So ... you’re ready to convert?
Y
ou may be asking yourself a few questions right now: Will all PDF files allow me to search for specific terms in my document? Will I be able to retain my color images and keep the file size down? What if my originals are very delicate? OK, not so fast. Every project is unique, including yours. This self-guided tour of the Document Solutions, Inc. PDF conversion process will give you the information you need to make informed, cost-effective decisions about your conversion work. Paper to PDF: 3 basic types Formatted Text & Graphics Searchable Image Image DSI has developed several enhancements to these basic types. The particulars of your application — i.e., what you want your PDF files to accomplish — will tend to affect your choice of PDF file type, image treatment and interactivity.

Issues and Considerations The different types of PDF files have radically different attributes, not to mention conversion costs. There are a few key points to consider when making your decision. We ask all of our clients the same basic set of questions: BANDWIDTH: How will your PDF files be accessed and used: network or locally (hard-drive or CD-ROM)? If the files are to be accessed over a network, is it a high-speed LAN, a WAN, high-speed internet connection, or does the end-user use a modem? Are the users in the same building, or around the world? Intranet speeds allow all PDF types, while modem or international access tends to imply PDF/Formatted Text and Graphics for all but the smallest documents. TEXT SEARCHABILITY: Do you want to be able to search the text of your files for words or phrases? If so, PDF/Image will not do. You must choose between PDF/Searchable Image and PDF/Formatted Text and Graphics.

Issues and Considerations COLOR OR HALF-TONE IMAGES AND COLORED TEXT: Do your documents include color images, photographs, charts, or other graphics where color or halftone information is essential? While DSI is expert at preserving this information with a minimum file-size penalty, each color image can still “weigh” as much as 50 pages of text! PDF/FT&G might be the way to go, but PDF/MultiResolution Image and Searchable Image files are often a cost-effective option! DOCUMENT SIZE: Are your documents typically more than 100 pages in length? It’s an “obvious” point that's often missed, but file sizes do vary with the length of the document! A 100-page Searchable Image file can easily top 10 MB in size, making it virtually useless at less than intranet speeds, and limits CD-ROM capacity to as few as 7,000 pages.

Fonts and layout are matched to the original document
In file-size per page terms, “FT&G” files are competitive with HTML, so they are the obvious choice for low-bandwidth applications. Combined with byte-range serving capability, these files are by far the most bandwidth-efficient paper-to-PDF solution. However, specific refinements in the conversion process can affect file size by a factor of 5 or more. Selecting a reputable vendor and a precise, well-defined conversion method will assure small file size and top file performance. DSI offers 6 grades of Formatted Text and Graphics conversion to suit every application and budget. Now ... if you're looking for the ULTIMATE in PDF from paper ... check out our Brochure Grade conversions! FEATURES & APPLICATIONS COPYRIGHT ©2000 DOCUMENT SOLUTIONS, INC.

Text resulting from an OCR (Optical Character Recognition) process may be “bonded” to the originating image to create PDF/Searchable Image files. A text search of this file will result in “highlighting” of the corresponding portion of the image when matching text is located. “Ex Machina”* OCR processing depends on many factors, but this “raw” conversion is accurate enough for many applications. DSI can provide estimates on likely “Ex Machina" accuracy, usually greater than 99% and frequently exceeding 99.5%. Samples are required! For clients demanding higher accuracy rates, DSI will “clean” the OCR output. This process is often vital for documents containing italicized characters and small text, or for poor-quality original documents.
OCR-processed text is bonded to the visible page image to create a searchable file.
PDF Searchable Image files may be further upgraded with color and grayscale to MultiResolution PDF Searchable Image files! * “Ex Machina” — “From the Machine” (i.e., without human correction)

DSI's MultiResolution PDF/Searchable Image (MRSI) is a process available only from Document Solutions. Our proprietary MRSI technique means page images including BOTH monochrome (black and white) and color or grayscale images. The result: • Dramatically smaller files. Most imaging bureaus deliver color by the page, not the image. Full-page color scans mean huge files and, often, inferior resolution and image quality due to the sacrifices made to keep the file size down. With DSI’s small MultiResolution files, your bandwidth, disc size and end-user frustrations are eliminated! • Dramatically superior text quality. Since the text area of the image is rendered in higher resolutions and with lossless compression, onscreen and printed text quality is vastly superior in MultiResolution files. • On-screen and print performance is greatly improved, especially on older machines. MultiResolution PDF/Searchable Image files are simply the most costeffective way to place legacy materials with color, grayscale or photographic content on the Web! Almost any image file may be converted to confer the unique advantages of PDF. DSI specializes in the conversion of document page-images, but we handle everything from a bitmap to a Zipcompressed TIFF. Thus processed, image files (photographs, page images, EPS art, etc.) may be bookmarked and thumbnails may be created. DSI can also generate index and meta data to facilitate your application. PDF/Image format files are moderate in size, typically around 40-60k per page at 300 dpi and 30-50k per page at 200 dpi.
