TENDER CALL NOTICE FOR ORGANIZATION OF KALINGA INTERNATIONAL BUDDHIST CONFERENCE – 2017. No. BP-II/2016-17/OTDC Dt. 28.03.2017 On behalf of Department of Tourism, Govt. of Odisha, Odisha Tourism Development Corporation is going to organize Kalinga International Buddhist Conference from 10th to 12th April, 2017. Offers are invited from reputed firms/ agencies having experience and expertise in organizing similar events. Offers should be submitted in two bids— Technical Bid’’ with required documents and ‘’Financial Bid’’ in the prescribed format. The tender paper will be received up to 02.00 PM of 03.04.2017 at OTDC Head Office by Speed post/ Registered post/ in Tender Box in office only. OTDC Ltd. will not be held responsible for any postal delay. Technical Bids will be opened first on the same day at 3.30 P.M. followed by opening of Financial Bids of those who will fulfill the Eligibility Criteria of Technical bid. The tenderers or their authorized representatives may remain present during opening of the bids. The covers should be sealed and super- scribed in bold letters “Technical Bid’’ or “Financial Bid’’ for “Kalinga International Buddhist Conference”. The Authority reserves the right to reject any or all offers without assigning any reason thereof & is not under any obligation to accept the lowest offer. Eligibility Criteria Documents required for Pre- qualification 1. Experience in making such arrangement for similar event for any Govt./Semi Govt./Corporate Office/ Any other reputed organization. (individual work order not less than Rs5.00lakh ) 2. Minimum average annual Turnover for similar work not less than Rs.10 .00 lakhs during last 3years. 1.EMD of Rs.10,000/-in shape of D.D. drawn on any nationalized Bank in favour of Managing Director, OTDC Ltd. 2. Copy of valid Service Tax Registration Certificate. 3. Participation fee (non-refundable) of Rs. 3000/- in shape of DD drawn in favour of M.D. OTDC. 4.Copy of the profit & Loss A/C certified by the Chartered Accountant confirming the annual turnover of last 3years ending on 31.3.2016. 5.Copy of the work order confirming execution of similar work not less than Rs5.00lakh. 6. All rates are quoted for the full period including Stage Light & Sound and other arrangements inclusive of trial testing, transportation, dismantling and cleaning of site but exclusive of taxes. The Generators will operate during the entire event. The stage Light section will be controlled by the Event Management’s operator. The stage Sound arrangements will be monitored by the Event Management’s operator. Main cables and wires, colour filters, Speaker Stands, Switch Board and Stabilizer and other accessories shall be provided as per requirement without any extra charge. Proper communication systems through walky talky or otherwise among light operator, follow spot operator, sound operator, stage coordinator, light designer, sound specialist etc will be provided by the tenderer. Sufficient manpower shall be stationed at the venue during the programme hours for coordination and trouble shooting. The successful bidder shall arrange clearance from the Electrical Inspector if required at his/her own cost used during the event period without fail. The successful bidder shall produce list of equipments and work done each day at the end of the programme and get it signed from the concern J.E. (Civil), J.E.( electrical) and Officer-in-charge of the event. The authority reserves the right to increase or decrease the scope of work as per the site requirement in which case, payment shall be made only on the actual work done on unit rate basis. Terms of payment: Payment will be released within 15days from the completion of the event. Time line for execution of the work:The site shall be handed over after completion of all work to the site engineer at lest before 24 Hrs of the actual event. Penalty clause:OTDC can execute partly/ fully the work through other agency/ firm and deduct the cost from the amount due to the agency including forfeiting the EMD and the cancelation of work order in case the agency fail to deliver the site. 14. All legal and labour compliances, maintenance of law and order and fire protection measures in consultation with local and statutory authorities will be the responsible of the Successful bidder. 15. The successful bidder shall be responsible for loss or damage to properties and assets of OTDC or DOT in case of any untoward incidents. Signature of the tenderer
