Mountain Home Public Schools is accepting bids until 3:00 p.m., Thursday, April 14, 2011, for the purchase and/or lease/purchase of copiers, per specifications, to be installed at various school district buildings. Bids should specify both purchase and lease/purchase prices. Bid must be submitted on a district bid sheet and submitted in a sealed envelope by the above time to: Ann Harned, Business Manager Mountain Home Public Schools 2465 Rodeo Drive Mountain Home, AR 72653 Bids will be opened at 3:00 p.m., Thursday, April 14, at the Mountain Home Public Schools Central Office, 2465 Rodeo Drive. Mountain Home Public Schools reserves the right to accept or reject any and all bids. Any variance from the bid specifications is justification for rejection of bid. Maintenance Specifications: 1) Per copy guaranteed cost on 10,500,000 copies per year for three years. Mountain Home Public Schools will guarantee 9,500,000 copies per year. Life of contract is three (3) years, to begin May 1, 2011.
2) Billing for the guaranteed copies and equipment will be annualized over a twelve month period, with billing on a quarterly basis. All costs of maintenance, parts (including drums), labor, developer, toner, and supplies (excluding paper and staples) for three years. Cost of maintenance includes travel costs. 3) Guaranteed maintenance response time, maximum 24 clock hours. If machine is down and expected down time is more than two (2) consecutive working days, a replacement machine will be installed or the contract is void. More than twelve (12) days down time overall per year will be cause for replacement of machine with a comparable machine. Notification of a planned machine down-time must be received by the school 24 clock hours before the scheduled outage. 4) Copiers must be delivered, set up in individual buildings and an in-service conducted for the staff within three weeks after bid approval. 5) Copiers must be serviced and ready for use by the faculty each August 1st. 6) Guaranteed clarity of copy.

(2) I am fully aware of the facts and circumstances surrounding the making of the bid to which this statement is attached and have been personally and directly involved in the proceedings leading to the submission of the bid. (3) Neither the bidder nor anyone subject to the bidder’s direction or control has been a party: a. To any collusion among bidders in restraint of freedom of competition by agreement to bid at a fixed price or to refrain from bidding; b. To any collusion with any state official or employee as to quantity, quality or price in the prospective contract, or as to any other terms of the prospective contract; or c.
In any discussions between bidders and any state official concerning exchange of money or other thing of value for special consideration in the awarding of a contract.
(4) I hereby guarantee that the specifications outlined in the bid shall be followed as specified and that deviations from the specifications shall occur only as part of a formal change process approved by the Board of Directors of the school district.
