Sustainable Event Guide DRAFT California State University Channel Islands Sustainable Event Guide What is a sustainable event? An event achieved in an environmentally and socially responsible manner throughout all stages, in order to minimize negative impacts on the world, is considered a green event. Why host a sustainable event ? When hosting a sustainable event at CSUCI, members of the university hold a special role as educators, leaders, and innovators by working together in creating viable ‘green’ alternatives for the CI community. Students should be taught proper, sustainable practices that can be implemented in all large campus events, as well as small events. Promoting events that minimize the impact placed on the environment will spread awareness and encourage others to get involved and make changes, collectively. CSUCI has already taken measures to reduce waste and become a leading example of sustainability for its students. Planning a sustainable event can be challenging but rewarding for it paves a path towards "being green”. It is also cost effective and can bring back returns (redeeming items) to the campus . A guide has been created for CSUCI events that can help with any event held on campus or offcampus to create ecofriendly events. This guide may be applied to : • Meet and Greet Events • Tabling Events • Lectures, Presentations, or Speaker Events • Concerts • Banquets • Campus Fairs
• Fundraisers • Clubs, Organizations, Sorority, or Fraternity Events • Marketing your organization or event Each event would not need every "green method" and therefore, identifying what green parts are needed for an event would make it easier to achieve the "being green" goals. Outreach, Communication, and Marketing Instead of using printed material in paper to advertise, use technology to advertise your events if possible. ✓ Make use of email lists, social media, campus and community calendars ✓ Send electronic invites to guest If paper must be used: ✓ Select the highest recycled content paper available, 50% postconsumer content and higher. ✓ Doublesided flyers; scratch paper can be used for sign up list/ icebreaker activities. ✓ Use soy/vegetable based inks ✓ Paper will not be considered recyclable if it contains: ● Laminate ● Foils ● Adhesives ● Paints ● Excessive ink ● Bright color paint ( contains heavy metals such as lead, mercury and cadmium) Use forgetthedate advertising ✓ Design shirts, banners, durable posters without the date Tabling, Display, and Decorations Provide guidelines for vendors or exhibitors explaining the events sustainable goals ✓ State in writing what is expected for waste/recycling on site
✓ Provide a list of items encouraged and items which should be avoided during the event ✓ Try to make tables, booth, and displays from recyclable materials or if possible, use repurposed materials such as: ● Cardboard for signage, poster boards, games or other displays. ✓ Promotional Materials ● Print out businesssize card with web address to reduce use of paper handouts ✓ Giveaways ● Recycled goodies: reusable, durable and/or made out of recycled content material ➢ pens, mugs, notebooks, tote bags, toys, lanyards, trophies ➢ items prefered are cloth bags or water bottles Décor ✓ Use reusable decorations since they can be used in future events ● Signage ● Linens ● Sturdy plastic ✓ If available, borrow instead of buying Catering A small shift in the food being served at the event can have a big impact on the environment . To increase sustainable green efforts at CSUCI, try using signage at food and beverage stations to explain what can and cannot be recycled. Events held at CSUCI can have catering services provided by University Glen Corporation. This guide should be helpful in making the ‘green’ decision in your event. ✓ Go Plateless – provide finger foods since they do not require dishes or utensils. ✓ Service Ware and Utensils ◆ If the option is available, use reusable plates, cutlery, cups, cloth napkins, and linens. ◆ Use paper plates, paper napkins, cutlery, and cups made with 100% recycled content ✓ Beverages ◆ Avoid disposable plastic water bottles ◆ Use #1 plastic cups ( recyclable ) ◆ Provide a hydrating station a refill station for drinks or bulk containers of water, iced tea, lemonade, etc. ✓ Food
◆ Have an accurate estimate of the attendance numbers, to avoid having excess food. If there is any leftover, make arrangement to donate any leftover food to a local charitable organization or food bank. ◆ Offer vegan and vegetarian meals ◆ Ensure that vegetables used are fresh, seasonal, and local organic ingredients ◆ Try using local businesses to reduce the carbon footprint of the event Recycling and Waste
✓ THERE MUST BE RECYCLE AND WASTE CONTAINERS AT THE EVENT ◆ Choose a strategic location for the bins, which should be grouped together ◆ Use signage for bins, and remember, a picture is worth a thousand words. The pictures alone will help reduce the confusion on what is considered recyclable. ✓ Recycle bins are provided by the CSUCI campus, to ensure the event is ‘green’. Always make sure recycle and waste bins are up to date and clearly distinguished from one another with labels ✓ To increase your efforts in creating a sustainable event , announce the location of recycle and waste bins at the beginning of event Here are some examples to aid you in the disposal of recyclable and waste items: Recycle: ● Plastics 17 (Preferably 1,2,4,5 since 3,6, and 7 contain toxins) ● Cardboard (top portion of pizza box, nongreasy cardboard) ● Metals such as aluminum cans, food cans, aluminum foil ● Glass bottles and jars ● Cartons ● Paper ➢ Always empty out containers from liquids or solids before recycling Waste: ● Plastics like film wrap, plastic bags and bottle caps ● Greasy cardboard such as bottom of pizza box ● Food and organic material ● Soiled containers that cannot be cleaned ● Paper with excessive ink, paints, adhesives, etc.
