Polycom VVX 400 Training Home View You can always return to the Homescreen by pressing the Home button on your phone. You can use the arrows to scroll and select your desired icon. Directories – Missed, Placed, Received & Speed Dial Calls To see your missed, placed or received calls, select Recent Calls from the Directories Menu. Selecting the Directories icon from you home screen will allow you to view your: • • • Contact Directory Recent Calls Favorites Directories (Cont.) Press the Type soft key Select the desired list type You can use the directory to quickly view your missed, received, and placed calls list. You can dial a number directly from this list by highlighting the number and selecting dial. Placing A Call The VVX 400 features predictive dialing 3 Ways to place a call: • Pick-up handset • Speaker phone key • Headset key Answering A Call 3 Ways to place a call: • • • Pick-up handset Speaker phone key Headset key • If you do not answer the call in ten seconds, the phone will display the Calls View. Call Hold And Resume To Hold a call: • Press the Hold soft key or press the Hold Feature Key To Resume a call on Hold: • Press the Resume soft key or the Hold Feature Key Handling Multiple Calls You can choose to answer the new call, reject, or forward. Once you answer the new call, your active call with automatically be placed on hold. While on a live call, when a second call comes in you will hear a ‘beep’ on the receiver and see the 2nd call on the LCD screen of the phone. Incoming Call Current Call on Hold Handling Multiple Calls (Cont.) • • • • • To navigate between calls, use up and down arrows Using arrows will highlight individual calls Soft keys will change depending on which call is highlighted Active call always on the top of the screen All other calls on hold set underneath the active call Transferring Calls Blind vs. Consulted Transfer Blind Transfer: Consulted Transfer: • • • • Type of transfer in which the recipient party is not consulted before transferring the call to him/her. Caller ID goes with the transfer. Recipient party doesn’t know who sent the call. • Type of transfer in which the recipient is consulted/announced before transferring the call to him/her. Caller ID is from party announcing call. Consulted Transfer During a call: • • • Press the Transfer soft key Dial Ext. / Phone # and press Send Announce call once caller picks up In short: Transfer, Dial number, Transfer • Pressing Cancel soft key will cancel transfer and return you to the caller Blind Transfer During a call: • • • • Press the Transfer soft key Press the Blind soft key Dial Ext. / Phone Number Press Send soft key In short: Transfer, Blind, Dial number, Send • Pressing Cancel Soft Key will return you to the caller Transfer To Voicemail During a call: • • • • Press More soft key Press Xfer 2 VM soft key Dial Extension # Press Enter soft key In short: More, Xfer 2 VM, dial Ext, Enter Call Park • • Parks call at extension for extended period of time Can be picked up from any extension if they know where it’s parked When on call: • • • • Press More twice Press CallPrk Enter Extension Press Enter soft key Park Retrieve On an Idle Phone: • • Press More and then ParkRtv Enter Extension – Press Enter soft key If call is parked at extension you’re picking up call from, only # is needed Conference Calling During call to first party: • • • Press More soft key Press Conf soft key (1st Call is placed on hold) Dial the number of the second party and hit the Send soft key Conference Calling (Cont.) • Once second party answers call, press the Confrnc soft key to join all parties In short: Confrnc, Dial number, Confrnc Caller ID will read: ‘Active Conference’ ([email protected] if you have OCS) Enable Call Forwarding Calls may be forwarded to another extension, phone number, cell, or home phone • • • • From idle screen, press Forward soft key Select the forwarding type you want to enable: • Always – Fwd all incoming calls to mobile/assistant/ext • No Answer – Fwd all unanswered incoming calls to mobile/assistant/ext • Busy – Fwd calls that arrive when you are already on a call to mobile/assistant/another ext Enter a number to forward calls to Press the Enable soft key DISABLE CALL FORWARDING • • • From idle screen, press Forward Select type of forwarding Press the Disable soft key Enable Call Forwarding (Cont.) Voicemail • Press Messages Feature Key • The default first use password is “123456” • Enter New Password • (Must be: 4-8 digits) • Re-enter New Password • Record your name Personal Greetings You can set three different personal greetings on your phone. 1. Tap Messages. 2. Enter your password 3. Press “1” to check your messages. Once you have checked your messages: a. Press “2” to change your busy greeting b. Press “3” to change your no answer greeting c. Press “4” to change and activate your extended away greeting Access VM From Other Phone • • • • • Dial own phone number or extension Voicemail message plays Press * Enter your password Messages available
