TELEPHONE USER INFORMATION GENERAL INFORMATION: Your new telephone system is a Northern Telecom (Nortel) PBX with Call Pilot Voice Messaging Service for Voice Mail. Existing telephones will be replaced with new telephones with caller ID displays and speakerphones. The person who is a primary user of a telephone will have a direct-dial telephone number, a rollover telephone number, and a voice mailbox. Your direct-dial telephone number is the number at the bottom right hand corner of the display next to the green button. Telephones which handle departmental telephone calls will have both a departmental number and a direct-dial number, rollover number and voicemail. The new telephones have LCD displays. The telephone features on the telephones are contextsensitive.This means that a telephone feature will display when the telephone is able to make use of that feature. For example: the Transfer button will not appear until the handset is picked up and a call is in progress. The telephone features keys appear along the bottom of the display window. The telephone features appear as needed above those keys. So if you do not see a feature you want above the soft button key, the telephone is not able to use the feature at that time. (1)

All the telephone users will have direct-dial numbers. Any user that does not have a direct dial number today will have a new direct dial number. Departmental numbers remain unchanged. The new web-based campus directory telephone listing will be posted on the www.unf.edu website by the telephone system cutover date. See this site for the new printable and viewable versions of the telephone listings. The new direct-dial numbers can be reached from off campus by dialing 620 + new extension number. To make off-campus local calls dial 9 + 7 digit telephone number For Suncom dialing- dial 8 + 7 digit Suncom number. The Suncom on-line directory can be accessed at www.myflorida.com. For Suncom long-distance dialing: - 8 + 1 + the area code + local telephone number The non-departmental numbers on campus will now also be direct-dial numbers. The new direct-dial numbers will be 904-620- + the 4 digit number. To reach the University of North Florida from a Suncom off-campus location, dial the UNF Suncom prefix of 861 + your 4 digit direct-dial number. As the primary user of a telephone you have a newly-created voice mailbox.
Remember, the phone is context-sensitive. Menu selections (like conference, forward, transfer) only appear when the functions may be performed. Therefore you will see no conference or transfer buttons appear until you have a live phone call on your phone.
TELEPHONE FEATURES FOR: MULTI-LINE PHONES TRANSFER: Press transfer / dial the extension number you wish to transfer to / Press connect. To return to a caller you cannot successfully transfer, press the line with the flashing LCD telephone. CONFERENCE: Press conference while on a call / dial the extension or outside number of the person you wish to add / Press connect to connect all three parties.To add additional parties to the call, repeat the above steps. A conference call can accommodate up to 6 parties CALL FORWARD: With the handset in the cradle, press forward / dial the extension of the person who will be answering your calls / press done. An LCD arrow will light next to the forward button. To cancel: press forward / press cancel, the LCD arrow will go out. Press forward / press done to re-activate the last forwarded number. SPEED CALL: This programs a list of your frequently dialed numbers. To program speed call numbers, leave the handset in the cradle. Press SpcCtlr / dial the 1 digit code / dial 9 for local or 8 + 1 long distance then the telephone number / press Done to Save. The access codes for a 10 number list are: 0 through 9. To then use Speed Call: lift handset, press SpcCtlr and press shortcut number (0-9). The phone will dial the full number LAST NUMBER REDIAL: Press extension key twice in a Handsfree mode or lift handset and press extension key once when using the handset MESSAGE: When you have messages in your voice mail box to be retrieved, you will see a red indicator in the center top area of the telephone. When it is convenient, lift your handset and press Message key. See full instructions on next page. RING AGAIN: When receiving a busy signal or a no answer on an internal call, press ring again key / hang up. When the person you were calling disconnects from the call they are on or the next call they make, your phone will ring you back. Lift the handset and press ring again. The system will then redial the number. CALL PICK-UP: To answer a call ringing on another telephone within your pickup group, lift handset and press pick-up key. If you do not have a pick-up key but belong to a pick-up group, you can lift handset and dial * 3 CALL BRIDGING: Put primary-line caller on hold. Answer call on rollover-line. Press Conference. Press primary-line button. Bridge should be established
TELEPHONE OPTIONS FOR MULTILINE PHONES:
Telephone ease-of-use options are available. They include volume for headset, handset, ringer and speaker. Additional options include screen contrast, ringer types, key clicks, call logging, speed-call, etc. Changing options is a form of programming the phone. When programming the phone, the handset must be in the cradle. When making use of what is programmed, you must get dialtone. For example, to program speed-call, the handset must be in the cradle. To use a defined speed-call entry, lift the handset for dialtone, press SpcCtrl button, then 0, for example.. To access options: press options key. The up/down buttons maneuver through the options menu. To change an option, press select. Alternative settings appear on soft keys. After selecting useful setting for an option, press done key, which stores that value in your profile and returns you to more down-arrow options. If you do not want to change a setting, press quit. To return to the options menu, press options key again.
VOICEMAIL ACCESS: Your Mailbox number is your 4 digit direct-dial number and your temporary password is 11 plus your 4 digit direct-dial number. Please follow the instructions provided to change your password to access your new voice mailbox. To access your voicemail from your phone, press message key and # key. The system will greet and ask for your password. Enter your password and press #. To access voicemail from another phone on campus, dial 3900, enter mailbox number and # and enter password and # as above. To access voicemail from off-campus dial 620-3900 and follow prior sequence.. Upon logging in to your voice mailbox for the first time, the system requires you to change your password. You entered 11 plus #### for your initial password. The system will then say your password has expired, and ask for another password. It must be between 6-13 numbers. It cannot be consecutive or repetitive (i.e., 123456 and 444444). These are not allowed. After entering the new 6 or more character password, a prompt requests the password again for verification. It will state that the password has been changed. If you forget your password, dial HELP or 4357 to reach the helpdesk. They can reset your password back to 11 plus #### for your 4-digit phone number. They cannot determine your old password, they can only reset it.
