CALL FORWARD IP PHONE & UNIFIED MESSAGING REFERENCE GUIDE To Activate  When your phone is idle, press the CFWDALL key.  Enter the number, OR press MESSAGE key for sending calls directly to voicemail. To Cancel  Press the CFWDALL soft key. CALL HOLD To Place a Call on Hold  From an existing conversation, press the HOLD key. To Retrieve a Call on Hold To Retrieve a Parked Call  Dial the park position to which the call was parked, you are now connected. CONFERENCE CALL (maximum of 6)  While a call is in progress, press the MORE key and then press the CONFRN key.  Dial the extension or outside number.  After the party answers, press the CONFRN key to bring the parties together. To Add Additional Parties  Repeat the above steps. To Reconnect To The Conference When A Called Party Isn’t Joining  Press the RESUME soft key.  If there are multiple calls on hold, scroll to the desired line before pressing the RESUME soft key.  If the person you attempt to bring into the conference is not available, press the END CALL key and then the RESUME key to return to the conference call. JOIN To View The Conference Call Members This feature allows you to join two incoming calls.  Press the MORE soft key, then press the CONFLI key to view the members on the conference call. To Answer The Second Incoming Call Press the ANSWER key if it’s appropriate to place your first caller on hold. (Pressing this soft key automatically puts the first caller on hold.) To Join These Two Callers To Create A 3-Way Call MEET- ME CONFERENCE (maximum of 8) To Establish A Meet Me Conference  Press the MORE key until you see the MEET-ME feature.  Press the MEET-ME soft key.  Dial the assigned MEET-ME conference number. Internal  Scroll to the call that is on hold.  Press the MORE soft key.  Press the JOIN soft key.  Lift handset, press the SPEAKER button, line button or the NEW CALL soft key.  Dial the extension. TRANSFER A CALL PICK UP  During a call, press the TRANSFER soft key.  Dial the number.  Announce the call.  Press the TRANSFER key, then hang up. OR  If the person you attempt to transfer the call to is not available, press the END CALL soft key and the RESUME soft key to return to the original caller. When a phone is ringing within your group:  Press the MORE key until you see PICK UP, then select the feature.  The call will begin ringing on your phone with the caller ID of the person the call was for.  To accept the call, press the ANSWER soft key. TO PLACE A CALL External  Lift handset, press the SPEAKER button, line button or the NEW CALL soft key.  For local calls, dial 7 + number.  For long distance calls, dial 7 + 1 + number + access code.  For international calls, press the # sign upon completion of your number for a faster connection. LAST NUMBER REDIAL  Dial the assigned MEET-ME conference number. CALL PARK  Press the REDIAL soft key. To Park a Call iDIVERT  On an existing call, press the MORE soft key and then the PARK soft key, the call is automatically placed into a park position, note the position.  Hang Up.  Use this soft key to send a caller directly to voicemail. ABBREVIATED DIALING This feature gives you the ability to access preprogrammed numbers by dialing a code. To program these numbers visit http://phones.butler.edu UNIFIED MESSAGING (VOICE MAIL) Butler has unified messaging (UM) which means your voice mail and email messages are all delivered to your BUmail inbox. To Access Abbreviated Dialing While your phone is idle (no dial tone):  Dial the speed code number  Press the ABBRDIAL soft key  Pick up handset, if desired SET UP YOUR VOICE MAILBOX 1. Check your Butler email for a message From: 2. UM FEATURES 1. Voice mail, email, calendar and contacts all in your BUmail account 3. 2. Voice mail arrives in your BUmail inbox just like DIRECTORIES Missed/Received/Placed       Press the DIRECTORIES button Scroll to the directory that you would like to use Press the SELECT soft key Scroll to desired call To place an internal call, press the DIAL soft key For external numbers, press the EDIT DIAL key, then the outside line code (7 or 7-1), then the DIAL key Butler Campus Directory  Press the DIRECTORIES button  Press 4 on the dial pad  Enter data in any one of the fields using the dial pad; press key multiple times to select each letter  Press the SUBMIT soft key  Scroll to desired person  To call, press the DIAL soft key RING TYPE      Press the SETTINGS button Press the 2 on the dialing pad or scroll to ring type Use the scroll key to select a ring type Press the PLAY soft key to hear the ring type Press the SELECT soft key to save the ring type “?” INFORMATION BUTTON  Press the ? button and then any other button on your phone to get information on how to use that button or key RING VOLUME  With your phone idle, press the VOLUME key to hear the current ring volume  Press either the up or down VOLUME key to change the ring volume  When the ring times out, the setting will be saved email messages 4. 3. Listen to voice mail on your computer, IP phone, smartphone or any other phone 5. “Microsoft Outlook” with the Subject: “Welcome to Exchange Unified Messaging”. This email contains your temporary PIN. If you have a Cisco IP phone, press the MESSAGES button. If you do not have an IP phone, dial x6245 from any campus phone, or from an off campus phone dial 940-6245. If prompted for your extension, enter all seven digits (940-xxxx) followed by # When asked for your PIN, enter the PIN in the welcome email you received. Follow the steps in the setup tutorial. 4. Use Voice Mail Preview to get a rough approximation of the voice message in text format. This is good for getting a general sense of the contents of the message. 5. To manage your unified messaging preferences or to reset your PIN if you forget it, log in to http://bumail.butler.edu then click Options > Phone CONTROL VIA KEYPAD OR VOICE 1. 2. When checking your voice mail from a phone, SPEAK the words “voice mail”. To use the keypad instead of your voice, press “0” any time after entering your PIN. COMMONLY USED COMMANDS Voice Command Key Command "Play" (Automatic) "Next" # "Delete" 7 "Reply" 8 "Mark as unread" 9 "End" 33 While a Message is Playing “Rewind or Repeat” 1 “Pause” 2 “Fast Forward” 3 “Slow Down” 4 “Faster” 6 “Previous” 11 CHECK VOICE MAIL FROM YOUR PHONE  Press the MESSAGES button or dial the internal voice mail phone number (6245)  Enter your password then press # CHECK VOICE MAIL FROM ANOTHER CAMPUS PHONE  Press the MESSAGES button or dial the internal voice mail phone number (6245)  Press the * key when voice mail answers  Enter your 7-digit phone number then press #  Enter your password then press # ACCESS VOICE MAIL FROM OFF CAMPUS  Dial the external voice mail phone number 317-940-6245 or your own 10-digit extension  Press the * key when voice mail answers  Enter your 7-digit phone number then press #  Enter your password then press the # SEND A MESSAGE  Press 2 to send a message  Enter the extension to dial by number  OR, press “##” to dial by name; enter the letters of the person’s last name, followed by their first TRANSFER A CALLER INTO VOICEMAIL  While connected to the caller, press the TRANSFER soft key  Press *  Dial the extension you are transferring the call to  Press the TRANSFER soft key quickly
