Performing and Scheduling Backups
Performing a Backup 1. Double-click the HCN Maintenance icon on your desktop. 2. Locate and double-click the Backup icon within the Common (Maintenance Tasks) section of HCN Maintenance. The HCN Backup window is displayed.
If SMTP (Simple Mail Transfer Protocol - the de facto standard for e-mail transmissions across the Internet) is not installed when the Backup application is opened, a prompt is displayed. The prompt will notify you that the SMTP Service (Simple Mail Transfer Protocol) cannot be found and Notification will not work until it is installed. This protocol is required to have the Backup utility send an e-mail informing you of the completion, and success or failure of a backup. 3. (Optional) If necessary, load a saved Backup configuration file. 4. (Optional) Click the Detect button at the top of the HCN Backup utility window to have the utility attempt to automatically determine and configure many of the settings available, including such things as your Server Name and available Databases. 5. Select/Enter settings as necessary from the following tabs: (detailed information is available in the HCN Maintenance Help. o

Performing and Scheduling Backups 6. Initiate the backup. This can be done either; o
Immediately, by ensuring the Run Now checkbox is enabled and then clicking the OK button (continue to Step 7), or
o
Later, by ensuring the Run Now checkbox is disabled and you have scheduled the backup to commence later.
7. A confirmation prompt is displayed. Either; o o
Lock/encrypt the backup file by entering a password, or Tick the No Password check box.
8. Select the Yes button to perform the backup. 9. Once the backup has been successfully performed you will be prompted accordingly.
Scheduling Backups Use the Schedule tab of HCN Backup to record times for conducting automated backups. Note that this tab is only available after de-selecting the Run Now checkbox at the bottom-left of the window.

Performing and Scheduling Backups o Click the Account button to register the schedule to a particular user account, where only the user that created the scheduled task can change or delete the details of that particular scheduled task. The Task Acco unt also allows you to provide login details. The scheduler then logs in using these and allows access to resources based on your access permissions. o Click the Scheduler button to access Microsoft's Scheduled Tasks utility. By doing so you will be able to check if and when you have any other tasks scheduled, allowing you to coordinate your HCN Backups around these other tasks. o Select from the 'When' options to set the schedule for Daily, Weekly, Monthly or Once-only operation. After you have made a selection you can edit the times/days etc. for each type of schedule.
Note: It is advisable that you check the backup log file to ensure that your scheduled backup has been successful. The backup log file is called HcnBackupLog.txt, and is saved to root director of your C: drive.
Modifying Scheduled Tasks 1. Click the Scheduler button in the Schedule tab. The Scheduled Tasks window is displayed.
2. Either; o Select the task name, a Folder Tasks menu is displayed on the left of the window, select Delete this item, or o Right-click the task name and select Delete from the pop-up menu. 3. Reschedule the task using the Schedule tab of the HCN Backup utility (described above). Note: HCN does NOT recommend adding tasks directly via the Window Scheduled Tasks utility.
