Section 2-2 Planning your access control system This section: • Describes how to divide your cardholders into cardholder-groups (Access Levels). • Describes how to configure Access Points and allocate them to Access Levels. • Describes how to configure the Time Frames. • Shows you how to tabulate the plan. • Describes how to enter the plan into the Software. (Planning your I/O is described in the “CLIC” section of the handbook.) Before you can configure your system, you must plan your access control database on a piece of paper. This section gives you detailed step by step instructions on how to do this. Only when you have all the details written down on paper should you start to enter data into the computer. Before you start you must have a list of the locations of all the controllers in the buildings, the names of the doors that they control, and their hardware addresses. You can get the hardware address from the System Map, see the section on the “Hardware Systems program”. Using the System Map, you can name the controllers and comms modules in the system - choose names which show where in your building each controller is located. For example, MANAGERS, GENERAL-STAFF, STORES, CLEANERS. Write down the names of the people in each Access Level. For example, Managers A Person B Person Sales Staff C Person D Person E Person F Person Engineers G Person H Person Stores I Person J Person Cleaners K Person L Person Note: the fewer Access Levels you use, the easier it will be to add another Access Point (door) to your system in the future. If you have a door in your system which only very few people need to use, you can give these people access to it using the “Personal Access Points” feature described below. This is more efficient than creating lots of Access Levels with only one or two people in each one. 2-3 Siemens Building Technologies Fire Safety & Security Products 09/10/2008 Planning your access control system Access Points (Card Readers) You need a plan of your building showing all the doors and rooms. The system address of each Reader should be marked on the plan - get your supplier/installer to do this. On the plan, write down a name for each Access Point in the system (up to a maximum of 20 characters for each name, including spaces). Front-door Sales Laboratory Stores Production Radioactive Room If you are using local anti-passback you will need two Access Points for each door which controls entrance to and exit from the building or room which you are protecting - an IN Reader and an OUT Reader. If you are using global anti-passback, you need to write down on the plan the names and boundaries of all the “zones” which you require. The doors which control the boundaries of zones also need two Access Points each. If you wish to generate roll call reports, you need to divide your site into “zone groups”. You can then generate a report of which cardholders are in a specified zone group. For step by step instructions on how to configure anti-passback and roll call in the Software, see the section on “Configuring anti-passback and roll call” in this handbook. This avoids having to define extra Access Levels with only one or two people in them. Remember, the fewer Access Levels you use in your system, the easier it will be to to add new Access Points (doors) in the future. Each person can have up to four Personal Access Points and access to them is 24 hours a day, 7 days a week. Tabulating the plan You can now fill out tables to enable easy entry of the Access Level data into the Software database. If you are using anti-passback, some doors will have two Access Points - IN and OUT, or entrance to and exit from different zones. • Define the Access Levels you need - use as few as possible. • After you have defined the Access Levels, you can enter the cardholder records. • In the cardholder records you define any Personal Access Points. Note: if you first started your system using the Setup New System Wizard, you will already have an Access Point record for each Access Point in your system, some cardholder records, a single Time Frame and a Single Access Level. Enter data in the same order described above, but instead of adding new Access Point and Cardholder records, you need to edit the existing ones. Time Frame records The section of the handbook on the Access Configuration program describes entering Time Frame records. Read the following first. 1. Each Time Frame record consists of at least one and at most ten Timezones. Each Timezone consists of a period of time linked to the days of the week and holidays. 2. Time Frame records are not only used for Access Levels. There are other uses, these being: Access Levels, door unlock times, PINpad disable times, selection of Controller messages broadcast during certain times, input monitoring disable times, output activating times and trigger event source/condition times. Access Point records The section of the handbook on the Access Configuration program describes entering Access Point records. Read the following first. 1. An Access Point is usually a door. The Access Point record names the door and defines its features. 2. If you do not know the detailed information about each Access Point, you can still save the record as long as you type its name in the 2-9 Siemens Building Technologies Fire Safety & Security Products 09/10/2008 Planning your access control system Access Point field. Click on the button to save a record. You can always return to the record and edit it to add more details later. 3. The Address field contains the system address of the Access Point, and this depends on the hardware installation. Click on the Address field to see a list of addresses in the system from which you can choose. If there are no addresses or they are incomplete, generate a new system list using the Get System List option in the System Map in the Hardware Configuration program. If the system is off line, you can leave the Address field blank for the present and fill it in later. 4. If you have a System Map, the Type field is automatically set according to the type of reader module which is installed at that address. If the module is one with a PINpad, you have an extra page to fill in which you can see by clicking on the tab labelled Auxiliary Controls. Access Level records The section of the handbook on the Access Configuration program describes entering Access Level records. Read the following first. 1. An Access Level record is a list of all the Access Points with a Time Frame allocated to each one. 2. You must enter all the Access Point records before defining Access Levels, otherwise the ones you have not yet entered will be missing from the list. You can save an Access Point record without knowing all the details about the Access Point as described earlier. 2-10 Siemens Building Technologies Fire Safety & Security Products 09/10/2008 Planning your access control system Cardholder records The section of the handbook on the Cardholders program describes entering cardholder records. Read the following first. 1. At its simplest, a cardholder record links a person’s name and an Access Level to a Card Number. Whenever the Controller reads that Card Number, it checks the Access Level to see if the Card is allowed entry. The computer takes the Card Number from the Controller and displays the name of the person who holds that Card on the Transaction Monitor. 2. If you first started your system using the Setup New System Wizard then you will already have entered the correct Site Code for your cards. If you did not use the Wizard and have not entered the Site Code, you need to do this first using the button in the System Administration program. 3. If you have planned to use the “Personal Access Points” feature, you need to enter the cardholder’s personal access points in the cardholder record. A cardholder has access to personal access points all the time - they are not controlled by any Time Frame. 4. If your system uses PINs, you can either enter the PIN for each cardholder in the PIN field, or you can type ???? in that field which enables the cardholder to enter his or her own PIN the first time they use the system. If, when you later view the cardholder record, the PIN field still contains ????, the cardholder has not yet entered a PIN. If the field instead contains **** then the cardholder has entered a PIN. The asterisks ensure that no one can read the PIN so it remains confidential to the cardholder. If a cardholder forgets the PIN, simply edit the record and enter ???? in the field again.
