My name is Joel Ingram and I am the General Manager of the Thompson Rivers University Residence. I would like to take this opportunity to welcome you to our facility. Whether this is your first time living in our Residence, or you are returning for another year, living in Residence is an experience unique unto itself. Residing in a building with over 550 other students is like living in your own community. Here, you will have the opportunity to meet people of various cultures and backgrounds that will enhance your overall experience. Among other things, you will meet new friends and create memories that will last a lifetime. Are you worried that you will be bored or that you will have trouble meeting people? Fear no more because we have a Residence Life Program that will be sure to help ease your transition! A team of highly trained, enthusiastic and experienced Resident Advisors (RAs) are on staff and available to you 24 hours a day. They are here as mentors, event planners and to ensure the safety and security of all students. Our entire team of Managers, Front Desk staff, RAs, Housekeepers and Maintenance are committed to your success as a student at Thompson Rivers University. RESIDENCE STAFF Our Residence team is available to help Residents adjust to all of the new experiences that come with postsecondary education, such as how to sign up for classes, what services are available on campus, social activities and events on campus as well as around town, and much more. Residence Managers Residence Managers are responsible for the day-to-day operations of the Residence, the safety and security of Residents, Visitors and staff, the Residence Life Program and the enforcement of the policies and procedures. They are committed to making your time in Residence a positive and memorable experience that will benefit you for life. Resident Advisors (RA) The role of the Residence Advisor are filled by returning students who live in the building and plan educational and social activities in Residence. The RAs provide valuable support and guidance to students, while at the same time acting as a liaison with Residence Management. The RAs complete nightly rounds of the building and are available through the Front Desk. The RAs have the tools and knowledge to get you the answers, direction and/or assistance you need, or can simply be someone to talk to. Resident Services Supervisors (RSRs) Our RSR’s are always available to help you with any questions you may have about the Residence and the surrounding area. You will see them to sign out vacuums, to sign-in Visitors, and when you walk in the door. It is the responsibility of the RSR’s to ensure the safety and security of all Residents, including our Visitors. Housekeepers and Maintenance Staff Housekeepers and Maintenance staff are responsible for the daily cleaning and maintenance of all common areas in the Residence. Housekeepers will access suites to complete a regularly scheduled cleaning of the kitchen and bathroom and to report any deficiencies that may not have been previously reported. Maintenance will assess Work Requests daily and perform repairs on the building and in suites as required. They also conduct daily preventative maintenance to reduce the probability of deficiencies that may cause inconveniences to our guests and staff. Residence Council (RC) As a representative body of the Residence student population, the Residence Council aims to enhance the Residence experience and foster academic success by practicing high quality student leadership through programming, volunteerism and student support initiatives. The Residence council creates opportunities for Residence students to participate in leadership initiatives, learn valuable new skills and add value to the Residence experience. Students may volunteer on committees, attend meetings or simply participate at Council events. The Residence Council President and Vice President positions are selected by the RLC after an application process. All Residents are welcome to apply to be a member of the Welcome Crew, Committee Chairs and Members at Large. All Residence Council positions are volunteer positions. Residence Security & Personal Responsibility Residence Security
The Residence offers great security from the moment you pass through the controlled main entrance, until you slide your electronic card into your suite door to let yourself in. We believe the safety and security of our students and staff is paramount. To that end, we require that all Visitors in the building be registered prior to entry and provide a valid piece of photo-identification. All of the common areas are video recorded and we have staff on duty 24 hours a day. Safety and security is also the responsibility of every Resident. All the safeguards and rules put in place by the Residence Management and the Institution are for your safety and protection. Circumventing rules by lending key cards or letting in Visitors without permission can only lead to problems. Keep your suite door closed at all times and do not leave your valuables unattended as neither the Residence nor the University is responsible for missing items. This would include having your door “propped open”. Why can’t you leave your door open or propped open? Each suite is equipped with a fire rated door that allows for a barrier if a fire was to happen in Residence. The suite door must be kept closed in order to allow for this barrier to work. Staff will remind Residents to close their suite door while doing their rounds or close any unlocked door as required. Lock your suite doors at all times and do not leave your valuables unattended. You must have a valid room access key to enter any of the corridors and your key will only grant you access to your own suite and the common areas. Suite Keycard Upon move in, you are provided with a key card that will provide you with access to the Residence and your suite. Should you misplace or forget your key card, you can always ask your roommate to let you in or, if all else fails, please come down to the Front Desk to gain a “Lockout Key”, at the cost of $2.00. We do ask that all students who borrow the lockout key, do return it within 5 minutes time. Should you lose your key entirely, at this point you would need to pay a replacement charge for a new key at a cost of $20.00. Mailbox Key When you check in you will be assigned a Mailbox Key. You will share a mailbox with your roommate. If you lose your Mail Key, you will be required to pay a $20 (plus tax) replacement charge for replacing the Mail Key. Visitor Sign In/Out & Overnight Procedures Residents are welcomed to invite up to two (2) visitors over to the Residence at a time. Residents must sign in each visitor with the Front Desk prior to entering the Residence. Visitors must be provide valid photo ID (health cards are not accepted, student cards preferred) in order to enter the Residence. It is the responsibility of the Resident to provide their guests with information surrounding the “Visitors and Guest Policy” for more details please reference the Residence Community Living Standards printed on Page 24 of the handbook. Should a guest or Resident be in violation of these Standards a fine or loss of privileges may be incurred. REGISTERED GUESTS PROCEDURE If a Resident wishes to have a guest stay over for an extended period of time (i.e. 2 or more nights) and would like to ensure they will be able to sign into the residence, Residents must email
[email protected] with a “Request for Guest Registration” email stating: who they are, their room number, who they would like to sign in. We will approve the request or not with a confirmation email. FRIDAY & SATURDAY NIGHT PROTICOL If a resident wishes to sign in a guest on Friday and/or Saturday night(s), they must email

Any guests signing in on Friday or Saturday nights must do so with the proper ID. On these nights, guests will recieve a bracelet from the Front desk by 3pm. The resident is still required to sign in and out each time they depart from the building, however, the bracelet will grant guests re-entry to the residence should they be out passed 11:00pm. WHY CAN’T VISITORS SIGN IN AFTER 11:00 PM?
The 11:00 pm sign in policy was created to ensure a safe and secure living environment, Reduce noise levels, and limit non-Resident traffic flow. It is the Resident’s responsibility To ensure that their Visitor signs out of the facility. Noise The key to successful Residence living is in cooperation with and respect for other Residents. The volume of voices, TV’s, and stereos must be contained within your suite at all times. Please respect your roommate and fellow Residents. LIVING IN RESIDENCE Move-In Day Procedures Fall Semester Move-In Day Procedures Move-In can start as early as 8am and will end at 5pm each of the official move-in days. Wherever possible, Residents with last names starting with A-L will move in between 8am and 12pm and Residents with last names starting with M-Z will move in between 1pm and 5pm. Upon arrival, Residents will proceed through several marked stations to ensure the following have been completed: • Staff ensure appliances are CSA and/or UL approved • Your picture has been taken for security purposes • You are aware that you need to return your Internet Agreement and Room • Inspection Form to your RA or the Front Desk by September 9, 2016. Winter & Summer Semester Move-In Day Procedures Unless notified otherwise, the first official move-in day commences on the Sunday before classes begin. Please contact the Residence to set-up a move-in date and time. Prior to moving in, please contact the Residence at least 24 hours before to confirm your arrival. Student Resident Agreement (SRA) Your SRA is a legal contract. You received this contract in your Acceptance Package. The SRA outlines your financial obligations as well as the rules and regulations we expect you to follow in order to maintain a secure and pleasurable living environment. It is your responsibility to read the SRA carefully and refer to it throughout your stay. If you have any questions regarding the contents of the SRA, please speak to a Residence Manager at the Front Desk. Please ensure you have a copy of your SRA for your records. If you do not have a copy, see the Front Desk. Appliance Information Each suite is equipped with a microwave and a fridge / freezer. Other than the fridge / freezer supplied in the room, no other refrigeration appliances are to be brought into the Residence. Open element hotplates, deep fryers, indoor barbeques, and fondues are prohibited because of potential fire and health hazards (i.e. hot oil, open elements/flames, smoke). Residents found with any of these prohibited items will be subject to a minimum $50.00 fine and the items will be removed from the Resident’s suite. Irons, toaster ovens, Foreman grills, electric frying pans, coffee makers, electrical kettles that are protected by an “automatic shut-off feature” may be used. A visible serial number and a CSA or UL identification tag must be present and each Resident must identify and register their appliances upon move in. For your convenience there are four common kitchens in the Residence that are equipped with ovens / stoves. Appliances found in rooms that have not been registered at the Front Desk and / or do not have a CSA or a UL identification tag or items that are prohibited as per the above specifications will have to be removed from the Residence immediately.
What to Bring • Bed linens, Comforter, Pillows, Blankets, Towels, Shower Curtain • (Suitable for a double-width, queen-length bed – 54 inches by 80 inches) • Cleaning Products: Dish Soap, Mop, Bucket, Broom, Dustpan, Rags, etc… • Hand-held vacuum, Swiffer duster and/or mop • Alarm Clock/Radio • Computer (if required) – ensure computer has an Ethernet card, modems do not work at the Residence • Toaster, Coffee maker, Kettle, Iron, Toaster Oven, Foreman Grill, etc… (No hot plates of any kind – this is for your safety) • Laundry Detergents and Fabric Softener • Pots, Pans, Dishes, Glasses, Utensils, Dish Rack, Garbage bags, etc… • Toilet Paper, Plunger, First Aid Kit, Personal Hygiene Items, etc… • All school supplies required • Small Furniture Items: Bookshelf, Night Table, or small dresser. • Gaming system, or DVD - Please note, not all TV’s have required connections, adaptors may be needed. What not to Bring • Animals/pets • Weapons: hunting knives, swords, firearms • Hot plates and deep fryers or appliances with open elements • Candles and incense • Kegs of beer, beer bottles, single serving glass containers • Drug Paraphernalia • Hooks or nails that will be placed in the wall • Refrigerators or freezers *Please keep in mind that absolutely nothing is to be pinned, taped, screwed, nailed, or stapled into any wall or furnishing within your Residence suite. Decorating Your Suite • Nothing is to be affixed to your window to deface or compromise the general esthetics of the outside of the building • The only acceptable form of affixing items to walls is the use of white sticky tack or 3M Command Strips • You may decorate the outside of your suite door, however any offensive, discriminatory, or inappropriate material will be removed at the discretion of Residence Staff and may result in disciplinary action. • Posters within the Residence that advertise for any group or personal reasons must be preapproved by the Residence Life Coordinator or a Residence Manager • Decorations should be fire-retardant or flame-proof • Strings of indoor lights should not be in direct contact with any flammable materials and should not be left on while the suite is unattended • Real plants are permitted in the Residence with the following restrictions: • Plants must be under 12” in height • Plants must be properly maintained • 2 plants per Resident maximum • Plants can be removed at any time at the discretion of a Residence Manager should they be deemed inappropriately maintained or a cause for concern • Artificial snow is not permitted in the Residence Living with your Roommate Many Residents come to college / university with great expectations about their roommate. Hopefully these impressions will be true, but stress levels have a tendency to increase during certain times of the year (i.e. exams). It is important to be aware and appreciate these stressful times as you and your roommate may
experience some rough spots. It is very important that you communicate about things early so you can begin to understand each other. It would be recommended that you discuss the following items to be able to establish rules and responsibilities of each roommate from the start. Discuss issues that will affect both of you • Cleanliness • Study habits • Sleep habits • Music preferences and volume • Sharing personal belongings • Overnight guests Things to remember • Keep communication lines open. • Be honest about how you feel and what you are thinking. • Be willing to compromise. • Give your roommate the respect, consideration, and understanding you want in return. • Discuss problems as they arise with your roommate, not with other Residents. • If things change, be sure to let your roommate know. It is normal for your ideas, feelings, or even habits to change - situations change too. • Ask your RA for help if you need it. Roommate Conflict If you are experiencing difficulties in your relationship with your roommate, there are certain steps that are important for you to take toward resolving your difference: 1. Try talking to your roommate. 2. Talk to your Resident Advisor. Your Resident Advisor can assist you in finding feasible communication strategies and will support you and your roommate as you work together to resolve the problem. 3. If this step is unsuccessful, please feel free to come to the Front Desk and speak with a Residence Manager. Healthy Living In a Residence environment it is much easier for communicable diseases to spread such as colds or the flu. Here are some strategies to help keep you healthy and avoid catching some of the germs that may be prevalent from time to time: • Keep up to date on your immunizations • Wash your hands frequently • Don’t share drinks or cigarettes • Limit your contact with others when you are ill • Get plenty of rest • Eat a balanced diet • Live a balanced life • Maintain a clean suite Personal Safety • For safety reasons, lit candles, cigarettes or incense are not permitted in the building. • You risk your life and other’s if you tamper with fire equipment. • If you bring friends into Residence you are responsible for their actions and conduct. • Over consumption of alcohol can lead to harm or death. • Illicit drugs are not welcome in Residence. • Do not bring them to Residence and do not use them. • If you are concerned about your safety or anyone else’s, talk to the RA on duty. • Always lock your suite when you are not there; do not leave your suite door propped open. • If you are taking prescription drugs, check with your doctor before consuming alcohol.
Residence Services Maintenance Services Our Maintenance staff takes great pride in ensuring that our building is always meeting our high standards. Our Maintenance staff are very willing to assist with anything in your suite or the building that may be in poor condition, needs fixing or repair. We encourage you to complete a Maintenance Requisition if you notice anything of this nature. CREATING A MAINTENANCE REQUEST You are able to fill out a Maintenance Requisition right from the comfort of your suite Here’s how: 1. Log onto the My Housing Portal with your username and password* http://myhousingportal.ca/StarRezPortal_TRU 2. Click on the “Maintenance” tab 3. Follow the simple steps to create your request Note: If you have forgotten your username or password, stop by the Front Desk for some help on retrieving them. You can check the status of your request by logging back onto the Portal and viewing your submissions. Maintenance staff will try to get to your request as soon as possible. Please note that by creating a Maintenance Requisition online, you consent to having a Maintenance member enter your suite. Requests are typically completed Monday through Friday from 9:00am to 4:00pm. If you (or your roommate) are not present at the time of the repair, a note will be left in your suite to let you know we were there. Housekeeping SERVICES The TRU Residence is proud to offer its students Housekeeping services for the common areas of their suite. Light cleaning by a housekeeper will occur when a resident’s suite has clear counter tops (all personal belonging i.e. hairbrush, toothbrush, dirty dishes,) and floors (clear of garbage, personal belongings) as well as a maintained bathroom. This includes both the kitchen and the bathroom, including the shower floor. In order to maintain a safe, sanitary and clean living space, residents are asked to ensure they are maintaining their suite in between housekeeping visits. Should your suite be deemed unacceptable to be cleaned, Residents will receive a warning to clean their suite within 24 hours. Save space in your packing and borrow a variety of cleaning tools available to residents at the Front Desk such as a vacuum, broom or mop. Residents who do not comply with the housekeeping requirements could be subject to a fine. FRONT Desk Services Vacuums, plungers, and other items are available for use by signing them out at the Front Desk. You must present valid Photo ID in order to sign out any equipment. These items are available on a first come, first serve basis and are limited in quantity. You can also purchase long distance calling cards and single use boxes of laundry soap and bounce sheets. Laundry The laundry room is located in the basement. Within your Welcome Package when you move in, there is an electronic laundry card. The machines are not coin operated. If you lose the laundry card the replacement cost is $20.00 plus applicable taxes. Please note this card must be returned upon move out and any money remaining
on the card will not be refunded or credited to you. The laundry card you receive will be empty and it is your responsibility to put money on the card. Each time you do a load of washing or drying, the machines will deduct the indicated amount from your card. Please clean the lint trap before and after every load in the dryer. Be considerate by not using all the washers and dryers at one time. As well, do not leave your clothes in the machine past the end of the cycle. Please note that the Residence is not responsible for lost or stolen items of laundry left unattended. Kitchen You have access to the common kitchens 24 hours a day, which are located on the 2nd, 5th, 10th and main floors. Please make sure that you leave the kitchen in the same condition as you found it. Failure to do so will result in disciplinary Sanctions as well as areas being locked. Lounges Enjoy a room PLUS a view! With our big picture windows showcasing the mountains, Residence provides a variety of lounges that are provided for use by the Residents and their guests 24 hours a day. Each lounge contains couches, tables and a TV for use. Residents are asked to respect the furniture and use of the lounges, understanding that they are meant to be enjoyed by all. With this in mind please keep all items inside each lounge. Cardio Room You can access the cardio room on the 10th floor using your keycard 24 hours a day. Patio For your convenience we have a patio located off of the main lobby. The patio is subject to quiet hours from 11pm-8am and smoking is not permitted. Residents found violating quiet hours and/or the smoking policy will be subject to disciplinary sanctions. Vending Coin operated vending machines are located on the 2nd, 5th, and 10th and main floors within the Residence. They offer pre-packaged snacks and beverages. The Banking Machine is located on the main floor of the Residence. Parking All Residents parking on campus must purchase a Parking Pass. People who park in any lot without authorization may be ticketed and/or towed. Please refer to “http://www.tru.ca/facilities/coreservices/parking.html” for further information and instructions on how to purchase your Parking Pass (both long term and daily passes). Parking Passes are not available at the Front Desk. Bicycle Storage The Residence does provide outdoor bike storage. This storage facility is located at the east end of the building near the stairs; please see the Front Desk if you require access to this room and to register your bicycle. Bicycles are not to be brought into or stored in any suite or private bedrooms. Any Resident with a bicycle in the Residence will be subject to disciplinary Sanctions and the bicycle will be removed without notice. Residents wishing to use the bicycle storage are required to supply their own lock. The Residence is not responsible for damages or loss of property. Garbage TRU Residence offers its students the luxury of recycling and placing their garbage in a safety, security and shelter of the building. Students are responsible for removing their own garbage from their suite. The garbage drop off is located past the Multimedia Room on the main floor. Students are asked to please removed all garbage on a bi weekly basis prior to Housekeeping’s arrival. This includes all empty alcohol containers, recycling matter and garbage bags. Let’s work together to keep Residence Sanitary and Clean!
Recycling What can I recycle? 1. Metal cans 2. Glass jars and bottles 3. Plastic containers 4. Aluminum trays and foil 5. Newspapers, magazines, books, phone books 6. Milk and juice cartons 7. Cardboard* * Cardboard materials do not go in the blue recylcing bins and must be brought to the cardboard recycling bin located at Lot U. What can’t I recycle? 1. Coffee cups 2. Styrofoam 3. Dishes 4. Plastic tubs (used for leftovers) 5. Pizza boxes Where can I recycle? You can place your empty beverage containers, glass jars and bottles into the blue recycling bins located in the garbage room located past the Multimedia Room on the main floor of the Residence. Please read the signs and put the proper materials into the designated bins. This includes paper products and plastic. Photocopy/Fax TRU Residence has a photocopier located on the ground floor at the Front Desk of the residence. Students can ask the Residence Service Representative to have your copies made. The copier is for black and white copies only. Faxes can be transmitted at the Residence for a cost of $1.00 per page. The fax number at the Residence is Fax: 250-852-6265. Telephone • External local calls can be made by dialing 9 then the number. • Operator assisted long distance calls (collect calls or to charge to a credit card)can be made by dialing 9 + 1-800-555-1111. • Long distance calling cards are available for purchase at the Front Desk. • Calling card assisted long distance calls can be made by dialing 9 + the toll free number provided on the calling card. Accessing Voicemail From your phone, press the Voice Mail Access button Main Menu Press 7 to play your messages Press 4 to change your greeting Press 9 to set or cancel a wake up call • Enter your wake up time using 4 digits (example: 0700 would be 7 am) Press Front Desk speed dial button to transfer to Front Desk (Operator) Message Options (after pressing 7 from the Main Menu) Press 7 to play your saved messages or to repeat the current message Press 5 to keep the message and play the next message Press 3 to discard the message. Once deleted, the message cannot be recovered
Navigating Your Messages (after pressing 7 from the Message Options) Press 1 to stop or pause a message. Press any key to resume Press 6 to play date and time stamp Press 8 to skip to the next message Press # to skip forward 5 seconds in a message Press * to back up 5 seconds in a message Internet Access You can connect to the internet using two different methods: 1. Plug your computer into the back of your provided bedroom telephone using a network cable. You do not need to unplug the phone; there is a separate connection for your network cable on the back of the phone. 2. Connect using wireless capabilities. The University will provide you with the appropriate username and password. Internet access is available in each bedroom. To plug into the World Wide Web, you will require a computer and an Ethernet NIC Card. Ethernet Cards can be purchased at any computer store if your computer does not already have one. Types and costs of cards will vary depending on your computer. Please note that a network printer will not be provided. Students must supply their own hardware and software to access the Internet in the Residence. Appropriate Use of the Internet The following regulations are to be adhered to by all Thompson Rivers University Residence Residents and Guests. Disciplinary or legal actions will be initiated by the Thompson Rivers University Residence if the policies below are not followed: • Residents and Guests are expected to take all necessary precautions to protect their hardware and software as well as the data stored on their PC. • The Thompson Rivers University Residence is not responsible for theft or damage to any Resident’s and/or Guest’s PC under any circumstances. • If the Thompson Rivers University Residence installs a password system, the Resident or Guest agrees to keep their assigned “username” and “password” secret and secure. • Use of Residence Internet Account for business (e-commerce) or financial gain is strictly prohibited. • Since the Thompson Rivers University Residence facilities are connected to the Internet, usage of the network is governed by the acceptable use policies of connected nets and laws of other countries. • Residents and Guests are urged to be sensitive and aware of other cultures and nations in their postings to the Internet. • It should not be assumed that e-mail and other data is private as it traverses the Thompson Rivers University Residence internal network or the Internet. Residents and Guests are urged to act accordingly. • Due to inevitable system upgrades or malfunctions, the Thompson Rivers University Residence System Administrator(s) may need to inspect user directories. Should any Resident or Guest require their data to remain private at all times, it is the responsibility of that Resident or Guest to use encryption or a removable mass storage device. • Any deliberate attempt to discover or alter other Resident or Guest passwords is strictly prohibited, as are attempts to subvert system security or operation of any of the University’s computers or other networked computers. • The Thompson Rivers University Residence Internet Service may not be used for illegal purposes, and it is expressly noted that copying copyrighted software, and the execution of illegally copied software is strictly prohibited. • Harassment in any form (e-mail or otherwise) is strictly prohibited. The policy outlined in the Student Residence Agreement will be enforced. • Any attempt to hide the identity of the sender/originator of a message is strictly prohibited. Residence Operations
Room Inspection When you take occupancy of your room you will receive a Room Inspection Form, which you will complete on your move-in day . When you move out, you will be charged for all dirty, damaged, and missing furniture, fixtures, and equipment within your suite that you have not listed on the Inspection Form, so it is in your own best interests to conduct a thorough inspection. Insurance You are responsible for arranging adequate insurance coverage for all of your belongings. The Residence’s Insurance Policy does not cover damage to or loss of your personal items. We recommend you purchase insurance for your belongings. Extending Stay - Summer Term During the Summer Semester the Residence is open to the general public for accommodation. It is procedure at this time to move all students to designated student floors. Therefore, if you are living on another floor by the end of the Winter Semester you will be required to move for the Summer Semester. In March you will be required to fill out a Spring Move Out Form that will allow you to transfer your security deposit to the summer term. If accepted, you will be required to fill out the Summer Acceptance Package. Move-out You will be required to move out of the Residence 24 hours after your last exam. If you decide to remain in Residence after this time you may be charged a Late Move-Out fee of $30.00 for each additional night. Please note that it will take approximately six to eight weeks after your final move out date to receive your Security Deposit refund less any outstanding fees. Care must be taken to avoid damage to doors, frames, walls, floor coverings, and any part of the Residence during your move-out. Please note that “23 Hours of Quiet” will be in effect throughout the exam week(s). Withdrawal from Residence If you find yourself in a situation where you can no longer live in Residence, you must speak with a Residence Manager immediately. Moving out of Residence early does have financial implications. Please refer to the SRA for an explanation of your financial obligations. Residence Life Open Residence Forum To increase open communication between Residents and Management, forums will take place within the Residence – see the monthly newsletter for information regarding dates and times. Residents will have the opportunity to express their thoughts and provide recommendations to improve the quality of life in Residence. If Residents do not feel comfortable attending the meeting, they are able to contact a forum representative (i.e. community leader, RC member, RA, or Management) to express their concerns and suggestions for improvement. Workshops Seminars and workshops will be offered to Residents with topics ranging from nutrition to stress management, to safe sex and personal finance. Residents are encouraged to attend all sessions. Dates and times for these workshops will be posted around the Residence and in our newsletter. Residence Events - Competition, Community, Prizes Residence Events are aimed at giving residents the chance to meet and socialize with their neighbours, experience new and different activities, and learn about themselves and others. Keep your eye open for more information on our Residence Events when you move in. Prizes are awarded each month to students who participate in our various events. RESIDENCE REWARDS: COMPETITION, PRIDE, SPIRIT, PRIZES!
Residence Rewards is competition based on individual and community involvement. The Residence is divided into communities throughout the building. These communities compete for points in order to become the Residence Community Plus (+). PLUS POINTS, HOW DO YOU GET THEM?! Residents and their communities can gain points through building a spirited, welcoming, inviting environment. Points are awarded to Residents who attend their floor socials, who receive good grades, who participate in events, who develop floor pride or who participate in a kind gesture (such as holding the door open, providing support to another resident, etc.) PLUS A WINNER, BUT WHAT DO YOU WIN?! Residents who receive top points at the end of each month will be recognized in the lobby with a photo, as well as receive a gift card ranging from $15-$25. The community who has the most points at mid term and at the end of term, will receive a private gathering, held by the Residence staff,recognizing them as the winner! (this could include a pizza party, off campus activity, etc.) SUPPORTING YOUR SUCCESS – PERSONALLY & ACADEMICALLY Moving into Residence is an exciting time, but it can also be difficult. Our Residence Life Program offers you many different resources and services to help you be successful. Go to our website, www.trurez.ca, to learn more about these programs. Check Your Drinking How much do you drink? Do you drink too much? How do you compare to the average college/university student? Take five minutes to fill out this survey and learn a little about your perceptions and habits related to alcohol. Once you complete the survey it will give you information that may have a positive impact on your perceptions and habits. iCopeU Stressed out? Anxious? Feeling down? Or, simply curious to learn more about how to effectively cope with the challenges of student life? This interactive website has games, videos, and multiple resources that will help you cope with some of the things that you may find challenging or stressful while living in Residence. SI-OS Students can self-injure for numerous reasons and sometimes taking the first step or having an initial conversation is tough. Self-Injury Outreach & Support is a website for people coping with urges to self-harm, but also includes resources for loved ones and school professionals. You can read personal stories of recovery and a guides on the referral process. KNOW FIRE This resource provides a deep look at the dangerous reality of fire. Through engaging videos and information, we encourage you to learn more about how you can keep both yourself and your neighbours safe this year in Residence, and in your future years of living as well.
EMERGENCY PROCEDURES In regards to the approved Fire Safety Plan for this building, we have included relevant information in this Handbook in an effort to reduce the risk of personal and property loss. We hope this information will heighten your awareness of the fire procedures for this building and clarify what is expected of you in the event of a fire alarm.
These procedures apply to all occupants of the Residence, including but not limited to students, guests, Visitors, Thompson Rivers University and Residence employees, Faculty, service providers/ contractors, and tenants. The Fire Alarm System The Fire Alarm System can be activated by an automatic detector (smoke, heat or sprinkler) or by manual pull station, both of which will sound a loud continuous alarm. The main purpose of a fire alarm system is to notify building occupants and officials of a fire emergency. At the sound of the fire alarm, occupants are to immediately evacuate the building in a quick but orderly manner while the building officials investigate the cause of the alarm and coordinate a safe evacuation. The Fire Department, Campus Security, other required emergency services, Resident Advisors (RAs), and Residence Staff are also summoned to respond and assist in the emergency. GENERAL FIRE PROCEDURES Upon Discovery of Fire: Immediately leave the fire area and close all doors behind you. • Sound the fire alarm by pulling a manual pull station. • Call the Fire Department at 911 and give exact fire location • Leave the building by nearest exit. • DO NOT USE THE ELEVATORS. Upon Hearing the Fire Alarm: • Immediately leave the building by nearest exit. • Close all doors behind you. • DO NOT USE THE ELEVATORS. • Maintain a safe distance from the building. Do not re-enter the building until the Fire Department, Security or Residence Management indicates that it is safe to do so; the silencing of the alarm does not signify that it is safe to re-enter. Persons with Disabilities Persons with disabilities and/or impairments are encouraged to advise Management at the Residence of their situation if they believe they may need evacuation assistance in the event of a fire alarm. It is also strongly recommended that they familiarize themselves with the evacuation procedures and the emergency exits. Persons with disabilities are the best source of information on their condition and needs. When offering or soliciting assistance for people with disabilities, have them direct you on the best way to help. Mobility Impaired Unless there is imminent danger, untrained people should not attempt to lift anyone down or up the stairs. If someone uses a wheelchair or can walk but cannot come down the stairs, following their directions, assist them to the best of your ability; Take, or direct them, or arrange assistance for them to be taken, to the nearest ramped exit. Hearing Impaired
Individuals who are deaf or hard of hearing may not hear audible alarms, so it is important to inform them of what is happening around them. Use the following points to assist: • Gain their attention - tap them on the shoulder, turn lights on/off, wave your hands. • If possible, give them brief, written instructions or indicate through gestures • that there is an alarm and that they must evacuate, i.e. point to a fire alarm or fire evacuation sign. • If necessary, help them proceed to the nearest exit. Visually Impaired People with visual impairments may become disoriented, and may not know where to proceed during an emergency evacuation. Use the following points to assist them. • Gain their attention through vocal or physical methods. • Explain the nature of the emergency. • Guide them towards the nearest safe exit. • While guiding them to safety, tell them where you are going, and advise them of any obstacles, e.g., stairs, change in grade, when going through doors, etc. • Once safe, orient them as to where they are and offer further assistance. • Stay with them until the emergency is over. Do not leave them in unfamiliar territory. • If you cannot leave your area, or have taken refuge because of heavy smoke, remain there and close the door but leave it unlocked for possible entry by firefighters. • Dial 911 and give Fire Services the building address (Thompson Rivers University Residence, 950 McGill Road) and your location including the floor and suite number • Seal all cracks where smoke can enter, using a wet towel or sheet if possible. • Keep low to the floor if smoke enters the suite. • Move to the most protected area of the room preferably near a window (if applicable) so you can signal firefighters by waving a piece of clothing or other material to get their attention. • Wait to be rescued. Remain calm. DO NOT panic or jump. • Listen to, and follow instruction or information given by authorized personnel. False Fire Alarms Causing false fire alarms is a crime and can cause serious injury or death as they delay firefighters’ response to victims of real emergencies elsewhere. This crime also disrupts the normal operation of the Residence, and contributes to complacency toward future alarms and evacuations. Everyone is asked to assist us in stopping false fire alarms. If you have any information please report it to Campus Security at ext 5033, Kamloops Fire Department at (250) 372-5131 or Crime Stoppers at 1-800-2228477(TIPS) and the Front Desk. In order to help deter false alarms, video surveillance has been installed in all common areas of the Residence. If you see anyone tampering with pull stations or any fire equipment, please contact Campus Security immediately at ext 5033, or inform the Residence Management. All information will be kept confidential. Health Emergency Procedures Take the proper steps if you or a friend needs emergency health care while in the Residence. Call “Front Desk” on your speed dial for the FRONT DESK Representative and request that an ambulance be contacted. Provide the Front Desk with your name, suite number, location, and brief details of the problem. This will allow us to direct emergency service personnel to you as quickly as possible. Remember that the Residence Staff is trained and are available to you 24 hours a day. Put your safety first! As the safety and security of our community members is our priority, Residence Staff members will contact emergency services without the permission of Residents should they deem it necessary. Alarms /Smoke Detectors Residence suites are equipped with a smoke detector and a sprinkler system. Once the smoke detector within the suite has been triggered, only the alarm within the suite will be activated. Smoke that enters the hallway will activate the building wide alarm. If the smoke is serious, exit the room , contact the front desk and/or go to the
nearest pull station (located by the nearest emergency exit). The sprinkler system can be set off by excessive heat detected within any suite and will result in activation of the main building wide alarm. Everyone must evacuate the Residence upon sounding of the alarm. The Residence hallways are equipped with a smoke detector / heat sensor as well as a sprinkler system. Minor smoke or excessive heat will activate the building wide alarm. Everyone must evacuate the Residence immediately. Under the Provincial Fire Code a fine could be applied if someone misuses fire safety equipment, including false alarms. Please note that Residence Staff and contractors will perform periodic tests of smoke detectors within suites. Testing the smoke detector ensures that it has not been intentionally disabled. Any such occurrences could result in disciplinary Sanctions from Management and/or a charge under provincial fire safety laws. The Fire Department has a zero tolerance regarding smoke alarms that are tampered with. In addition, any tampering with sprinkler heads could lead to the accidental activation of the sprinkler system. Be cautious around the sprinkler heads and do not hang or attach any objects from them. FREQUENTLY ASKED QUESTIONS Q: How do you match up roommates? A: Everyone who is accepted into Residence must fill out a Personality Profile. This Profile contains various questions, including how social you like to be, your interests, and sleep habits. Based on these Profiles, you are provided with the option to contact other students who have a similar profile to your own. You can contact these students through the portal and decide whether you would like to be roommates. If you have not chosen a roommate through the portal by the specified deadline we place you with a roommate of the same gender with similar interests. If you have a friend who has been accepted into Residence, there is an option to request him or her. If you both request each other, we will attempt to place you in the same suite. Q: How many spaces are there in Residence? A: There are 576 spaces in 263 suites at the Thompson Rivers University Residence Q: Can I visit the Residence? A: Stop in anytime! Our Staff would be happy to give you a tour of the suites (pending availability) and facilities, and answer any questions you may have. Or, between May and August, stay a night and take advantage of our great rates! Q: What is included in my suite? A: The common area of your suite is furnished with a sink, kitchen table and chairs, fridge, microwave, and a three piece washroom (sink, shower, and toilet). Each bedroom within the suite is furnished with a desk, a chair, a two drawer dresser, a bed, a telephone (local calls only) with voicemail, a television (48 satellite channels included), and two lamps. Q: Can I bring additional cooking devices? A: All cooking devices MUST have automatic shutoff, be approved by CSA, and MUST NOT HAVE AN OPEN ELEMENT (for example hot plates and indoor grills are not permitted). All appliances will be checked for approval by a staff member. Q: How will I know what is going on in the Residence? A: Your Resident Advisors (RA) and Residence Council are always organizing events that are educational as well as events that are strictly for fun. These events allow you to meet people in your new community. Check out bulletin boards located on each floor throughout the building, attend floor meetings, and let you RA know what type of activities you would like to see in Residence. Q: What if it gets really loud in Residence while I’m sleeping or studying?
A: If you are disturbed at anytime of the day or night, before contacting the Front Desk, please try to talk to the Resident(s) who is/are causing the disturbance first. Get to know your neighbours and build a respectful community. If the disturbance continues notify the Front Desk and a Manager or RA will help you reach an acceptable volume by speaking to the Resident(s). At the same time, remember to be reasonable with the level of volume you produce as well.
Q: How do I apply for Summer Residence? A: Management will notify Residents in March when Summer Applications become available. Acceptance is based on a first come first serve basis as there are only a number of spots reserved for Summer Residents. Q: How do I become a Resident Advisor? A: RA applications are available from the Front Desk in January. Each applicant is required to attend one of the information sessions held in the Residence prior to the application deadline. Q: How do I become a Residence Council member? A: RC applications are available within the Move-Out package. Successful applicants will be contacted after the application deadline. You can join at anytime throughout the year as well; just talk to your RA about it. Q: How do I cancel my Residence Application? A: If you wish to cancel your Application for any reason, you must notify Thompson Rivers University Residence in writing by email, mail or fax. Be sure to include your name, birth date, and current address. Please refer to the Termination and Cancellation section (8.01 through 8.08) of your Student Residence Agreement (SRA) for penalty information once moved into Residence.
