Introduction Thank you for purchasing the IQ 200 data collection terminal. The IQ 200 provides for a cost effective solution to collect your employees attendance punches. Using the IQ 200, employees can enter the following punches: • • “In/Out” for the day “In/Out” for meals or breaks Your IQ 200 automatically sends employee punches directly to TimeForce II via an Ethernet connection. If an Ethernet connection is not available at the clock mounting location (or your network is “down” on payroll day), you can utilize a USB Flash Drive (also known as Thumb Drives) to retrieve the punches and send them to TimeForce II. As you read through this manual you will find special instructions for USB operations. This Hardware Guide is divided into five sections, designed to get you up and running quickly: TimeForce II Setup This section contains instructions on configuring the TimeForce II system to communicate with the IQ 200. Refer to page 4. Hardware Setup This section contains instructions on installing and configuring the IQ 200 clock. Refer to page 8. Using Your IQ 200 This section contains detailed instructions on entering punches and general clock usage. Refer to page 11. Troubleshooting This section contains information on diagnosing and solving the most commonly encountered problems with the clock. Refer to page 14. Appendix This section contains useful information on the clock's menu structure and option settings. Refer to page 17. 11/15/2012 3 of 19 TimeForce II Setup This section of the hardware guide provides instructions on how to configure the TimeForce II system to communicate with your new IQ 200 time clock. This is necessary to retrieve the attendance punches your employees have made on the IQ 200. To complete this step you must create a clock profile within TimeForce II. A clock profile is where you define how you want the clock configured and how it will operate. Creating a Clock Profile 1. Click on the “Clocks” navigation tab at the top of the screen. See “Figure IQ 200- 1” below. Figure IQ 200- 1: Clocks Tab 2. Click on the [ADD CLOCK] button under the New Clocks section of the screen. See “Figure IQ 200- 2” below. Figure IQ 200- 2: Create Clock Profile 3. Select “IQ 200” from the Model drop-down menu. 4. Enter a Description for the clock. 5. Select a Clock Group to assign to the clock. 11/15/2012 4 of 19 6. Select the Default Department for the clock by clicking on the “No Department” link and selecting the desired department. Note: When using this feature, all punches coming from this clock will be attached to the clock’s default department (as opposed to the default department assigned to the employee). 7. Select the correct Time Zone for the clock from the drop-down menu. 8. Enter any desired notes on the clock into the Notes field. 9. Ensure that “Ethernet” is selected for Connection Type. Note: “Ethernet” is the only valid connection type for this clock. 10. Enter the Serial Number of this clock. Note: The clock serial number can be found on a white sticker on the bottom of the clock. This setting is required for all On Demand clocks. 11. If the clock is going to be used in a DHCP environment, leave the DHCP setting enabled. If you wish to configure the clock with a static IP address, uncheck DHCP and enter the IP Address assigned to the clock. 12. Click on the [SAVE] button to create the clock profile. On Demand Options Once you have added the time clock profile, On Demand options can be specified. See “Figure IQ 200- 3” below. Figure IQ 200- 3: On Demand Options 11/15/2012 5 of 19 The following table provides you with an explaination of each setting and its function. Table 1- On Demand Options Option Name Details Data Revision This field shows the current version of the clock profile stored in TimeForce II. This is not an editable field. As changes are made to the TimeForce II clock profile or at the clock, the number will increase as On Demand synchronizes the TimeForce II clock profile and the On Demand clock. DST Spring Month Used to program the month in which Daylight Saving Time goes into effect. DST Spring Day Used to program the day in the DST Spring Month in which Daylight Saving Time goes into effect. DST Fall Month Used to program the month in which Daylight Saving Time ends. DST Fall Day Used to program the day in the DST Fall Month in which Daylight Saving Time ends. Upload Interval This field sets the frequency of when the clock will push punch data to TimeForce II. While there are multiple options in the menu, the only valid one for this clock is On Demand. Primary Host IP IP address of the server where TimeForce II is installed. Note: Qqest SaaS Customers: Use IP address - 66.133.118.230 Primary Host Port Secondary Host IP Firmware Version Port being used by the On Demand Service on the TimeForce II server. This is TCP 5705 by default. This field is not currently used. This area of the clock profile is only used when you wish to reprogram the clocks with a different version of firmware. This should only be used at the direction of Qqest Technical Support. System Options This page allows a user to update clock configuration options via On Demand without having to physically enter the changes at the clock. See “Figure IQ 200- 4” below. Figure IQ 200- 4: System Options 11/15/2012 6 of 19 The following table provides you with an explaination of each system option and its function. Table 2: System Options Option Name Details 1. Direct Card Entry Enables keypad entry on the clock. 2. Bar Code Entry Enables bar code entry for Employee ID. 4. Key Click Enables audible sound when any key on the clock is pressed. 9. In/Out Keys Enables the and buttons on the clock. 10. US/Euro Date Format Enables the clock to display date in Euro Date Format (the default setting is US Format). 12. Lunch Punch Restrictions Enables the clock to restrict employees from punching back in from lunch before the full lunch period has elapsed. Lunch amount is specified in the employee clock configuration area. 15. Quick Punch Enables Quick Punch feature on clock. When enabled, the clock will not prompt employee for advanced paraqmaters when punching (such as Dept, Job, Task, QTY, Tips, etc.). 16. Which Digits The option is not currently used. 18. RDR Type Used to specify if the clock is using a Bar Code or Magstripe reader. 19. HID Decode Used to specify that the clock is using HID 26 bit decoding. 25. Track 1 Enabled Magstipe Track 1 Decoding. 29. Auto Enter Auto Enter after number of digits entered. 32. Alpha Bar Enable alpha and numeric characters in barcode. 34. Lunch/Break Keys Enables the Meal and Break buttons on the clock. 35. Concatenate Enables the Concatenate Barcodes option. 47. Power Save Enables the clock to go into Power Save mode when unused for a period of time. (This dims the backlight and shuts off finger scan module). Pressing any key on clock cancels this mode. 50. In/Out Required Requires that In/Out button used on all punches. 57. Enforce Password Enforce user password for menu access. 62. Enforce Break Punch Enables the clock to restrict the employee from punching back in from a break until the full break period has elapsed. Status Ping Interval (minutes) Keypad Timeout (seconds) Global Biometric Security Threshold 11/15/2012 Interval in which the On Demand enabled clock will send a status ping to the TimeForce II server. This acts as a keep alive heartbeat between the clock and TimeForce II. Number of seconds before any entry using the keypad is canceled and the clock goes back to “Ready” state. This setting is not used with this clock model. 7 of 19 Hardware Setup Once you have successfully added a clock profile to TimeForce II for your new clock you can proceed to mount the unit and power it on. Installing Your IQ 200 The IQ 200 clock includes a mounting panel with four holes. Mounting screws are included. Once the mounting panel is attached to the wall, the clock's face can be snapped into place and locked onto the mounting panel. 1. Attach the clock mounting panel to the wall with the provided mounting screws. 2. Connect the power cord to the bottom of the IQ 200 and plug it into the closest available electrical outlet (110-120 VAC). Note: It is highly recommended that you place the time clock on a surge protector or battery backup unit. Power surges can permanently damage the clock. 3. On the back of the clock, you'll see a panel cut out of the clock case. The Ethernet port is located in the upper left-hand corner of this cutout section. Plug one end of the Standard Category 5 (CAT5) cable into the Ethernet port. 4. Connect the other end of the CAT5 cable to your network. The cable used to connect the clock must be a straight-through cable, not a crossover. To tell the difference between a straight-through and a crossover cable, hold the connectors side by side, with the same side of each connector facing you. Look at the wires inside of the connector. If the colors of the wires run in identical order from left to right in both connectors, the cable is a straight-through. If the colors run in opposite order, the cable is a crossover. Power over Ethernet (PoE) Clock A PoE clock is a time clock with an Ethernet communications type for which all power supplied to the clock comes directly from the Ethernet cable. No a/c power is needed. Power over Ethernet Specifications In order to use PoE, your network must be set up so that the clock's Ethernet cable runs into a switch, router or hub that supports PoE functionality. Note that this functionality is not standard on network devices. This device must be IEEE 802.3af compliant. In order to prevent loss of data in the event of a power outage or surge, the network device that the time clock is connected to should be connected to a UPS or surge protector. Identifying a PoE Clock The time clock comes with a “clock code” label located on the bottom of the clock. The following PoE labels will be displayed: IQ 200 PoE. A clock with PoE support can also be identified visually by examining the back of the clock. Located directly above the Ethernet communication port, you will see a large square component labeled “WiPort NR.” 11/15/2012 8 of 19 Clock Installation The instructions for installing a clock with PoE support are virtually identical to the instructions for installing a clock of the same model with standard A/C power. Simply locate the communications port on the back of the clock in the upper left-hand corner of the cutout section of the clock case. Plug one end of the Standard Category 5 (CAT5) cable into the Ethernet port. The other end of the CAT5 cable is plugged into your network switch, router or hub. The cable used to connect the clock must be a straight-through cable, not a crossover. To tell the difference between a straight-through cable and a crossover cable, hold the connectors side by side, with the same side of each connector facing you. Once the clock has been plugged in to the network device, simply mount the clock on the wall, as desired. Refer to the section above for more detailed clock mounting instructions. Configuring Your IQ 200 The last step in installing your IQ 200 is to set the IP address of the TimeForce II On Demand server. The IQ 200 will send the employee's attendance punches to this address automatically. Qqest SaaS Customers If your TimeForce II is hosted by Qqest, there is no additional configuration required. Your IQ 200 was shipped with the IP address of the Qqest servers. However, if you want to double check, follow these steps: 1. Press the button. 2. Press 1 to select the “Admin” menu. 3. Enter your card number (the default admin card number is “8888”). Press the button. 4. Enter your pin number (the default admin pin is “1111”). Press the button. 5. Press 4 for the “Communications” menu. 6. Press 2 for “Ethernet” menu. 7. Press 1 to enter the “IP Address.” 8. Enter the IP address “66.133.118.230” and press the button. 9. Enter the port “5705” and press the button. 11/15/2012 9 of 19 Self-Hosted Customers If your TimeForce II system is installed on your servers, you must enter the IP address and port number into the IQ 200. This information can be obtained from your IT department. 1. Press the button. 2. Press 1 to select the “Admin” menu. 3. Enter your card number (the default admin card number is “8888”) and press the button. 4. Enter your pin number (the default admin pin is “1111”) and press the button. 5. Press 4 for the “Communications” menu. 6. Press 2 for the “Ethernet” menu. 7. Press 1 to enter the “IP Address.” 8. Enter the IP address provided by your IT department and press the button. 9. Enter the port “5705” and press the button. USB Only Configuration Although your time clock will not be connected to any computers, some basic configuration is required. 1. Press the button. 2. Press 1 to select the “Admin” menu. 3. Enter your card number (the default admin card number is “8888”) and press the button. 4. Enter your pin number (the default admin pin is “1111”) and press the button. 5. Press 4 for the “Communications” menu. 6. Press 1 for the “Outbound Call Times” menu. 7. Select “Manually” using the smart keys (unmarked keys above the keypad). 8. Also enable option #30 in the options menu to disable the “Not In Clock” error. 11/15/2012 10 of 19 Using the IQ 200 Use the following instructions to enter basic time and attendance punches at the clock. 1. Check to see if the display panel on the clock reads “IQ 200 READY.” If the word “READY” is not visible, refer to the “Troubleshooting” section of this guide on page 14. 2. If you are using magnetic time cards, hold the card with the magnetic strip facing right. If you are using cards with barcodes, hold the card with the barcode facing left. 3. Quickly and evenly slide the card through the card reader slot from top to bottom. Note: Proximity time card users need only hold their time card up to the target located on the right of the face of the clock. 4. The display panel shows the card number of the card just swiped. Depending on the clock options selected the clock may prompt the employee to select additional actions by displaying: MAKE SELECTIONS 5. Based on the options configured for this clock, the employee would then select In, Out, Lunch or Break as appropriate. 6. Press the key on the clock keypad to complete the punch entry. Note: The key should always be pressed when completing a punch at the clock, unless the “Quick Punch” system option is enabled. See “System Options” on page page 6 for a description of clock options. Downloading Punches to a USB Flash Drive The IQ 200 enables a user to download punches to a USB Flash Drive for transport to TimeForce II. This option can be used in situations where there is no Ethernet or Wi-Fi communications with the TimeForce II servers. Use the following instructions to download punches to a USB Flash Drive: 1. Insert a USB Flash Drive into the USB connector located on the bottom of the clock. Before using the Flash Drive check to make sure there is enough free space available. 2. Press and the 1 to select the “Admin” menu. Enter you're your ID and PIN number as prompted. 3. Press to select “Punches to USB.” The clock will write all punches in its memory that have not sent to TimeForce II. These punches will be marked as “sent” to prevent duplicate punches from being created. 4. Remove the Flash Drive when prompted by the clock. Uploading Punches from USB Drive After you have completed using the clock to store the punches on a USB thumb drive, you will need to take the thumb drive and connect it to a computer with access to the TimeForce II program. There is a special utility called the TimeForce II USB Reader that will scan the thumb drive and upload and punches into TimeForce II. This utility can be downloaded from the Qqest support site at http://www.mytimeforce.com/support or you can call Qqest Technical Support at 800-697-7010 for assistance. 11/15/2012 11 of 19 USB Reader Settings When you first launch the USB reader application, you will need to provide it with the settings to connect to the TimeForce II system. See “Figure IQ 200- 5” below. Figure IQ 200- 5: USB Reader Settings 1. Input the host name or IP address of the TimeForce II web server in the On Demand Host or IP field. 2. Input “5705” into the On Demand Port field. 3. Input a valid administrator username into the Username field. 4. Input the password for the administrator user above into the Password field. 5. Input the company code for the TimeForce II company into the Company Code field. 6. Click on the [SAVE] button when finished. Upload Punches Once you execute the TimeForce II USB Reader, it will automatically log into TimeForce II using the settings provided, scan all removable drives for punches, and upload them to TimeForce II. “Figure IQ 200- 6” is an example below is what you should normally see. 11/15/2012 12 of 19 Figure IQ 200- 6: Upload Punches Once the upload process has completed, click on the [OK] icon to close the application. 11/15/2012 13 of 19 Troubleshooting Occasionally our customers experience difficulty when initially setting up communication between their time clock and the computer that has On Demand installed. If so, you can call Qqest Technical Support immediately at 1-800-697-7010. However, it may be wise to try these troubleshooting steps before calling support. Most of these steps will be suggested by Technical Support, so trying them yourself could save you time. On Demand Connection Status The On Demand connection status of your TimeForce II time clock is indicated in the LCD display. The table below explains the various status indicators and possible causes for the status condition. Table 3: Connection Status Indicator Status STATUS: Connected This symbol indicates that the clock is connected to the On Demand server. Transactions made while this symbol is displayed are immediately sent to TimeForce II. STATUS: In Silent Window Mode This indicates that the time clock has made 3 unsuccessful attempts to connect to the On Demand server. This can be caused by local network issues. The clock will remain in Silent mode for 30 minutes, at which time will automatically attempt to connect. The clock can be used by employees while in Silent Mode. Any punches made will be stored. Once connection is established, transactions collected during Silent Mode will be transferred to TimeForce II. No Character Displayed STATUS: No Connection The clock never established a successful connection to the On Demand server. This is likely due to local network issues. STATUS: Punches in Memory Waiting for Upload This symbol indicates there are punches in the clock's memory waiting to be uploaded to TimeForce II. Punches will be transferred automatically once a successful connection is established. STATUS: Clock is Attempting to Go Online This symbol indicates the clock is attempting to connect to the network and go online. If the IQ 200 is displaying any of the error indications (“><“ or no character at all) following these steps may help resolve the issue. 11/15/2012 14 of 19 Basic Ethernet Troubleshooting Steps 1. Re-seat all cables. Ensure that the network link lights on the back of the time clock light up. 2. Ping the time clock. If there is no reply, check the clock IP address. 3. Unplug the network cable from the time clock and then try to ping the clock. If you receive a response, this means that another network device is assigned to the IP address given to the time clock. 4. For wide area networks, port 5402 needs to be open 5. Windows Firewall and anti-virus programs can cause errors in Ethernet clock communication. Clock Configuration Troubleshooting Steps This section covers troubleshooting steps for when “><“ shows on “Ready” Screen. Check the clock setup to ensure it has been correctly configured for On Demand and your network. Log into the Admin menu of the clock 1. 2. 3. 4. 5. Press the button. Press 1 for the “Admin” menu. Enter your ID number (the default admin ID is “8888”). Then press . Enter your PIN (the default admin PIN is “1111”) and press . Each of the following tests are performed from the Admin menu. Check for a “Ready” (“<>”) status on the clock after performing each test. Test #1 - Ensure that the clock is set up for On Demand communication 1. 2. 3. 4. Press 3 for “Communications.” Press 4 for “OnDemand.” Press 3 for “Force OD Reset.” When the clock gets back to the ready screen, if the “Ready” status appears (“<>”) you can now install the clock. If “><“ still appears, continue to the next troubleshooting step. Test #2 - Check the Server IP 1. 2. 3. 4. Press 3 for “Communications.” Press 1 for “Ethernet.” Press 4 for “Punch Server.” If your TimeForce II is hosted by Qqest (SaaS): • • Enter the Server IP address “66.133.118.230” and press . Enter “5705” as the Port and press . 5. If your TimeForce II is installed on your in-house servers: • • Enter the On Demand Server IP address (your IT Department can provide this address) and press . Enter “5705” as the Port number and press . 11/15/2012 15 of 19 Test #3 - Check the Clock ID with the clock serial number 1. The white sticker on the clock displays the serial number. Write this number down (skip the leading zero). 2. Log into the “Admin” menu (see section above for instructions). 3. Select 4 for “Clock Information.” 4. Compare the Clock ID with the serial number (ignore the leading zero). These numbers should match. If they do not, the Clock ID needs to be changed to match • • • • From the “Admin” menu, press 2 for “Clock Setup.” Press 5 for “Set Clock ID.” Enter the serial number from the clock sticker (minus the leading zero) as the Clock ID.
