Speaker 1 Welcome Welcome to the Standard Phone (model 8945) Getting Started Tutorial. The Standard Phone is a colour screen video phone. Not only does it allow you to place and receive phone calls, it allows you to have face to face interaction. These tutorials cover features that will get you started with your new video phone. You will learn how to make, receive, transfer, forward and end calls. Mute or put a call on hold, redial or call back a number, answer an incoming call that rings on a telephone other than your own, personalise your voicemail, view call history, login to a video phone as yourself, and search for and dial a contact in the Griffith Phonebook. Making Calls To make a call, you can alternate between handset, headset, and hands-free mode by pressing the speakerphone or headset buttons or by picking up the handset. To make a call using the handset: Step 1: Lift the handset. Step 2: Enter the phone number using the keypad. The call has now been placed and you can hear it ringing through the handset. On-hook dialling allows you to enter a phone number before getting a dial tone and lift the handset or press the speakerphone or headset buttons to complete the call. To dial a number on-hook using the handset: Step 1: Enter the phone number using the keypad. Step 2: Lift the handset to place the call. The call has now been placed and you can hear it ringing through the handset. Answering Calls To answer an incoming call, lift the handset or press the Answer soft key. To answer an incoming call using the headset or speakerphone, press the Headset or Speakerphone button. To redirect an incoming call to voicemail, press the Divert soft key. Transfer Transfer allows you to redirect a connected call from your phone to another number. To transfer a call to another number: Step 1: Press the Transfer button. Step 2: Dial the target number. This is the number where you want to redirect the call. Step 3: When you hear the call ringing, press the Transfer button or Transfer soft key to complete the transfer. Or, you can wait to speak to the transfer recipient, then press Transfer again to complete the transfer. Call Forward All Call Forward All allows you to forward calls from any line on your phone to another number. To forward calls on your phone: Step 1: Press the Forward All soft key. Step 2: Enter a phone number. This is the phone number where you want your phone to ring. You may also press the Message button to forward all calls to voicemail. Visual confirmation displays for a few seconds to confirm the number to which your calls will be forwarded and the Forward Off soft key is displayed. All incoming calls will now be forwarded to the other number until you cancel Call Forwarding. Step 3: To cancel Call Forwarding, simply press the Forward Off soft key. Ending Calls There are several ways to end a call on your phone. To end a call, press the End Call soft key or replace the handset in its cradle or press the lit Headset or Speakerphone button. Mute Mute allows you to block audio input for your handset, headset, and speakerphone, so that you can hear other parties on the call but they cannot hear you. To Mute your phone: Step 1: Press the Mute button. The audio is blocked and visual confirmation displays. Step 2: Press the Mute button again and audio is returned. Hold Hold allows you to put an active call into a held state. To put a call on Hold: Step 1: Press the Hold button. The Hold icon displays and the line button pulses green indicating that the call has been placed on hold. Step 2: To resume the Held call, press the pulsing green session button or press the Resume soft key. The call is now resumed from Hold. Redial Redial allows you to call the most recently dialled phone number. To redial a number, press the Redial button. Call Back Use Call Back when you dial someone and receive a busy tone. This feature will alert you once the line is free. To set up a Call Back Notification: Step 1: Press the Callback soft key while listening to the busy tone. A confirmation screen displays on the phone. Step 2: Press the Exit soft key to exit the confirmation screen. Step 3: Your phone alerts you when the line is free. Then press the Dial soft key to place the call again. Call Pickup Call Pickup allows you to answer a call that is ringing on a co-worker’s phone by redirecting the call to your phone. To answer a call using Pickup: Step 1: Press the PickUp button. Step 2: Wait for the call to move to one of your session buttons. You are now connected to the caller. Voice Messages Voice messages are stored on your voicemail system. You can personalise your voicemail, check and listen to voice messages and set or change your voicemail PIN. A solid red light on your handset and a red message icon on your phone extension with a count of your voice messages will display, indicating you have voicemail. To listen to, personalise, change or set your voicemail PIN: Step 1: Press the Messages button. Step 2: Follow the recorded voice instructions. To access your voicemail externally from any phone: Step 1: Dial your office phone number. Step 2: When your voicemail answers, press (*). Step 3: When prompted, enter your ID number. This is your extension number, followed by (#). Step 4: When prompted, enter your PIN number followed by (#). You are now connected to your voicemail box. Call History Call History allows you to view information on calls that you have missed, placed and received. To view call history: Step 1: Press the Applications button. Step 2: Using the Navigation Pad, select Call History. The phone screen displays the call history, with an icon associated for each type of call. From here you can Filter, Edit, Clear and Dial, Delete a Call Record and View Call Record Details. Step 3: Press the Back soft key to return to the Applications screen. Login to a video phone as yourself If you are sitting at another desk for a day you can log into any video phone on any campus. This means that phone will become your phone for the day and you will be able to make and receive calls as if you were sitting at your own desk. To login to a video phone: Step 1: Press the Applications button. Step 2: Using the Navigation Pad, select Extension Mobility. Step 3: In the UserID: field, enter your staff number using the keypad. Keep pressing the same number to change the character. Step 4: Using the Navigation Pad, press the down arrow button once. Step 5: In the PIN: field, enter your PIN number using the keypad. You must have previously created a phone PIN. You only need to set your phone PIN once. Step 6: Press the SUBMIT soft key. If your credentials have been entered correctly, the phone will go through a reset process and initialise with your telephone number. To logout of a video phone: Step 1: Press the Applications button. Step 2: Using the Navigation Pad, select Extension Mobility. Step 3: An option to logout appears on the screen. Select Yes to logout and the phone will reset and go back to a logged out phone number. Griffith Phonebook The Griffith Phonebook contains corporate contacts that you can access on your phone. To search for and dial a contact in the Griffith Phonebook: Step 1: Press the Contacts button. Step 2: Use the Navigation Pad and Select button to scroll and select the Griffith Phonebook. Step 3: Enter the search criteria information, by pressing the letters on the keypad. Keep pressing the same number to change the character. Step 4: Select the Submit soft key. Step 5: Select a contact. If necessary use the Navigation Pad to scroll and select a contact. Step 6: Press the Dial soft key or pick up the handset to dial the contact. [recording ends]
