Introduction MobileView Depot Manager is a web based software solution running from a central server on the network. Install and upgrade programs run securely and are monitored using the Depot Manager software. Video files can be managed, played, and saved using this software. These files can be downloaded and archived as evidence. The Depot Manager allows users to easily manage automated tasks across multiple depots and multiple video recorders installed on transit vehicles remotely using a standard web browser. Depot Manager Overview Navigate Depot Manager using the menu on the left side of the Depot Manager window. Depot Manager menu options: • • • • • • • • • • • • • Dashboard: Displays latest performance indicators for the overall system. Users: Create, delete, and edit users and assign permissions. User Groups: Create, delete, and edit user groups and assign group permissions. Depots: Manage depot properties and display the status of the depot servers. Devices: Manage devices and display device synchronization status. Configuration library: Manage device configuration profiles. Firmware library: Manage the firmware repository. Diagnostics: Lists downloaded diagnostic information for the devices. Camera checks: Display the current and reference image for all cameras. Tasks: Schedule video downloads, search and configure tasks, and monitor tasks progress. Video downloads: Manage the list of all downloaded video files. Maintenance cases: Maintenance logs problems with the devices or system and tracks the progress of a case. System settings: Configure the global parameters of the system. Depot Manager User Guide 7 Introduction Supported Browsers • • Microsoft Internet Explorer 9, 10, 11 Google Chrome 34+ Licensing The software is licensed per server. Three types of licenses can be used with the Depot Manager: • • • Global: For the Master Server, controls the replication. Depot Server: Controls the connection to the devices. Maintenance Cases: Controls the maintenance cases. The initial license is a 120-day evaluation. When the license expires, the background services stop and maintenance cases cannot be created or edited. The current data is available for viewing only. Additional data is not received. Purchase a License To purchase a license, click the triangle icon located on the Depot Manager window. The purchase license form displays. For assistance, contact: 1-855-MOB-VIEW (662-8439) or e-mail at [email protected]. Provide a license key when contacting customer service. Log in to the System The default username and password for the Depot Manager Administrator is: • • Username: admin Password: admin123 Change Password Select the user name to open the profile page. After logging in, change the password to a unique password. Use at least 8 alpha numeric characters. If this is a new system, the Change Password page will display automatically. Dashboard When the Depot Manager web page opens, the Dashboard displays by default. 8 Depot Manager User Guide Dashboard The Dashboard displays general diagnostics of the system and varies depending on the user permissions assigned by the System Administrator. Users can move the placement of the modules in the window based on their personal preference. Depot Manager User Guide 9 Introduction 10 Depot Manager User Guide CHAPTER 2 Devices Devices are located on vehicle and are not permanently connected to only one depot. Devices can be managed and updated using an available depot using Depot Manager. Use Depot Manager to configure firmware, and updates. Device updates rely on the connection availability of Depot Manager. Available Devices Click Devices on the main menu to view available devices. Connecting to a Device Only connected and online devices can be managed. 1. 2. 3. Click Devices on the main menu. Available devices display. Click the arrow to the right of the desired device name to open the drop-down list. Click Connect. MobileView Navigator opens and the devices videos display. Rebooting a Device Functions that are interrupted may require a reboot. When rebooting a device, it will reboot instantly if there is a current connection, otherwise it will reboot upon the next check-in at a depot. Reboot the device: 1. 2. 3. 4. Click Devices on the main menu. Click the arrow to the right of the desired device name to open the drop-down list. Click Reboot device. The device reboots. Click the arrow to the right of the desired device name to open the drop-down list. Click Properties. The properties of the device display. If any changes are made to the properties, click Save before closing. Configuring a Device Configure the individual device properties: 1. 2. 3. 4. 5. 6. Click Devices on the main menu. Click the arrow to the right of the desired device name to open the drop-down list. Click Configure device. Configure the camera, recording, and video settings for the device. Adjust the video brightness, contrast, and color. Click Copy to save this configuration to other cameras. Click Schedule Configuration or Save as Template. Firmware library Firmware can be uploaded to Depot Manager and installed on a single or multiple devices.Upgrades can be performed in bulk to many similar devices at the same time or scheduled for a future time. Firmware is stored in a library and can be installed on a single device or uploaded to identical devices. Note: 12 The user is responsible for uploading the firmware before it can be used with devices. Depot Manager User Guide Devices Installing Firmware to Single Device 1. 2. 3. 4. 5. Click Devices on the main menu. Click the arrow to the right of the desired device name to open the drop-down list. Click Upload firmware. Click Browse to locate the firmware, click the firmware, and click Open. Click Upload. The firmware installs on the device. Installing Firmware to Multiple Devices To install firmware on multiple devices, create a firmware template: 1. 2. 3. 4. 5. 6. 7. 8. 9. Click Firmware library on the main menu. Click the addition-sign icon. Enter a Template Name and Description for the firmware template. Click Device type from the drop-down box. Click Browse and browse to the location of the firmware to install. Click the drop-down list by selecting the down arrow. Click Schedule. Select the devices to upload the firmware to by selecting the check boxes, and click Schedule. Firmware installs on the selected devices. Devices Devices are digital video recorders installed on a vehicle fleet. The Depot Manager finds devices automatically, though there may be instances when a manual configuration is needed for unknown devices. Auto Discovery Add Device Devices on the network are automatically discovered when the server starts. Newly discovered devices will always show up in the unknown device list. This is done to assure the active list remains unchanged until the new one is configured. 1. 2. 3. 4. Click Devices on the main menu. Click More and select Manage unknown devices. Only the Administrator has access to add devices. Click the check box located next to the name of the found devices to add. Click the circled check mark to add to the active list. The list of devices displays. If the device is supported, the system recognizes and adds to the unknown devices list. If a particular device does not display, it is not a supported device. Online devices have a green icon, offline non connected devices have a gray icon. For more information, refer to Manage Unknown Devices on page 14. Depot Manager User Guide 13 Devices Add a Device Manually A device that is not discovered automatically usually because of network limitations, can be added manually to the system. To do this, the device name, IP address, and network port setting are needed. These attributes should be verified with the System Administrator. 1. 2. 3. 4. Click Devices on the main menu. Click the addition-sign icon. The Add device page appears. Enter information for the device. Refer to the device documentation for configuration specifics. Click Save. Manage Unknown Devices If a device is discovered by the system and not configured, it displays as an unknown device. 1. 2. 3. 14 Click Devices on the main menu. On the right side of the window, click the More drop-down list. Click Manage Unknown Devices. Depot Manager User Guide Devices 4. A list of unknown devices display. a. Add device to active list: A device in this list is set to active and can be used. b. Add device to black list: A device in this list is ignored by the system. c. Delete the device: This option deletes the device from the system. Configure Device Properties Configure properties for a device: 1. 2. 3. 4. 5. Click Devices on the main menu. Click the arrow to the right of the desired device name to open the drop-down list. Click Properties. The current configuration of the device displays. Configure the connection, details, and capabilities on the Properties window. Click Save. Upload Configuration File A device configuration template can be created, assigned, and used to quickly configure multiple devices. To create a device configuration template: 1. 2. 3. 4. Click Devices on the main menu. Click the arrow to the right of the desired device name to open the drop-down list. Click Upload Configuration File. Configure the device options and click Save as Template. The following is an example of how the window may look, depending on the device. Depot Manager User Guide 15 Devices 5. Enter the name and description of the template and click Save. The template is created. To create a bulk device configuration template: a. Select the template on the Device configuration menu. b. Click Schedule from the drop-down list. The Bulk Configurations window appears. c. Devices can be configured using the template. Select the devices to apply using the template and click Schedule. d. A created task applies the configuration of the devices, and the status changes to online. Applying Configuration to Multiple Devices A device configuration template can be used for a single device, or it can be applied to multiple devices. 1. 2. 3. Follow the instructions to Upload Configuration File. Click Schedule from the drop-down list. The Bulk Configuration window appears. Select multiple devices. The configuration will be scheduled and uploaded to the devices. Configuring a Device A configuration can be uploaded and applied to a specific device. 1. 2. 3. 16 Click Devices on the main menu. Click the arrow to the right of the desired device name to open the drop-down list. Click Configure device. The Configure device window displays the current configuration. Depot Manager User Guide Devices 4. 5. Use the tabs to configure specific options for the device. After changes have been made, click Schedule Configuration. The changes are not effective immediately. When the device becomes online or auto discovered, the changes upload to the device. Creating a Configuration Template Changes to a configuration can be saved and used as a template. 1. 2. 3. Follow the Configuring a Device steps. At the last step, click Save as Template. Enter a name and description for the configuration template. It saves to the device configuration library. From there, it can still be edited or scheduled for a device or multiple devices. When scheduled, the configuration automatically uploads when the device appears online. Create a Black List A black list is used to ignore a device. This is useful when using multiple depots operated by separate administrators or if certain devices need to be assigned to certain servers. To create a black list: 1. 2. 3. 4. On the Devices main menu, click the More drop-down list. Click Manage black list. Click a device and click the thumbs-down icon to add the device to the black list. The Devices Black list window appears. Select the depot to add the black listed device to and click OK. Depot Manager User Guide 17 Devices 18 Depot Manager User Guide CHAPTER 3 User Permissions and Groups Security credentials are used to log in to Depot Manager and provide the appropriate amount of information based on the user. Users can also be identified categorized and given permissions based on user groups. All permissions are defined by System Administrator. The currently logged in user will display on the main window of Depot Manager and the option to logout is located next to the user name. Users The System Administrator creates users with groups of individuals. Users can access and configure the system based on permission levels. An administrator has the ability to add, edit, delete, deactivate, and reset users in the system. Add User 1. 2. 3. 4. 5. Click Users on the main menu. Click the addition-sign icon. Enter the account information for the new user account. Account information includes user name, password, e-mail address, and phone number. Click Create. The user is created and the Edit user page appears. Use the Edit Username page to edit user permissions. IMPORTANT: The user is usually prompted to change their password upon login. To reset the password answer a challenge question. When a user is created and their e-mail address is entered, the user receives an e-mail notifying them of their username and password. If an email is not received, the server may not have configured with a valid mail server setting. If the setting has been verified with the System Administrator, emails may be queued or sent to the junk mail folder. Create User Permissions 1. Click Users on the main menu. Select permissions to be applied. Permissions can be applied globally, by specific depot, or by device. Select the global, depot, and device permissions for the user. This allows the user to have privileges to everything (Global), the entire Depot, or per Device. Click Save. User Groups User Groups allow the System Administrator to assign the same permissions to multiple users.by assigning them to groups. These groups also have their own security permissions. Any users assigned to a group will assume the permissions assigned to it. The following user groups are added by default and can be changed. • • • Admin: System Administrator. This is typically assigned to someone responsible for administering the system, assigning users, and managing the server. Maintain: Vehicle Maintenance Personnel. These users are typically responsible for maintaining the video surveillance system and responsible for device updates and camera servicing. Investigate: Video investigation personnel. These users are typically responsible for downloading video evidence, looking for incidents, and providing information to legal claims. Note: 20 A user can only belong to one group. System settings and video downloads are secured and protected against unauthorized access using customizable user accounts. Settings can be modified and changed using the following information. Depot Settings To configure the Depot Settings: 1. Select Depots on the main menu. 2. Select the arrow to the right of the desired device name to open the drop-down list. Select Settings. 3. Users must be granted access to manage the system settings for a single depot or multiple depots. Depot Manager User Guide 23 System Settings Administration The Administration tab is used to enable task scheduling. It is also used to configure the e-mail notification list to be used when the master server in unreachable. SMTP The SMTP tab is used to specify the SMTP server for single or multiple depots. Auto Discovery The Auto Discovery tab is used to configure the IP address for the auto discovery of devices in the depot. Default IP addresses can be multicast, broadcast, or unicast. Multicast To configure the system to discover devices using multicast, ensure the server and all devices are configured to the same multicast address. The valid multicast range is: 224.0.0. to 239.255.255.255. MobileView DVR's are configured to use 230.1.1.1 port 1601 by default. Multicast can only be used on flat networks where the server and devices are sharing the same subnet with no routers in between. Unicast To configure the system to use unicast, configure all devices and this value to match the server's assigned IP address. Unicast is typically used when multiple networks are used with a router in between. Any port is valid as long as it is not being used on the network. The IP address can be found in the server network settings. Broadcast The broadcast address is 255.255.255.255 24 Depot Manager User Guide Depot Settings Download Video The Download Video tab is used to configure rules for downloading video. • • • • The number of simultaneous downloads allowed. The number of retry attempts allowed before a failure is reported. E-mail notifications for auto downloads. The use of primary or secondary video streams with auto downloads for events created on the DVR. For instance, the System Administrator may want to save a 10 minute clip every time someone pushes the tag button. Primary downloads are higher quality and larger in size. The alternate stream is low quality and smaller is size. Auto Download Auto Download is located on the Download Video tab and is used for primary and secondary streams. The secondary output is a low bit-rate and low quality and fast. Auto Download is triggered by an event. Diagnostics The Diagnostic tab is used to configure the number of days diagnostic data is kept in the system. Configure e-mail notification rules for the diagnostic data. E-mail notifications can be set for: • • • • • • Cameras in video loss Inputs active Recording status Fan status Camera check Disk status Depot Manager User Guide 25 System Settings • 1. 2. 3. 4. Disk temperature Select the Diagnostics tab. Click the items of notification. Enter an e-mail or e-mails for the notification list. Click Save. Video Storage The Video Storage tab is used to determine where extra disk space is retrieved from when it is below the default thresholds. Camera Checks Camera checks captures daily reference images ensuring proper operation of on board vehicle cameras. Use the Camera checks tab to manually verify the cameras have not moved or has been vandalized. When a camera check is scheduled, manually approve or disprove the image on the Camera checks menu. Camera check diagnostics also attach to maintenance cases. For more information, refer to Create a Maintenance Case page 33 Logs The Logs tab is used for maintenance and to configure how long device log files are saved. Audit The Audit tab is used for maintenance and to configure how long audit data is saved. Depot Properties Edit depot properties to change the depot name, connection information, and video repository information. Edit Depot Properties 1. 2. 3. 4. Select the Depots main menu. Select the arrow to the right of the desired depot name to configure Select Edit. Make any necessary changes to edit the depot. Note: 5. Changing primary or secondary video repository requires restart “DM Depot Server Server” for the depot. Manually move the data files from the old Video Repository to the new Video Repository. Click Save. Show Depot Devices To view devices assigned to the selected depots: 26 Depot Manager User Guide Replicate Depots 1. 2. 3. 4. Select Depots on the main menu. Select the arrow to the right of the desired depot name. Select Show devices from the drop-down list. View the devices assigned to the selected depots. Replicate Depots 1. 2. 3. 4. Select Depots on the main menu. Select the arrow to the right of the desired depot name to replicate. Select Replicate Now. The system sends a request to begin the sync for replication. Delete Depots 1. 2. 3. 4. Select Depots on the main menu. Select the arrow to the right of the desired depot name to delete. Click Delete. Video requests are not deleted from the system. Click OK to confirm the delete. System Settings To configure the system settings: 1. 2. • Select System settings on the main menu. System settings tabs display: – Administration – SMTP After changes have been made, click Save. Administration Use to connect to devices using a host name. The depot replication interval is used to configure the timing interval of depot replication and is set in minutes. SMTP The SMTP tab is used to configure the server to enable e-mail notifications. Depot Manager User Guide 27 System Settings About Open the main menu and click About. View information regarding the current version, and information about the license. The Technical support phone number and email are also displayed on this window. System logs System logs display the latest logs for a depot. Select to receive one of the following for the selected depot: • • • Errors Errors and warnings All message types Update branding information Use to add a company name and logo to Depot Manger. Both fields must be edited at the same time. Depot Server Installer Download Use to download the installer for the Depot Server. Use this option when multiple depots are going to replicate back to this system. This link is very useful when provisioning multiple servers at different locations. Do not use this option unless the remote machine is going to act as a depot server and a license key is available. Video Player Installer Download Use to download the installer for the video player. Use to install new players from the server. 28 Depot Manager User Guide CHAPTER 5 Video The Depot Manager Navigator is used to view video from a device or from a file downloaded on the server. Video evidence can be downloaded and archived quickly and easily through a wireless network. Downloading the events containing evidence without removing hard drives improves fleet operation and reduces manpower. Note: For a more complete understanding of Navigator, refer to the MobileView Navigator 2.3 User Guide. Video Downloads The video repository allows users to search the database for stored video based on specific date ranges. Selecting Video downloads from the Depot Manager main menu opens the Video Files List window. Search based on automatic downloads of events or on requested downloads. The video repository screen lists the available video files. A bell icon next to the video indicates an automatic event or alarm. Opening Live Video: 1. 2. 3. 4. 5. Open Devices on the main menu. Select the drop-down list for the desired device. Select Show Live Video to view live video. The live video(s) play in the viewing pane. Click Back to list, located at the bottom of the viewing pane, to return to the previous menu. View Video 1. 2. 3. 4. Select Video menu on the main menu. Select the video file drop-down list. Select the video file drop-down arrow on the Video menu. Select Open in Viewer. The video opens in the viewer. Click the photo icon on the video toolbar. The Generate Image Log window appears. Browse to a save location. Enter the start and end time of the generated image log. Select the time interval to save images. The interval displays in seconds. Select the cameras to generate image log. Click Start. Synchronous Download A synchronous download downloads video for all channels for viewing. 1. 2. 3. 4. 5. 6. 7. Click Tasks on the main menu. Click on the addition-sign icon. Enter the device and task name. Enter the desired time for the video. Click Alternate stream. Download to alternate stream for faster downloading. Specify any other notifications. Click Save. Video is generally scheduled during the day to be downloaded automatically at night. Use MobileView Navigator to view downloaded video. Video Related Tasks Refer to the MobileView Navigator User Manual for additional video related tasks. Tasks Scheduled tasks and video download requests are added by users with the correct permissions. Opening the Tasks option on the main menu displays scheduled downloads, automatic downloads, device configuration, uploaded firmware, bulk configuration, and bulk firmware. 1. 2. 3. 30 Select Tasks on the main menu. In the right corner of the window, click Task Type. Select tasks to display from the drop-down list. The desired tasks display. Click the addition-sign icon to open the Schedule Video Download window. Enter the desired device to download the video from in the Device field. Add a short description in the Task Name of the event being requested. Select the date and time of the video being requested. Use the Start time and End time fields, Select the download Priority. Select the quality of the video stream in the Stream Download field. Primary downloads are higher quality and larger in size while Alternate stream is low quality and smaller is size and faster. Enable the Audio check box if audio is downloaded and is enabled on the vehicle. Enable the Maximum file size check box and enter the maximum allowable megabytes to limit the size of the video. Select the download cameras. Click Save. Open the Task list, the video title, information, and status of the download displays. From the file drop-down list, click Open in viewer. Search Tasks Users can search created tasks: 1. Select Tasks on the main menu. 2. Configure the search parameters on the Tasks menu. Depot Manager User Guide 31 Video 3. 4. Click Search. Tasks matching the search display. Bulk Downloads You can download up to ten vehicles using the same mode. This is includes requesting bulk downloads of selected items, uploading a bulk requested file, or downloading a bulk template. 1. Select Tasks on the main menu. 2. Click Bulk Download. Select Vehicles. Click OK. 3. 4. 32 Depot Manager User Guide CHAPTER 6 Maintenance and Diagnostics Maintenance of devices on vehicles can be grouped, tracked, and scheduled to keep track of repairs. A maintenance case is used to collect data about the repair or incident and it is then tracked using the Dashboard where both open and closed cases can be viewed. Automatic email notifications can be sent to single or multiple depots when maintenance is needed or events have taken place. Use the following section to optimize fleet operations. Maintenance Cases Maintenance cases allow users to track vehicle uptime. This system allows users to attach video, audio, GPS coordinates and vehicle health diagnostics. Maintenance cases are created and assigned to users when devices have problems. Create a Maintenance Case 1. 2. 3. 4. Select Diagnostics on the main menu. Select the desired device for creating a maintenance case by placing a check before the device name. Click Create new maintenance case. Configure the maintenance case information. a. Enter a title for the maintenance case. b. Assign the case to a user. c. Assign a priority. d. In the Device Title field, enter the name of the desired device for creating a maintenance case. Camera checks for devices are automatically assigned. e. Click Attach camera checks to include camera or click Remove camera checks to remove the camera checks from the maintenance case. f. Add any relevant notes. g. Attach diagnostics if desired. h. Assign the maintenance case to a specific person if desired. Depot Manager User Guide 33 Maintenance and Diagnostics Click Save. Users can view their maintenance cases on the Maintenance cases menu or on the Dashboard. i. 5. Opening Maintenance Cases The maintenance personnel can review and edit the maintenance case to fix any noted issues. 1. 2. 3. 4. Select Maintenance cases on the main menu. A window displays for the maintenance personnel to view and edit issues. When completed, select the status option and change the status to Fixed. If the case is not resolved, it can stay Open or be reassigned to someone else by using the Status drop-down list, Edit the Priority if needed to Low or High. Health Diagnostics Each time a device connects to a depot, the health diagnostics are downloaded to the device. A log file also downloads and can be viewed. This is done automatically the first time it is connected within a 24 hour per day time period. Running Current Diagnostics on Demand To view the latest diagnostics for a device: 1. 2. 3. Select Devices on the main menu. Select a device name and open the drop-down list. Select Run Health Diagnostics This option is only available if the device is online and creates an up to date diagnostic list. Viewing Diagnostics 1. 2. 3. Select Diagnostics from the main Depot Manager window. Select arrow to the right of the desired device to open the drop-down list. Select Details for the device. A new window displays the Health Diagnostics. 34 Depot Manager User Guide Health Diagnostics 4. Search the diagnostics to send a report when specific alarms occur. From the top right corner of the Diagnostics window, click the check box for the desired alarms: – Cameras in alarm – Fan failed – No disk – Cameras in video loss – Disk failed – Disk temperature > 50 degrees Celsius Note: Set email notifications for any of the above by making selections on the Diagnostics tab of the Depots main window. Identifying Latest Diagnostics Time Health Diagnostics run the first time a device is connected or becomes online. The last run diagnostics for a device is located on the Diagnostics main window., Next to each device name, a date and time of the last checked diagnostics is displayed. Downloading Health Diagnostics The Health Diagnostics can be downloaded to an Excel spreadsheet. 1. 2. 3. Select the Diagnostics option on the main menu. Select the download arrow icon. The report opens in Excel. Save the report. The report can be emailed or saved if needed. Creating a Log File 1. 2. 3. Select Device on the main menu. Locate the desired device and open the drop-down list. Select Get device log from repository. The log file downloads from the device. This information is important for maintenance personnel. Depot Manager User Guide 35 Maintenance and Diagnostics Reporting The reporting option allows you to choose from the type of report, duration of time needed for the report, and the vehicles to include int he report.
