Reseller Update Update no: Date: 001 6th October 1995 ------------------------------------------------------------------------------------------------------------------------------ This Dealer Update is the very first of the INDeX Series of Updates and contains updates to the draft version supplied at launch. SDX BSL has been trialling the INDeX since January 1995 and inevitably in the period between copy dates and launch date things change, and last minute issues need to be communicated. This Dealer Update addresses the following issues: 1. CONTROLLED RELEASE AND FIELD TRIAL SITES 2. STOCK AVAILABILITY - Please note statement regarding CPU100 availability 3. SDX V INDeX FUNCTIONAL CHANGES 4. PERIPHERAL PRODUCTS - UPDATE - Please note statement regarding WOC compatibility 5. INSTALLATION/PROGRAMMING ISSUES 6. DOCUMENTATION AMENDMENTS - Please note clarification of Marketing Tools pricing CONTROLLED RELEASE AND FIELD TRIAL SITES The INDeX has been thoroughly trialled and tested, however all versions of the INDeX will be subject to CONTROLLED RELEASE. CONTROLLED RELEASE means: a) All equipment orders other than own use, maintenance spares and demo kits must be placed using the SDX INDeX combined ORDER AND REGISTRATION FORM. Only orders that genuinely reflect the total of a particular customers needs will be satisfied. Only orders that declare the Customers Details in full will be accepted. b) We will evaluate the Order and Registration Form in respect of logical configuration/stock availability and accept it within SDX Order Processing. The order will then be passed to the Product Assurance Group (PAG) who will evaluate the relative Training Database to ensure that equipment is not supplied to companies who have not yet attended the INDeX Conversions Courses. The PAG Team will then evaluate the technical aspects of the system requested and accept or reject the need to provide on site accompaniment at the BIS or Programming Stage. c) The order will then be shipped as requested, subject to the process detailed above. PLEASE THEREFORE ALLOW SUBSTANTIAL LEAD TIMES BETWEEN ORDER PLACEMENT AND EXPECTED BIS DATE. We expect that Controlled Release Phase to last for 8-10 weeks following launch, although certain isolated items may continue beyond this timescale. Field Trial Status 3 and 4 Cabinet Systems We have trialled 3 and 4 cabinet systems, however, due to the complexity and sheer size of likely sites all 3 and 4 cabinet systems will continue to be treated as TRIAL SITES and accordingly project management, installation and programming will require the involvement of SDX personnel. Modems Every INDeX system must be installed with a modem and exchange line access to it. SDX BSL will not support any site that does not have Remote Access. We will notify you shortly of a offer on a SDX BSL recommended modem. Windows System Manager This product, both as an off switch PC application and as a System Manager tool on site, is still being tested. We will advise you shortly of its expected release date. Registration Card Every CPU will be supplied with a site registration card. If it is not completed and returned to SDX BSL as detailed, SDX Technicare will be unable to provide desk and field based technical support. STOCK AVAILABILITY As previously communicated we expect to be in a relatively “FREE” stock position by the end of November and until that time we are unlikely to accept stock orders from any company other than for maintenance spares, own use and demo equipment. We know certain items will definitely not be available in volume for the first 8 weeks following launch. They are:CPU 200 DASS 6 CPU 400 DASS 15 LC 2E-4G DPNSS 15 LC 3E-1G In each case, where necessary for Customer Orders placed using the INDeX Order/Registration Form, we will supply a higher capacity alternative without cost penalty. The controlled release process will monitor any potential abuse of this offer. Own use, demo and maintenance spares demand for the above items will be held (not substituted) pending stock availability. Rack Whilst the Rack is strongly recommended for all 3 and 4 Cabinet Systems it will not be available until December. 3 and 4 Cabinet Systems can be easily wall mounted - BUT NOT VERTICALLY, THEY MUST BE INSTALLED HORIZONTALLY. Please note the cabinets today do not fit a standard 19” Rack and the INDeX Rack is proprietary. Light Grey Handsets Very limited quantities are available for exhibition use only. They are not included in the Marketing Literature and will be available in December. CPU 100 The CPU 100 will not be available initially as a standard product. It is priced as P.O.A. and will be made available only for multiple sites whose needs are satisfied by the limited configuration. As a point of clarification, please note that all pricing graphs and comparisons shown at launch were based on INDeX utilisation of the CPU200 and above, not on CPU100. Business Response Manager (BRM) Lite As stated at launch, it is our intention to supply a copy of this software application Free of Charge with every CPU shipped. However at this stage the product is still undergoing extensive Beta trails. Whilst we can make copies available by request (via Ian Massingham, Product Manager on extn. 310), we do not anticipate incorporating this product within standard CPU releases before November 1995. SDX v INDeX FUNCTIONAL CHANGES With the porting of the core SDX Level 5 software onto INDeX the vast majority of functions are identical. However with the new terminals, hardware and legislation changes there are some differences to be aware of: 1. Voice Manager Record It is not possible on Level 6.0 software to invoke emergency or personal record from a DT handset. This will be enabled via the use of the context sensitive display in a future software release. 2. ACD Log-on Capability The log-on facility is restricted to Turrets, two wire ports and the DT5 (if enabled as a turret). 3. Security on Terminal Features Some features are now only accessible via the terminal programming menu rather than the handset: ♦ Free Flow ♦ Hot Line 4. Silent Monitoring With the change in legislation regarding Silent Monitoring we have removed the restriction of only 1 “supervisor” per group. The terminals still have to have the appropriate status to enable monitoring but any terminal can be monitored (not only turrets). 5. Two Wire (POT) Codes The INDeX supports 2 types of PABX feature codes; the existing SDX codes and INDeX codes. These are set as a system wide option and enable mixed sites to have standard working on POTs. The INDeX codes enable a POT to access a wider range of features. 6. Powerfail The INDeX hybrid analogue cassettes provide automatic powerfail. Each hybrid cassette has two powerfail relays and these can either connect to extensions on the same cassette or, to separate POT telephones. (This is enabled through the additional pairs provided by the 32 pair cable). Please note that power fail, in default, works as shown in the following example. On the AL-8-8 lines 706 and 707 will connect to extensions 200 and 201. Should this not suit the customer configuration the analogue cassette should be renumbered as appropriate. PERIPHERAL PRODUCTS LAN Dialler FT8 This product is on Field Trial status and requires full productisation. Currently resource is not available to enable this, however an external resource is being considered. We will advise when further field trials are required. SDX ACD Level 5.0 SDX ACD level 5.0 is on controlled release and applications for sites should be submitted to Order Processing/Sales Support as per the procedure outlined in Dealer Update 325. SDX ACD Level 4.2a SDX ACD level 4.2a is still available as standard product and pricing is as per Dealer Update 325. Windows Wallboard This product is freely available for ACD sales. SDX Voice Manager The SDX Voice Manager will be shipped with software level 5.8d. This contains the enhancement to enable the voice mail integration with DT display telephones. This software level is fully compatible with any SDX system running level 4.2 software or above and INDeX. The DT integration is the only feature change on this software release. Level 5.8c can be upgraded (1 disc - see current Price List for details). ACD Manager System The comms card for Level 5.0 has proved not to be backwards compatible with level 4.2a. Therefore there are 2 comms card options. The following codes should be used: Comms Card Level 5.0 (less dongle) ACD/CC5 £395 Comms Card Level 4.2a or below (less dongle) ACD/CC4 £395 SDX PC Spares Please note that PC spares do not include the application software, purely the hardware as per the appropriate description. SDX Windows Operator Console The INDeX platform requires the WOC with level 2.2 software. It will NOT work with level 2.1 software. When SDX level 5.1.13 software is released as a standard product (end October latest) both the SDX and INDeX platforms will use WOC at level 2.2. In the meantime, please clearly identify WOC orders for INDeX to ensure supply of level 2.2. (Master copies of 2.2 software will be made available to all maintainers shortly on an FOC basis). INSTALLATION/PROGRAMMING ISSUES Installation Practice Please note that it is imperative that cabinets are mounted side by side and not on top of each other. The installation method is specifically designed to maximise air flow and heat dissipation for the cabinets. The rack is a custom design with appropriate cooling fans and air ventilation. Customer Configuration Programming Please note that in order to facilitate customer upgrades from one CPU to another (e.g from CPU200 to CPU 400 or CPU800), INDeX software allows a customer configuration to be downloaded from one CPU and uploaded onto the replacement. The only subsequent programming requirement is for additional fields or modifications, thus saving engineering time in programming afresh each time. This is possible when upgrading to a higher capacity CPU, it is not possible to do this when downgrading (e.g from a CPU800 to CPU400). This may impact on those sites where a higher specification CPU is used for trial purposes or stock reasons. ACA / DC5/10 AND APNSS The current cost model makes the inclusion of the above via a GCU extremely expensive. To ensure that this is not an obstacle at the point of sale, we will be providing “bundled” specials. These will consist of a 420N GCU and the appropriate card(s) at a much reduced price. Details will be provided in the near future. DOCUMENTATION AMENDMENTS PRICE LIST Amendments and Clarification P.4 Price List Summary The order code for the 8 circuit Digital Subscriber Line Cassette should read “DSLC-8“ (not “DSCL-8”). P.10 Cables CCDP-3, CCDP-5, CCDP-10 The first sentence should read “A pair of connectivity cables for DPNSS” (not “for DPNSS ISDN 30”). P.14 Documentation All prices shown are the price per item. The pack quantity indicates the number of items shipped in a single box or pack. It is not a minimum order quantity merely an indication of the number of items provided in a full box or pack. P.16 SDX Windows ACD Supervisor Please note that the Software consultancy charge is £495 nett per day. P.19 ACD Level 5.0 Upgrades Please note that the ACD Server PC required for upgrades only (ACD 5 SPC) does not include a monitor. P.19 Additional Agents The order code for the additional 30 agent 5.0 upgrade should read “ACD5 U30” (not “ACD5 UG30”). This has been launched in conjunction with the INDeX platform to offer “Visual Voice”, a unique and powerful integration from INDeX display handsets. These features use the context sensitive keys to allow quick and easy access to voice mail features such as listen to message, customise all greetings and send messages to other users quickly and efficiently. From 9th October 1995 all Voice Managers are being shipped with 5.8d as standard and therefore are immediately ready for the INDeX platform. An updated manual will also be shipped from the same date to reflect any changes in installation procedure. Voice Manager systems running version 5.8c can easily be upgraded by the use of just one disk without disturbing any other system programming. Please refer to Technical Bulletin Issue 20 for installation procedures. To receive a free 5.8c to 5.8d upgrade disk please place an FOC order via SDX Order Processing on fax. 01707 364415. Older Voice Manager systems will have to be upgraded to 5.8c before adding 5.8d. 5.8c can still be ordered through Sales Support. 5.8d will, of course, be supplied with installation instructions. In order to improve and update the Encyclopaedia, it will be necessary for SDX Business Systems to issue updated versions from time to time. The first update (version 1.1) is scheduled to iron out any “creases” discovered in the original release. Your comments and suggestions are invited since it is you, as users of the Encyclopaedia who are most likely to discover any irritations or anomalies. Issued by: Janet Lennon (extn.269) Reseller Update Update no: Date: 007 20th October 1995 ------------------------------------------------------------------------------------------------------------------------------ Computer Based Tools - SDX INDeX Quotation Manager (Beta 0.10) The following anomalies have been found in the SDX INDeX Quotation Manager: 1. Installation When installing the Quotation Manager ensure that there are no Windows applications running before installation begins. This includes MS Office Manager (MOM). The MOM manifests itself as application-specific icons in a floating menu bar which is usually located at the top right of the screen. If the MOM is running, Windows should be restarted without MOM. This may require removing the MOM icon from the Windows Startup Group before restarting Windows. 2. Quotation Calculation An error has been found with some system calculations when 3 device cassettes plus a CPU are required. With this configuration, the Quotation Manager will suggest installation of a PSU8, when in fact the minimum requirement when installing this cassette combination is a PSU4. SDX systems requiring upgrade to the recently released 5.1.13 and currently using a WOC at 2.1, MUST have the WOC upgraded to 2.2. Upgrading to WOC 2.2 will necessitate the removal of the dongle. No feature changes have been made between revision levels of the WOC and functionality remains identical. As stated above, please be aware that WOC 2.2 is backwards compatible on SDX 60 and 420N’s running 5.1.13 software only. From today’s date, all further deliveries of the WOC will be at software level 2.2. Therefore, please confirm type of system and SDX software level before installation at customers premises. If a WOC is required for SDX systems running pre 5.1.13 software, the order must specifically state that WOC 2.1 is required. This has caused unnecessary complaints to SDX Business Systems Limited (SDX BSL) and site visits being made by our Headset suppliers. To clarify identification there are differences between direct and indirect connection. SDX Systems GN Netcom Profile I/II/III, and Profile Binaural headsets (order codes HS/P123 and HS/PB) are used for DIRECT connection to SDX FT Terminals (ONLY). They can physically be identified by having larger microphones than the indirect versions, and different codes. The codes are located on the boom arm, and should start with an alphabetical date code followed by 2 numerics. The code should read XX followed by 40. These headsets are only suitable for SDX FT direct terminal connection. Plantronics headsets are always used with the Vista amplifier on SDX. INDeX Platform GN Netcom Profile I/II/III, and Profile Binaural headsets (order codes HS/P123/IND and HS/PB/IND) are for DIRECT connection to INDeX DT terminals. They can be identified by having a code XX followed by 00, (a small quantity may have the numeric 04) and have small microphones. Plantronics headsets are available when used with the Vista amplifier. Due for release in the very near future is a range of direct connect headsets. Multi Purpose Amplifiers (MPA & MPA II). HS/P123/IND HS/PB/IND code xx00 YES NO YES AHS/M/P123 AHS/M/PB code xx00 YES NO YES Reseller Update Update no: 010 Date: 31st October 1995 --------------------------------------------------------------------------------------------------------------------------Uninterruptible Power Supplies (UPS’s) Following successful evaluation and field trials, SDX Business Systems Limited (SDX BSL) recommend two UPS suppliers, Gresham and Galatrek. These UPS’s are highly recommended for use with INDeX and existing SDX installations. In conjunction with maintaining power to the telephone systems, they may be adapted to safeguard related ‘mission critical’ devices such as Multiplexors, ACD, Voice Manager and other CTI applications, resulting in total ‘telephony’ protection. UPS’s not only provide a break free continuation of power during total mains failure, but also supply exceptionally clean and regulated mains supply during mains surges, spikes and brownouts. Autonomy (available system battery back-up time) ranges from 1 to 8 hours, or longer if needed. SDX BSL recommends a minimum of 4hrs unless backed up by a generator in which case shorter times will be needed. In summary, UPS’s will provide the following:• • • • • • • • • • No break in power supply to the INDeX or SDX and associated telephony or CTI applications in the event of mains power failure. Auto shutdown software (available at extra cost), allowing computer applications to terminate correctly without corruption. Remote management through modems. Automatic dial-up to pre-set telephone numbers in the event of a fault occurring within the UPS or batteries. Auto self tests. Interrogation of system performance such as input/output voltage, power, power factor, battery current/voltage. Historical reports. Protection against mains spikes (generated by lightning strikes), voltage fluctuations and brownouts. Two year warranty for parts and labour and a comprehensive range of maintenance agreements and extended warranties. Optional Rack Mounted Units (P.O.A). System Requirements For INDeX, each cabinet requires 250VA when configured with a PSU-4, or 600VA when fully configured with a PSU-8. For SDX systems (CCU, GCU and ECU), each cabinet requires a minimum of 200VA, culminating in a fully configured SDX 60N needing a UPS rated at 600VA and an SDX 420/420 requiring 4200VA. For PC applications such as Voice Mail, ACD or WOC, ratings of 250VA per PC should be allowed for. As both types of UPS can be interrogated via a PC, their available system capacity can be displayed. Therefore, other peripheral items can be added until the maximum rating is found. Any further additions will necessitate an extra UPS or power card. This feature will fully utilise the UPS’s potential. Ordering SDX BSL have negotiated specially discounted rates with both UPS suppliers. To take advantage of these, contact the chosen supplier direct stating that you are an SDX dealer quoting the codes in the enclosed price matrix. To determine your specific requirement, simply calculate the total VA rating of the telephone system and any peripheral products, decide on autonomy needed and then cross reference on the pricing matrix. Gresham - Meta Range Unique in the UPS industry, the META SHF range of UPS is supplied by Gresham Power Electronics. Design topology is the proven Dual Conversion type, continuously supplying clean sinewave grade power to all telephony applications. The unit provides power from 670VA to 2400VA (with power factor of 0.6) utilising a single cabinet and 600VA to 4800VA in dual cabinet enclosures (depending on the autonomy required). A custom designed 16 bit microprocessor ensures maximum system performance and reliability. The UPS consists of a standard size cabinet, and like both SDX telephone systems, is modular in design. When needed, available power and autonomy can be increased by simply adding power cards or batteries as necessary. Due to the design of the UPS, the power cards share the load equally and in the event of a card failure other cards take up the load seamlessly, (subject to existing excess capacity). This provides the ultimate ‘dual redundant’ UPS with the minimum probability of load interruption. This design has the added benefit of allowing the UPS to cope with input voltage fluctuations of between 110 to 264V without utilising the battery. Each power card provides up to 400 Watts (670VA at 0.6pf), load monitoring can easily be carried out by connecting a PC to the RS232 serial port via a LAN. Units are available in the range of 350 Watts to 12500 Watts (500VA to 15kVA with a 0.7 Power Factor). A 16 bit microprocessor controls the unit by monitoring the input voltage and automatically regulating the output through a wide range of input voltages between 140 to 276 without resorting to internal battery power. An LCD panel allows the user to monitor over 20 parameters such as input and output voltage, load (in VA and Watts), frequency, battery temperature, charge available and autonomy without the need of a PC. As the battery life and performance depend on temperature, the UPS has an integral ‘Temperature Compensating Charger’. This monitors the battery temperature and charge to optimise battery performance. Two RS232 communication ports are provided to access the built in meter functions, set points and alarm messages, and allow the UPS to communicate and be interrogated by PC’s, SCO Unix, Novell or Windows based file server. The wall mounted Remote Access Module is a communication device (modem) connected to the serial port on INDeX allowing the remote maintainer to log on to INDeX over the PSTN using their existing PC and modem. A range of functions maybe carried out including re-programming and upload/download of both the customers and CPU databases. The Remote Access Module comes pre-configured to communicate with INDeX. It has an integral power supply with permanently fixed mains cable, has no user controls whatsoever (not even a power switch) and is supplied with a telephone cable and a short, easy to read installation manual. This should enable easy installation without the need to programme the modem (except for dial back security as an option). The serial cable, for connection between the Remote Access Module and INDeX will be supplied in every INDeX CCU F.O.C. Dial back security is an option that is very strongly recommended to prevent fraud or misuse. Upon dialling into the Remote Access Module, a password will be requested and, when verified, the unit will dial a pre-set telephone number associated with that password. The Remote Access Module must be connected to a Direct Exchange Line (DEL) to enable access to INDeX in the event of loss of service, such as DASS, from the network provider. Although pre-configured, the Remote Access Module is compatible with ITU V.21, V.22, V.22bis, V.23, V.23 and V32bis standards and operates from 300 to 56,700bps, making it compatible with almost any service centre or lap top you already use. The Remote Access Module is approved for use in the UK and can either be configured Pulse or Tone dial. From the date of this Reseller Update the provision of a Remote Access Module is mandatory on all INDeX installations. Obviously this area is subject to constant scrutiny, particularly in these initial months of product availability. In the few cases where OBFs arise, it is essential that we are able to evaluate any reported failures at the earliest opportunity so that any necessary subsequent action may be determined and implemented as quickly as possible. To do this effectively it is essential that: 1. Faulty items are returned as soon as they are replaced in the field 2. Returns Material Authorisation (RMA) forms are enclosed with the item 3. Where RMA forms are excluded, items are clearly differentiated from standard Warranty Repairs and/or the nature of the fault is clearly stated Unfortunately many of our Resellers have failed to fulfill these criteria and so we are introducing an amendment to the current procedure. With immediate effect Advance OBF Replacements will be invoiced at standard trade price, but subject to Credit Pending Return of the faulty item only if the faulty item is returned within 10 working days rather than the 1 month currently stated. General Release A number of the restrictions from the controlled release period have been lifted, however, some will still apply to the ACD level 5 product. The conditions are as follows: 1. The ACD server will always be supplied with hardware, and not offered as a software only option. 2. The Windows client may now be purchased as a software licence enabling the Windows client to be installed on customer’s supplied PCs. The software may be installed on PCs connected to an existing local area network which supports IPX and Net BIOS. Windows Client and other Applications SDX BSL has used each of the Microsoft office suite applications individually with the Windows ACD client software running simultaneously. Due to the nature of Windows it is possible however for one application to effect another when run simultaneously. It is of course impossible for SDX BSL to guarantee that the Windows client will run successfully with all Windows applications available in all situations. To optimise the Windows client operation when used in this way the following points should be adhered to:1. Always load the SDX ACD network task programme before any other application. 2. For optimum performance use the Windows client with the tool bar only showing (i.e. do not open any real time screens). Use the alarm threshold concept to monitor the ACD. Each real time screen uses some Windows system resource. The fewer real time screens open the better the system performance will be. 3. Only ever run one other application simultaneously with the windows client. 4. To improve speed increase the amount of RAM in the Windows Client PC. 5. Should any problems be experienced use the Windows client as a standalone application and close all other applications. If other applications are to be used on the PC close the Windows client before running them. This affects both the ‘Hot Key’ (manually invoked recording) which affects SDX FT terminals & the ‘Call Monitor’ (automatic recording of every Nth call) affecting SDX FT & INDeX DT terminals. This problem can be resolved by the addition of an upgrade disk which modifies the relevant programs on the Voice Manager to run these features. This disk can be ordered FOC through Sales Order Processing quoting - SDX Voice Manager 5.8e. This disk will also contain the ‘Visual Voice’ features described in INDeX Reseller Update 003, thereby replacing version 5.8d. If ‘Visual Voice’ or the Voice Record Feature is required, 5.8e must be ordered. This version is compatible with all 5.8 series software. All Voice Managers shipped from 15th January will be loaded with 5.8e as standard. A similar system to the Compact 2 has now been located called the North Supply NS-DA. The NS-DA is a telephone door entry system which connects to an Analogue Trunk Line of a telephone system and comprises a Door Unit, CPU, Power Supply and a Lock Release Mechanism. When the Door Unit button is pressed an extension or extensions will ring and upon answer connection to the caller is made. This concept enables mobile phones to be included in the corporate numbering plan and dialled as a normal extension number from a PBX. The claim is also that call charges from office to mobile phones achieved in this manner are around 50% cheaper than standard mobile tariffs. SDX BSL is pleased to advise that both the SDX and INDeX systems are fully compatible with this service since it is achieved through provision of a DPNSS link from the company’s PBX into the Cellnet network - SDX BSL switches have been tested for compatibility with the Cellnet network to ensure interoperability. In addition, a feature of INDeX 6.1 software will enable calls targeted at your individual extension or DDI number to be diverted over the DPNSS link. The mobile extension concept is an attractive one as it provides contactability and reduced call charges in a simple dial plan environment. Unfortunately because a DPNSS connection is required, Cellnet advise that only companies with over 100 mobiles are likely to benefit. Therefore the standard feature of INDeX 6.1 software allowing diversion to a mobile phone over the PSTN may be a much more attractive offering for the following reasons:1. Suitable for just one mobile phone. 2. No DPNSS link required. In addition you get the following benefits of the “Mobile Extension” service without subscribing to it: 1. Internal and external callers calling your desktop extension number can be diverted to your mobile. 2. Provides short code extension dialling for other PBX users who call you. Of course there is no call charge reduction, but then there is no fixed cost. In summary SDX and INDeX are fully compatible with the Cellnet “Mobile Extension” number service. Alternatively the use of the divert feature on INDeX 6.1 will provide an attractive alternative. The INDeX alog cassette supports the use of analogue two wire telephones with message waiting lamps. The feature may be activated to notify the two wire extension user of messages from other terminals or from an associated voice mail system. Currently if more than six telephones on a single alog cassette have message waiting activated simultaneously, the message waiting lamps may dim or even go out. Whilst under normal traffic conditions this situation is unlikely to arise consideration of this fact must be made when planning INDeX installations with large numbers of analogue extensions with message waiting. To date there have been no field issues raised with respect to alog message waiting capacity. The alog cassette will be enhanced to provide simultaneous message waiting on all extension circuits. The message waiting light will change to flashing in place of continuously on. The enhanced version of all alog variants will be supplied for all deliveries made after 1st March 1996. SDX BSL will operate a free of charge upgrade to the enhanced alog cassettes for installed cassettes WHERE THE PROBLEM IS IDENTIFIED. To arrange for alog cassette upgrades, place a standard order for the relevant cassettes with Sales Support, specifying the installed site details and a description of the symptoms. Replacements will be issued on a “Credit Pending Return” basis. A cut off date of 12th April will apply for FOC upgrades. A number of different methods are employed throughout the telecoms industry for the activation of message waiting lamps on two wire analogue extensions. It is therefore essential that only analogue telephones with the correct method of message waiting are used with INDeX alog cassettes. The method of message waiting used on INDeX works by switching 100 volts DC onto the normal two wires of the telephone to light a neon message waiting lamp. This method of message waiting was originally developed by Mitel for use on the SX2000 switch and has the advantage that additional wires are not required to enable message waiting and that the message waiting lamp also acts as a visual ring indicator. Increased Client Limit The new version of software will allow up to a maximum of 20 clients to be simultaneously logged onto the ACD server. This new limit is a total of simultaneously logged on Database Export, Qmax and Windows Clients. 3. Improved Password Protection This new feature has been necessary due to the increased client limit in order to facilitate the team type working in call centres which has been increasingly requested by SDX resellers. This allows Call Centres to have an ACD supervisor (client) per team of agents. To allow this password protection has been improved so that each supervisor can only view their own team of agents and generate reports for their own specific group. It is envisaged that this new level of software (currently known as ACD 5.2) will become the standard level and will not require an increase in specification of PC hardware. However, as from 18th March 1996 the following change will be introduced for use of the CTI port on INDeX:Short Code LICCTI Description RSP Licence for INDeX CTI Port £2500 per site + vat Normal matrix level discount will apply to this RSP. The purchase of a licence will be required for connection of any third party CTI application. This would include, for example, a third party telephony server such as the Global World Windows CTI Gateway. The Licence should be ordered in the same way as any other SDX BSL product. The licence enables the use of protocol on the CTI port, which may be legally accessed following receipt of the corresponding invoice from SDX BSL, whose terms and conditions enable use of software on the CTI port when the appropriate fee has been paid. This Update also gives formal notification that after the 18th March 1986, the use of the CTI port for any INDeX system will be illegal unless this Licence has been purchased. SDX BSL is a member of FAST (Federation Against Software Theft). CTI applications connected to the INDeX CTI port before this date are exempt. Systems installed as of 18th March, but not yet connected to the CTI port, will be subject to licence payments. Because INDeX has been assessed against these European safety requirements that approvals apply beyond the UK and throughout the European Community. 3. BS 6450: Section 5.1: 1993 - as Item 1, but Section 5.1 specifies tests for facilities on Private Brach Exchanges with terminating stations treated as an entirely, concerned with how terminals interact with PSTN lines e.g. repeat call attempts, intrusion etc. This is a basic document for UK approval. 4. Commission Decision 94/796/EC - specifying a Common Technical Regulation for pan-European ISDN Primary Rate Access. Testing against these requirements ensures INDeX’s PRI Euro-ISDN Cassette has approval beyond the UK and throughout the EC. 5. Commission Decision 94/797/EC - as Item 4, but for pan-European ISDN Basic Rate Access for the EC, ensuring INDeX’s BRI Cassette has approval beyond the UK and throughout the EC. Re: Price Changes Attached is a summary of price changes which will become effective on the items specified from 1st March 1996. Recapping on the FT-7 : The FT-7 is a contact management package for SDX and INDeX users with Windows workstations connected on a Local Area Network. The FT-7 can hold up to 1,000 contacts which can be called with no more than a mouse click. Comprehensive search facilities make finding a specific entry a simple task. A user can store notes against each contact in their directory providing a useful reminder of call history. Tagging of contacts allows a user to quickly construct a list of telephone calls to be made. Frequently called numbers can be dragged onto speed dial buttons for ease of access. The FT-7 also provides a voicemail access panel permitting the collection of voice mail messages at the click of a button. What’s new in the FT-8 ? The FT-8 has all the functionality of the FT-7 with some powerful new features allowing the graphical control of incoming calls. When a call rings your phone you can tell at a glance the caller’s CLI and, if the caller exists in the directory, it will even display the caller’s name. To answer this call you simply click on your phone icon with the mouse. Now you have the call you can ‘drag and drop’ it on to the directory to transfer it, or click on a directory entry to make an enquiry call, from where, with a single mouse click you can establish a Conference. If you are working in another application the FT8 can be configured to automatically activate when the phone rings and screen pop the appropriate FT-8 note pad. FT-8 New Telephony Features Summary: With FT8 enhanced capabilities, the user has the opportunity to perform the following call handling operations: • Make a call • Extend a call (call another party with one call connected) • Answer a call • Alternate between calls • Hold a call • Perform a blind, supervised transfer • Retrieve a call (i.e when performing an enquiring call) • Establish a conference call • Redirect a call (inbound call only) • Split from a conference immediate or a What does FT-8 consist of ? The FT-8 is shipped in a single box containing three floppy disks, two dongles (Server and Licence dongle), a V24 cable (9-way female to 25-way male), a serial cable converter (25way female to 9-way male), and a copy of the User and Installation Guides. The three disks contain the server software (one disk) and workstation software (two disks). How does FT-8 work ? SDX / INDeX Telephone System The server is connected to SDX or INDeX via a serial cable connection and to the customer’s Local Area Network via a network card. When a user launches the FT-8 application, a message is sent over the LAN to the server, thereby registering that user. From now on that user will receive event information from the SDX or INDeX via the server. Likewise, when a user dials from their FT-8 a message is sent to the telephone system via the network server. What is the requirement for the network ? The FT-8 requires SPX/IPX in order to communicate between the server and workstations. This will be compatible with all Novell networks. If the network in use is not Novell you should check with the customer’s IT manager if IPX is or can be installed. What is the requirement for the server PC? The FT-8 server PC is an additional PC connected to the customer LAN. This server PC must be dedicated to run FT-8 (note: FT-8 server PC is different from customer file server PC). The FT-8 server PC required specifications are: 386 PC with 4 MB RAM, one 3.5” working floppy disk drive, 20 MB hard disk and one 9 pin serial port, configured with an appropriate network card and running IPXODI.COM.(IPX driver loaded on FT-8 server PC). What is the requirement for the workstation PCs? The requirement for the workstations will vary considerably depending on the Windows applications a user runs. The minimum requirement is a 386 with 4MB RAM or ideally a 486DX with 8MB of RAM, with one 3.5” working floppy disk drive. Since most users are now using applications like Word 6, 486DX are common place. The workstations must be running Microsoft Windows (vers. 3.1 with Setup Network option set to Novell Netware - Shell version 3.26) or Microsoft Windows for Workgroups (vers. 3.1.1 with Setup Network option set to Novell Netware - Shell version 3.X), with an appropriate network card capable of supporting IPX/SPX protocol. What is the requirement for the SDX Telephone System used? The SDX Telephone System must be either a 420N/60N with 5.1+ level of software, or INDeX system. Serial Link - short connection(max. 3 metres): SDX supplies the FT-8 with a standard 3 metres V24 serial cable (9-way female to 25-way male) for connection to SDX 420N/60N through the licence dongle. For direct connection to the INDeX, SDX Business Systems provides a 25-way female to 9-way male converter to connect to one serial port of the INDeX. Serial Link - long connection (over 3 metres): The Reseller needs to ensure that a serial link is provided from the Telephone System (use of Line Drivers supplied by PSU-filtered mains to be considered for best quality link) for connection to the FT-8 Server. What does the customer need to provide ? The Customer needs to: a) provide a PC to be used as the FT-8 server conforming to the above specification. b) arrange for the server to be connected to their LAN. c) load and test the IPX software on the server PC. What level of support is available from SDX Business Systems ? Installation support: SDX will provide FT-8 installation, testing and product briefing provided the customer site complies with network and equipment specification detailed above. Warranty: FT-8 software is supplied with a standard 12 months cover which offers immediate replacement of faulty software with a set of new disks - effective from date of invoice. Free FT-8 software support is available to Resellers. Please follow usual technical support procedure, quoting FT-8 and your account number. Limits of warranty: In the event of a technical incident at the customer site which would stop or prevent FT-8 from working as initially installed by SDX engineers, Software Consultancy days are available from SDX Business Systems to reinstall the FT-8 on the customer’s LAN. This software level known as ACD 5.1 will become the standard ACD level for all orders placed from 15th April 1996. It is strongly recommended that all sites running ACD 5.0 are upgraded to ACD 5.1 to overcome a number of field issues. Full details are contained in technical bulletin number 23 Applications/Benefits There are two main applications for the new roaming agent feature. Roaming Agents This may be used where agents do not have a dedicated desk within a call centre and they may therefore log on at any desk. Their calls will then be routed to them depending on which group their roaming agent number is programmed into. Skill sets Skill sets may be used where an agent may have 3 separate log on numbers which they may use at different times of the day. An example of this type of working would be a multilingual agent who could take English calls in the morning, German in the afternoon and French in the evening. This could all be achieved by simply logging on with the relevant roaming agent number for the language of calls they wish to take. Full group reporting is available for this type of operation however it should be noted that if an agent’s detailed activity report is required for one agent for one day a report will need to be generated for each roaming agent number and the results added together. The data may be extracted using the database export option and reports written by the customer or reseller. Database Export is recommended for this type of operation. Features Three/four digit roaming agent log on numbers. This allows a more flexible numbering plan to be employed. Dial by agent The roaming agent number is part of the INDeX directory. Agents may be called by simply dialling their roaming agent number irrespective of where an agent is sitting. Roaming agent names When a roaming agent logs on to their ACD turret their directory name will be displayed on the turret and they will be asked to confirm thus ensuring they log on with the correct roaming agent number. This name also appears when other extensions are called. Secure log on It is now impossible for an agent to log on with a duplicate roaming agent number thus preventing loss of information to the ACD Manager. Roaming agent numbers are group members When roaming agents log onto the INDeX, calls are routed directly to their turret by the roaming agent number which they have entered as opposed to where they are actually sitting. Dongle protection The mechanism for defining the agent limit in the dongle of the ACD manager has changed to facilitate roaming agents. On previous levels the number of extensions which could be programmed into the ACD was the limiting parameter. On ACD 5.1 the dongle limits on the number of simultaneously logged on agents. The number of extensions which may be programmed into the ACD is set to 210. This allows more extensions to be known to the ACD than agents are enabled in the dongle therefore agents may logon at any turret/DT5 up a maximum of 210. Software Compatibility ACD 5.1 ACD 5.1 contains a configuration option to enable/disable the roaming agent feature. The existing log on method is also supported therefore ACD 5.1 is compatible, when in non roaming mode, with the same SDX/INDeX versions as ACD 5.0, please see attached software compatibility chart. Windows clients/database export /call costing Windows clients must be at the same level as the ACD server i.e. an ACD 5.1 client will not operate on a ACD 5.0 server and vice versa. Database export clients and call costing data discs must also be at the same level as the ACD server. INDeX 6.1 INDeX 6.1 software contains a configuration option to enable the roaming agent feature or it can be used with the existing log on method. Please note when INDeX 6.1 has the roaming agent feature enabled, the event log output from the switch changes and will not work with pre ACD 5.1 software. SDX Voice Manager The roaming agent feature is compatible with SDX Voice Manager software 5.8d or above. SDX Voice Manager 5.9 requires INDeX 6.1, whether in Roaming Agent mode or not. Limitations It is recommended that the roaming agent feature is used in conjunction with INDeX 6.1, however, it will operate with SDX 5.1.13 and INDeX 6.0 with the following limitations:1. The roaming agent numbers must not be below the extension numbers. 2. The extension number and ID as opposed to the roaming agent number and ID appears on TT/DT/FT displays when internal calls are made and features are invoked such as callback, camp on, pick up etc. 3. The roaming agent feature is designed for ACD operation. It is not recommended that ACD agents have voice mail boxes allocated when using roaming agents. This is because agents need to be logged on to receive and extinguish message waiting indication. The voice record feature is available however agents will need one mailbox per roaming agent number. The roaming agent feature has been fully field trialled on the INDeX platform however suitable trial sites have not been identified on the SDX platform. Any reseller who has identified customers wishing to use the roaming agent feature on SDX (with the above limitations noted) should contact the Product Assurance Group at SDX who will provide an assisted/monitored installation. Pricing ACD 5.1 is now the standard software release and attracts the same pricing as ACD 5.0. Upgrades from ACD level 5.0 to ACD 5.1 are free of charge. Upgrades from pre ACD level 5.0 to ACD 5.1 attract the same pricing as current ACD 5.0 upgrades. We have had reports from four customer sites whereby POTS phones start ringing and cannot be stopped without resetting the cassette. Our investigation confirms that it affects ALOG 0/16 cassettes PCS6 (the latest build level), where all ports are connected to two wire devices. After all devices have simultaneously rung, the problem starts with one phone ringing continuously followed by the others joining in in sympathy. A solution has been developed and fitted to six ALOG 0/16 cassettes which will be trialled at the known affected sites during this week. Subject to a satisfactory outcome from these trials it is anticipated that shipments of new modified ALOG 0/16 cassettes will resume on Monday 15th April 1996. SDX Voice Manager Integration The Visual Voice Mail Integration with SDX Voice Manager has been enhanced to include additional features accessed via context sensitive keys:- • Copy message • Listen to message • Modify password • Save message • Modify name • Copy message • Modify permanent greeting • Delete message • Modify temporary greeting • Time of message • Send message • Rewind message • Fast forward message • Review/Re-record message before sending These features are explained in more detail in Reseller Update 052 ‘Voice Manager 5.9’. The additional features above are only available when using Level 6.1 S/W in conjunction with Voice Manager 5.9. As a result of the development to deliver the above features, Visual Voice Mail Integration (feature access via display context sensitive keys) is only available on Level 6.1 S/W when used with Voice Manager 5.9. Therefore when existing INDeX systems are upgraded to Level 6.1 S/W, any associated Voice Manager must be upgraded to 5.9. From the 15th April orders will be accepted for Voice Manager 5.9 and Voice Manager 5.9 upgrades. It is anticipated that such orders will be despatched on the 22nd April. Please be aware, to activate Visual Voice Mail Integration, a licence key needs to be entered into the INDeX system CPU, (refer to Reseller Update 051). 2. External Call Diversion DT Terminal users may specify any System Speed Dial as their ‘Divert All’ number. The speed dial must be within their tenancy if programmed, (see item 8 Speed Dial Enhancements). This feature will allow both internal and external calls to that Terminal to be diverted off switch when set to ‘Divert All’. To indicate off switch diversion, internal callers will receive a warning tone and a text message if using an INDeX Display Terminal. External Call Diversion is supported on DT1, DT3, DT4, DT5, TT3 and TT5, it is not supported on SDX FT terminals or Standard Telephones. 3. Enhanced DDI Call Handling Functions Through system programming, the system manager may set how each terminal deals with DDI calls directed to their extension when they are busy. The terminal user may override this feature by invoking Divert on Busy on their extension to another terminal or possibly Voice Manager. The following options are available:Wait on Busy - will return Ring tone to the caller and activate the Call Waiting indication on the Terminal. Redirect on Busy - will redirect the DDI call to a Trunk Plan set within INDeX. Wait/Redirect on Busy - will return Ring tone to the caller for a period specified in the DDI Answer Timeout then redirect to a Trunk Plan. Reject on Busy - will return Busy tone to the caller. 4. Alarms An alarm will provide an audible and visual alert on Terminals and may consist of either, ringing, system music, an ACA message or DMOH module. Display terminals can also have the added benefit of customised text messages. Two types of Alarm are available:System Alarms - provide up to ten alarms at any time to alert a group associated with that alarm. System alarms are programmed from system administration. Personal Alarms - allow INDeX Display Terminal users to set a single alarm for their extension. Both System and Personal Alarms can be programmed for any time on either a specific day of the week, everyday, every Saturday & Sunday, or every weekday. 5. CLI Speed Dial Name Matching For incoming calls on digital exchange lines, the system will attempt to match the CLI against a System Speed Dial. If a match exists, the CLI will be replaced with the Speed Dial Name and be displayed on the Terminal. The speed dial identity has the same level of display priority at the terminal as the CLI. Please note that if the CLI also contains the extension number, the CLI will not match with the system speed dial. In this instance, the CLI number will be displayed on the Terminal. 6. Absent Text Messaging to Display Terminals Text Messages can be displayed on Terminals set to No Calls that have no Divert All number set. The terminal can select from 10 system messages or enter their own customised message. The message is displayed on any terminal or WOC calling the extension set to No Calls. 7. Silent Monitor Enhancement Enhanced silent monitor allows multiple terminals to monitor the same target extension through a chain sequence. Whilst a ‘Supervisor’ monitors an agent, a ‘Manager’ may then monitor the ‘Supervisor’. This will have the effect of the ‘Manager’ monitoring the agent. A ‘Review’ softkey is available to the Supervisor during monitoring, this will place a call to the monitored extension once the current call has finished. Calls initiated by the ‘Review’ softkey have a higher priority than all other calls and will always be the first call offered to the monitored terminal. The monitoring of three (or more) party conference calls is only possible on systems using a CPU400 or CPU800. 8. Secure status change It is not possible to intrude or monitor a two party connection involving a terminal with “secure” status. i.e. an intrude or monitor attempt cannot be made to a terminal that is not secure if it is connected to a terminal that is secure. It is still possible to intrude and monitor three (or more) party conference calls involving terminal with “secure” status. 9. Speed Dial Enhancements Speed Dials are now routed through the ARS package to retain call barring on extensions. Speed Dials now include a Tenancy option, that has three possible states:1. Allow extensions in all tenancies to use the speed dial (default). 2. Only allow extensions within a specific tenancy to use speed dial. 3. Allow extensions in all tenancies to use the speed dial, but the speed dial is not displayed in the INDeX function. 10. DDI Call Presentation on Operator Consoles Unanswered DDI calls redirected to a WOC through a distribution plan, will always be presented in Queue 3, allowing redirected DDI calls to be readily identified. This overrides any queue identified in the trunk record used in the redirection plan. 11. Extended Trunk Disposition Search If all three day or night i/c dispositions are unavailable, the system will search the next three day or night dispositions associated with that trunk. If these are unavailable the call will be placed to the first available extension number on the system (normally extension 200). 12. Mixed Phone and Loudspeaker Paging A paging call to a DT1 terminal that is off hook and idle will be directed to the handset receiver and not the DT1 loudspeaker. This allows INDeX to be connected to an Approved external loudspeaker system via the DT1 handset cord instead of an analogue trunk. Systems connected in this manner have the benefit of flexible paging groups that can include system terminals and external loudspeaker systems. In this manner it is be possible to simultaneously page terminals and external loudspeaking systems. 13. System Manager Status The terminal “operator status” has been renamed “system manager status”. A terminal with “system manager status” can now toggle the secure/unsecure status of an ACA message. This enables ACA messages to be recorded from a DT Terminal or from an external source using the socket on the Control Cabinet. 14. Peacock Cordless Integration The Peacock RTS 12-50 cordless PBX maybe used with INDeX Level 6.1 S/W to provide diversion to a cordless phone from a DT Terminal. Although demonstrated at TMA28, full evaluation of the Peacock Cordless PBX with INDeX has not been completed by SDX Business Systems. Product Description Addendum A 20 page addendum to the INDeX Product Description is currently being printed, this is expected to be available on 22nd April. The addendum contains details of the features and benefits introduced in INDeX Level 6.1 S/W, Voice Manager 5.9 and ACD Manager 5.1. The addendum is being printed and bound in the same style as the INDeX Product Description. A copy of the addendum will be despatched to all recipients of Reseller Updates, additional copies may be ordered. User Guides User guides for the DT 3/4/5 and TT 3/5 are being updated to reflect the new features introduced in Level 6.1 S/W. When stocks of existing user guides have become exhausted, DT 3/4/5 and TT 3/5 will be supplied with updated user guides. Until this time all DT 3/4/5 and TT 3/5 will be supplied with a user guide supplement detailing the new features of Level 6.1 S/W. Updated user guides in windows help file format are included in the Level 6.1 S/W upgrade packs. The user guides for DT 1, standard telephone and WOC are to be reprinted, but the feature content remains unchanged. The new user features of Level 6.1 S/W are not available to these devices. All software and documentation contained within the pack may be copied to upgrade any number of existing installations. Further copies of the Level 6.1 S/W upgrade pack are available from SDX Business Systems:Order code INDEX-6.1 £50 Nett. The upgrade pack maybe copied as required. Attached is a new site registration / order form to be used from receipt of this Reseller Update, for all INDeX orders placed on SDX Business Systems. From the 15th April orders may be placed for CPUs with Level 6.1 S/W, additional Level 6.1 S/W upgrade packs, BRI Cassettes and Euro PRI Cassettes. It is anticipated that such orders will be despatched on the 22nd April. After this date all CPU cassettes will be dispatched with Level 6.1 S/W.
