IMPORTANT RENTAL INFORMATION PLEASE take time to read this document as it contains information CRITICAL to the operation and safety of the equipment and ensures you use the equipment correctly, avoiding expensive repairs later. This document is not a replacement for the printer manual, which should be read before use. PO Box 150 - Hedge End - Southampton - SO32 2ZR - Tel: 01329-835500 - Fax 01329-835501 Renting Equipment - How the Scheme Works Our rentals are on a weekly basis which allows you time to familiarise yourself with how the equipment works before using it. Delivery / Collection Always ensure the equipment arrives with you at least 1-2 days before you need it. This way if, you have any problems with deliveries or setting up the equipment then you will have ample time to resolve them before your event. If you are local to us, you may elect to collect and return the equipment by appointment during office hours (Monday – Friday, 9:00am - 5:30pm), avoiding the delivery/collection charge. Payment Payment for the weekly cost of the rental, deposit and courier charge is collected when the printer is dispatched. The print costs (on a cost-per-print basis) are deducted from your deposit on return of the rental equipment (also see ‘Print Media’ below). The printer will also be checked for any damage prior to refund of the balance of the deposit. We aim to refund the balance of the deposit within one week of the rental equipment return. Support Support is available from Monday to Friday, 9:00am - 5:30pm. Support outside these hours is available at extra cost - please ask for details. Cables UK Mains and USB cables are provided with your Rental Software and Print Drivers A CD with up to date printer drivers will be included with your printer. Please make us aware which operating system you will be using. A ‘Read-Me’ file is included on the CD Confirmation You rental will need to be booked online and you will need to accept the terms and conditions. If you are unable to book online then you will need to email us to accept the terms and conditions. Without this agreement we are unable to dispatch your goods. Please note however that you should always use any opened boxes first before opening new boxes of media. Rental Media Prices (cost per print inc vat): 6”x4” - £0.25, 5”x7” - £0.52 6”x9” - £0.59 Note – If you are using your own media, there will be no media charge for up to 100 prints on the equipment. For prints in excess of 100, there will be a maintenance charge of £0.12 per print. Late Booking If your booking is confirmed either the day before or the day of dispatch, there will be a £50.00 surcharge applied to your order. Condition of the Equipment Please note; the printer supplied for your rental will be in used condition and may have some wear and tear. All equipment is tested before it is dispatched from System Insight and leaves us in good working condition. Transportation The printer MUST always be shipped WITHOUT media in the printer. Damage to the printer WILL occur if it is shipped with any paper or ribbon left in the printer and you will be charged for it. Please refer to the label on the front of the printer or the printer manual for full details. Note: We photograph and document every printer sent out on rental. Please can you ENSURE: 1. You package your equipment inside its original packaging including the polystyrene inserts. 2. If you do not have the original packaging then please use similar packaging to that used to send the printer to you. You are responsible for correct packaging when returning goods to us. DO NOT ship the printer with any media left inside. Failure to adhere to this may result in the printer being damaged beyond economical repair. If your printer is damaged in transit due to insufficient or incorrect packaging, then this will be at your own cost/risk. ANY PRINTER DAMAGED AS A RESULT OF INCORRECT SHIPPING PROCEDURES BEING FOLLOWED WILL INCUR A REPAIR / REPLACEMENT CHARGE Flight Case Please note - Your printer does not come supplied as standard with a flight case, however it does sometimes get shipped in one. If you do receive it in a flight case then please take note of the following: The printer flight case for the CP9550DW / CP9800DW and CP3800DW has been designed in such a way that the printer should be used IN the case at all times. It will not overheat in the case, and the media can be changed with the printer in the case. Power and USB cables can be left connected to the printer and simply tucked into the storage space at the bottom of the case with the paper collection box, paper spools etc. Collection Please follow transportation instructions above. We can not advise on collection times, so collection will be any time from 8.30am-6.00pm via Interlink. If you are not at the location at the time of collection then you will be charged for another collection at half your rental courier cost - as per your invoice. We can also collect from a different delivery address (other than your invoice address) if this is more convenient for you. We will require 24hours notice. Media Each media box contains a ribbon and paper roll, these should both be replaced at the same time. Some paper will be left on the roll when the ribbon is exhausted. This is normal. The printer will print three blank sheets whenever paper is loaded. In the unlikely event of the ribbon snapping, it can be taped together with sticky tape and you can continue printing. This only ever happens if the printer is kept in a cold place and then moved into a warm environment and condensation forms on the media. In this case, ensure the printer is left on for at least 45 minutes before use. Any unused media MUST be returned in the original packaging otherwise you will be charged for a FULL roll. YOU MUST USE PART- USED MEDIA FIRST - otherwise you will be charged for a full roll of media. Some printers require spacers to be used when using 7x5” media. These will be included with your printer. They are not required for 6x4”or 8x6” / 9x6” media. These MUST be returned with the printer or a charge for their replacement will be made. Colour Profiles If you are renting a CP9550DW then profiles will be provided with the driver disk. There is a ‘Read-Me’ file on how to load the profiles onto your laptop /pc /mac. IMPORTANT - please do test prints both with the profile and without, and choose which one you prefer to use. Cancellation Any cancellation within 48 hours of the goods going out will incur a £50 charge. REMEMBER to follow the transportation instructions on this document and in the printer manual (located on the CD) before shipping. PLEASE TEST all your equipment on the day you receive your delivery. Our opening hours are 9.00am - 5.30pm Monday to Friday so if you do have any issues we can rectify this during the working day. Last-minute bookings are at the customer’s risk if the printer arrives damaged and we are unable to rectify the problem in time for the event. If you DO NOT TEST the equipment when you receive it, or in good time for us to rectify the issue if the equipment has been damaged, then we will not offer any refund on the rental hire charge/delivery. We also do not refund any delivery/collection charges if the printer is returned damaged and the damage was caused either by the customer or due to incorrect shipping procedures. In this instance the cost of repair will be deducted from the deposit and we reserve the right to extend the time before any balance remaining on the deposit is refunded. You will not be charged for the prints if the issue is due to our equipment. If you fail to send these back we can not offer you a refund. Any problems with the equipment must be reported at the time of failure on 01329-835500. Please leave a message if outside office hours. Compensation We DO NOT offer any compensation of any type including consequential loss. Insurance The hirer is responsible for the equipment during the rental period and must ensure it is insured during their possession.
