tier database application that provides Securities Portfolio management in a simple to use interface. License Tangent Services Pty Ltd grants the user of the originally purchased program nonexclusive and non-transferable use of one copy of the program installed onto one computer system. Tangent Services Pty Ltd retains all title and ownership of the Software. A display with a minimum resolution of 1024 * 768 System Limitations The maximum database size is 2GB v M o P S U S E R G U I D E Installation MoPS can be downloaded from www.tangentservices.com.au/mops Simply click on the download link and save the file to your local drive. Once download, open the ZIP file and then run setup.exe to begin the installation Select Next and follow the remaing prompts to complete the installation. Once complete, a MoPS icon will appear on your desktop vi M o P S U S E R G U I D E The MoPS Log-In Screen Login Screen D ouble clicking the MoPS icon will present you with the MoPS login screen as per below Figure 1 - The MoPS login screen You can login to MoPS by selecting a portfolio from the drop down list, entering the relevant password (if set) and then clicking on the login button. 1 M o P S U S E R G U I D E The MoPS Main Menu MoPS main menu T he MoPS main menu appears once a user has successfully logged into a Portfolio. You can access the various features in MoPS via the 3 menu buttons on the menu bar and seven menu buttons on the main form Figure 2 - The MoPS main menu The Menu Bar 1. Menu Bar - Close – Close the MoPS application 2. Menu Bar - Administration a. Portfolio Administration – Create new Portfolios, rename Portfolios, delete Portfolios and set password b. Import Data – Import Buy transactions and Dividend statements from excel 3. Menu Bar - About – Display version and licensing information 2 M o P S U S E R G U I D E Securities Register The Securities Register is the central element of the MoPS system. Any transactions that you make in MoPS can only occur on Securities that exist in the Register. To add, edit or delete Securities, you need to click on the Edit button. Figure 3 - Securities register in edit mode Adding Securities In edit mode, you can add a new Security to the Register by clicking the Add from ASX List button or the Add Manually button. Clicking the Add from ASX List button presents a live list of ASX Securities (requires Internet connectivity). You can then simply click the relevant Add button to add the Security into your Securities Register. Figure 4 - Add from ASX List Clicking the Add Manually button prompts you to manually enter a Security Code. This can be an ASX or non ASX code. 3 M o P S U S E R G U I D E Renaming Securities In edit mode, you can overtype values in the Securities Register for Security Name, Unit Price and Notes by simply over typing in the relevant field The Security Code can only be changed by clicking the Rename Button. Clicking this button will prompt you for a new Security Code. Deleting Securities In edit mode, you can delete a Security from the Register by clicking the Delete button. You can only delete Securities that have no transactions against them. You can select to hide any Security from the Register and drop down lists by ticking the relevant Hidden checkbox. You can select to view these Securities again by ticking the Show Hidden Securities checkbox. Figure 5 - Hiding securities from the register 4 M o P S U S E R G U I D E Saving Securities Clicking the Save button will commit changes to the database. Updating Security name and market prices If you have an Internet connection, you can attempt to update your security names (from ASX) and unit prices (from Yahoo Finance) via the Internet Update facility. This is subject to the availability of the relevant web site. Figure 6 - Internet updates of ASX name and unit price 5 M o P S U S E R G U I D E Buy Transactions The Buy Transaction module allows you to search for and create new buy transactions. To create a new Buy Transaction, you need to click on the Add button. Figure 7 - Creating a new Buy Transaction Below is a summary of all the fields in the Buy Transaction screen and their purpose. Buy Date – The actual date that the buy transaction takes place Financial Year – The Financial Year for reporting purposes (calculated automatically from the buy date) Security – The Security on which the buy transaction is occurring (must exist in the Securities Register) Buy Method – Values can be MAR = Market Purchase, DRP = Dividend Re-investment, ADJ = Capital Restructure / Bonus allocation, OTH = Other purchase type. Buy Quantity – The quantity of units purchased 6 M o P S U S E R G U I D E Unit Buy Price – The price paid per unit Brokerage Fee, Stamp Duty, Other Fee(s) – Fees and duties paid to acquire the Securities. Remaining Quantity – This is initially the same as the buy quantity. The system will automatically adjust this value as Securities are sold. Capital Returns Per Unit (Read Only) – Any capital returns to which this parcel of Securities is subject to. This is applied automatically from the entries made in the Capital Returns module. Cost Per Remaining Unit (Read Only) – Takes the unit price and incorporates fees, duties and capital returns. Original Parcel Value (Read Only) – The original value of the security parcel (unit buy price * buy quantity) Original Parcel Cost (Read Only) – The transaction value of the original parcel (the original parcel value + any fees and duties incurred) Remaining Parcel Cost (Read Only) – The Remaining Quantity * the Cost Per Remaining Unit Buy Transaction Number – The unique tracking number associated with this transaction. Portfolio Owner – The Portfolio Owner Notes – A free hand notes area to record additional information. The system will also use this area when creating DRP transactions and stock adjustments. You can open a Buy Transaction by double clicking in the relevant row. You can then edit or delete the transaction by clicking the relevant button. Note that you cannot delete or modify a Buy Transaction if you have made a Sell Transaction against it. 7 M o P S U S E R G U I D E Sell Transactions The Sell Transaction module allows you to search for and create new Sell Transactions. To create a new Sell Transaction, you need to click on the Add button. Below is a summary of all the fields in the Sell Transaction screen and their purpose. Sell Date – The actual date that the transaction took place Financial Year – The Financial Year for reporting purposes (calculated automatically from the sell date) Security – The Security on which the sell transaction is occurring (must exist in the Securities Register) QTY available – The total quantity of available units for the selected security Select Parcels to Sell – Shows all the buy parcels that have available units for the selected security Buy Date (Read Only) - The date that the original buy transaction took place Unit Cost (Read Only) – The Cost Per Remaining Unit for the buy transaction Available QTY (Read Only) – The Remaining Quantity for the buy transaction Sell QTY – User selected quantity to sell 8 M o P S U S E R G U I D E CGT Discount Applicable – Is selectable if the buy transaction has been held for more than one year. Can be deselected if required (i.e. if the holdings are not subject to the CGT discount) Select All Button – Populates the Sell QTY with the Available QTY in the selected parcel Select All Securities Button – Select the Available QTY for all parcels Unit Sell Price – The sell price per security Brokerage Fee, Other Fee(s) – Fees and duties paid to sell the securities Average Unit Sell (Read Only) – The Unit Sell Price incorporated with any fees Qty this sale – The total quantity of securities being sold Parcel Sell – The Unit Sell Price * The Qty this sale Transaction Fee(s) – The total of Brokerage and Other Fee(s) Profit / Loss – The actual profit / loss made on this transaction. Sell Transaction Number – The unique tracking number associated with this transaction. Portfolio Owner – The Portfolio Owner Notes – A free hand notes area to record additional information. Sell Securities Button – Creates the Sell Transaction record and adjusts the associated buy transaction(s) remaining quantity. You can open a Sell Transaction by double clicking in the relevant row. You can then edit or delete the transaction by clicking the relevant button. Note that deleting a Sell Transaction will reverse the transaction against the relevant Buy Transactions. 9 M o P S U S E R G U I D E Dividends The Dividends module allows you to search for and create new Dividend Transactions. To create a new Dividend Transaction, you need to click on the Add button. Below is a summary of all the fields in the Dividend screen and their purpose. Payment Date – The date when payment of the dividend is made Financial Year – The Financial Year for reporting purposes (calculated automatically from the payment date) Record Date – The eligibility date for entitlement to the dividend Security – The Security on which the dividend is being paid (must exist in the security register) 10 M o P S U S E R G U I D E Payment Method - Values can be CSH = Cash, DRP = Dividend Re-investment Buy Transactions List (Read Only) – A list of the qualifying buy parcels that are eligible for the dividend Units Held at Record Date – A calculated quantity from the qualifying buy parcels. This can be manually adjusted (but shouldn’t need to be!) Dividend Rate – Dividend paid per unit Tax Withheld – Tax withheld from dividend payment Franking Rate – The franking rate (in percent) of the dividend Amount Franked - The amount of the dividend (in percent) that had been franked Dividend Amount (Read Only) – The payment amount of the dividend Franked Amount (Read Only) – The franked amount of the dividend in dollars Unfranked Amount (Read Only) - The unfranked amount of the dividend in dollars Franking Credit (Read Only) – The franking credits of the dividend Grossed Up Dividend (Read Only) – The dividend amount + franking credits Dividend Transaction Number - The unique tracking number associated with this transaction. Portfolio Owner – The Portfolio Owner Notes – A free hand notes area to record additional information Create DRP Buy Transaction button – Creates an associated buy transaction DRP Account Balance – The carried over DRP account balance DRP Available Funds (Read Only) - The payment amount of the dividend + the DRP account balance DRP Unit Buy – The DRP purchase price per unit DRP Allotment – The calculated DRP allotment Buy Transaction Number – The unique tracking number associated with the DRP transaction 11 M o P S U S E R G U I D E You can open a Dividend Transaction by double clicking in the relevant row. You can then edit or delete the transaction by clicking the relevant button. Note that deleting a dividend will automatically delete any associated DRP buy transaction. 12 M o P S U S E R G U I D E Capital Returns The Capital Returns module allows you to search for and create new Capital Return Transactions. To create a new Capital Return Transaction, you need to click on the Add button. Below is a summary of all the fields in the Capital Return screen and their purpose. Payment Date – The date when payment of the capital return is made Financial Year – The Financial Year for reporting purposes (calculated automatically from the payment date) Record Date – The eligibility date for entitlement to the capital return Security – The Security on which the capital return is occurring (must exist in the security register) Buy Transactions List (Read Only) – A list of the qualifying buy parcels that are eligible for the capital return. Units Held at Record Date – A calculated quantity from the qualifying buy parcels 13 M o P S U S E R G U I D E Unit Return – The capital return paid per unit Total Capital Return - Units Held at Record Date * Unit Return Declarable Income – If the unit return is greater that the unit cost of a qualifying parcel, the difference is taxable income. Capital Return Number – The unique tracking number associated with this transaction. Portfolio Owner – The Portfolio Owner Notes – A free hand notes area to record additional information. You can open a Capital Return Transaction by double clicking in the relevant row. You can then edit or delete the transaction by clicking the relevant button. Note that deleting a Capital Return will automatically adjust any associated Buy Transactions 14 M o P S U S E R G U I D E Capital Adjustment A Capital Adjustment can be run in MoPS to adjust your cost base and unit holdings in the following situations;  Demerger – Where a security holding is split into two or more subsequent holdings.  Bonus allocation / Dilution – Where additional units are allocated to you for no additional consideration.  Consolidation – Where the amount of units you own for a particular security is consolidated into a smaller holding. The information required to perform a Capital Adjustment should be provided to you by via a statement from the related company and /or a determination by the ATO. The Capital Adjustments module allows you to search for and create new Capital Adjustments. To create a new Capital Adjustment Transaction, you need to click on the Add button. Figure 8 - Example of a demerger 15 M o P S U S E R G U I D E Below is a summary of all the fields in the Capital Adjustment screen and their purpose. Adjustment Date – The date when the capital adjustment is made Financial Year – The Financial Year for reporting purposes (calculated automatically from the capital adjustment date) Original Security – The security which is the target of a Capital Adjustment. (This must exist in the Securities Register) QTY (Read Only) – The calculated quantity of selected securities available units New Security Structure – The new security structure Security – One or more securities that will be populated by the capital adjustment (must exist in the securities register) Allocated Quantity – The allocated quantity of securities Percent Value – The cost base allocation percentage (the total sum of this column must be 100) Apportionment Method; Parcel by Parcel – MoPS will create an associated buy transaction for every existing buy transaction Average Method – MoPS will create a single buy transaction Prepare Adjustment Button – Validates the proposed restructure Process Adjustment Button – Executes the proposed restructure Creating a Capital Adjustment Select the Security which is the target for restructure. Ensure that the calculated quantity agrees with your restructure statement. If the quantity is not correct, this needs to be resolved before proceeding. Create the New Securities Structure by selecting one or more destination Securities along with the Allocated Quantity and Percent Value. The destination Securities must exist in the Securities Register. 16 M o P S U S E R G U I D E Select the Apportionment Method and click the Prepare Adjustment button. If the proposed New Securities Structure includes the Original Security Code, then that Original Security Code (along with all its existing transactions) will need to be allocated a different code. MoPS will do this for you. Once the Prepare Adjustment is complete, MoPS will present a Proposed Apportionment table showing all the original buy transactions in orange and all the proposed new buy transactions with their new cost bases in purple. Figure 9 - Parcel by Parcel Apportionment 17 M o P S U S E R G U I D E Where a parcel by parcel apportionment produces an unreasonable cost base, the average method should be used. Please seek financial advice if you are unsure as to which method you should use. Figure 10 - Average Method Apportionment It is critical that you understand the Proposed Apportionment before proceeding. Here is the Securities Register after performing the Capital Adjustment. Note the original Security (Now called BHP.ORG) listing with available quantity now at 0 and the new BHP and BSL listings with their new quantities. 18 M o P S U S E R G U I D E Portfolio Administration The Portfolio Administration allows you to search for and create new Portfolios. To add, edit or delete Portfolios, you need to click on the Edit button. Figure 11 - Portfolio Administration in edit mode Adding Portfolios To add a new Portfolio, you can click the Add button. You will then be prompted to enter a new Portfolio code. This must be unique. Figure 12 - Add new Portfolio Editing / Renaming Portfolio In edit mode, you can overtype the value in the field Portfolio Name. The Administrator checkbox defines a user as having administration rights. The Administration Right allows the ability to access the Portfolio Administration screen and the Import Data screen. 19 M o P S U S E R G U I D E The Portfolio Code can only be changed by clicking the Rename Code Button. Clicking this button will prompt you for a new Portfolio Code. Deleting Portfolios In edit mode, you can delete a Portfolio by clicking the Delete button. You can only delete Portfolios that have no transactions against them. Set Portfolio Password In edit mode, you can set a password against a Portfolio by clicking the Reset Password button. Save Portfolio Clicking the Save button will commit changes to the database. 20 M o P S U S E R G U I D E Import Data Buy Transactions and Dividends can be imported into MoPS from excel spreadsheets. The spreadsheet must be in excel 97/2003 (.xls) format and have the relevant headers as shown in the examples below. The Security Code for the imported data must already exist in the Securities Resister Importing Buy Transactions Importing Dividends MoPS will check the import data to ensure it contains the correct data types. Figure 13 - Example of import errors 21 M o P S U S E R G U I D E Reports MoPS contains 4 built in reports 1. Buy Transactions This is a date driven report that will list all the Buy Transactions that occurred during a specified period of time. If run across all dates, it provides a total value for the cost of Securities held. Figure 14 - Example of Buy Transactions Report 22 M o P S U S E R G U I D E 2. Sell Transactions / Capital Gains Calculation This is a date driven report that will list all the Sell Transactions that occurred during a specified period of time. It will individually list each Buy Transaction that was debited by the sale. Dividend Summary Report This is a date driven report that will list all the dividend transactions that occurred during a specified period of time. When run over a financial year, it will calculate your Grossed-up income, Franking Credits and Tax Withheld that may be useful in completing your tax return. Portfolio Summary Report This report will calculate the current value of your portfolio based on the unit prices in the Securities Register. Figure 17 - Example of Portfolio Summary Report 26 M o P S U S E R G U I D E Activation Settings Figure 18 - The MoPS activation window The activation window allows you to apply MoPS licensing information. This information is supplied to you via email when a MoPS license is purchased. See an example email below. Figure 19 - Example of MoPS licensing email MoPS licensing details can be manually entered line by line into the activation screen or the entire text can be copy and pasted into the activation text window. Figure 20 - Entering the activation text 27 M o P S U S E R G U I D E Once the licensing details have been entered, the details are verified and applied. Figure 21 - New license details successfully applied The new license type will appear in the MoPS login window. 28 M o P S U S E R G U I D E Database Settings Database location The database location button allows you to specify the location of the MoPS database. By default this is set to C:\mops\mops.mdb Database Backup The backup database button allows you to perform a backup of the MoPS database. By default the backup location will be C:\mops\backup It is recommended that you keep a current backup on removable media stored in a safe location. Figure 22 - The MoPS backup window 29 M o P S U S E R G U I D E Database Restore The restore button allows you to recover MoPS from a previous backup. Use caution as the restore process will permanently overwrite the currently loaded database. Figure 23 - The MoPS restore window 30 M o P S U S E R G U I D E Database Check and Compact The check and compact button performs maintenance actions on the MoPS database. How often you should run this depends on the amount of changes being made to the MoPS database. It would not be unusual to compact a large database once a week, and a small database every few months. Running a check and compact once a month would be suitable for most installations. Figure 24 - The MoPS Check and Compact window Reset Settings The reset settings button will set the MoPS form sizes and the database location to the system default setting. 31 M o P S U S E R G U I D E About The About button will display version and license information along with the MoPS database current size. 32
