TEACHING SPACE TECHNOLOGY FAQ Abstract Document listing many of the most frequently asked questions and answers on University lecterns and audio visual equipment. Designed for University of Worcester staff June 2016. What kind of equipment is available to book out? I’m using a teaching space for the first time, but I am unsure how to use the equipment in there? I am arranging conference or event and require ICT/AV support What software is on the lectern PC’s? I have a problem in a teaching space with: Display Audio Using the PC Teaching space technology F AQ | June 16 | P a g e | 1 How many audio visual teaching spaces are there? There are currently approx. 130+ centrally managed teaching spaces spread between out between St Johns campus, Riverside, Arena, City and Jenny Lind. How do I book out a teaching space? Teaching spaces can be booked by contacting timetabling on Ext. 5344 or using the room request on the staff portal. The type of audio visual equipment is listed in the room description when booking (e.g. Data projector, Interactive whiteboard). ICT do not book out room spaces. What kind of equipment do the rooms contain? The type of equipment depends on the size of the room and when it was last updated. Typically rooms fall into three main categories: Fixed AV equipment, Mobile AV equipment, Specialist AV equipment and in general, rooms roughly follow one of the formats listed below: Small seminar room Mobile trolley containing large TV and University lectern PC. Control method: Remote control Medium seminar room Projector, drop down screen, speakers. Lectern containing University lectern PC, DVD/Blu-ray player. Control method: Crestron control panel. Large Lecture/Seminar room Projector, drop down screen, speakers and IR hearing loop system. Lectern containing University lectern PC, DVD/Blu-ray player, visualizer and microphone. Control method: Crestron control panel. Specialist teaching room - Interactive SMART board room SMART Interactive board (built in speakers), SMART projector, lectern PC and visualizer. Control method: SMART control panel (mounted to board). Specialist teaching room - Collaborative teaching room Projector, drop down screen, speakers. Lectern containing University lectern PC, DVD/Blu-ray player, visualizer, microphone and collage controller (allows connection of mobile devices through app). 6 x large TV’s that can mirror main display or run an independent PC. Please note room equipment may differ and if you require specific equipment please check with booking or the AV team. Can I book out audio visual equipment? Yes, but AV has a very limited supply of equipment that is subject to availability. In most cases we recommend booking out teaching spaces that already contain AV equipment. To book out equipment, please log a job on the ICT Service desk at least 3 days before equipment is needed. Please note this equipment is for short term loan only. What kind of equipment is available to book out? Projectors, mobile screens, webcams, Jabra speakerphones, laptops, PA system, conference phone and USB Presenters (clickers). I’m using a teaching space for the first time, but I am unsure how to use the equipment in there? We are happy to meet you for your first lecture in the teaching space and show you how to use the equipment. Alternatively, this demonstration may be more effective if it takes place a few days before your lecture, as there will be more time to run through the equipment. What software is on the lectern PC’s? The standard lectern PC currently runs Windows 7 (64bit), Office 2016, Turnitin, VLC player, Firefox, Internet explorer and Chrome. Additional programs can be installed on request depending on licensing. I have a problem in a teaching space with: Display A message on the display says ‘clean the air filter’/’Lamp hours reached end of life’, what do I do? The message should disappear and the projector will continue to work. Please contact ICT support on Ext.7500 or log a job on the ICT service desk when possible. The lectern PC is not displaying, what do I do?     Check the PC is not in sleep mode and is turned on. Check you have selected the correct input e.g. PC Ensure that the projector has power and is turning on. If in doubt, try turning the projector off and then on again from the control panel (or remote). Contact ICT support in Ext. 7500, please give as much detail as possible. My laptop isn’t displaying, what do I do?      Check you have securely connected the appropriate cable (e.g. VGA/HDMI) and that it is undamaged. Check you have selected the correct input. Have you set you set your laptop to output (either mirror or dual display mode). Ensure that the projector has power and is turning on. If in doubt, try turning the projector off and then on again from the control panel (or remote). Contact ICT support in Ext. 7500, please give as much detail as possible. Audio Why isn’t there any audio from the computer?  Check the audio has not been muted on the control panel as well as on the taskbar on the PC. Teaching space technology F AQ | June 16 | P a g e | 4  IF using a YouTube clip ensure the audio is not muted from within the browser. Try using VLC player to play an example sound file on the PC to prove the audio is not working. If using your own laptop, ensure the 3.5 audio jack is securely fitted into your headphone jack. If outputting using HDMI, ensure HDMI is selected under audio devices. Contact ICT support in Ext. 7500, please give as much detail as possible.    Why is the audio distorted when I speak into the microphone?  Try moving the microphone away from your mouth. If using a lapel mic, it should be clipped onto a jacket or shirt; not held in front of your mouth. If this doesn’t solve the issue, try moving away from the speaker / PA system. This will minimise the chance of feedback. Using the PC I can’t log in    Check you are typing in your user id and password correctly, ensuring the caps lock isn’t on. If you are using a student machine, you will need to type in worc\ in front of your user ID. If the room has a phone, check it’s working. If the phone isn’t working this may indicate an issue with the network in this room. Contact ICT support in Ext. 7500, please give as much detail as possible.
