tray to make either the basic or the advanced volume adjustments. See Displaying the Speaker Icon on page 64. 65 Adjusting the Audio Settings To make basic adjustments to the playback volume: 1. Click the Speaker icon once to display the Volume Control. 2. Move the slider up or down to adjust the speaker volume. Slider 3. Click anywhere to close the Volume Control. Making Advanced Volume Control Adjustments If adjusting the basic volume setting does not improve the recording quality of your dictations, you can make other adjustments through the Windows volume controls. The dialog boxes you see and the features you can adjust depend on whether you have selected the HandMic speaker or your computer’s external speakers as your playback device. Follow the appropriate procedure below for the playback device you are using. Refer to Selecting a Playback Device Other Than the Microphone Speaker on page 56 for information on how to select your computer’s external speakers as the playback device. To make advanced adjustments to the playback volume for your computer’s external speakers: 1. Double-click the Speaker icon in the system tray. The Volume Control dialog box opens showing current properties 2. Select Options > Properties to display the Properties dialog box. Select to adjust playback volume 3. Select Playback from the Adjust volume for group box. 66 5. Click OK. The Volume Control dialog box opens again showing the new settings. 6. Adjust the proper setting for the Line-in and Microphone sections. • If the check boxes in each section of the Volume Control dialog box are labeled Mute, check Mute for both the Linein and Microphone sections. • If the check boxes in each section of the Volume Control dialog box are labeled Select, do not check Select for the Line-in and Microphone sections. Adjusting the Audio Settings 4. Check all the check boxes in the Show the following volume controls list box. 7. Move the Wave Volume slider all the way up. This adjustment controls the volume at which recordings are played back through your computer’s external speakers. 8. Adjust the Volume Control slider to increase or decrease the speaker volume. 9. Close the Volume Control dialog box by clicking the Close button in the top right corner of the dialog box. To make advanced adjustments to the playback volume for the PowerMic, HandMic, or Barcode Mic speaker: 1. Double-click the Speaker icon in the system tray. The Desktop Speaker dialog box opens: 2. Move the Wave Volume and Desktop Volume sliders all the way up. This adjustment controls the volume at which recordings are played back through the HandMic speaker. 3. Close the Desktop Speaker dialog box by clicking the Close button in the top right corner of the dialog box. 67 Adjusting the Audio Settings Adjusting the Recording Control If your recordings are either too loud or too quiet, you can use the Recording Control to adjust these levels. For a SoundBlaster card connection, this process entails watching a sound meter and adjusting a slide control while you speak into the hand microphone. For a USB connection, the process involves adjusting the Recording Level knob on the HandMic or Barcode Mic station. The knob is located next to the four colored indicator lights on the side of the station. Under most recording conditions, you should keep the recording level knob turned to its maximum recording level (turn the knob counterclockwise as far as it will go). See Adjusting the Recording Level for a USB HandMic or Barcode Mic Connection ONLY on page 70 to check the recording level. To adjust the recording level for your dictations: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 2. Double-click the Speaker icon in the system tray. The Volume Control dialog box opens. 3. Select Options > Properties. The Properties dialog box opens. Select to adjust recording volume 4. Select Recording in the Adjust volume for group box to adjust your recording volume. 68 Close button Recording Volume sound level meter Balance Controls 6. Press the Record button on the hand microphone, and watch the Recording Volume sound level meter as you speak. Adjusting the Audio Settings 5. Click OK. The Recording Control dialog box opens. The Recording Volume sound level meter uses four colors to indicate the recording level: Color Sound Level Red High – Decrease level Yellow Best sound quality range Light Green Best sound quality range Dark Green Low – Increase level For the best sound quality, the meter should fluctuate between light green and yellow, with occasional red. Tip: Set all balance controls so they are approximately centered. 7. Adjust the Microphone Volume or the Line-In Volume to achieve the best sound quality. • If the microphone is connected to a MicIn port, adjust the Microphone Volume. • If the microphone is connected to a Line In port, adjust the Line-In Volume. 8. Close the Recording Control dialog box by clicking the Close button in the top right corner of the dialog box. 9. Close Boomerang. 69 Adjusting the Audio Settings Adjusting the Recording Level for a USB HandMic or Barcode Mic Connection ONLY Note: The procedure below is the only way to change the recording level for a HandMic or Barcode Mic connected to a USB port. You do not adjust the recording level through the Windows audio settings. To adjust the recording level for your dictations when you are using a USB connection: 1. If Boomerang Enterprise Recorder is not already running, start it in the usual manner as indicated in Starting Boomerang Enterprise Recorder on page 44. The Boomerang Enterprise Recorder window and the Dictation Data dialog box open. 2. With the HandMic or Barcode Mic slide in the Stop position, press and hold the slide button to start recording. 3. Begin dictating into the microphone. While you are speaking, observe the colored indicator lights on the side of the HandMic or Barcode Mic station. For best recording quality, the lights should be green most of the time with occasional red. To raise the recording volume, turn the knob counterclockwise (toward the indicator lights). To lower the recording volume, turn the knob clockwise (away from the indicator lights). 4. Release the slide button to stop recording when you have finished adjusting the recording level. 70 Default File Locations Five folders are needed to store the various files that are created when you use the Boomerang and EVA software. The default file locations, specified during installation, are indicated below. Caution: It is recommended that you accept the default folders specified during installation. You might encounter operational problems if the recommended default folders are changed. Troubleshooting TROUBLESHOOTING • Program Files Folder: The Boomerang and EVA program files are stored in the folder specified during installation. The default location is: C:\Program Files\Boomerang Enterprise • Your Stored Dictation Files Folder: The Boomerang Destination folder and EVA Source folder is used to store your dictation files. The default location is: C:\Program Files\Boomerang Enterprise\WAV • Temporary Folder: EVA creates a Temp folder within the Source folder. This is used to temporarily store your dictation files. The default location is: C:\Program Files\Boomerang Enterprise\ WAV\Temp • Files Sent by EVA Folder: EVA creates a Sent Items folder that is used to store your dictation files that have been sent. The default location is: C:\Program Files\Boomerang Enterprise\WAV\Sent Items. • Undeliverable Folder: EVA creates an Undeliverable folder that is used to store dictations that cannot be delivered to the Enterprise Express Voice server. In the rare instance that this occurs, a message box opens notifying you that a file is undeliverable. If this condition occurs, see your system administrator to recover the undeliverable files. The default location is: C:\Program Files\Boomerang Enterprise\WAV\Undeliverable. 71 Troubleshooting Microphone is not Being Recognized If your operating system fails to recognize the new microphone (that, is, if the Add New Device Wizard does not start and you do not see any prompts, dialog boxes, or other activity on the screen after you connect the microphone), re-seat each of the connections, taking care to connect the USB cable to the same USB port. If you are sure that the connections are secure, and the operating system still fails to recognize the device, call the Dictaphone Service Center for assistance (1-800-677-7928 24 hours a day). “No HandMic Detected” Error Message If the microphone cable is loose or plugged into the wrong port, this message opens when you start Boomerang. Check your cable connections. See Connecting and Installing the Hardware on page 4 or Connecting Your Microphone to a USB Port on page 8, depending on whether you are using a SoundBlaster-compatible sound card or a USB connection. Troubleshooting the No HandMic Detected Error for USB Connections ONLY If your PowerMic, HandMic, or Barcode Mic and its cables are connected properly and you still see this message when you start Boomerang, check your communication port (COM port) configuration following the procedure below. To check your COM port configuration: 1. Select Start > Settings > Control Panel. The Windows Control Panel opens. 2. Select System. The System Properties dialog box opens. 3. Windows 98 Second Edition: Select the Device Manager tab. Windows 2000/ME/XP: Select the Hardware tab and click the Device Manager button. 4. On the Device Manager dialog box, expand Ports (COM & LPT). The tree expands to show all the COM ports on your computer. The list of COM ports includes four KLSI devices. 5. Select KLSI RS-232 J101 and click Properties. The Properties dialog box opens. 6. On the General tab, the Device Status box should read “This device is working properly.” 72 8. On the Resources tab, Conflicting Device List should read “No conflicts.” 9. Close the Properties dialog box. 10.In the Device Manager dialog box, confirm that the first KLSI device in the Ports list, KLSI RS-232 J101, is assigned to COM15 or lower. If it is not, refer to the following section. Troubleshooting 7. On the Port Settings tab, click Restore Defaults to reset the default port settings. Clearing Incorrectly Marked COM Ports If the first KLSI device in Step 10 above is assigned to a port higher than COM15, you will see the “No HandMic Detected” message even when your microphone is properly connected. This can occur when unused COM ports on your computer have been incorrectly marked as “in use.” In this case, you will need to clear the unused COM ports. Use the procedure below that is appropriate for your own computer’s operating system. Caution: Clearing your computer’s COM ports is an advanced operation and you should attempt these procedures only if you are an experienced Windows user. Otherwise, consult your system administrator or Dictaphone Service for help. To clear unused COM ports (Windows 2000 and Windows XP): 1. Disconnect the microphone from the USB port. 2. Select Start > Settings > Control Panel. 3. Double-click the System icon to open the System Properties dialog box. 4. On the Hardware tab, click the Device Manager… button. 5. In the Device Manager dialog box, expand Ports (COM and LPT). 6. Right-click Communication Port (COM2) and select Properties from the shortcut menu. The Communications Port (COM2) Properties dialog box opens. 7. On the Port Settings tab, click the Advanced… button to open the Advanced Settings for COM2 dialog box. 8. Scroll down through the COM Port Number drop-down list. You will see that some of the port numbers show (in use) next to 73 Troubleshooting them. Select the highest port number in the drop-down list that shows (in use). 9. Click OK. An error message displays. 10.Click Yes. The change is accepted and the Port Settings tab of the Communications Port (COM2) Properties dialog box is prominent. 11. Repeat Steps 7 through 10 for each of the “in use” COM ports, in descending order, until you have cleared COM3. Caution: Do not clear COM1 and COM2. 12.When you have cleared the unused COM ports, reconnect the microphone to the USB port and refresh the Device Manager tree (using the View menu). Review the COM port assignments under Ports (COM and LPT). The first KLSI device should be assigned to COM3. If the first KLSI device is not assigned to COM3, skip the rest of this procedure and go to Making the Port Assignment Directly (Windows 2000 and Windows XP) on page 75. Otherwise, continue with Step 13. 13.Restart your computer. 14.Start the Boomerang application. You should not see the “No HandMic Detected” message. To clear unused COM ports (Windows 98 and Windows ME): Caution: Clearing unused COM ports on a Windows 98 or Windows ME computer requires changes to some Windows registry settings. Use the procedure below only if you are an experienced Windows user and you are familiar with the Windows Registry Editor. Otherwise, consult your system administrator or Dictaphone Service for help. 1. Disconnect the microphone from the USB port. 2. Select Start > Run…. The Run dialog box opens. 3. Enter regedit in the Run field and click OK. The Registry Editor opens. 4. Expand the HKEY_LOCAL_MACHINE directory and navigate to Enum/KLSICR/Guid. 74 6. Under the HKEY_LOCAL_MACHINE directory, navigate to HARDWARE/DeviceMap/SerialComm. 7. Delete all entries in the SerialComm directory. 8. Close the Registry Editor and restart your computer. 9. Reconnect the microphone to the USB port and start Boomerang. You should not see the “No HandMic Detected” message. Troubleshooting 5. Delete all the directories under the Guid directory. For example, delete directory 000, 001, and so on. Making the Port Assignment Directly (Windows 2000 and Windows XP) On a Windows 2000 or Windows XP computer, you can make the port assignment for the first KLSI device directly. To assign the first KLSI device to a COM port (Windows 2000 and Windows XP): 1. Connect the microphone to the USB port. 2. Select Start > Settings > Control Panel. The Windows Control Panel opens. 3. Double-click the System icon to open the System Properties dialog box. 4. On the Hardware tab, click the Device Manager… button. 5. In the Device Manager dialog box, expand Ports (COM and LPT). 6. Right-click the first of the four KLSI devices and select Properties from the shortcut menu. 7. On the Port Settings tab, click the Advanced… button. The Advanced Settings dialog box for the selected port opens. 8. Select COM3 from the COM Port Number drop-down list. 9. Click OK. You will see an error message. 10.Click Yes. 11. Refresh the Device Manager tree and review the COM port assignments under Ports (COM and LPT) to confirm that the first KLSI device is assigned to COM3. If it is not, restart your computer and then check the Device Manager again. 12.Reconnect the microphone to the USB port and start Boomerang. You should not see the “No HandMic Detected” message. 75 Troubleshooting “PC unable to process handmic command” Error Message After using the scanner to scan a barcode, if your dictation does not begin and the red LED light is not illuminated, be sure to pause at least 5 seconds before starting your dictation. Rewind your dictation to the beginning and start over. Scan the barcode, pause at least 5 seconds, then start dictating. No Labels Appear Over the HandMic Soft Keys OR Other Difficulties Using the HandMic If your HandMic does not appear or behave as expected, verify that all of the device drivers were properly installed. Follow the procedure in Confirming that the Boomerang USB Drivers Have Been Installed on page 31. If the drivers were installed properly, follow the procedure below to confirm that the HandMic and its buttons are enabled. To confirm that the HandMic and buttons are enabled: 1. With Boomerang running and the Boomerang Enterprise Recorder window open on your desktop, select Tools > Audio Settings and the HandMic tab. 2. Confirm that the HandMic Enabled and Buttons Enabled check boxes are checked. Sound Quality Problems No Audio Playback If you are experiencing no audio playback, there are several areas that you should examine. • Check the Mic and Speaker cable connections between these devices and your computer. Refer to the illustrations in Figure 1 on page 5 and Figure 4 on page 10. • Are the hand microphone and speakers connected properly? See Connecting and Installing the Hardware on page 4 or Connecting Your Microphone to a USB Port on page 8, depending on the type of connection you are using. • If you are using a USB connection, is the USB Audio Device the preferred playback device? See Selecting a Playback Device Other Than the Microphone Speaker on page 56. 76 If you are experiencing low playback volume, check the settings for both the playback volume and the recording volume. • See Adjusting the Playback Volume on page 65. • See Adjusting the Recording Control on page 68. Dictations Are Not Being Sent Symptom Possible Causes and Remedies I am not sure if my dictations are being sent. For example, I do not hear the ping. Make sure the sound is working on your computer. For example, make sure the volume is turned up. Make sure Auto Send is enabled. See Enabling Auto Send on page 41. Make sure the EVA Source folder is the same as the Destination folder that you chose in Boomerang Enterprise Recorder. See Identifying the Source Folder on page 38. My dictations are accumulating in the Temp folder (in the WAV folder within my program folder). EVA might be encountering an error as it attempts to convert your dictations. See your system administrator or contact Dictaphone Support. I am receiving a message that says my connection failed. If you are connecting by way of a modem, make sure you connect using Dial-up Networking before sending your dictations. You might not be connected to your network. See your system administrator. Troubleshooting Low Playback Volume Computer and Sound Card Problems Refer problems related to the installation and setup of your sound card or computer to the manufacturer of those devices. If you intend to use an external speaker with the Boomerang hand microphone, your sound card must have two ports to support LineOut and Speaker connections.
