RISO (UK) Limited Getting Started Guide Riso HC5500 Setting up and using the Account Record HC5500 Account Record - Quick Guide HC5500 Account Record - Quick Guide Setting the Account Record The Riso HC5500 records all print jobs and this information can be used to monitor the usage of the printer by individual users. If user names have been setup it will record jobs produced via the copying (scanner) function with the user name. Jobs printed directly from a PC will be recorded with the computer login name. Other details of the job recorded include Number of pages and number of copies produced Page size (A4 or A3) Colour or Black and White It is suggested that the account record be set to automatically save the history as soon as possible after machine installation to avoid losing any account data. A On your computer open your web browser: 1). Enter the IP Address of the Riso HC5500. 2). Once this is entered the window illustrated should open. 3). Select > Administrator B You will now be asked for a password 1). Enter the administrator password (see page 9) Select > Login HC5500 Account Record - Quick Guide Setting the Account Record C In the “Administrator” window: 1). Select > Controller Setting 2). Select > Account Record D To setup the Account Record to automatically save data history: 1). Select > Save Histories and > Monthly (recommended setting) An account record will now be automatically created each month on the same date 2). To view account history Select > History List E In the “History List” window: Monthly histories can be viewed For example - 09/02 = 2009 February HC5500 Account Record - Quick Guide Analysing the Account Record As outlined on the previous pages the account record history detailing individual usage can be automatically saved daily or monthly. This data is saved in a format that allows the administrator to download this into software such as Mircosoft Excel and apply their own particular formula for cost allocation or cross charging etc. All questions on the use of Microsoft Excel should be directed to your IT Manager A simple alternative is to utilise the counter program found on the Riso UK wesite. This is designed to achieve a basic summary of user names and their total copy count over the period. These pages outline how to use the Riso UK account program (internet access required) and describes the results achived. A On your computer open your web browser: 1). Enter the IP Address of the Riso HC5500. 2). Go the > Account Histories (see the steps shown on previous pages) and identify account history period file to analyse and download to your computer It is suggested that you make a note of the history period when you download the file. B With your web browser open: 1). Go to > www.riso.co.uk 2). Click > Support and then select > Counter Analysis This will direct you to the required page HC5500 Account Record - Quick Guide Analysing the Account Record C HC5500 Counter Analysis 1). In the HC5500 section Click > Browse This will allow you to browse to the location of the account record file you wish to analyse. 2). Once the file is located Click > Generate file. D HC Counter Results 1). You will then see a on-screen summary of the printing and copying carried out by the various users. 2). This summary can be loaded to your PC in Excel format by selecting > Download xls file Sample of a downloaded xls file HC5500 Account Record - Quick Guide Analysing the Account Record Details Columns with the following headings: C1 = Colour A3 prints C2 = Monochrome (Black+White) A3 prints C3 = Colour A4 prints C4 = Monochrome (Black+White) A4 prints C1 and C2 will be multiplied X2 to equate to A4 prints in the total column HC5500 Account Record - Quick Guide Notes
