Learning Objectives
As the System Manager, you will need to establish system settings and configuration options before you start to use IntelliSpace Perinatal to track and monitor patient data. Thoughtful consideration regarding what data criteria will guide end-user charting is required. In this module, you’ll learn to access the System Administration toolbar and navigate to the Philips Configuration and System Manager’s Configuration information. We’ll review the system information and settings on the Philips Configuration tab and we’ll review the configuration decisions you will make in the System Manager’s Configuration. Our focus will be on the configuration of the trace display settings, flowchart settings, patient identification requirements, and signature requirements.

System Manager’s Configuration
Philips Configuration
This is the System Configuration toolbar. We’re going to focus on the Philips Configuration and the System Manager Configuration. Let’s begin by talking about the Philips configuration. Click on the Philips Configuration Icon.

Philips Configuration
The Philips configuration screen provides you with information about your version of IntelliSpace Perinatal. This page is read-only unless you are logged in as a Philips User. System Information System Settings
STAN Enabled Product Order Information System Specific Information
The system information section on the left side of the screen provides information regarding your specific version of IntelliSpace Perinatal including the software revision and build number. System Settings tells you what options have been installed on your system. This area also includes the maximum number of licensed PC-based and remote desktop clients that are installed and whether or not ST Analysis (STAN) is enabled for Neoventa etal Monitors. A Neoventa STAN monitor can be interfaced to IntelliSpace Perinatal to provide fetal CTG ST analysis information. This box will have a checkmark if your system is STAN-enabled. The section contains the information you will need when calling the Philips Customer Care Center. Your Philips team will update the Product Order Information during a system install or upgrade. The number that appears in the Maximum number of open pregnancy/newborn documentation field is your system limit. The number beneath it identifies your current number of open pregnancy or newborn documentations. The number that appears in the Maximum number of episodes field is your system limit. The number beneath it is your current number of episodes.

General Tab
Click on each of the markers to learn about the configuration decisions made in this part of the System Manager’s configuration. Display in Patient Panel
This option provides you with a choice of what type of patient ID to show in the patient panel. In addition to the patient name and date of birth, you must choose to show either the patient’s Medical Record Number, the Patient ID Number or Social Security Number. This selection may not be left blank.
Patient Record Access Control
If you enable the Foreign care unit access warning for open episodes, if a user attempts to access a care unit to which they are not registered, they will receive a warning that their actions are being recorded in the System Audit Trail. Similarly, if you enable the Closed episode access warning, if a user attempt to access a closed episode for which they do not have permission, they will receive a warning that their actions are being recorded in the System Audit Trail. The user should continue only if they have a reason to view this information.

Auto Close
Choose in which situations and in which timespan an episode or pregnancy is automatically closed. You can select to automatically close an episode after a discharge in a timespan from 1 day to 1 month in several increments. Click on the dropdown list to see the list of choices. Never auto close is indicated by the triple dashes. You can automatically close a delivered pregnancy in a timespan of 1 to 100 days, and an undelivered pregnancy in a timespan of 1 to 300 days, after the last episode was closed.
Print of FM Paper
This feature allows the System Manager to determine what patient identification detail will appear on the paper trace. You can choose none, bed label only or bed label with patient name. This information will print below the paper speed and scale when the trace is started or restarted after a pause.
Units of Measurement
This section defines the default unit of measurement for Temperature and Weight on the flow chart.
Click on the Export Configuration button.
The Export Configuration Data dialog gives you two options to export your system configuration. The top half of the dialog box enables you to save the system configuration to a text file. With this information, the System Manager can track when changes have been made to the IntelliSpace Perinatal configuration. The bottom half of the dialog box enables you to save specific parts of the system configuration to .csv files. This may helpful when you need to keep track of larger lists such as HL7 Lab mappings or very large user lists as this data can be easily sorted in Excel. Click the Save button before leaving this tab, to save your changes. Click the Undo tab before you save the changes to remove any changes you have made.

Trace Display Tab
The Trace Display tab allows you to customize what you see on various trace displays. Let’s explore these trace displays. Click on the markers on the screen to explore the various configurable parameters for the trace display. The Next button will be disabled until you explore all of the marked parameters.

Single Trace Display
You can customize the single trace display to: Show the area of normocardia. The gray horizontal bar on the single trace display reflects the inner tachycardia and bradycardia alarm limits (not the severe limits). IntelliSpace Perinatal alarms when a trace goes outside this area for the configured time delay. Show fetal heart rate numeric. The Single Trace display shows the current fetal hear rate of each fetus in the upper right corner of the trace. If there are multiple fetuses, there will be multiple fetal hear rate numeric. Each numeric will correspond to the color of the respective fetus tracing.

Show the notes banner.
Notes Button Icon with indicator showing more than 3 notes
The Single Trace Display can be configured to show three lines of notes, remarks, and events associated either with an alarm, or entered notes in the notes banner. A note button icon indicates there are notes documented at a specific time corresponding to the trace. If more than three notes are contained in a note button, an indicator symbol will designate to the user that more text is available. The notes can be customized and prioritized. The three notes with the highest priority are shown in the Notes Banner.

The profile trace display is the trace section of the patient profile, used for viewing only and therefore without controls. You can customize the profile trace display to: • • • • •

The Multi-Bed Overview allows you to view traces for multiple patients simultaneously. You can configure the multi-bed overview to: • • • • •

Compressed Trace
The Compressed Trace helps you identify trends. The compressed trace display shows three hours of trace data on one screen. Click on the compressed trace icon at the bottom of the single trace screen to bring up a compressed trace.

Notes Banner and Note Icons
By default, the Notes Banner shows only standard notes. Click on the Visible Elements window to scroll through all the standard notes that can appear on the Notes Banner. The Notes Banner can be configured to show a selection of custom charting elements. Select the notes that you want to see on the notes banner from the Available Elements window. Use the right arrow button to move elements from the Available Elements window to the Visible Elements window. Similarly, to remove elements from the Visible Elements window, use the left arrow button. Alternatively, you can double-click on the element to move it from one window to the other. You cannot remove the standard notes from the Notes Banner. Let’s move Glucose over to the visible elements on the notes banner. Select Glucose by clicking on it.

Glucose is will now appear in the Notes Banner. The Visible elements window allows you to prioritize what is seen on the Notes Banner by dragging and dropping the element to whatever position you desire in the list. (they’ll be a video demonstrating this). Click the Save button before leaving this tab, to save your changes. Click the Undo tab before you save the changes to remove any changes you have made.

Flow Chart
The Flow Chart options allow you to define whether users are required to acknowledged fetal monitor or CTG entries. Fetal monitor entries include the maternal parameters of noninvasive blood pressure, heart rate and SpO2 obtained from the fetal monitor. These values will automatically populate the maternal flow chart. CTG derived entries refer to elements that are configured to be automatically charted. IntelliSpace Perinatal calculates then places fetus and contraction data in the flow chart. It is the user’s responsibility to confirm the accuracy of data and to acknowledge data elements that are automatically charted.

You can enable or disable the definition of charting elements. The Station scale provides you two different scales to document the fetal station within the maternal pelvis; plus or minus 5 and Hodge I through IV.

The final parameter on the Flow Chart tab is the Start time of fluid balance calculation for the day. This time selection is the start time to begin the input and output calculation for the daily 24 hour period.

Forms
The Forms tab focuses on mandatory patient identification fields and signatures. Click on each of the markers to learn more about these configurable parameters.
Mandatory Patient identification Fields Determine which fields are mandatory, and when they are mandatory. If you configure a field to be mandatory, then you select whether it is mandatory when the episode is closed or when the patient is created. Where an HL7 link is in place, a medical record number is required when the patient is created. The mandatory field that is configured as the HL7 identification field is identified by an icon symbolizing a link between the systems. For maternal patients, this is determined during setup and you cannot change it here. The maternal and newborn patient identification fields are shown in the graphic on the slide.

Some pages require an electronic signature. Enable the checkbox in the column labeled with the exclamation point if the user should be reminded that a signature is missing before closing the page. Enable the checkbox in the column labeled with the lock if the signature should lock the data to prevent further modification.

Hospital
Clinical Information Portal Button
Click on the markers on the Hospital Tab to learn more about the configurable fields.
Hospital Address The System Manager enters the legal name of the hospital and the full address. This information will be include in patient printouts from the Flow Chart, Non-Stress Test, Reports, and Fetal Monitor Strips.
Not Printed on Reports The remaining lines below the hospital address can be used for any system-related notes. For example, who to call for various issues or any other system information you wish to enter here as a way to communicate system-specific information to your institution.
Resource Book/Clinical Information Portal If your institution has any institution-specific documentation that it wants users to be able to access online, without exiting IntelliSpace Perinatal, enter the network address of the page to display when the user clicks on the Clinical Information Portal button.

Modifications and Updates to the System Manager’s Configuration Once you have established your system settings, IntelliSpace Perinatal provides you with the flexibility to modify your entries so you can adapt the system to the changing needs of your hospital. As the System Manager, it is important to keep a record of all configuration changes for review.
