Welcome to SynchronEyes Software You’re about to make the always challenging job of teaching in a computer lab easier, more effective and more rewarding. With SynchronEyes computer-lab instruction software, you can use your current Transmission Control Protocol/Internet Protocol (TCP/IP) network to monitor and control students' computers. In addition to knowing what every student in the class is doing, you'll be able to broadcast your (or any student’s) desktop onto all or selected student monitors to demonstrate a lesson. SynchronEyes software also lets you chat with students, prepare and deliver an interactive quiz (automatically tallied for you), respond to student questions and conduct a class poll − all without moving an inch from your own computer. You'll also be creating a more focused learning environment for your class, one that enhances the effectiveness of computer technology as a teaching tool and minimizes its potential for distraction. You’ll no longer need to compete with your own teaching tools. With the click of a button you can disable all (or selected) mice, keyboards and monitors in the classroom and inform students that their attention is required at the front of the class. Brought to you by SMART Technologies, SynchronEyes software has been designed to take advantage of SMART Board interactive whiteboard functionality. When using SynchronEyes software on a SMART Board interactive whiteboard, you can write over top of any desktop you’re broadcasting with a Pen Tray stylus: Your board annotations will also be broadcast to all student stations. However, you don’t need a SMART Board interactive whiteboard to annotate over the screen you’re broadcasting. Annotation capability is built right into SynchronEyes software. When broadcasting from your workstation, you can click a Pen button in the Broadcast toolbar and write with your mouse over top of the desktop. Just like writing a Pen Tray stylus on a board, your annotations can be viewed on all connected student monitors.
Online Help While this manual provides an overview of SynchronEyes software use, more detailed information is available from online Help files in both the teacher and student software.

Optimal Display Settings and Network Configuration Optimal Display Settings SynchronEyes software works best when both teacher and student computers are set to the same screen resolution and color depth. However, the software will make adjustments for differences in color settings or resolutions. For example, if a broadcasting station (either teacher or student) is running at a higher resolution than a viewing station, scroll bars will appear on the viewing station so that the entire higher-resolution screen can be viewed by scrolling. Similarly, if a broadcasting station has a higher color setting than a viewing station, that broadcasting station’s colors will be reduced so it can be seen by the viewing station. For example, if a student's computer has a higher color setting than your machine, you'll see the message Color Reduced below the thumbnail, and when you click on that thumbnail to view a live, full-screen version, the colors will appear slightly degraded. You can avoid seeing the Color Reduced message or the appearance of scroll bars by ensuring that all computers have identical display settings.
To change the display settings of your Windows 98/2000/Windows NT monitor: 1
Click the Start button in the Task Bar.
2
Point to Settings, and then select Control Panel.

Network Size and Speed Considerations The preferred TCP/IP network configuration for SynchronEyes software is a switched or switching hub, which isolates network traffic to a particular segment of your local area network. With this configuration, performance will not be affected by other network traffic, nor will the entire network slow down because of SynchronEyes software activity. Of course, the smaller the number of students connected to the software, the faster the activity. Use the following chart to determine the appropriate number of student stations that you can connect with SynchronEyes software. Network/Student Computers

Installing SynchronEyes Software The SynchronEyes CD-ROM contains both the teacher and student software. Install the teacher software first.
Teacher-Station Software Installation During installation, you must provide a Teacher ID to represent your computer on the network. You can use any name you like as a Teacher ID, provided it uniquely identifies you. For example, your Teacher ID could be your own name, the course name or the classroom location. You’ll need to provide your students with this name if they’re permitted to log in to the program (non-stealth mode). Note that you may defer entering the Teacher ID until you first log in to the program. For more information about Teacher IDs, see Creating Multiple Teacher IDs on page 16.
To install SynchronEyes teacher-station software: 1
Insert the SynchronEyes CD-ROM into your CD-ROM drive.
2
The CD-ROM is self-starting. However, if you don’t have the AutoPlay feature activated, click Start, Run and open the Setup.exe file in your CD-ROM drive folder.
3
Follow the on-screen instructions.
Student-Station Software Installation Options Before you install the student software on each student computer, consider whether you want to install the software from the CD-ROM or from a network drive. You must also decide whether you want your students to be aware that they’re being monitored. These options are described in more detail below.
Installing from the CD-ROM or a Network Location There are two ways to install the SynchronEyes student-station software:
4
•
Option 1: Install the student software onto the hard drive of each student computer from the CD-ROM. With this option, all program files are installed.
•
Option 2: Install the student software onto your network. Students will share this single network installation. The shared network directory will be accessed from a shortcut icon which is installed on each student computer. With this option, no files are installed on student-computer hard drives.
SynchronEyes User's Guide
Installing the Student Software in Stealth or Visible Mode You can install SynchronEyes software on student computers in either stealth or visible mode. As its name suggests, stealth mode lets you observe your students’ computer activity surreptitiously. In this mode, there’s no visual indication on the student interface that monitoring software is running. Students will only become aware of the software if you initiate a quiz or a poll, broadcast a desktop, or lock student computers. However, if you avoid these activities, students may never be aware that their activities are being monitored. In stealth mode, the SynchronEyes software connects automatically takes place automatically when the student logs in to a computer. Therefore, you must supply the following setup information during student-software installation: •
The Student Login: By default this will be the Windows login name associated with the student machine. However, it can be changed to any name you or the student may choose to identify this student machine (e.g., a student’s name or a classroom location identifier).
•
Teacher ID: Enter or select the name you’ve chosen to identify yourself on the network.
After installation, these identifiers will be derived from the system registry every time a student logs in to the computer, and connection will take place automatically without the student’s awareness. If you change your Teacher ID or the computer from which you work, you can easily alter these values after installation. See Specifying an Automatic Connection after Installation on page 7. NOTE: If you choose to run the student software in stealth mode, students will not be able to use the Chat feature, ask the teacher a question or alter the student setup to switch to another Teacher ID. These features are only available when the student interface is visible.
Option 1: Local Student Installation from CD-ROM 1
Insert the SynchronEyes Software CD-ROM into the student CD-ROM drive.
2
Browse to the Student Setup directory.
3
Double-click Setup.exe or, if you have the AutoPlay feature activated, click the Student Setup button. Follow the remaining on-screen instructions.
4
Select either Leave SynchronEyes Interface Visible or Hide SynchronEyes Interface when prompted.

Customizing the Teacher Interface You can customize the teacher interface to suit your needs. In this section, you'll learn how to: •
create multiple Teacher IDs
•
organize students into groups
•
change the size of student thumbnails
Creating Multiple Teacher IDs With SynchronEyes software, you can create a new Teacher ID at any time – and create as many as you require. Every class is unique. You may teach physics to Grade 11 students in the morning and to Grade 12 students in the afternoon. The only similarity between these two classes may be the general subject and the room in which the classes are taught. Everything else may be very different, from the students who attend, to the quizzes they write, to the groups you create. SynchronEyes software lets you create a different Teacher ID for each class. Each Teacher ID is associated with a unique profile of settings, student groups, and quizzes. This profile is stored with the Teacher ID and made available to you each time you select that ID. Teacher IDs are stored in the drop-down list of Teacher IDs in the Teacher ID dialog box (accessed by selecting Change Teacher ID from the File menu). This list will contain the last ten Teacher IDs you used. If a Teacher ID drops off this list through a lack of use, just type the Teacher ID into the text box to access it. SynchronEyes teacher-station software will always open to the last Teacher ID you used. Similarly, when your students open the student software, it will always attempt a connection with the last active Teacher ID associated with the Student login name.
To create a new Teacher ID:
16
1
Start SynchronEyes teacher-station software.
2
Select Change Teacher ID from the File menu.
SynchronEyes User's Guide
The Teacher ID dialog box will appear, displaying your current Teacher ID (if you have one).
3
In the Teacher ID text box, type a new Teacher ID. NOTES:
4
•
While the current Teacher ID will disappear from the Teacher ID text box, it will not disappear from the list. It will be automatically saved and can be selected from the drop-down list at a later time. The program will store a maximum of ten Teacher IDs in this list.
•
The Teacher ID cannot exceed 36 characters in length.
Click OK. NOTES: •
The title bar will change to correspond to the new Teacher ID.
•
In the student interface, the students will receive a message on their monitor informing them that the Teacher ID has changed, and asking if they want to switch to this teacher. Students should click the Yes button to connect to the new Teacher ID.
Organizing Students into Groups SynchronEyes teacher-station software lets you divide your students into groups (up to a maximum of 10) with very little effort. With your students in groups, you can interact with the class more meaningfully. You can: •
create tailor-made quizzes for individual groups
•
lock out a group rather than the entire class. If one group abuses its computer privileges, you don’t need to punish the whole class.
•
write group-focused chat text or broadcast your screen to a group without distracting students working in unrelated areas SynchronEyes User's Guide
17
•
poll groups about issues that may only have relevance to them
•
focus your observational and interactive efforts on those groups that need it the most
Group tabs containing the group names you’ve assigned will appear at the bottom of the Thumbnails, Chat and Quiz views.
Group Tabs
After creating the group, appoint members by selecting individuals from the list of all students. By default, only the teacher can assign students to or remove them from a group. However, when you create a group, you can allow students to join or withdraw from it on their own.

Interacting with Students SynchronEyes software is much more than a simple surveillance and student management tool. Use SynchronEyes software to efficiently interact with your networked students. In this section, you’ll learn how to: •
respond to student questions
•
chat with students
•
poll students
•
show your desktop or a student desktop to the class
Viewing a Student’s Question Questions play an important role in the learning process. However, there’s typically only one teacher per classroom, and too many questions can overwhelm a teacher and impede that process. SynchronEyes software allows students to ask questions even when you’re too busy to answer them right away: As time becomes available, you can respond to each question via the Chat feature. By selecting more than one student, you can even respond to several questions at once with a single answer. You’ll know instantly when a question has been asked – even if you’re working in another program. The minimized SynchronEyes software button in the Task bar will flash briefly. If you’re running SynchronEyes software in the background in a maximized state, the icon in the Thumbnails side tab changes from four thumbnails to a questioning-student icon.
Tip Showing a student a correct procedure is often better than telling him how to do it. After viewing a question, you may prefer to click on his thumbnail and demonstrate a procedure rather than write a response.
To respond to one or more student questions: 1
Click the Thumbnails tab. A raised-hand icon will appear over the thumbnail of a student with a question.
30
SynchronEyes User's Guide
2
Click the Questions button. The Questions dialog box will appear.
3
Select a question or select multiple questions by holding down the Control key as you select each question, or by selecting the first question, holding down the Shift key, and selecting the last question.
4
To clear the question(s) (and remove the raised-hand icon from the thumbnail) without answering it, click the Clear button. or

To answer the question (or questions), click the Chat button (now enabled). The Answer [Student ID] Question dialog box will appear.
On the student’s monitor, a SynchronEyes Student Chat dialog box will appear in a new tab (the Teacher tab) with the text of your response at the top of the Chat Message section. This chat text is private and only you and the student (or students) can view it. If the student responds further, you’ll receive their message within the original Answer [Student ID] Question dialog box. NOTE: Unlike the Chat feature described below, the chat history generated when you answer a student question will not appear in Chat view. Also, you cannot save the chat dialog as a text file.
Chatting with Students SynchronEyes software lets you chat with all your students or with a selected group of students. Students can also initiate chat – either with all students or with a group they belong to.
32
SynchronEyes User's Guide

Click the Enable button (so it appears depressed). On each student's SynchronEyes Student Chat dialog box, the text-entry area will be active.
Polling Students The Voting feature lets you get quick feedback so you can adjust the pace of lessons to meet student needs. Traditionally, class feedback is obtained by asking for a show of hands, but getting students’ attention in a computer lab can be both difficult and distracting from more productive activities. The voting feature lets you poll your students in a fast, unobtrusive manner, and it then tallies the results at the bottom of your screen. You can also restrict polling to a group rather than involving the entire class, allowing other students to continue working without being disturbed by an irrelevant question. NOTE: When using the Voting feature, you must ask yes/no questions only.
To poll students: 1
Click the Thumbnails tab. The Thumbnails view will open on the All Students tab.

Joseph must be busy elsewhere because he hasn’t yet responded to the question.

Creating and Distributing Electronic Quizzes With SynchronEyes software, you may never again need to pass out exam papers or gather them up when the class finishes writing. Your days of marking quizzes and calculating class averages may also be over. The Quiz Editor allows you to quickly create an interactive multiple-choice quiz. Your quiz can have as few or as many questions as you like, and each question can be accompanied by up to four answer choices. With one mouse-click you can distribute the quiz to all your students − or just to a specific group of students. To deter cheating, you can distribute the quizzes in randomized form, so every student receives the questions in a different order. When you distribute the quiz, a pop-up quiz window will automatically appear on student screens. The students will select their answers on the screen and click a Submit button when they’re done. Each quiz is then automatically marked and returned to your quiz folder as an HTML file. You’ll also receive an additional HTML file that summarizes class results, providing individual student scores (and percentages) as well as the class average. All quizzes (.sqz files), class-result summaries and individual student responses are automatically saved as part of the profile of settings stored with the Teacher ID. You can also access these files from any directory on your network or hard drive that you specify. If you create a quiz for another class profile (with a different Teacher ID), for example, you can import that quiz into the current quiz list by clicking the Add button and browsing to it.
Creating a Quiz A quiz template called the Quiz Editor makes it easy to create and revise a multiple-choice quiz of any length. Prior to creating the quiz, you’ll need to specify where you want your quiz (.sqz file) saved. However, any quiz you create with the current Teacher ID will be appear in a list in Quiz View so you can easily access them.

Editing a Quiz The question order in a quiz is an important consideration. If you’re developing a long, comprehensive final exam, for example, you might want to group similar questions together or pace the exam by alternating difficult and easy questions. Rearranging questions in the Quiz Editor is so easy you can create questions as they occur to you and arrange them in an effective order later. Note that the Quiz Editor will send the questions to the students in randomized form by default. You must de-select the Randomize Questions setting in the Options menu before starting the quiz. You can also add and delete questions, as well as cut, copy and paste text using the editing tools available in the Quiz Editor.

If SynchronEyes teacher-station software has not yet been opened with that Teacher ID, you may need to wait. As soon as that Teacher ID is active on the network, the connection will take place automatically.
Logging In to the Student Software Many classes will likely use a single set of computer-lab resources, so we’ve made it easy for students to log in and identify themselves without reopening SynchronEyes software. In this way, the student software can run throughout the day − with a variety of students occupying each workstation − and your Thumbnails view will always accurately display the name of the current student. The first time a student logs in, the name by which the student computer is recognized on the network appears in the Connect to Teacher dialog box. Ask students in each class to log in when they first sit down at the computer. They’ll only need to do this once; after this initial login, they can simply scroll to their name.
