[email protected] Abstract Users with laptops or stand-alone workstations can send prints to the School’s printers by using our printhost CUPS print server. This Note will show you how to install printers on Windows 7, Windows 8, Mac and Linux laptops and workstations. The printers are available from the University’s wired network VLANs in the School, from wireless networks and from csLAPNET. (Users on managed workstations in our teaching laboratories and offices, ones with a standard Novell Windows, Linux or Macintosh image, do not need to install printers because this will already have been done when the workstation was configured.) Printers are located in teaching laboratories, in research rooms, in staff offices and in utility rooms. Please install only those printers to which you have access. There is an additional authorisation control system in front of the printers teaching laboratories. This is configured to also allow prints sent from laptops connected to the wireless network in the School, or csLAPNET.

Printing through Printhost
Printhost is a CUPS (Common UNIX Print System) print server. Linux and Mac laptops and workstations can print through it using IPP (Internet Printing Protocol). For Windows 7 and Windows 8 systems, printhost also acts as a Windows print server. Windows 7 users can install printers using point and click. For Windows 8, manual installation is needed as described below.
1.1
Networks
Printhost allows printing connections from the following networks: • the public and private Ethernet (wired) VLANs used by workstations in the School • the School’s csLAPNET wired network which is available in Teaching Lab 3 • the University’s wireless network, Eduroam, for School users within the School buildings.
1.2
Registering your laptop or workstation
All devices - laptops, workstations, servers, PDAs, phones etc. must be registered for permission to connect before they can use the University’s networks. Students in a Hall of Residence can register laptops simply by plugging the laptop’s Ethernet port into the wall outlet in their room. Network management software will run and register the laptop for the residences wired network, RESLAN, and additionally it will register it for csLAPNET and (if your wireless interface is turned on) for Eduroam on Campus.
Alternatively, you can connect to the Cardiff Campus Manager at http://ccm-hostcheck.cf.ac.uk/registration/ and register your laptop or other device there. Staff and research students (and other students who have trouble with the methods above) should see the School’s systems managers in C/2.14 to register their devices.
1.3
Authentication
Authentication is by IP address. Any workstation or laptop on the School’s wired or wireless networks or on csLAPNET can connect to the print server, printhost, and print to the School’s printers in laboratories, staff offices and utility rooms. Some printers are intended for staff use only, or for research students. Please install only those printers to which you have access. There’s no point printing to a printer located behind a locked door! The printers in the Teaching Laboratories have a graphical front-end workstation that lists each print job against the user’s username. Users can identify their own print jobs and select and print the job while stood in front of the printer.

The front-end rejects prints for users it doesn’t recognise but prints that are sent from non-standard systems, such as laptops on csLAPNET or the wireless network, are accepted and listed as something like... studentwifi_username_10.dd.dd.dd where username is the login username on the laptop, and 10.dd.dd.dd is the current IP address of the laptop. This way, you should be able to identify your own prints. Note that the username may be blank (Windows printing doesn’t send the username).

Printer Names and Locations
Taught-course undergraduate and masters students can print to the printers in Teaching Laboratories #1, #2, #3, or #4. NOTE: THESE ARE ALREADY INSTALLED ON THE LAB WORKSTATIONS. You don’t need to do anything more. Use the installation instructions below for adding printers to your own non-lab machines only. Staff and research students can use the School’s other network printers located in appropriate research rooms, offices and in utility rooms. Here is a list of the School’s network printers. Note that sometimes, in case of repair, etc, a printer may be replaced by a compatible or similar type.

The following sections describe how to install printers on Windows 7, Windows 8, MacOSX and Linux. Please see me if your systems differ and you have difficulty in installing the printers.

Installing a Printer on Windows 7
For Windows 7 laptops, printhost behaves as a standard Windows print server. You can easily install a printer, and its printer driver, using point and click.
There are two things you should note. First, you should be using an account with administrator privileges when you install the printer. Secondly, there can be a long delay (30-60 seconds) while the printer is installed, and a similar delay each time you print a file. The server attempts to call back to your laptop. It cannot normally connect (there is probably no network path back to your laptop, and often your own firewall would prohibit it). But the connection is tried, and processing is delayed until the attempt times-out.
You can connect Windows to the printhost server and see all its printers. The simplest way to do this is by typing \\printhost.cs.cf.ac.uk in the Start→Run or Start→Search programs and files field. Click on Start and type \\printhost.cs.cf.ac.uk into the Run or Search programs and files field and press the Return key.
A Windows Explorer window should open showing icons for each of the printers available on printhost.
On Windows 7, if you hover the mouse over a printer icon, it will show you a description of the printer.

Double click on a printer icon to install the printer. (Taught-course students should install only the Teaching Lab printers, for example tl3 lw). A connection will be made to the server, and Windows will attempt to install the printer.
Windows should try and download the printer driver from the server. It warns you that this is about to happen. Click the Install Driver button to install the driver.
The server has drivers for both 32-bit and 64-bit Windows and automatic installation of the driver should occur whichever architecture you are using. Note: you may see along delay before the Install Driver panel appears. If the driver fails to install for any reason, you may be able to install an appropriate driver from your own laptop. The Windows Add Printer wizard should offer you a selection of drivers. Many HP LaserJet drivers are available on most editions of Windows. If the exact model isn’t available, choose a similar one or generic PostScript driver, or download the correct driver from HP’s website.
The printer is installed and the printer monitor window opens.

The printer also appears in the Devices and Printers window.
You can now use the printer from any application.
2.1
Testing the connection
Right-click on a printer icon in the control panel and select Printer Properties.
After a while, the printer properties panel shows you the name, location and type of the printer. Click Print Test Page to test the connection to the printer.

The print should appear in the print monitor panel after a delay of 30-60 seconds. It should show that the print is printing and then the print will disappear from the panel once it has been sent to the printer (or printer front-end control system) in the Laboratory.
2.2
Paper Size
Users have reported problems when printing from Windows 7 to some CUPS printers. The printers are set for A4 and the SAMBA Windows print drivers are also set for paper size A4 but Windows doesn’t necessarily use this when deciding what size paper the printer has. Prints sent to a printer will wait on the printer until a user intervenes and presses buttons on puts manual feed paper in. This is because the printer driver is configured to (US) Letter sized paper instead of A4. The driver that’s downloaded from printhost has A4 set as the default paper size but, unfortunately, this isn’t sufficient to make Windows configure the printer for A4 in all of the many places where paper size can be set. You can look at the printer preferences. To get to the printer preferences, right click on the printer in the Devices and Printers control panel and select ”Preferences”. In the Printing Preferences click the ”Advanced” button. In the Advanced Option panel you’ll see ”Paper Size”. If it’s Letter, change it to A4. Click OK in each of the panels to close them. Afterwards this makes print jobs print on the printer automatically.

Installing a Printer on Windows 8
For Windows 8 laptops, printhost is a Windows print server. Unlike Windows 7, Windows 8 cannot download and install the printer driver from printhost, instead you have to add the network printer manually and specify a print driver that’s already on your laptop. (Thanks to Sadjad Bahmanpour for posting instructions on how to do this on his blog http://www.sadjad.net/blog/2012/11/28/windows-8-shared-printer-driver/) You should use an account with administrator privileges when you install a printer.
Open the devices and printers control panel. You can find the control panels by searching for Control in the Windows 8 search which appears if you move your mouse pointer to the top right. In the panel, click on Add a Printer.
While the application is trying to find a printer, click on The printer that I want isn’t listed.
Do not select a shared printer, instead click on Add a local printer or network printer with manual settings. When you have selected this, click the Next button to go on to the next step.

You must now create a port on your laptop for the printer you are adding. Select Create a new port and set the type to Local port.
The application pops up a new panel where you should enter the name of the port. This is the place where you specify the network printer on printhost that you want to use. In the example, we have used printer pr1 so the port name is \\printhost.cs.cf.ac.uk\pr1. Look at Printer Names and Locations above to see the printer names. Precede the name with \\printhost.cs.cf.ac.uk to name the port. Click OK once you have typed the port name.
Note: if you are re-installing a printer that you have installed before, you may get an error message because the port name already exists. If this happens, instead of chosing to create a new port, simply go back and use the existing port with the same name.

Once the port name has been chosen, the printer installation application will ask you to choose a printer driver. Using the manufacturer menu and printers menu find the right driver for the printer. The table of network printers above should help you locate the right one. For HP printers, choose the PCL6 driver in preference to the PostScript (PS) one. Click Next when you have selected the driver.
If you can’t find the driver, click on Windows Update to download more.
Finally you need to give the printer a name. A name will be chosen automatically based on the name of the printer driver. We recommend that you replace this with a more meaningful name – pr1 on printhost in this case. Click Next to finish the installation.
The printer is now installed and you can use it from any application. If you want to check, print a test page by clicking Print a test page.

Installing a printer on MacOSX
On MacOSX, you can install the printers on printhost with the Print & Fax (or Print & Scan on Lion) system preference using Internet Printing Protocols (IPP). Each printer must be installed individually.
Start the System Preferences from the docking panel.
In the System Preferences panel, find the Print & Fax icon and double click to open it.
The Print & Fax utility has a list of your currently installed printers (if any). Under the list is a plus button (+) which you should click to add a new printer.

To install a printer, choose IPP as the printing Protocol. In Address, give the name of the printer server printhost.cs.cf.ac.uk. The Queue is the name of the printer preceded by printers/. You should install only the Teaching Lab printers, for example printers/tl3 lw. Type a Name which describes the printer and fill in its Location. Use the pull-down menu to select a driver and search for an appropriate driver. Click the Add button to install the driver.
The printer now appears in the Print & Fax panel and is ready to use. It will appear in the list of printers whenever you print from an application.

Testing the connection
If you click on Open Print Queue, a monitor panel will open. You can print a test page from the Printer menu in the top bar.
Once queued, the print should be listed in the panel. The print will disappear from the panel once it has been sent to the printer. The prints should appear on the printer or, in a Laboratory, on the front-end printing control system.

Installing Printers on Linux
On Linux systems running the GNOME graphical user interface, you can use the printing configuration application to install all printers from the server printhost.
Look in the System →Administration menu for the Printing application. Select the menu item to start the application.
The printing configuration application shows you the printers you have already installed. If you haven’t installed any, the printers panel is empty.
You can install all of the printers on printhost at once by altering the server settings in the printing application. Open the Settings in the Server menu.

In the Server Settings panel, click on Advanced Server Settings to show extra options including Browse Servers.
Click the Add button in the Browse Servers section and type the name of the server – printhost.cs.cf.ac.uk. Click Add again and then OK to permanently add printhost as a print server destination.
Your laptop will browse for printers on printhost and they will (gradually) appear in the printing configuration panel. The printers are also available to all applications on your laptop and they will be listed when you use an application’s Print option. Remember that undergraduates and masters students should print only to the Teaching Laboratory printers tl1 lw, tl2 lw, tl3 lw and tl4 lw.

Testing the connection
If you double-click on a printer icon in the configuration panel, the Printer Properties window opens. You can use this to send a test page to the printer.
When you send a print from Linux, a printer icon appears in the top menu bar. Use this to open the print monitor. You should see the queued print in it. It will disappear from teh que once the print has been sent to the printer.
