If you should experience problems, have any issues, concerns, or questions, please contact the MCSD Customer Support Center in one of the following ways: 1. Work Order System This is the primary means to contact us for all issues and/or questions. The Work Order System can be accessed through EmployeeNet. Work orders should be entered by the building's technology contact person. The Work Order system is checked continuously from 7:30 am to 5:00 pm Monday through Friday. Please see the Customer Support Center home page on the MCSD website for more details. 2. Email –
[email protected] The CSC email address should be used as a follow-up communication method after a work order has been initiated. Authentication Each time you access the Ricoh Multi-Function Printer (MFP) for using the Copy, Scan To Email or Print To Me functions, you will need to login to the MFP. NOTE: It is very important to always select “Log Out” to end your session.
Using the onscreen keyboard to login 1. 2. 3. 4. 5. 6.
Choose the Other Function hard key on the left side of the panel to login to the MFP. Enter your username in the Username box and press OK when you are finished. Enter your password in the Password box and press OK when you are finished. You can check your balance by pressing the Balance button on the left side of the screen. You can access copy functions by pressing the “Copy” hard key on the left side of the panel. Select Pin to create a unique 6-character alpha numeric pin. You can use this pin to sign in at any Ricoh device. 7. Select Log Out to end your session.

Printing
In an effort to support sustainability and cost reduction initiatives, default options for print devices are set so that documents will print in black and white. Multi-page documents will print double-sided.

Select File and Print. The Print window displays. Select the Ricoh Print To Me printer driver. Choose Properties for additional print options. Click OK to Print.

A. [Copies] Select how many copies of your job you want. B. [Orientation] Portrait or Landscape orientation C. [Layout] Reduces the images so multiple pages can fit on one side. D. [Duplex] Prints on both sides of paper. E. [Save] or [Load] Custom printer driver settings. F. [Color/Black and White] Choose to print in either Color or Black and White G. [Staple] Displays staple positions. This will not be available for all printers based on the type of printer you print to and the paper available in the MFP. H. Releasing your print job at the MFP (Print To Me Tab) When printing from your computer, you can release your job at ANY Ricoh MFP at your location. 1. 2. 3. 4. 5.

Go to the desired MFP and login (see page 2) Select the Print To Me tab at the top of the screen to see your print jobs. From the list in the middle of the screen, touch to select the print jobs that you want to print If you don’t see your job in the list, press the Refresh button. Select Print Document to print the highlighted document(s) you have selected. Select Print All Documents only if you want to print all jobs on the list in the center of the screen. Note: This will print all jobs regardless if you have selected them or not. Delete After Printing is checked as a default, however all print jobs will be deleted after 24 hours. All print settings should be adjusted when you send the print job from the computer. IMPORTANT: If you adjust the number of Copies on the Print To Me screen, it will multiply the number of pages you have already selected. For example, if you selected 10 copies when you sent the job to print and then you also select 10 copies on the Print To Me screen, you will print 10 times 10, or 100 copies of your print job. If you want to delete a document, select the print job from the list and then select Delete Document. Select Log Out to end your session.

Log into the MFP (see page 2). Place original(s) face up in the Auto Document Feeder, or face down on the Platen Glass. Press the [Copy] button on the left side of the control panel. Using the number keypad, enter desired quantity. Press the green [Start] button. If copying from the glass, press [#] after placing last original.
Additional Copy Features
1. Status messages/Error messages 2. Paper Trays -- [Auto Paper Select] automatically selects paper based on original size. 3. Duplex options --1-sided originals to 2-sided copy, 2-sided original to 2-sided copy, 2-sided original to 1sided copies 4. Original Type settings A. [Auto Color Select] --Used for mixed originals; deciphers between B&W and color and copies accordingly. B. [Full Color] --Copies color originals in color by overlying cyan, yellow, magenta, and black. C. [Black & White] --Copies color or Black & White originals in Black & White. D. [Text] --Originals contain only text. Text is the default. E. [Photo] --Delicate tones and gray scale is reproduced from photos or pictures. F. [Text/Photo] --Originals contain a combination of text and photos or pictures.

Scan To Email Procedure for Scan To Email (Email Tab) 1. 2. 3. 4. 5. 6. 7. 8.
Log in to the MFP. Select Email tab at top of screen. Choose an address from the MCSD Address Book Search using First or Last name Add the Name to the Recipient list by highlighting the name and touching the Add button. If you add an incorrect name or need to remove a recipient, select the name and select the Remove button. Choose Manual to type in a recipient’s email address for non-MCSD addresses (i.e.
[email protected]). Email Copy to Self is defaulted, but you may deselect this option if you prefer not to be included as a recipient. Select the Scan with Preview button if you would like to see a thumbnail before you send your email (see screen image on next page), or select the Scan without Preview to immediately send the email. Select Log Out to end your session.

Additional Scan to email Features (Email Tab) Email Settings: A. Email Subject Press this space to add a subject B. Body Press this space to type a message for your email C. File Name Press this space to change the name of the PDF file that will be attached D. File Type Use this drop down menu to choose a PDF, TIF or JPG file type E. PDF Password Choose a password if you would like to secure the document in your email. You will need to Confirm Password and also share this password with your intended recipient.

Additional Scan to Email Features Scan with Preview When you select Scan with Preview, you will have the option to arrange or add pages to your scan file.

1. Navigate the pages in your scan job using the arrows to either side of the preview or using the drop down box above the preview 2. If you want to add additional pages, place your original in either the document feeder or on the glass and determine whether your original will need to be added to the file before or after the preview. Your scan will A start as soon as you select Feeder or Glass. 3. Move Page moves preview left or right (before or after) if there are multiple pages 4. Rotate Page if orientation needs to be adjusted 5. Press Delete Page to delete the page that is previewed 6. Undo All Changes will reset all the edits and changes you have made in the preview screen and revert back to the original scanned version 7. Select Finish to send the document with any changes you have made, or select Cancel to return to the Email tab home screen

Additional Scan to email Features (Settings Tab) 1. Select the Settings tab for additional email features 2. Color or B/W Use the drop down menu to choose Color or Black and White 3. Scan from Use the drop down menu to choose scanning from the automatic feeder on top of the MFP or from the glass when you lift the cover 4. Sides Use the drop down menu to select if your original is one sided or duplex (two sided) 5. Select the Status tab to display the status of recent scan jobs 6. Select Clear All to delete all status messages

Scan to Folder Procedure for Scan To Home Folder (Scan to Folder Tab) 1. Log in to the MFP and 2. Select Scan to Folder tab at top of screen. 3. Name the file by selecting File Name. 4. Choose the File Type from the drop down menu. 5. If using PDF file type, you have the option to select a PDF Password. You will need to enter the password a second time in the Confirm box. 6. Select the Scan with Preview button if you would like to see a thumbnail before you send your home folder. After previewing select Finish to send the file. Select Scan without Preview to immediately send the file. 7. Select Log Out to end your session.

Adding Paper Important:
Various sizes of paper can be loaded in the paper trays by adjusting the positions of side fences and end fence.
Check the paper edges are aligned with the right side. Each tray can hold up to 550 sheets of paper. Do not stack paper over the limit mark.
1. Carefully pull out the paper tray until it stops.

Square the paper and load it print side up.

Carefully push the paper tray fully in.

Changing Paper Size Changing the Paper Size in the Paper Trays Important:
If a paper tray is pushed vigorously when putting it back into place, the position of the tray's side fences may slip out of place.
Do not stack paper over the limit mark. Check the paper edges are aligned with the right side. Slide the side fences until they are aligned with the paper size, and then re-lock the side fences.
1. Check that paper in the paper tray is not being used, and then pull the tray carefully out until it stops.
2. Remove paper if loaded. 3. Release the lock on the side fences.

RICOH PRINT SOLUTIONS 4. While pressing down the release lever, slide the side fences until they are aligned with the paper size you want to load.
5. Slide the end fence until it is aligned with the size of paper to you want to load.
6. Square the paper and load it print side up. Re-lock the side fences again.
7. Carefully slide the paper tray fully in. 8. Check the size on the display.

Adding Toner Important: Even when "Toner Near End" is shown, the device can still make a considerable amount of copies and prints. Prepare spare toner when "Toner Near End" is shown, and replace toner when "Toner End" is shown. 1. Open the front cover of the machine.
2. Pull out the toner bottle slowly.
3. Take out the new toner bottle from the box.

RICOH PRINT SOLUTIONS 4. Hold the toner bottle and shake it five or six times.
5. Check the orientation of the toner bottle and insert it carefully.
6.
Close the front cover of the machine. Important: Do not shake the removed toner bottle. The remaining toner might scatter.
