RCS-WIN is the companion software program for the RCS-2000 Source Assignment Panel. The program’s simple, graphical interface allows you to quickly set up and reconfigure your intercom system. With one RCS-2000 unit, you can switch up to 24 stations to 8 channels. With combined RCS-2000 units, you can switch up to 72 stations to 15 channels. • With RCS-WIN installed on your PC you can program the RCS-2000 Source Assignment Panel from a distance of 300 feet (91 meters). RCS-WIN allows you to set up “presets”—or pre-programmed sets of source/destination assignments—that can go into effect with a single mouse click. You can store an unlimited number of presets in electronic files to retrieve and apply within minutes. With its ability to monitor the power to remote stations and to warn you when there is a power fault, RCS-WIN serves as a useful tool in preventing outages. RCS-WIN can identify which destination station has the power fault, making finding and repairing the fault easier and faster. RCS-WIN is a flexible product that will operate in a wide variety of applications including large theatres, sports arenas, multi-use complexes, military/aerospace training facilities, cruise ships, emergency management facilities, and simultaneous translation systems. ABOUT THIS MANUAL • RCS-WIN works with the Windows 95, 98, ME, or 2000 operating system. This manual is intended to give you a compehensive overview of RCS-WIN. The chapters are presented in an order intended to help new users understand RCS-WIN as quickly as possible. If you are new to the Windows operating system, you may find the Windows online Help file useful. To access Microsoft Windows Help, from the Start menu on your Windows desktop, choose Help. You can also contact Clear-Com Intercom Systems in any of the following ways: Internet: [email protected] Web site: www.clearcom.com Telephone: 510.496.6666 FAX: 510.496.6699 Mail: 4065 Hollis Street Emeryville, CA 94608-3505 RCS-WIN SOFTWARE INSTRUCTION MANUAL 1-1 MINIMUM SYSTEM REQUIREMENTS RCS-WIN requires the following minimum system configuration: • Microsoft Windows 95/98/ME/2000 operating system • Personal computer with Pentium I or higher processor • You must have a mouse or other pointing device to operate RCS-WIN. • 16 megabytes (MB) of RAM (64 MB recommended) • 10 MB of free hard disk space • 640 X 480 minimum monitor resolution (800 X 600 with 16-bit color recommended) • CD-ROM drive for installation • RS-232 serial port required to connect to RCS-2000 Source Assignment Panel • Mouse or other pointing device, such as a touchpad INSTALLING RCS-WIN To install RCS-WIN: 1. Insert the CD-ROM that came with your RCS-WIN package into the CD-ROM drive. The RCS-WIN Installation CD program starts. The RCS-WIN Installation CD dialog box appears on your computer screen. If it does not, on the Windows taskbar click the Start button, and then click Run. The Run dialog box will open. Type D:Choice, where D is the drive letter of your CD-ROM drive, and click OK. 2. Click Install RCS-WIN and click OK. 3. The RCS-WIN setup program will run. Follow the instructions on your screen. 4. When the setup is complete, a dialog box with the message “RCS-WIN Setup was completed successfully” will appear on your screen. Click OK. 5. The RCS-WIN Installation CD dialog box reappears. Click Done. 6. Eject the CD-ROM and store it away safely. STARTING UP RCS-WIN You can start up RCS-WIN by using the Start menu on your Windows desktop, or by using Windows Explorer or My Computer. These options are described below. From the Start menu: 1. On the Windows taskbar, click the Start button. 2. From the Start menu, choose Programs, then RCS-WIN. From Windows Explorer or My Computer: Use Windows Explorer or My Computer to navigate to the folder where RCS-WIN resides, then double-click the RCS-WIN icon, or highlight it and press Enter. 1-2 RCS-WIN SOFTWARE INSTRUCTION MANUAL GETTING HELP Once you have started RCS-WIN, you can use the items in the Help menu at any time. To display the Help file, choose Contents from the Help menu. RUNNING RCS-WIN VIEWING THE SOURCE ASSIGNMENT SCREEN The Source Assignment Screen allows you to visualize source/destination assignments on a two-dimensional grid. The grid forms a virtual panel that resembles earlier-generation source assignment panels which had sliders that were manually moved up or down to make assignments. Figure 1 shows an overview of the Source Assignment Screen. You will find details on each of the areas shown on the screen later in this chapter. Figure 2 shows a screen which displays 15 sources and 72 destinations. The screen will always display all sources, but will only display additional destinations when you select the appropriate expansion button. Clicking the first expansion button causes destinations 1–24 to display on the screen; clicking the second button replaces destinations 1–24 with destinations 25–48: and clicking on the third button replaces destinations 25–48 with destinations 49–72. Destinations 49-72 Screen expands to show 15 Sources Figure 2: Expanded Source Assignment Screen UNDERSTANDING PRESETS A “preset” is a group of source/destination assignments that are stored in the RCS-2000 unit’s memory for current or future use. The RCS-2000 Source Assignment Panel stores 14 groups of source/destination assignments. Each group is called a “preset.” All source/destination assignments are made within one of these presets. • All source/destination assignments are made within one of the 14 available presets. A typical preset includes up to 24 destinations—intercom stations and beltpacks—assigned to eight source channels as shown in Figure 1. When two or more RCS-2000 units are combined to form a single intercom system, a preset can be as large as 72 destinations assigned to 15 source channels as shown in Figure 2. For more information on multi-unit systems, see the RCS-2000 Source Assignment Panel Instruction Manual. When you receive your system, all 14 presets have the same default source/destination assignments. In the default configuration, destinations are assigned to sources in numerical sequence, as shown in Figure 3. You can then change the source/destination assignments within each preset. You can change a single source/destination assignment or change all 24 assignments, depending on your needs. 2-2 RCS-WIN SOFTWARE INSTRUCTION MANUAL . Figure 3: Default Source/Destination Assignments STARTING UP UPLOADING AND DOWNLOADING INFORMATION To operate RCS-WIN you will need an understanding of how the RCS-2000 Source Assignment Panel uploads and downloads information to the RCS-WIN program. • You upload presets from RCS-WIN to the RCS-2000 unit’s memory. The RCS-2000 Source Assignment Panel’s memory stores information about the source/destination assignments in each preset. When you start up the RCS-WIN program on your computer, you transfer or “download” the information about these presets from the RCS-2000 unit to RCS-WIN. The preset information is then displayed on the Source Assignment Screen on your computer. Alternatively, you can create presets in RCS-WIN that you transfer or “upload” to the RCS-2000 unit’s memory. The presets in the RCS-2000 unit’s memory are the operative presets that are ready to go into effect when you select one of them—either by clicking a preset button on the Source Assignment Screen or by using the preset button on the front panel of the RCS-2000 unit. For example, when you receive your RCS-2000 unit, the default presets described in the previous section are stored in the RCS-2000 unit’s memory. When you start up the RCS-WIN program on your computer, the information about those presets is downloaded from the RCS-2000 unit’s memory to RCS-WIN and the default presets display on your computer screen. You can then create new preset configurations in RCS-WIN and upload them to the RCS-2000 unit’s memory where they will be available to be selected when needed. RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-3 STARTING UP ONLINE OR OFFLINE TO THE RCS-2000 The decisions you make about whether to start RCS-WIN offline or online to the RCS-2000 unit will determine when and how quickly presets can be downloaded and uploaded. Your choices will reflect the needs of your particular operating environment. • When you click the Online button, presets download from the RCS-2000 unit’s memory to RCS-WIN and display on your computer screen. When RCS-WIN is online to the RCS-2000 Source Assignment Panel, there is an active connection so that data can be transferred between them. When RCS-WIN is offline to the RCS-2000 Source Assignment Panel, there is not an active connection and therefore data cannot be transferred between them. If you start RCS-WIN while is offline to the RCS-2000 main unit, the presets in the RCS-2000’s memory will not download to your computer screen until you click the Online button on the Source Assignment Screen. Starting up this way–offline to the RCS-2000–lets you choose whether you are going to download presets from the RCS-2000 unit, or whether you are going to design a preset to upload to the RCS-2000 unit. This option gives you a great deal of flexibility. It is the default setting that reflects the needs of most of the customers who will use RCS-WIN. If time is at a premium for you or for other reasons, you may want start RCS-WIN so that it immediately goes online to the RCS-2000 main unit. When you do so, all of the presets stored in the RCS-2000’s memory will immediately download to RCS-WIN and will be displayed on your computer screen. To start RCS-WIN either online or offline to the RCS-2000 main unit: 1. On the Source Assignment Screen, from the Preferences menu, choose Options. The Option Settings dialog box appears. For an illustration of this procedure, see Figure 4. 2. In the Start Up area, choose one of the following options: • Click Offline if you want to start RCS-WIN while it is not actively communicating with the RCS-2000 main unit. • Click Online if you want to start RCS-WIN while it is actively communicating with the RCS-2000 main unit. 3. Click OK. Displaying or Not Displaying the Splash Screen Note that in the same area in the Option Settings dialog box, you can choose to either display or not display the “splash” screen when starting the program. The “splash” screen is the window that momentarily appears on your screen when you start the program. It gives you basic information such as the name of the software, its copyright date, and version number. The default setting (the option that is already set when you start the program) is for the screen to display when you start the program. If you do not want the screen to display, clear the check box in the Start Up area by clicking on it. Clicking directly on the splash screen when it appears will cause it to disappear. It automatically times out after displaying for four seconds. You can obtain the 2-4 RCS-WIN SOFTWARE INSTRUCTION MANUAL same information that is displayed on the splash screen by selecting About from the Help menu. 1 On the Source Assignment Screen, from the Preferences menu, click Options. 2 In the Start Up area, click either Offline or Online. (Offline is the default option.) 3 Click OK. Figure 4: Starting Up Either Online or Offline to the RCS-2000 Source Assignment Panel STARTING UP RCS-WIN OFFLINE TO THE RCS-2000 • When you click the Apply button, information uploads to the RCS-2000 unit’s memory. When you start RCS-WIN while it is offline to the RCS-2000 unit, presets will not automatically download from the RCS-2000’s memory to RCS-WIN. To download the presets, you must click the Online button on the Source Assignment screen. When you click the Online button, the Online light will light green as the RCS-2000 downloads all 14 presets from its memory to RCS-WIN. A progress indicator next to the Online light will let you know which preset is downloading. When the download is complete, the source/destination assignments for the preset currently selected at the RCS-2000 unit will appear on the Source Assignment Screen on your computer. All source/destination assignments displayed previously on the screen will be overwritten. RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-5 Each time you click the Online button, the current 14 presets stored in the RCS-2000’s memory will download to RCS-WIN and the preset selected at the RCS-2000 unit will display on your computer screen. If the RCS-2000 is not receiving power when you go online to it with RCS-WIN, the Online light will be yellow or off. When you provide power to the RCS-2000, the presets in its memory will immediately begin to upload to RCS-WIN. STARTING UP RCS-WIN ONLINE TO THE RCS-2000 • If you make changes on the Source Assignment Screen while presets are downloading, you will interrupt the downloading process momentarily. When you start RCS-WIN while it is online to the RCS-2000 unit, the Online light will light green as the 14 presets stored in the RCS-2000 unit’s memory download to RCS-WIN. A progress indicator next to the Online light will let you know which preset is downloading. When the download is complete, the source/destination assignments for the preset currently selected at the RCS-2000 unit will display on the Source Assignment Screen. All source/destination assignments displayed previously on the screen will be overwritten. Each time you click the Online button, the current 14 presets stored in the RCS-2000’s memory will download to RCS-WIN and the preset selected at the RCS-2000 unit will display on your computer screen. If the RCS-2000 is not receiving power when you go online to it with RCS-WIN, the Online light will be yellow or off. When you provide power to the RCS-2000 unit, the presets stored in its memory will immediately begin to download to RCS-WIN. ESTIMATING THE TIME TO UPLOAD AND DOWNLOAD PRESETS Although the actual time for uploading or downloading information between the RCS-2000 unit and RCS-WIN may vary, some typical times are provided below. Your computer’s processor speed and memory capacity may greatly affect the actual times. The following table gives the estimated time required for all data in all 14 presets to upload or download. You will typically download all 14 presets when you go online to the RCS-2000 unit. After you are online, selecting a new preset or changing the source/destination assignments within a preset takes only about 3 seconds or less per RCS-2000 unit. You can also select a preset from the front panel of the RCS-2000 Source Assignment Panel. For more information, see the RCS-2000 Source Assignment Panel Instruction Manual. . To select a preset, click a preset button Figure 5: Selecting a Preset When you are online to the RCS-2000 unit and select a preset, it goes into effect as the active preset. The active preset’s source/destination assignments are the assignments that are currently in operation. • You can use a desk or laptop computer to program presets. The information in RCS-WIN and in the RCS-2000 unit’s memory synchronizes so that whatever preset number is selected on the Source Assignment Screen will be the same preset number that displays on the front panel of the RCS-2000 unit. For example, if you select a new preset on the Source Assignment Screen, the new preset number will also display on the front panel of the RCS-2000 unit. And similarly, if you select a new preset number from the front panel of the RCS-2000 unit, that preset will display on the Source Assignment Screen. You can create, open, edit, and save presets without affecting the active preset which will continue to operate as usual. SELECTING A PRESET TO GO INTO OPERATION DIRECTLY OR IN STANDBY MODE RCS-WIN gives you options when you want to select a preset. If you are monitoring a live event, show in progress, or simulation, you can choose to have the preset go into operation immediately after you select it. Or, if you prefer to first review the preset configuration on the screen, to make any necessary changes, and to then apply the preset only when you are sure it is RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-7 accurate, you can choose to have the preset go into operation only after you both select and approve it. This is called “standby mode.” Selecting a Preset to Go into Operation Directly Note: It may take a few seconds for a preset to upload to the RCS-2000 unit, particularly in larger systems. • When you click a Preset button, presets go into operation either directly or in standby mode. To select a preset so that it goes into operation directly: 1. From the Preferences menu, choose Options. The Option Settings dialog box opens. 2. In the Preset Button Action area, click Direct. Figure 6: Selecting a Preset to Go Into Operation Directly 3. Click OK. When you click a Preset button, the preset directly uploads to the RCS-2000 unit and goes into operation as the active preset. It will take a few seconds for this to occur. In addition, all future preset selections will go into operation directly unless you change your option setting to Wait for Apply. For more information, see the following section “Selecting Presets in Standby Mode.” Selecting a Preset in Standby Mode To select a preset in standby mode: 1. From the Preferences menu, choose Options. The Option Settings dialog box opens. 2. In the Preset Button Action area, click Wait for Apply. Figure 7: Selecting a Preset in Standby Mode 3. Click OK. Now, when you select a preset by clicking on its associated Preset button, the preset does not directly go into operation as the active preset. First, the preset’s source/destination assignments appear on the screen for you to review and, if necessary, edit. You can edit the current source/destination assignments by moving the destination slider buttons to the desired source locations. When you click the Apply button those changes go into effect and the selected preset becomes the active preset. 2-8 RCS-WIN SOFTWARE INSTRUCTION MANUAL If you decide that you do not want to make the changes, simply click the Cancel button, and the display will return to the previous configuration. If you decide that you do not want to make the changes, but you want to save them for future use, you can do so by saving the preset information in a file on your computer. See the section entitled “Saving a Preset” later in this chapter. Any future preset selection will only go into operation as the active preset after you click the Apply button, unless you change your option setting to Direct. EDITING A PRESET You will want to customize the default source/destination assignments in each preset to suit your needs.To do this, you will make new source/destination assignments. ASSIGNING DESTINATIONS TO NEW SOURCES To assign a destination to a new source: 1. Go online to the RCS-2000 unit. If you are offline, click the Online button on the Source Assignment Screen. Clicking the Online button again will take you offline. 2. Select a preset by clicking the appropriate Preset button. Move a Destination slider button to the desired Source. With the mouse or other pointing device, drag the slider button for the destination that you want to change to the desired source location. 4. Move as many new destinations to new sources as needed. After you move the slider buttons to their new sources, they will blink yellow to indicate that they have been changed but not applied yet. The light above RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-9 the Apply button will also be yellow to indicate that there are pending changes. 5. Click Apply. All of the source/destinations assignments will download to the RCS-2000 unit and take effect. The yellow light above the Apply button will go off to indicate that the assignments have been downloaded. If you decide that you do not want to apply the source/destination assignments, click Cancel. The source/destination assignments will be cancelled and the destination slider buttons will return to their original locations. Choosing a Cancellation Verification Window To prevent a change you made to a source/destination assignment from taking effect, you click Cancel on the Source Assignment Screen rather than clicking Apply. If you would like further verification before you cancel a change to a source/destination assignment, you can set up your options to display a verification window. Then, when you click the Cancel button, the changes to any source/destination assignments are not immediately cancelled. A verification window will appear asking you if you are sure that you want to cancel the changes. You can click Yes, and the changes will be immediately cancelled, or you can click No and proceed with your changes. To set up the cancellation verification window in RCS-WIN: 1. From the Preferences menu, choose Options. The Option Settings dialog box appears. 2. In the Cancel Button area, click Verification Window. Figure 9: Cancel Button Options 3. Click OK. Any cancellation you make in the future to source/destination assignments will be preceded by the cancellation window asking you to verify that you do want to cancel the selection. ASSIGNING DESTINATIONS TO NEW SOURCES FROM THE KEYBOARD For convenience, you can also make source/destination assignments using only the arrow keys on your computer keyboard or numeric keypad. To assign a destination to a source from the computer keyboard: 1. Go online to the RCS-2000 unit. If you are offline, click the Online button on the Source Assignment Screen. Clicking the Online button again will take you offline. 2-10 RCS-WIN SOFTWARE INSTRUCTION MANUAL 2. Repeatedly press the right arrow key on your computer keyboard until the desired destination’s vertical gridline is highlighted in yellow. Press the right arrow key. The Destination's vertical gridline is highlighted in yellow. 2 Press the right arrow key to highlight a new Destination's vertical gridline and . . . press the up or down arrow key to move the 4 Destination slider button. 3 Press an up or down arrow key to move the slider button to a new Source position. 5 When you have completed assigning Destinations to Sources, press ESC to remove the yellow gridline. Press either the up or down arrow key to move the destination slider button up or down the vertical gridline to the desired source location. 4. Repeat steps 1 and 2 to assign other destinations to new sources. 5. When you have completed assigning destinations to sources, press ESC. The yellow gridline will disappear. Note that to select or apply a preset you must use a mouse or other pointing device, such as a touchpad. Other Keyboard Commands If necessary, you can perform many RCS-WIN functions by using the keys on your computer keyboard instead of a mouse or other pointing device. For more information on using keyboard commands in Windows, consult your Windows online Help file or Windows manual. COPYING AND PASTING A PRESET You can copy a preset and paste it to another preset location if needed. For example, you can copy preset 1 and paste it to preset 5. To copy and paste a preset: 1. From the edit menu, choose Copy Preset. The Copy Preset dialog box appears. RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-11 2. Click OK. The Apply button becomes the Copy button. 3. Click the Preset button for the preset that you want to copy. The light above the button will turn green. 4. Click the Preset button for the preset location to which you want to paste the copied preset. The light above the Preset button will turn yellow. 5. Click the Copy button. The first preset is copied to the second preset location. RCS-WIN then displays the preset that was active before the copy-and-paste procedure began. The active preset does not change during the copy-and-paste procedure. To make the copy-and-paste procedure faster, you can eliminate step 2 in the procedure by setting your preferences to bypass the Copy Preset dialog box. To bypass receiving the Copy Preset dialog box: 1. From the Preferences menu, choose Options. The Option Settings dialog box appears. 2. In the Copy Preset area, click Do Not Confirm. • Click the Online button to either go online or offline. If you are offline, clicking the Online button will take you online. CREATING A NEW PRESET You can create a new preset on the screen, save it, and upload it to the RCS-2000 main unit so that you can select it when needed. You can then store the preset as a file on disk for backup and archival purposes. You must be offline to the RCS-2000 unit to create a new preset. Note: You can create and save a preset offline, but to select the preset, you must go online to the RCS-2000 unit. For more information, see “Selecting a Preset” earlier in this chapter. To create a new preset: 1. Go offline to the RCS-2000 unit. If you are online, click the Online button on the Source Assignment Screen to go offline. Clicking the Online button again will take you back online to the RCS-2000 unit. 2. From the File menu, choose New. The New dialog box appears. You must define whether the preset is for a single-unit or multi-unit system. • For a single-unit system, choose 8 sources and 24 destinations. • For a multi-unit system, choose the appropriate number of destinations and sources. For more information, see the Operation Chapter in the RCS-2000 Source Assignment Panel Instruction Manual. 4. Click OK. The Source Assignment screen will resize appropriately to reflect your selections. 5. Select a preset by clicking on its associated Preset button. 6. Assign destinations to sources by moving the destination slider buttons to their appropriate source positions. 7. On the File menu, click Save. Save the file to the appropriate disk and folder. You can also save all 14 presets to one file. For more information, see the following section, “Saving a Preset.” Note: The selections you choose in the New dialog box will determine the size of your screen when you start the program offline, before any presets are downloaded from the RCS-2000 unit. When presets are downloaded from the RCS-2000 unit or uploaded from an RCS-WIN preset file, the screen will resize to reflect the new configuration. SAVING A PRESET SAVING ONE PRESET CONFIGURATION When you have completed changing source/destination assignments to meet your needs, you can save the current preset for future use. • You can save a preset when you are either online or offline to the RCS-2000 unit. To save a preset: 1. On the Source Assignment Screen, click the Preset button for the preset that you want to save. That preset’s source/destination assignments will appear on the screen. You can move the destination slider buttons to new source positions if needed, before saving the preset. If you are online, the destination slider buttons will blink yellow to indicate that they have been changed but not applied. 2. From the File menu, choose Save Preset. The Save As dialog box opens. For an illustration, see Figure 12. 3. In the Save In list, click on the disk and folder in which you want to save the preset. 4. In the File Name box, type a file name. 5. In the Save As Type list, click one of the following file types: • A text file (.txt). This is the default and preferred file format. • An RCS-WIN configuration file (.rcs). This file format is provided as an alternative to the text file format if you need to differentiate your preset files from other text files. Both file types work identically to store and apply presets. 6. Click Save. RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-13 The file is now saved to the disk and folder you specified and can be accessed for future use. For instructions on retrieving and opening a saved preset file, see the next section entitled “Uploading a Saved Preset File.” 3 • When you have programmed the RCS-2000 unit, you can disconnect the computer. The RCS-2000 unit will continue to function as programmed. 4 6 5 Figure 12: The “Save As” Dialog Box Note: When you save a group of source/destination assignments as a particular preset number—say preset 1 for example—and then open that preset file, you can only open it as preset 1. You cannot save preset 1’s source/destination assignments to the preset 3 position. To duplicate the source/destination assignments for preset 1 to preset 3 you must cut-and-paste preset 1 to preset 3. You can also edit the preset’s text file, which is described in “Editing a Text File” later in this chapter. SAVING ALL PRESETS If necessary, you can save all 14 presets in one file so that they will be available for current or future use. To save all current presets: 1. On the Source Assignment Screen, from the File menu, choose Save All Presets. The Save As dialog box opens. 2. Follow steps 3–6 in the previous section entitled “Saving One Preset Configuration.” The file is now saved to the disk and folder you specified and can be accessed for current or future use. For more information on uploading the file’s contents to the RCS-2000 unit’s memory where it will be available for use, see the section later in this chapter entitled “Uploading a File With Fourteen Stored Presets.” 2-14 RCS-WIN SOFTWARE INSTRUCTION MANUAL UPLOADING A SAVED PRESET FILE UPLOADING A FILE WITH ONE SAVED PRESET When you save a preset’s source/destination assignments in a file, you can open that file and view its information on the Source Assignment Screen. When you have reviewed the preset’s source/destination assignments on-screen, you can then upload the information to the RCS-2000 unit’s memory where the preset will be available for you to select when needed. To upload a file with one saved preset: 1. Go online to the RCS-2000 unit. • If you are offline, click the Online button on the Source Assignment Screen to go online. Clicking the Online button again will take you offline. • When you go online, wait until the existing presets have downloaded from the RCS-2000 unit before going to the next step. The progress bar next to the Online button will let you know the status of the download. The progress bar will disappear when the download is complete. Navigate to the folder in which you have saved your preset files. 3 Click the Online button to go online to the RCS-2000 unit. 1 2 On the File menu, click Open. They have not uploaded to the RCS-2000 unit yet. Any slider buttons that have changed position from the previous preset will flash yellow. • The light above the Apply button will turn yellow to indicate that you must click the Apply button first before the changes will upload to the RCS-2000 unit. 6. Click the Apply button. The preset information in the saved preset file uploads to the RCS-2000 unit’s memory and overwrites the previously stored preset. The progress indicator on the Source Assignment Screen lets you know the status of the upload. The progress bar will disappear when the upload is complete. Note: Uploading a saved preset file will not cause the active preset to change unless you select a new active preset by clicking on a Preset button. UPLOADING A FILE WITH FOURTEEN SAVED PRESETS When you save all 14 presets in a file, and then upload that file’s information to the RCS-2000 unit’s memory, all previously stored presets will be overwritten with the new 14 presets. To upload a file with fourteen saved presets: 1. Go online to the RCS-2000 unit. • If you are offline, click the Online button on the Source Assignment Screen to go online. Clicking the Online button again will take you offline. • When you go online, wait until the existing presets have downloaded from the RCS-2000 unit before going to the next step. The progress bar next to the Online button will let you know the status of the download. The progress bar will disappear when the download is complete. 2. From the File menu, choose Open. The Open dialog box appears. 3. Navigate to the folder in which you have saved your preset files. 4. Click the file you want to apply. 5. Click Open. • At this point the source/destination assignments in the file will display only on the Source Assignment Screen. They have not uploaded to the RCS-2000 unit yet. Any slider buttons that have changed position from the previous preset will flash yellow. • The light above the Apply button will turn yellow to indicate that you must click the Apply button first before the file will upload to the RCS-2000 unit. 6. On the Source Assignment Screen, click the Preset button for the preset that you want to become the active preset when the upload is complete. The light above the currently active Preset button will remain green to indicate that it is the active preset, while the light above the Preset button you have selected will be yellow to indicate that it is the pending active preset. 7. Click the Apply button. All 14 presets upload to the RCS-2000 unit’s memory and overwrite all previously stored presets. The progress indicator on the Source Assignment 2-16 RCS-WIN SOFTWARE INSTRUCTION MANUAL Screen will let you know the status of the upload. The preset you selected on the Source Assignment Screen becomes the active preset. Its number displays on the front panel of the RCS-2000 unit. Note: Uploading a saved preset file will not cause the active preset to change unless you select a new active preset by clicking on a Preset button. NAMING SOURCES, DESTINATIONS, AND PRESETS You can identify all sources, destinations, and presets on the Source Assignment Screen by both name and number. Numbers are assigned to fixed places on the grid and cannot be changed. Names, however, can be changed to meet your individual requirements. To change a source name: 1. From the Edit menu, choose Source Names. A text box containing the first source name will appear on the leftmost lower portion of the screen. From the Edit menu, choose Source Names. 1 Press ENTER. Figure 16: Naming a Preset PRINTING A WORKSHEET PRINTING A MICROSOFT EXCEL WORKSHEET You can save and print the preset configuration as a Microsoft Excel worksheet. To do so you must have Microsoft Excel installed on your computer. The Microsoft Excel worksheet will give you a visual printed display of source/destination assignments within a preset. A printed spreadsheet of current source/destination assignments is especially useful if you are selecting presets directly from the RCS-2000 unit’s front panel or if you are using an RCU-60 Remote-Control Unit, neither of which has a global real-time display of source/destination assignments. To save a preset’s source/destination assignments as an Excel worksheet: 1. On the Source Assignment Screen, click the desired Preset button. 2. From the File menu, choose Export to File. The Save As dialog box opens. RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-19 3. Navigate to the folder in which you want to save your spreadsheet/worksheet file. 4. In the File Name box, type a name for the spreadsheet/worksheet file. 3 Navigate to the folder in which you want to save the spreadsheet file. 2 On the File menu, click Export to File. 1 Click the Preset Button for the preset that you want to save as a spreadsheet. 4 In the File Name box, type a name for the spreadsheet. 5 Click Save. To print the spreadsheet, you must exit the RCS-WIN program, open the file in Excel, then choose Print from the File menu. PRINTING A PRESET You can print the preset information shown on the Source Assignment Screen. This can be useful to you if you do not have the Microsoft Excel program on your computer, or if you simply need a quick printout. The preset information will print in a landscape orientation to the default printer. It will only print 24 destinations at a time, so on larger systems it will be necessary to click the 1–24, 25–48, and 49–72 displays and print them individually. To print a preset text file: 1. On the Source Assignment Screen, click the desired Preset button. 2. From the File menu, choose Print. A print verification window will open and the preset will print on the default printer. 2-20 RCS-WIN SOFTWARE INSTRUCTION MANUAL GROUPING DESTINATIONS BY COLOR You can group destinations together by color and move them as a group from one source to another in order to facilitate quick changes. You have a choice of eight colors with which to group destinations. The ninth color, green, is the default for non-grouped operation. Any destination that you designate as green can move independently in and around color groups. To group destinations together by color: 1. From the Edit menu, choose Color Group. The Color Palette and the Current Color box appear in the leftmost upper portion of the screen. 2 Click a color in the Color Palette... and the color will appear in the Current Color box. On the Edit menu, click Color Group. 1 Drag a Destination slider button to the desired Source position. 3 4 Drag additional Destination slider buttons to the desired Source positions. Drag (click-and-hold) the destination slider button to the desired source position. When you release the mouse button, the slider button will become the current color. 4. Repeat step 3 for all destinations in the color group. When you drag any member of the color group to a new source location, all other members of the color group will move to the source location 5. To exit the Color Grouping feature, press the ESC key. You can also choose Color Group from the Edit menu to exit the Color Grouping feature. RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-21 To return a color-grouped slider button to non-grouped operation: 1. Click the green color in the Color Palette. 2. Click on the desired slider button. The selected slider button resumes non-grouped operation. CLICK-AND-RELEASE VERSUS CLICK-AND-HOLD Note that destination slider buttons function much differently depending upon whether you click-and-release or click-and-hold (drag) the mouse pointer on the button. When you click-and-release a destination button, all of the destination buttons in the color group move to that destination’s source location. When you click-and-hold the mouse pointer on a destination slider button, you can move that button to the source location where you want to place all of the members of the color group. When you release the mouse pointer, all of the grouped destinations move to the selected source location. In general, dragging destinations gives you greater control when grouping destinations. HIGHLIGHTING A COMMUNICATION PATH Communication Path Tracking helps you to quickly identify critical source/destination assignments. When you activate this feature, clicking a source or destination name or number on the Source Assignment Screen causes highlighted gridlines to identify all the destinations assigned to a particular source. To activate Communication Path Tracking: 1. From the Preferences menu, choose Options. The Option Settings dialog box appears. 2. In the Communication Path Tracking area, click Enabled, if it is not already selected. Enabled is the default option. 3. Click OK. 4. Click on any source or destination name or number. • Clicking on a source will highlight gridlines for the source and all destinations assigned to it. • Clicking on a destination will highlight gridlines for all other destinations assigned to the same source. 5. To exit Communication Path Tracking, press the ESC key. Note that you can select Disable in the Option Settings dialog box to cancel this feature. SECURITY FEATURES RCS-WIN offers two security locking features to prevent unintended changes to presets or to source/destination assignments from the computer keyboard. It also allows you to unlock the Preset button on the RCS-2000 main unit if you have forgotten your unlock code. 2-22 RCS-WIN SOFTWARE INSTRUCTION MANUAL LOCKING CHANGES TO SOURCE/DESTINATION ASSIGNMENTS The first feature prevents any changes to a preset’s source/destination assignments. However, selecting a new preset is permitted from the Source Assignment Screen or from the front panel of the RCS-2000 unit. To prevent all edits to presets: 1. From the Security menu, choose RCS-WIN Access. The Security Access dialog box appears. 1 On the Security menu, click RCS-WIN Access. 2 Clear the Allow Edits check box by clicking on it. Figure 19: Locking Access to RCS-WIN 2. Clear the Allow Edits check box by clicking on it. Note that allowing edits is the default option. When you cancel this option by clearing the check box, you will not be able to change any source/destination assignments within a preset. You will, however, be able to select between presets, both on the Source Assignment Screen and from the front panel of the RCS-2000 main unit. COFFEE-BREAK FEATURE The “coffee-break” feature allows you to quickly lock and unlock access to the RCS-WIN program. You simply press F12 to lock access and press F11 to resume normal operation. When this feature is activated, you cannot make any change on the Source Assignment Screen using a mouse or other pointing device, or from the computer keyboard. You cannot select a new preset or edit the source/destination assignments within the currently active preset. RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-23 The coffee-break feature is not the default option. If you want to activate this feature, you must change the option setting in RCS-WIN. To set up the “coffee-break” feature: 1. From the Security menu, choose RCS-WIN Access. The Security Access dialog box opens. 1 On the Security menu, click RCS-WIN Access. Clear the Enable Program Lock/Unlock check box by clicking on it. 2 Figure 20: Setting the “Coffee-Break” Feature 2. Click the check box entitled Enable F12 Program Lock, F11 Program Unlock. To cancel this feature, clear the check box. Even though the coffee-break feature is activated, you will be able to select a new preset from the front panel of the RCS-2000 unit. UNLOCKING THE RCS-2000 The Preset button on an RCS-2000 Source Assignment Panel can be locked from the front panel to prevent unauthorized or unintended changes to the current presets. To unlock it, you enter your chosen unlock code. If you forget your unlock code, you can unlock the RCS-2000’s Preset button from RCS-WIN. To unlock the RCS-2000’s Preset button: 1. On the Source Assignment Screen, from the Security menu, choose Unlock RCS-2000. The Unlock RCS-2000 dialog box appears. 2-24 RCS-WIN SOFTWARE INSTRUCTION MANUAL 1 On the Security menu, click Unlock RCS-2000. 3 When the green light next to the Unlock button lights up, click the Unlock button. Figure 21: Unlocking the RCS-2000 Unit’s Preset Button from RCS-WIN 2. Press and hold the code-reset button which is located on the back of the RCS-2000 main unit. This may require the assistance of another person. 3. When the green light next to the Unlock button lights up on the Unlock RCS-2000 dialog box, click the Unlock button. 4. Turn power to the RCS-2000 unit off. 5. Turn power to the RCS-2000 unit back on. The Locked light on the RCS-2000 unit’s front panel should now be off. The RCS-2000 unit’s Preset button is now unlocked. You can select presets from the RCS-2000 unit’s front panel. The lock code has been reset to the factory default “no-lock” code of 0. Before locking the RCS-2000 unit again you must change the “no-lock” code to a new unlock code. For instructions, see “Code and Lock/Unlock Buttons” in the Operations Chapter of the RCS-2000 Source Assignment Panel Instruction Manual. DIAGNOSING POWER PROBLEMS When the RCS-2000 system is wired as recommended in the RCS-2000 Source Assignment Panel Instruction Manual, RCS-WIN monitors power going out to all destinations from the RCS-2000 unit and warns you when power to a destination drops below 10 volts. Power faults such as these can be due to a RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-25 variety of causes. Typically, they are due to a short circuit or partial short on the cable which runs from the RCS-2000 main unit to the remote destination station or beltpack. Sometimes they may also be due to a poor cable connection to the RCS-2000 main unit’s power patch panel. Several destinations may show power faults (power reductions) at one time if they are all powered by one channel of the source intercom station. For example, an overload on one of the source station’s channels may prevent power from reaching all of the remote stations or beltpacks that are powered by that source channel. Similarly, if several destinations are powered by one source channel, all of the destinations will show power faults whenever there is a short on any one of them. RCS-WIN gives you three types of warnings: power loss warnings, power notification warnings, and destination limit warnings. These warnings are discussed in the following sections. POWER LOSS WARNING AND POWER LOSS NOTIFICATION Power Loss Warning and Power Loss Notification both warn you of a power fault, but in different ways. A Power Loss Warning causes a destination’s number to blink in red on the Source Assignment Screen whenever there is a power fault on that destination. A Power Loss Notification is a more emphatic warning in the form of a message window that displays on your screen when there is a power fault. To remove the window from the screen, simply click OK. The warning window will only occur once for each power fault. You do not have to correct the power fault to prevent the window from reappearing. These options are selected for you as the default settings when you receive your system. You do not have to do anything to choose them. If you want to prevent these warnings from appearing on the screen, you can cancel them by clearing their associated check boxes in the Option Settings dialog box. To set up or cancel power loss warning and power loss notification: 1. From the Preferences menu, choose Options. The Option Settings dialog box appears. 2. In the Warnings area, do one of the following: • Select the power loss and power loss warning check boxes if you want these warnings to display on your computer screen. By default, these options are already selected. • Click to clear the power loss and power loss warnings check boxes if you do not want these warnings to display on your computer screen. Figure 22: RCS-WIN Power Warnings 2-26 RCS-WIN SOFTWARE INSTRUCTION MANUAL DESTINATION LIMIT WARNING The Destination Limit Warning highlights a source’s number in red whenever there are a more than certain number of destination stations assigned to that source channel. The reason for having a Destination Limit Warning is that if a large number of destination stations are suddenly switched to a channel, there may be a change in sidetone levels due to the change in electrical capacitance on the intercom line. This effect usually occurs only in large installations with more than 24 destinations. Whether it occurs or not depends on many factors including the total number of stations and beltpacks in an installation and the length and type of wire connecting them. It tends to occur only when a large number of stations are suddenly assigned at one time to a channel. This feature can also be helpful in “traffic” management. The default number for this setting is eight destination stations, although by no means does this imply that only eight destinations can be assigned to a source channel at one time without causing sidetone issues. You can most likely program many more than eight destinations to a channel without causing any changes at all to sidetone levels. It is important that any party-line system be properly nulled for optimum performance. You can set the destination limit to whatever number you decide is appropriate for your particular installation. To change the number, simply choose Option Settings from the Preferences menu, and type the new number in the Warning area text box labelled “Destination Limit.” CORRECTING POWER FAULTS To correct a power fault, inspect the cable that connects the destination station or beltpack to the RCS-2000 main unit. Check for any physical damage that may cause a short circuit or partial short on the line. If necessary, isolate segments of the cable by disconnecting sections. If multiple destinations show power faults, first make sure that the source station is receiving power. Next, check the cable that connects the source station to the RCS-2000 unit for a short circuit or partial short on the line. If these actions do not correct the power faults, disconnect each destination cable individually from the back panel of the RCS-2000 main unit. If you disconnect a destination cable and the power fault is corrected, then you have isolated the short to that cable. OTHER POWER ISSUES If power to the source intercom station goes out, the RCS-2000 unit’s latching relays will remain in position, so that when the power to the source intercom station is restored, all source/destination assignments will remain in their original positions. RCS-WIN SOFTWARE INSTRUCTION MANUAL 2-27 If power to the computer running RCS-WIN goes out, the RCS-2000 unit will continue to function normally. After presets are programmed with a computer or with an RCU-60 Remote Control Unit, these devices do not have to remain connected to the RCS-2000 main unit for it to continue to function as programmed. ADVANCED FEATURES EDITING PRESET FILES When you save a preset’s source/destination assignment information in a text file, you can make changes to the preset by editing the text file directly rather than making changes on the Source Assignment Screen. If you do edit the text file, however, you must adhere to the file’s machine-readable format for it to successfully translate your changes. That is why, in general, changes to presets are most easily and quickly made from the Source Assignment Screen. To edit a preset text file: 1. Open the file in a text editor such a Microsoft Notepad. In Windows, double-clicking on the text file will usually automatically open it in Microsoft Notepad. This however could vary depending on your individual settings. 2. Make changes to the file as necessary. 3. Save the file with the same .txt extension. The first type of file edit that you can make is to change the number of total destinations or total sources that you are working with. To do this, you open the text file and replace the numbers at the beginning of the file next to “Total Destinations” and “Total Sources.” The new numbers you place in the file must be in exactly the same location as the numbers you replaced. The second type of file edit you can make is to duplicate a file so you can use it in another preset location rather than using the copy-and-paste procedure described earlier in this chapter. To do this, you save the file (with the “save as” option) with a new name, and then replace the preset number at the beginning of the file with a new number. For example, if you change the preset number in the newly created file from preset 1 to preset 2, you will have an exact duplicate of preset 1 to place in the preset 2 position. You can also change the colors of the destination slider buttons from the preset text file. Color names must be typed exactly as shown in Figure 23. Figure 23 shows a text file for one 8-source by 24-destination preset. The elements of the file that you can edit are labeled A through H. Color Grouping: A feature of RCS-WIN that allows you to group destinations together by color on the Source Assignment Screen, and to move them as a group from one source to another. Communication Path Tracking: A feature of RCS-WIN which helps you to quickly identify critical communication paths. When you activate this feature, clicking a source or destination name on the Source Assignment Screen will visually highlight gridlines showing all the destinations assigned to a source. Destination: An intercom station, beltpack, or interface (or group of such devices connected together) which is assigned to a source channel of a central intercom station. Destination stations do not have their own power supply, and are typically powered by the central intercom station. Destination Limit Setting: A feature of RCS-WIN that allows you to receive a warning on the Source Assignment Screen whenever you have programmed more than a predetermined number of destinations to a source line. Download: In traditional computer terminology, to download data means to transfer data from a large computer’s memory to the memory of another device, usually a smaller computer. In this manual, to download data specifically means to transfer data from the RCS-2000 unit’s memory to RCS-WIN where it will display on the computer screen. ISO: The ISO function allows a member on a party line to speak privately to another member on the party line. Main Station: A multi-channel intercom station with an internal power supply which can provide power both to itself and to all of the remote stations connected to it. Master Station: A multi-channel intercom station with an internal power supply which can provide power to itself but not to any of the remote stations connected to it. Null: (n) 1. Adjustment that controls the amount of sidetone heard by the user. 2. The degree of sidetone adjustment. (v) To adjust the amount of sidetone heard by the user. Online: In general computer terminology online means connected to a computer or telecommunications system. Specifically in this manual it means that RCS-WIN is connected to the RCS-2000 unit so that data can be transferred between them. Offline: In general computer terminology offline means not connected to a computer or telecommunications system or operating independently of such a system. Specifically in this manual, offline means that RCS-WIN is not actively connected to the RCS-2000 and therefore cannot send data to and from the RCS-WIN SOFTWARE INSTRUCTION MANUAL 3-1 RCS-2000 unit. Even though RCS-WIN is offline to the RCS-2000 unit, it can still be programmed with source/destination assignments that can be applied when it goes online to the RCS-2000 unit. Party Line: Intercom channel on which each member can both listen and speak to every other member on the channel. Analogous to a telephone conference call with its two-way, full duplex communication. Power Loss Notification: A feature of RCS-WIN that warns you when there is a reduction in power to less than 10 volts on any destination. When this occurs, that destination’s number will blink rapidly in red on the Source Assignment Screen. Power Loss Warning: A feature of RCS-WIN that warns you when there is a reduction in power to less than 10 volts on any destination. When this occurs, a window will appear on the Source Assignment Screen warning you of the power reduction. Preset: A preset is a group of source/destination assignments that you create for current or future use. The RCS-2000 Source Assignment Panel can store up to 14 presets. All source/destination assignments are made within a preset. Preset Button: A button on the Source Assignment Screen that you click to select a particular preset. Real time: In computer systems, real time refers to the generation and processing of data virtually simultaneously as in, for example, financial indexes that immediatley update share prices as they occur. RCS-WIN applies source/destination assignments in real time when those assignments go into effect immediately after they are programmed. This is opposed to source/destination assignments that are programmed for a future date. Remote Station: See Destination. Sidetone: The sound of your own voice transmitted through an earphone as you speak. Source: One of the channels of a main or master station to which remote stations or beltpacks (generally one or two-channel devices) are assigned. Once a remote station is assigned to a source channel, that station’s operator can both talk and listen to all other stations on the channel. Source Assignment Screen: The main screen in RCS-WIN which serves as a “virtual panel” for assigning destinations to sources. Source/Destination Assignment: The assignment of a destination to a particular source channel. Upload: In traditional computer terminology, to upload data means to transfer data from a microcomputer to a remote computer, usually through a modem.
