This includes system administrators, software developers, network technicians, and end users in a variety of business environments. Information for end user functions is arranged as follows: User Functions: Getting Started Provides a overview of Rev user functions. It explains how to login and exit the system and how to reset a user’s password and security question. User Home Describes the functional elements on the user’s Home page including video playlists. Notifications and how to manage them are also covered in detail. User Media Menu Explains the personalized video content page that is customized for each user by role and permissions assigned. Details on the collections, playlists, videos, and uploads tabs are covered. Video Functions Explains how video functionality works in Rev. Includes topics from adding, embedding, and uploading video to leaving feedback on the videos. Events Everything you need to know on how to create, manage, and host your own Webcast event. Online Help Conventions Arial bold is used to Programs > VBrick Rev User Guide describe dialog boxes and menu choices, for example: Start > All vii Courier fixed-width font is used for scripts, code examples, or keyboard commands. Courier bold fixed-width font is used for user input in scripts, code examples, or keyboard commands. Italics are used in text to emphasize specific words or phrases. Icon Description Note: Additional information that adds to the information in the topic but is not always required. Tip: Additional or helpful information that enhances the topic. Role(s): Additional information on specific role or permissions needed in Rev to view or perform the functionality being discussed. Table of Contents: Hide or view the Table of Contents. The TOC is open by default. Translate: Toggles Google translate options. This will allow you to translate the main content area of online help into several different languages. Note that the Table of Contents is unable to be translated at this time. Search: Search online help. Search results in online help are heavily weighted by topic names being searched first. Also keep in mind that you may obtain different results if you use singular versus plural. Paging: Used to page forward and backward. Home: Returns to the first page of online help - Rev FAQs. Print: Used to print the current topic. E-mail: Used to send feedback about the current topic. Tip: All versions of help may be viewed in PDF format for easy portability but are optimized for the Web and are best viewed Online. viii Preface Chapter 1 User Functions: Getting Started VBrick Rev Overview VBrick Rev™ is a Web-based media management platform used for accessing live and stored video. It provides a simple, intuitive interface that allows you to navigate to, search for, and immediately begin viewing TV-quality video. You can access Rev from any Windows-based PC, Apple Mac, or mobile device. Online help is created from a PC perspective; some of the images may be slightly different on a Macintosh. User Roles VBrick Rev uses a role-based permissions model to determine what content you will be able to see and what functionality you will be allowed use. In all cases, if you do not have permission to view certain content, functions, or player controls, that video or control will not be shown on the user interface. Online help will use the Role icon to provide additional information when a specific role or permission is needed for a function or subject being discussed.  See Also Role Definitions and Permissions Rev User Guide 1 Create a Rev User Account When a VBrick Rev user account is created for you, you will receive an email that contains a Username and hyperlink in addition to a welcome message. It will look similar to the image below. To complete your new user registration and activate your account, click the hyperlink and complete the New User Confirmation form that appears with a password and security question. All fields are required. Note: If you think you have misplaced or have not received your email to confirm your account, contact your Account Admin to resend your confirmation email. Log In to VBrick Rev The Home Page is automatically displayed when you log in with a valid Username and Password . All Rev functionality and commands are available from this page but users may not have access to all depending upon the user permissions that have been granted. Note: After a number of unsuccessful log in attempts, you will need to close the window and start again or may even need to reset your password depending upon the security features that have been set up for your system. Contact an administrator if you have trouble logging in. 2 © 2015 VBrick Systems, Inc. User Functions: Getting Started  To log in: 1. 2. 3. Open a browser. Enter a valid Username and Password . Click Sign In . Tip: If you have forgotten your password, you may click the (Forgot Password?) hyperlink to recover it from the system. You will be prompted for your Username and Security Question . If this link is not available, contact an Account Admin. Log Out of VBrick Rev The Logout command logs you out of the application and lets you log back in as a different user. This may be necessary to gain access to certain functionality. For example, some users may not be allowed to upload videos and you may want to log in as a user who has the permissions to do this. To exit the system, click the User Account icon in the upper right corner of the Home Page Navigation. Reset Your Rev User Account Password or Security Question If you have forgotten your user account password, you may click the (Forgot Password?) hyperlink on the Sign In form. You will be prompted for your Username. An email will be sent to your email address on file that contains a hyperlink where you may reset your user password using the Forgot Password form. You will be unable to log in until you complete this form. If you do not receive the email, contact your Account Admin. Rev User Guide 3 Keep in mind that you will need to know the answer to your Security Question to reset your password. If you enter the wrong answer for your Security Question and reach the limit on password reset attempts, you will need to contact an Account Admin to reset your account. You will then be sent another verification email that will let you use the New User Confirmation form to create a new Password and Security Question similar to when you first created your account. 4 © 2015 VBrick Systems, Inc. Chapter 2 User Home Access the Home Page The Home page launches as soon as you log in with a valid Username and Password . It lets you quickly access all of the features and functions of Rev such as the Events or Media page. Some functionality and features may be restricted for certain users. If you are not authorized to Add Video or use Events, for example, those menu items may not be displayed or may not be functional. Contact your Account Admin if some functionality is not available or does not work as you would expect. The Home page contains: Video Description Featured Videos Carousel Featured playlist content that may be continually updated by an admin based upon what is relevant to the organization. Clicking on a video will take you to the video itself if you have permission to view the video. Rev User Guide 7 Recently Added Videos This playlist will display all recently added videos. Note that these videos will be permission based in that if you do not have the correct permissions to view them, they will not appear. TV Channels TV Channels video; Video uploads marked “Live” have been designated as “live streaming” videos and become part of the TV Channels. Upcoming Events Only public events with the most recent upcoming event appearing first display. The event date, title, and time is noted so you may jump right to the event from the Home page without opening the Event Calendar. Account Admins and Event Admins will also see private events here. You may return to the Home page any time by clicking the Home menu bar.  See Also: Home Page Navigation User Menu Bar View Your Notifications Search Media Create a Featured Playlist Add and Upload Video Create an Event Home Page Navigation The Home page navigation options: Option Description User Menu Bar Contains the user menu bar functions; role and permission based. Search Media field Find media, events, user accounts, and so forth. See: Search Media. Upload Video icon Click to upload video content. Only visible to users with the Account Admin, Media Admin, or Media Contributor roles. See: Add and Upload Video. 8 © 2015 VBrick Systems, Inc. User Home User Account icon Logs out current user. Notifications icon Alerts you to the functions that have occurred in the system since the last time you logged in and in real time as actions occur while logged in. Specific to each user and will change depending upon if notifications are present. See: View Your Notifications. Gear icon Provides access to admin menu bar and admin functions. This icon will not be present if you do not have Account Admin access. Online Help icon Launches Rev’s Online help files. User Menu Bar The options available on the menu bar will vary depending upon your user permissions and account access. Tip: The menu bar will first display non-admin navigation options. Clicking the Gear icon in the upper right corner of the menu bar accesses admin menu options if you have the Account Admin or Media Admin role assigned. The icon will not be displayed, however, if you do not have admin access. Option Description Home Returns you to the Home page. It is the same for all users. Media Provides access to videos in the system; varies by users depending upon permissions. Events Provides access to the public events calendar. Level of access depends on role assigned.  See Also: Access Admin Menu Functions View Your Notifications The Notifications icon on the menu bar alerts you immediately upon log in (and in real-time while logged in) that certain actions have occurred in the system. For example, when you first log in, the Notifications icon will inform you by number and red background that you have new or unread actions since your last log in if this is the case. Rev User Guide 9 Click the Notification icon to view the Notifications dropdown and specific information about what has occurred. This dropdown is capped at 10 notifications. Clicking the Mark all as read link will clear all notifications and reset the notification icon. Clicking the See all notifications link will display the Notifications page with more details about each. You may click it at any time to also view past notifications. The Notifications page is capped at 100 notifications. Notifications appear in chronological order with the newest notification being first on the list sorted by date and time. User Home Search Media VBrick Rev has robust sorting and search features that make it easy to find video assets in the system. Anyone may search for videos from anywhere using the Search Media field in the top right corner of the user menu bar.  To search for video content: 1. 2. Navigate to User > Menu Bar > Search Media field. Enter the search text. The text is not case-sensitive and you can enter any combination of words and numbers (special characters are not permitted). Results will include only those videos that you have permission to view. You may view results by Tile or List view and filter by Date, Category, and Status. When the Media page loads, a set of tabs is featured that provides access to a variety of content based on the tab selected. You may not have access to view all tabs depending upon the role you have been assigned. Tab/Function Description Tile vs. List view View videos based on alphabetically arranged tiles or in an alphabetical list; may be used with the Current Sort Value and All Dates sort dropdown filter options. Collections Videos in collections you are assigned to. Playlists Playlists you have created. Videos All videos that you have permission to view. Uploads Videos you have uploaded. Sort Sort options; will sort the Tile and List view(s) by specifying that videos are arranged by the Title, Upload Date, or Uploaded By parameters. Note: Filter options (such as by category) will also be added for some tabs.  See Also: Collections Playlists Videos Uploads Rev User Guide 13 Collections The Collections tab under the Media menu bar displays all the collections your account has been assigned to and is user specific. Only the collections your user account has been assigned to will be displayed here. Collections are created by Account and Media Admins and have specific videos, groups, and users assigned to them. If an admin has assigned your account to a collection, all the content available in that collection will be available for you to view. Tip: The Public Collection will also be viewable on this tab. The Public Collection is Rev’s default system collection. Keep in mind that all videos are assigned to the Public Collection by default and all user accounts have access to the Public Collection .  To view your Collections: 1. 2. Navigate to User > Media > Collections. Display collections by Tile or List view; use the Sort dropdown to further sort by Title, Uploaded Date , or Uploaded By parameters. 3. 4. Click a Collection Name to display all videos in that collection. Click a Video Name (from the collection page) to display the Video Settings Page. Chapter 4 Video Functions Add and Upload Video The user menu bar allows you to immediately begin uploading videos in VBrick Rev if you have the permissions to do so. Once video has been uploaded to the system, you may also generate embed code to embed the video player on another Website or portal so that your viewers are not required to use the VBrick portal to watch it. To begin, use the Upload Video icon in the menu bar to upload videos from your harddrive or by adding a URL. Once a video has been uploaded, you may play it, edit the video details such as its categories and tags, and add it to playlists and collections for other users to view. Tip: The recommended uploading format is .mp4 with an H.264 video codec and AAC audio codec.  To upload a video from your local harddrive: 1. 2. Click Upload Video icon on the menu bar. This means you will need to generate the code to embed them. Note: Anonymous viewing is enabled in Settings.  To generate embed code: 1. 2. 3. Navigate to User > Media > Videos. Click the Video Name > Embed button. Select the settings you will use on the Embed This Video pane. Navigate to User > Media > Videos. Click the Video Name > Settings button. In the Tags field, type the tag and press to save. Multiple tags may be entered. Spaces may be used. Tags are not case sensitive.  See Also: Videos Uploads Allow Tags on All Media Add or Remove a Video from a Collection Use the Settings button on the Video Details form to add or remove a video from a collection. Note: When a video is uploaded, it is automatically added to the Public Collection and all accounts have access to this collection. It may be removed from this collection, however, it must belong to at least one collection.  To add or remove a video from a collection: 1. 2. 3. Navigate to User > Media > Videos. Click the Video Name > Settings button. Click in the Collections field for a dropdown list to choose from. You may select and add the video to more than one collection. Click the X to remove the video from the collection. At least one collection must be assigned. The video must be added to the Public Collection as well before anonymous viewing may be enabled.  To enable anonymous viewing: 1. 2. 3. Navigate to User > Media > Videos. Click the Video Name > Settings button. Select the Enable Anonymous Viewing check box. This box will be disabled if the video is not in the Public Collection . This video may now be viewed without authentication when viewed from a third party Website.  See Also: Generate Embed Code for Uploaded Videos The Public Collection Enable or Disable Comments for an Individual Video Use the Settings button on the Video Details form to enable or disable comments on a specific video. Note that comments must be enabled globally by your administrator first before this feature is available. Rev User Guide 27  To enable or disable comments on a specific video: 1. 2. 3. Navigate to User > Media > Videos. Click the Video Name > Settings button. Select the Enable Comments check box. This check box will not be visible if downloads have not been enabled globally by your administrator.  See Also: Allow Downloads on All Media Upload a Thumbnail for a Video Thumbnails provide a quick snapshot of what your video contains. When a video is uploaded, Rev automatically generates a thumbnail image for you. Keep in mind: • The auto-generated thumbnail is the default thumbnail for the video. • If a new thumbnail image is uploaded, the auto-generated thumbnail is discarded and may not be recovered. You may also use the Settings button on the Video Details form to upload a custom thumbnail for the video.  To upload a thumbnail: 1. 2. Navigate to User > Media > Videos. Click the Video Name > Settings button > Thumbnail button (+ ) or existing image to replace it. Select an image you would like to use from your local harddrive. a. File types you may use include: .jpg, .png, .gif 3. Rev User Guide 29 Attach a File to a Video Supplemental files may be attached to video uploads so that viewers may download and view them at their own speed. Use the Settings button on the Video Details form to attach a file.  To attach a file: 1. 2. 3. Navigate to User > Media > Videos. Click the Video Name > Settings button > Add Files button. Select a file you would like to use from your local harddrive. a. File types you may use include: Powerpoint presentations (.ppt, .pptx), Word documents (.doc, .docx), Excel documents (.xls, .xlsx, .csv), PDFs, Zip files (.zip, .rar, .7z), Text files (.txt), Images (.jpg, .png, .gif) b. You may specify the name for the file or the file name itself will be used if you do not. (Note: To use a name different than the filename, you must upload the file first and then edit and rename it as seen below) c.  Use the Delete button to remove the file attachment from the video. Video Functions Leave Feedback on a Video Rate a Video If ratings have been enabled for content, you may rate each video you view in the ratings section.  To rate a video: 1. 2. Navigate to User > Media > Videos > Video Name. Click the Average Rating Received scale to display the My Rating scale. (Comments are displayed by default). Select a star 1 through 5 on the My Rating scale to add your own rating. 3. Note: If you change a previously rated video, your previous score will be overwritten. This will not change the total ratings received count for the video. The average rating received will be recalculated, however, based on your new rating score. Keep in mind: • The average rating for each video is represented by a star ratings scale (1 to 5) and round to the nearest whole number. • The total number of the ratings received for each video is in parentheses next to the star ratings scale. • You may click on the star ratings scale to open the My Rating section to rate the video yourself between 1 and 5 stars.  See Also: Allow Ratings on All Media Enable or Disable Ratings for an Individual Video Comment on a Video If comments have been enabled for content, you may comment on each video you view in the comments section. Rev User Guide 31  To comment on a video: 1. 2. Navigate to User > Media > Videos > Video Name. Enter your comment in the Add a comment box. If the comment box is not already open, you may need to click the comment balloon to open the box. Click Reply to reply to a previously left comment. Click Delete Comment to delete any previously left comment if you have the correct permissions. 3. 4. Keep in mind: • The maximum number of characters that may be used in a comment is 1000. • Your Username and Date and Time will be left next to each comment. • You may reply to a comment to create a nested comment (only one level of nested comments will be created). • You may delete your own comments. Video Functions View a Video Report Each video will contain reports that may be accessed from the Video Details page. Each report will provide data only for that video on the page.  To view a video report: 1. 2. 3. Navigate to User > Media > Videos > Video Name. View the video’s reports by clicking the video report icon. Reporting data you will be able to view includes: • Number of views the video has received in the last 30 days • Average viewing time (completion rate and viewer drop-off stats included) • Web browsers used • Device types used Download Options Download an Individual Video If downloading has been enabled for a video, you may download it using the Downloads button from the Video Details form. Rev User Guide 33  To download a video: 1. 2. Navigate to User > Media > Videos > Video Name. Click the Downloads button. This button will not display if your administrator has not enabled the video for download (or if videos have not been enabled globally for download). You will be prompted to open or save the video. Selecting save will save the video to your Downloads folder unless you choose to save it to an alternate location. 3. 4. Keep in mind: • Downloading to PC is only available at this time; Mobile downloads are not available. • Downloading is also not available if the video is sourced from a URL. • The download will be in .mp4 format.  See Also: Enable or Disable Downloads of an Individual Video Allow Downloads on All Media Download a Video File Attachment If one or more files have been attached to a video, you may download them using the associated file icons from the Video Details form. 34  To download a video file attachment: 1. 2. Navigate to User > Media > Videos > Video Name. Click the associated file icon. File icons will only display if files have been uploaded with the video. 3. Video Functions  See Also: Attach a File to a Video Remove Video Delete a Video If you have the correct role assigned, you may delete a video on the Video Details page. If you do not have the necessary role, you will not see the Delete button.  To delete a video: 1. 2. 3. 4. Navigate to User > Media > Videos > Video Name. Click the Delete button. Confirm the delete action when prompted. See also: Deactivate a Video. Keep in mind, when a video is deleted: • It will be removed from all playlists. • Number of videos in an associated collection will be updated appropriately. • All associated Metadata, comments, ratings, etc. will be removed. • If the video was embedded, any user trying to play the video will receive an error when trying to play the video in the future. • Video analytics associated with the video will not be removed and instead are preserved for historical reporting purposes. Role(s): Account Admin, Media Admin Rev User Guide 35 Deactivate a Video Rather than deleting a video, you may deactivate it instead so that it is hidden from other users without deleting it entirely. This preserves it (and its associated data) for future use should it be needed.  To deactivate a video: 1. 2. 3. Navigate to User > Media > Videos > Video Name. Click the Settings button > Inactive icon. See Also: Delete a Video. Keep in mind, when a video is deactivated: • Collections only include Active videos in their video counts. • Inactive videos are only available within My Uploads for the user that added the video. • Inactive videos are still viewable by users with an Admin or Approver role. • For users without the Admin or Approver role, inactive videos are: a. Hidden in search results. b. Hidden in video lists of all videos for a user. c. Hidden in all playlists. d. Hidden in all Home page playlist sliders. Role(s): To deactivate and view deactivated videos: • Account Admin • Media Admin  See Also: Set the Status of a Video Playlist Settings Playlists are created in VBrick Rev so that users are able to add videos into logical sets. To access playlist creation, click the Add To... button on the Video Details page. Keep in mind: • Playlists are not unique in the system. • Playlist names can contain numbers, letters, and special characters. • Playlists are only visible to the user that creates them. 36 © 2015 VBrick Systems, Inc. Video Functions • • Playlists are not able to be shared. Playlists are not visible to admins.  See Also: Playlists Create a Playlist Before you can add a video to a playlist, it must first exist in the system.  To create a playlist: 1. 2. 3. Navigate to User > Media > Videos > Video Name. Click the Add To... button. Click the +New Playlist button. 4. 5. Enter a Playlist Name and click Save. You may now add videos to the playlist by selecting its checkbox and clicking the Save button.  See Also: Playlists Rev User Guide 37 Create a Featured Playlist The Featured Playlist videos scroll on the Home page when you first log in to the system and are a good method for displaying important information to your organization. The Featured Playlist is automatically created and packaged with VBrick Rev and you add videos to it exactly as you would one of your own playlists.  To create a featured playlist: 1. 2. 3. Navigate to User > Media > Videos > Video Name. Click the Add To... button. Select the Featured Videos checkbox to add the video to the highlighted Featured Videos playlist on the Home page. Click Save. 4. Role(s): Account Admin, Media Admin  See Also: Playlists Access the Home Page Add a Video to a Playlist Videos are added to playlists from the Video Details page. 38  To add a video to a playlist: 1. 2. Navigate to User > Media > Videos > Video Name > Add To... button. Each playlist contains the number of videos already added to it and the date it was last modified (the date a video was last added). Clicking the checkbox beside the playlist adds the current video to the playlist. Add to All adds the video to all playlists. Remove from All removes the video from all playlists. Playlists Edit the Name of a Playlist Playlists are managed and edited from the Media menu bar.  To edit the name of a playlist: 1. 2. 3. Navigate to User > Media > Playlists. Click the playlist you want to edit. Click the Edit link next the playlist name. 4. Update the name of the playlist and click the checkmark to save it. Rev User Guide 39 Note: You may not change the name of the Featured Playlist but you may, however, edit the order of and delete videos in the Featured Playlist as you would any other playlist.  See Also: Playlists Edit Playlist Order Playlists are managed and edited from the Media menu bar. Edit the playlist to arrange the order of the videos.  To edit playlist order: 1. 2. 3. Navigate to User > Media > Playlists. Click the playlist you want to edit. Videos are listed in the order in which they are added to the playlist with most recent displaying first. The order may be changed in List view. Click the List view button to display the videos in list view as opposed to Tile view. 4. 5. While in list view, click and drag videos to the desired play order. Your changes are saved automatically.  See Also: Playlists Delete a Video from a Playlist Playlists are managed and edited from the Media menu bar. Edit the playlist to delete one or more videos from it. 40  To delete a video from a playlist: 1. 2. Navigate to User > Media > Playlists. Click the List view button to display the videos in list view as opposed to Tile view. 4. While in list view, click the number next to the video to delete it from the playlist. You may select more than one video. Then click the Remove button to complete the delete action. 5. Select the checkbox next to the Remove button to select and remove all the videos in the playlist at once.  See Also: Playlists Delete a Playlist Playlists are managed from the Media menu bar. You are able to delete your playlist from the edit screen. You may not delete the Featured Playlist .  To delete a playlist: 1. 2. 3. Navigate to User > Media > Playlists > Playlist Name. Click the Delete List button to delete the playlist. The videos inside the playlist will not be deleted. You may begin playing your playlist from any video that is part of the list.  To play a playlist: 1. 2. Navigate to User > Media > Playlists > Playlist Name. Click the Play button next to the Playlist Name to begin playing the playlist from the first video in the playlist. 3. 4. You may also click on any video within the playlist to begin playing from that specific video as opposed to the first video in the list. Chapter 5 Events Create an Event VBrick Rev presents and easy and intuitive interface to host your Webcasts through the Event Calendar. Add dynamic features such as PowerPoint presentations, interactivity such as user comments, and private event access with ease. Further, a preset list of device profiles make worrying about video source setup on the day of your event a thing of the past. The first step is creating your event and setting its parameters; the Event Calendar makes this easy to accomplish. By default, the calendar is displayed in monthly view but you may toggle between monthly, weekly, and daily view. Rev User Guide 43 Note: Private events (depicted by a lock icon) are not displayed or viewable on the calendar unless the following conditions are met: • You are an Event Admin or Account Admin. • You have been invited to the private event. • A group you belong to has been invited to the event. If you are subsequently removed from the group, you will no longer be able to view or attend the event.  To view the Event Calendar: 1. 2. 3. 4. Navigate to User > Events. Use the Month , Week , and Day buttons to toggle views. Use the Today button to return quickly to the current day’s events. Use the right and left arrows to page between months (or days, weeks, etc. depending upon your selected view). Click on a specific day or event on the calendar to: • Schedule a new event (Event/Account Admins) • Edit a previously scheduled event (Event/Account Admin) • Start an event (Event Host) • Attend an event (Attendee or Invited Attendee if private event) 5. Role(s): Event Admin, Account Admin (to schedule and edit Webcasts) Schedule a Webcast Event Event Admins are easily able to create live Webcasts from the Event Calendar. 44  To schedule a Webcast: 1. 2. 3. Navigate to User > Events. Click the date you want to schedule the Webcast. Complete the Event Details section. © 2015 VBrick Systems, Inc. Events Field Required Description Title Yes Descriptive title for your Webcast. Description Extended description for your Webcast. This also becomes part of your invitation text to your attendees so be aware of what you include in this field. Start Date Yes The start date may not be after the end date/time. Start Time Yes This is defaulted to 9:00 a.m. (if not on monthly view). If navigated from weekly or daily view, the default is the time selected from calendar. This may not be after the end date/time. End Date Yes The default end date is the same as the start date. The end date may not be before the start date/time. End Time Yes This is defaulted to add one hour to the start time. This may not be before the start date/time. Time Zone Yes No time zone is selected by default because the time zone is assumed to be that of the user’s browser. The Event Admin can manually specify a time zone for the event if scheduling an event on behalf of someone in another time zone. If manually specified, all admins that can access the event details will see the event in the manually specified time zone. Tip: If the event start date/time are modified, the end date/time are also subsequently changed to keep the original duration that was specified for the event. For example, if an event is set up to begin at 1:00 and end at 3:00, the end time would change to 5:00 if the start time is changed to 3:00. 4. Complete the Build Your Event section. Rev User Guide 45 Field Required Description Host Yes The person that will host the Webcast. Only the Host start and control the event. There may only be one host per event. This field is defaulted to the admin creating the event. The host may be modified by any Event Admin or Account Admin before the event begins broadcasting. Presentation Profile Yes A Presentation Profile is used to define a device profile for your event and specifies attributes such as video sources. You must select a device to stream your video for each live event. See: Select a Presentation Profile for a Webcast Event If you need to define a new profile, see: Add a Presentation Profile in Admin Functions. Listing Type Designate the Webcast public or private. A public event will appear in the Event Calendar and Upcoming Events carousel and be accessible to all user accounts. A private event will only be accessible if certain conditions are met. See: Schedule a Private Webcast Event Enable Polls Select to insert a poll into the Webcast. A question and four responses may be inserted. See: Add a Poll to a Webcast Event Enable Comments Select the checkbox to allow attendees to submit comments and questions during the Webcast. See: Enable Comments for a Webcast Event Only Allow Comments to the Host Select the checkbox to ensure that all attendee comments go to the host only. This controls what attendees are able to see in the comments during the Webcast. Only appears if the Enable Comments checkbox is selected. See: Only Allow Comments to Host for a Webcast Event Allow Anonymous Comments Select the checkbox to allow attendees to submit anonymous comments during the Webcast. Events Field Required Upload Presentation File Description If a PowerPoint presentation will be part of this event, upload it using the Browse button. See: Upload a PowerPoint Presentation to a Webcast Event for details on sizing and format extensions. Note: Only Event Admins or Account Admins may be designated as a host for an event and will appear in the Host dropdown. If a host must cancel for any reason, any Event or Account Admin in the system has the ability to edit the event and select another Event or Account Admin to host the event in their place. However, an event may not be edited once it has started broadcasting. Role(s): Event Admin, Account Admin (to schedule and edit Webcasts) Schedule a Private Webcast Event There may be times when you want only invited attendees to be able to join your event. In this case, you need to set your event to private and specify which user accounts or groups will have access to the event. When an event is private: • It does not appear in the Upcoming Events carousel on the Home page unless the user account (or a group the user account belongs to) is invited to the event. • It does not appear in the Event Calendar unless the user account (or a group the user account belongs to) is invited to the event. • Access to private events should be granted to groups or individuals when scheduling the event and before they try to access the event. Otherwise, the invited attendees will not be able to access the event. In other words, you may distribute the event invitation and then go back and add additional attendees; however, you will need to grant access before the event begins and before they try to access the event. Otherwise, invited attendees will not be able to attend. • Event and Account Admins are always able to see, edit, and join private events through the calendar and carousel. • If a user account has been granted access to a private event through a group and is subsequently removed from that group, the event will no longer appear on the user’s event calendar and the user will not be able to access the event.  To create a private event: 1. 2. 3. Navigate to User > Events > Add Event . Schedule the event as you normally would. See: Schedule a Webcast Event Select Private as the Listing Type. Rev User Guide 47 4. 5. Use the Groups tab to specify groups that may attend the event. Use the Users tab to specify user accounts that may attend. 6. User accounts that are not specified (or part of an invited group) will not be able to access the private event through invitation text that is sent by an event host if they are not added on the Groups or Users tab as part of event set up. They will also not be able to see the event in the Event Calendar or on the Upcoming Events carousel on the Home page. Role(s): Event Admin, Account Admin (to schedule and edit Webcasts); Invited Attendee and Groups (to view a private Webcast) Select a Host for a Webcast Event Every Webcast must have a designated host to run the event no matter if it is private or public. Only the host may start and control the event from the Event Calendar and there may be only one host per event. A host is selected during event creation. 48  To select an event host: 1. 2. 3. Events Role(s): Event Admin, Account Admin  See Also: Host an Event Select a Presentation Profile for a Webcast Event A Presentation Profile is used to define a device profile for your event and specifies attributes such as video sources. You must select a device to stream your video for each event when creating a Webcast. Your Account Admin will have already defined Presentation Profiles for you to select from when creating an event.  To select a Presentation Profile for your event: 1. 2. Navigate to User > Events > Add Event > Change button (next to Presentation Profile ). A list of active profiles displays with their availability displayed. Column Description Presentation Profile A descriptive name of the profile. Normally where the device and video source is located. Availability Whether or not the video source is available to use for your Webcast during your selected date/time. If it is Available, it is not reserved for another event and you may reserve it for your event. If it is reserved, the video source is scheduled for another event for the same date/time you are scheduling for your event and may not be used. Actions The actions you may take on the Presentation Profile such as selecting it for your event or viewing the conflicting reservation already made for the video source. If a profile is already reserved, a View Reservation link will be present. 3. 4. Use the Available button to view only the profiles that are available for the indicated date/time you have scheduled for your event. Click the Select button to use the Presentation Profile for your event if it is available. Rev User Guide 49 5. Click the View Reservation link in the Actions column to view the events that have been scheduled for the presentation profile (both past and future). Event Names, Start and End times, and Hosts are listed.  See Also: Add a Presentation Profile Add a Poll to a Webcast Event A Poll may be used to increase the interactivity in a Webcast to keep attendees engaged in the presentation. Account or Event Admins may add one or more polls to a Webcast event before the host begins broadcasting so that the poll does not have to be created on the fly.  To add a poll to an event: 1. Navigate to User > Events > Add Event > Enabled button (next to Enable Polls ) to enable the poll functionality. Polls are disabled by default. Click the Add Poll button. 2. 50 © 2015 VBrick Systems, Inc. Events 3. 4. 5. Use the Question field to enter the poll question and up to four answers in the Answer fields. At least one answer is required. These fields may be edited if no responses have been received. Select the Yes button next to Allow Multiple Answers if you want event attendees to be able to choose more than one answer when taking the poll. You may add more than one poll to the event by clicking the Add Poll button to add additional polls. The host of the event will be able to choose when to launch each poll (and in which order) when broadcasting. 6. 7. Click the Save button save the polls to the event. Click the Delete Poll button to remove the poll entirely from the event. Navigate to User > Events > Add Event > Enable Comments checkbox. When you enable comments, both the Only allow comments to host and Allow anonymous comments checkboxes then become available. Keep in mind: • When only the Enable Comments checkbox is selected (such as displayed in the image above), the attendee will be able to decide if a comment is submitted to the only the host but anonymous comments will not be allowed during the event.  See Also: Submit a Comment During a Webcast Event Submit an Anonymous Comment During a Webcast Event Only Allow Comments to Host for a Webcast Event If comments are enabled for an event, you may also specify that attendees are only able to submit them to the host. This allows you to control what other attendees may view.  To only allow comments to the host: 1. 2. 3. Navigate to User > Events > Add Event > Enable Comments checkbox. Comments must be enabled first before you are able to enable anonymous commenting. Select the Allow Anonymous Comments checkbox.  See Also: Submit an Anonymous Comment During a Webcast Event Upload a PowerPoint Presentation to a Webcast Event You are easily able to display and control a PowerPoint presentation in addition to your streaming video for your Webcast event.  To upload a PowerPoint presentation: 1. 3. Navigate to User > Events > Add Event > Choose a File button (next to the Upload Presentation File text). The following extensions must be used or an error is generated upon upload: • .ppt • .pptx Use the Replace File button to replace a previously uploaded presentation file.  See Also: 2. Control a Presentation During a Webcast Broadcast Edit Events Edit a Webcast Event You may not edit an event in progress. Rev User Guide 53  To edit a Webcast event: 1. 2. Navigate to User > Events. Click the event to edit on the Event Calendar. See: View the Event Calendar if you are unfamiliar with the calendar interface. Edit the fields as needed. See: Create an Event if you are unfamiliar with field values. The Presentation Profile selected must be Available if edited. See: Select a Presentation Profile for a Webcast Event if you are unfamiliar with device profiles. 3. 4. Role(s): Event Admin, Account Admin Delete a Webcast Event You may not delete an event in progress.  To delete a Webcast event: 1. 2. Navigate to User > Events. Click the event to delete on the Event Calendar. See: View the Event Calendar if you are unfamiliar with the calendar interface. Click the Delete button. Confirm the deletion when prompted. The event is removed from the Event Calendar. All resources reserved for the event on the Presentation Profile (encoders, DMEs, etc.) become available. See: Select a Presentation Profile for a Webcast Event if you are unfamiliar with device profiles. 3. 4. 5. 6. Role(s): Event Admin, Account Admin Host an Event Several tasks are involved when hosting your Webcast including steps you must take before, during, and after your broadcast to ensure the event runs smoothly. VBrick Rev makes hosting an event a painless procedure and prepares you to handle everything that may come your way. Start a Webcast Event Be aware that when you start an event you are not actually broadcasting it to your audience. VBrick Rev allows you to first start the event so you can preview it before you actually begin broadcasting to your audience. Further, you must start an event before you can begin broadcasting it. You must have the Event Admin role and be the event host before you can start an event. 54 © 2015 VBrick Systems, Inc. Events Note: An event host may only start an event up to 15 minutes before the event start time.  To start an event from the Event Calendar: 1. Navigate to User > Events > Event Name > Start Webcast button. (You may also click on the Event Name in the Upcoming Events carousal from the Home page) 2. This will display Host view. While in Host view: • The red bar across the top of the screen indicates that you are not broadcasting initially. This changes to a green bar if you click the Broadcast button to begin broadcasting the event to attendees. • The Invite Others button will provide you the text to send invitations to this event to attendees if this is a private event. Attendees or groups must be specified in the private event. • The Attendees button provides you information and access to how many people are currently in the event. Rev User Guide 55 Role(s): Event Admin that is the designated event host.  See Also: Select a Host for a Webcast Event Send Invitations for a Webcast Event Once an event is created and saved, the host of the event may copy auto generated event invitation text into an Outlook meeting invite for attendees. The Invite Others button may be used to send additional invitations once the event has started if necessary.  To send invitations for an event: 1. Navigate to User > Events > Event Name > Invitation Text button. (You may also click on the Event Name in the Upcoming Events carousal from the Home page) 2. Highlight and copy the event invitation text and URL to your clipboard. It may then be posted to a meeting invite of your choice such as Outlook. As noted, once the Webcast is started, you may use the Invite Others button to send additional invitations if needed. 56 © 2015 VBrick Systems, Inc. Events Tip: When creating an event, the Description field is used for the event invitation description text.  See Also: Schedule a Private Webcast Event Create an Event View the Attendees in a Webcast Event Once an event begins broadcasting, the host of the event is able to view a list of attendees. The attendee count will always reflect the current number of attendees in an event. Clicking on the count will display the list of current attendees that will update dynamically (along with the count) when: • An attendee leaves an event • An attendee navigates away from an event • An attendee’s connection is terminated and/or re-established.  To view a list of attendees in an event: 1. 2. 3. Navigate to User > Events > Event Name > Start Webcast button. Click the Broadcast button to begin broadcasting the event to attendees when ready. The Attendees button displays the current number of attendees in the event and will update dynamically as attendees join and/or leave the event. 4. 5. Clicking on the button displays an Attendees List . Search by Attendee Name or Email Address if needed. Rev User Guide 57  See Also: Event Attendees Report Broadcast a Webcast Event to Attendees To enable attendees to view the event, you must broadcast it. While in host view after starting the event, you will notice a red bar across the top of the screen that informs you that you are not broadcasting.  To begin broadcasting to attendees: 1. 2. 3. Navigate to User > Events > Event Name > Start Webcast button > Broadcast button. The Broadcast button will turn green and the text will display “Broadcasting”. The red bar at the top of the screen will turn to the green broadcasting bar seen below. Attendees are now viewing your event. Record a Webcast Event To record a Webcast event, the event must be broadcasting and an Account Admin must configure Rev to record Webcast events by setting a primary DME player. When you record a Webcast event both the video input will be recorded as well as any attached PowerPoint presentation (if applicable). If you stop broadcasting or end the event, the recording will also stop. You may view and edit your recorded events under the Media menu > Uploads tab. Note: If recording is started/stopped multiple times during an event, each start/stop combination is treated as a separate recorded event. Videos are transcoded to the presets specified in transcoding settings for recording  To record an event: 1. 2. Navigate to User > Events > Event Name > Start Webcast button > Record button. The Record button will turn red and the text will display “Recording”. An error message will be displayed and you should contact your Account Admin if: 58 © 2015 VBrick Systems, Inc. Events • • • DMEs are down and Rev is unable to connect and record your event. DMEs have reached their storage capacity and have run out of storage space. DMEs have reached their maximum simultaneous recordings allowed.  See Also: Set a Primary and Secondary DME Transcoding Preset Default Settings Uploads View a Recorded Webcast Event When an event Webcast is recorded, it may be accessed under the Media user bar, Uploads tab. Keep in mind that each time a recording is started and stopped, a new video is created. Further, videos are transcoded to the presets specified in transcoding settings for recording. Default video settings may be edited and are as follows: • Name: "Recording of ". Multiple recordings will have a number appended to make each recording unique. • Description: Event description. • Original Broadcast Date: Event start date, time, time zone. • Default settings for: • Category • Collection • Tags • Thumbnail  See Also: Uploads Video Settings Set a Primary and Secondary DME Transcoding Preset Default Settings Control a Presentation During a Webcast Broadcast If a PowerPoint presentation is associated to an event, it will display once in host view. Once broadcasting begins, it is easily controlled by the event host.  To control a presentation during a broadcast: 1. 2. 3. Navigate to User > Events > Event Name > Start Webcast button > Broadcast button. Use the Next Slide and Previous Slide buttons to page through the presentation. Use the thumbnails beneath the presentation to go to a specific slide. The host may also choose to edit or create a poll on the fly, without the need to leave the event.  To display a poll during a broadcast: 1. Navigate to User > Events > Event Name > Start Webcast button > Broadcast button and begin/host the event as you normally would. Click the Polls tab to display the polls currently available. Events 4. 5. 6.  Click the Open Poll button to present the poll to attendees. Click the Edit button to edit the poll attributes before you open it to attendees if necessary. You may not edit polls that have been opened or that have received responses. Poll results are updated as attendees respond until you close the poll. Each question will display total number of respondents and number of responses per answer. Numbers are updated dynamically if attendees change their answer before you close the poll. Navigate to User > Events > Event Name > Start Webcast button > Broadcast button and begin/host the event as you normally would. Click the Polls tab to display the polls currently available. Note that a small number next to the text indicates how many polls are currently available. Use the next and back arrows to navigate between polls. Click the Edit button to edit the poll attributes if necessary. It must be closed and have no responses. You may edit the poll question, answers, and whether or not multiple answers are allowed. Navigate to User > Events > Event Name > Start Webcast button > Broadcast button and begin/host the event as you normally would. Click the Polls tab to display the polls currently open. Note that the Close Poll button is only displayed on those polls that are currently open for attendees. Click the Close Poll button. It immediately switches to an Open Poll button. You may use this button to open the poll again to attendees should you choose. Click the Publish Results button to display the results of the poll to attendees. The Hide Results button will appear once they are published. You must hide the results of the poll before you may open it again. 2. 3. 4. 5. When an event is ended: • • The event will no longer be broadcast. The event will no longer be recorded. • Attendees viewing the event receive an on screen notification that the event has ended. Attend an Event Join a Webcast Event from the Upcoming Events Carousel If an event has been added to the Event Calendar and has been designated as a public event, you will be able to see it on the Upcoming Events carousel on the Home page. 64 © 2015 VBrick Systems, Inc. Join a Webcast Event as an Attendee from the Event Calendar If an event has been added to the Event Calendar and has been designated as a public event, you will be able to see it on the Event Calendar. You may click on the event when the date and time arrives to view event details and join the event by clicking the Join Webcast button. Join a Webcast Event from a URL Invite Your event host has the option of sending you an event invite through an email or calendar invite. Clicking the provided URL will prompt you to log in to VBrick Rev where you will then be redirected to the Join Webcast button so that you may attend the event. Tip: Private events (denoted by a lock icon) are only displayed on the Event Calendar when the following conditions are met: • You are an Event Admin or Account Admin. • You have been invited to the private event. • A group you belong to has been invited to the event. If you are removed from the group that is granted access, you will no longer be able to view or attend the event. If you do not receive an invite to an event you are expected to attend, contact your Event or Account Admin. Submit a Comment During a Webcast Event Comments are posted under the Comment tab of the attendee interface. 66 © 2015 VBrick Systems, Inc. Events  To submit a comment: 1. 2. 3. Type your comment in the Comment field. Select who your comment should be displayed to in the Post To options. Press Submit . Keep in mind: • You may only submit comments for events that have been started. • You may view comments that have been submitted prior to when you joined the event. • You may view your own comments, comments submitted by other users, and when they were submitted depending upon how comments have been configured and submitted for the event. • Comments are displayed in the order they are submitted. The Event Admin may configure the event so that comments may only be submitted to the host. If this is the case, the Post To options will be removed such as seen below and a message will be displayed that all comments are being submitted directly to the host. Only the host will see submitted comments for the entirety of the event if this option has been set. Events Keep in mind: • You may only submit comments for events that have been started. • You may view comments that have been submitted prior to when you joined the event. • You may view your own comments, comments submitted by other users, and when they were submitted depending upon how comments have been configured and submitted for the event. • Comments are displayed in the order they are submitted. Tip: The Event Admin may configure the event so that comments may only be submitted to the host. If this is the cast, the Post To options will be removed such as seen below and a message will be displayed that all comments are being submitted directly to the host.  See Also: Allow Anonymous Comments for a Webcast Event Submit a Comment to the Host Only of a Webcast Event There may be times when you want to submit a comment to only the event host and not to all attendees. You may do so as your user account or anonymously if anonymous comments have been enabled.  To submit a comment to the Host of the event: 1. 2. Type your comment in the Comment field. Click the Host Only checkbox in the Post To options. Rev User Guide 69 3. 4. If anonymous comments have been enabled, you may click the Post Anonymously checkbox to submit your comment anonymously. Press Submit . If more than one poll is available, use the back and next arrows for paging. Some polls may allow you to select more than one answer. Navigate to User > Events > Event Calendar > Event Name. Click the Reports button. The Attendees section will be graphically displayed. The Event Attendees Report will export the following about each attendee if you click the CSV button: • Username • Name • Email Address • Device Type (iPhone, iPad, Android, PC, etc.) • Browser Used Rev User Guide 71 • • • • • • • IP Address Zone Device Accessed Stream Accessed Length (of time spent in the event) Trend Triggers Trigger Times Role(s): Event Admin, Account Admin Access the Webcast Event Comment Log Event and Account Admins may access all comments that occurred during an event Webcast through a comment log once the event has ended. This includes comments that were sent to the host only during the event.  To access the event comment log: 1. 2. Navigate to User > Events > Event Calendar > Event Name. Click the Comments button. 3. 4. 5. You will be prompted to open or save the text file. If you save the file, it will be downloaded to your root drive Downloads folder as comments.txt. Events Download Event Poll Results Event and Account Admins may access and download poll results that occurred during an event Webcast.  To access and download event polls: 1. 2. 3. Navigate to User > Events > Event Calendar > Event Name. Click the Reports button. The Polls section will be graphically displayed on the Reports dashboard under the Attendees reports. 4. 5. You may also click the CSV button to download the Poll report.
